Flodesk vs Mailchimp for Coaches: Honest 2026 Comparison

Flodesk vs Mailchimp for Coaches: Honest 2026 Comparison

Flodesk vs Mailchimp comes down to how you want to pay and what you want to build. Flodesk is the design-led choice: every paid plan sends unlimited email, the entry plan is $25 a month (or $19 a month billed annually) for up to 1,000 subscribers, and its Everything plan adds checkouts and sales pages. Mailchimp is the cheaper way to start and the deeper marketing tool: the Free plan really sends email to up to 250 contacts, and the Standard plan unlocks 200-step automation flows with branching, but prices climb by contact tier and a contact in two audiences counts twice.

Neither tool books sessions, keeps client records or delivers a coaching program. That is the gap this comparison keeps returning to, because for most coaches the newsletter is only one part of the business. We make Coachful, a coaching platform with email built in, so we cover it at the end as a third option and say plainly when it beats both and when it does not. Vendor prices below are as listed in October 2026.

Flodesk vs Mailchimp: what is the short answer?

Pick Flodesk if your email is your brand and you send often to a list under a few thousand people; pick Mailchimp if you want a usable free start or advanced segmentation and reporting. If you also need booking, payments for coaching and a place clients actually do the work, both tools leave you stitching on three or four more apps.

Here is the short answer by use case:

  • You are starting from zero and want to send email this week without paying: Mailchimp. Its Free plan sends 500 emails a month (250 a day) to up to 250 contacts. Flodesk's Free plan collects subscribers through forms and landing pages but cannot send email at all.
  • Your newsletter looks like a magazine and you send weekly or more: Flodesk. Paid plans include unlimited sends, so a busy sending schedule does not push you into a higher tier.
  • You want a five-email welcome sequence with branches for different lead magnets: Flodesk Pro (unlimited workflows) or Mailchimp Standard (up to 200 flows, 200 steps each). Mailchimp Essentials caps flows at 4 steps, and Flodesk Lite includes only a limited-time bonus of 1 workflow.
  • You want to sell a program or a paid workshop from the same tool: Flodesk Everything, which adds unlimited checkouts, sales pages, subscriptions, payment plans and abandoned-cart automations. Mailchimp's marketing plans do not include a coaching checkout.
  • You run 1:1 or group coaching and want email, booking, payments and client delivery under one login: neither. A coaching platform such as Coachful fits better.

How do Flodesk and Mailchimp compare side by side?

Flodesk is narrower and simpler; Mailchimp is broader and more technical. The table ranks on what matters to a working coach: one login for the whole client journey, delivery between sessions, total stack cost, and how much setup you have to do yourself (including the free white-glove build Coachful offers).

Trustpilot figures were read on October 25 (Flodesk) and October 28, 2026 (Mailchimp). Review scores reflect who chooses to post, and Flodesk's score rests on far fewer reviews, so read the written reviews rather than treating the number as a verdict.

What do Flodesk and Mailchimp cost in 2026?

At 500 to 1,000 contacts the two cost about the same; past that, the pricing models split. Flodesk charges by active subscribers with unlimited sends, while Mailchimp charges by contacts and caps monthly sends at a multiple of your contact tier.

How Flodesk pricing works

Flodesk retired its old flat-rate plan for new members on December 2, 2025 (existing members keep it). Every paid plan now starts at a base price for up to 1,000 subscribers and rises with your active subscriber count, so unsubscribed and inactive people do not push the bill up. Lite tops out at 25,000 subscribers; Pro and Everything slide up to 255,000, and Pro at the very top of the slider reaches about $1,589 a month on monthly billing. Annual billing gives roughly one month free.

The plans differ by what they unlock rather than by sending volume. Lite gets unlimited sends and email analytics, with one workflow as a limited-time bonus. Pro adds unlimited workflows, advanced analytics and the option to hide the Flodesk footer (plus one checkout as a limited-time bonus). Everything adds unlimited checkouts, sales pages and funnels, subscriptions and payment plans, and abandoned-cart automations. A dedicated IP is available on Pro and Everything at a price Flodesk does not show. Our Flodesk pricing breakdown goes tier by tier.

How Mailchimp pricing works

Mailchimp prices each plan by contact tier, starting at 0 to 500 contacts for Essentials and Standard and at 10,000 contacts for Premium. Monthly sends are capped at 10 times your contact limit on Essentials, 12 times on Standard and 15 times on Premium, and paid plans bill overages when you go over either limit. On the Free plan, "sending will be paused if contact or email send limit is exceeded."

Three details catch coaches out. First, a contact who sits in two audiences counts twice, so keeping separate lists for podcast listeners and past clients can double part of your bill; use tags inside one audience instead. Second, there is no self-serve annual discount: annual plans exist only for Standard and Premium at 10,000+ contacts through sales. Third, a custom domain for a Mailchimp website needs a paid Websites plan whose price is not shown on the current pricing page, although landing pages are free to all users and can use your own domain. Mailchimp also sells Transactional Email (Standard and Premium only), SMS credits and Pay As You Go email credits.

A worked example at 800 subscribers

Take an example coach with 800 subscribers who sends one newsletter a week and wants a welcome sequence. On Flodesk, Pro covers this at $28 a month (or $25 billed annually): the list is under 1,000, sends are unlimited and workflows are unlimited. On Mailchimp, 800 contacts is above the 500-contact base tier, so Standard costs more than its $20 starting price; the exact figure comes from Mailchimp's contact selector, which we did not capture above the base tier. Four newsletters to 800 people is 3,200 sends a month, comfortably inside Standard's 12x cap. These are illustrative numbers, so run your own list size through each vendor's pricing page before deciding.

What this example leaves out is the rest of the stack. Neither price includes a scheduler, a client portal or a contract tool. Add a booking app (see our Calendly pricing guide for what that typically costs) and a course or program tool, and the email line becomes the smallest part of the monthly total.

Which is better for email design and templates?

Flodesk, for most coaches who care how their emails look. Its whole pitch is design-led email, and the editor is built around visual layouts rather than settings menus. Mailchimp has more template types and supports custom-coded templates on Standard, which suits someone with HTML skills or a designer on call.

Mailchimp's Free plan includes only a limited set of pre-built templates; Essentials opens all pre-built templates, and Standard adds branded templates and dynamic content (content blocks that change depending on who receives the email). Its generative AI, Intuit Assist, is included on Standard at no extra cost.

Flodesk keeps the plan list short and positions itself around good-looking email for people who are not designers. The trade-off is flexibility: if you want per-recipient dynamic blocks or to paste in your own coded template, Mailchimp is the one that documents those features.

One practical note: plain, personal emails often suit coaching better than heavy designs. A short note from you, a single link and your signature can feel more like a conversation with a coach than a branded layout does. Either tool can send that; Flodesk simply makes the designed version easier.

How do Flodesk and Mailchimp automations compare?

For a typical coaching welcome sequence, Flodesk Pro and Mailchimp Standard are both enough, and the cheaper plans of each are not. The difference is in depth: Mailchimp's flows go further with branching and predictive segmentation, while Flodesk's workflows are simpler to build.

Mailchimp renamed its Customer Journey Builder to automation flows in June 2025. The Free plan has no flows and no email scheduling. Essentials allows flows of up to 4 steps, which covers "welcome email, wait two days, second email, tag" but not a real nurture series. Standard allows up to 200 flows with up to 200 steps each, branching, predictive segmentation and custom reports, which is where Mailchimp becomes a serious marketing automation tool.

Flodesk's Lite plan includes a single workflow as a limited-time bonus, so do not plan your business around it. Pro and Everything include unlimited workflows, and Everything adds abandoned-cart automations tied to its checkouts. If you want an automated sequence after a free guide download, Pro is the realistic starting point.

For coaches, the common sequences are a lead magnet delivery, a three to five email welcome series, a discovery call nudge and a post-purchase onboarding sequence. Both tools handle the first three well. The fourth is where they run out of road, because "onboarding" for a coaching client means a contract, a booking, an intake form and access to the program, and none of those live in an email tool. Our guide on sending client broadcasts without Mailchimp covers how coaches handle client-only communication.

Forms, landing pages and websites: which does more?

Mailchimp does more on paper, Flodesk does it more simply. Both let you build signup forms and landing pages on their free plans, and Mailchimp adds a basic website builder.

Flodesk's Free plan includes unlimited forms, landing pages, link-in-bio pages, templates and segmentation, which makes it a decent list-building tool before you pay. You just cannot email the people you collect until you upgrade. Sales pages and funnels arrive on the Everything plan.

Mailchimp's Free plan includes popup and signup forms, landing pages and a free website on a mailchimpsites.com address. Landing pages are free for all users and can use your own domain, which is handy for a lead magnet page. A full website on a custom domain needs a paid Websites plan, priced separately.

Neither is a full coaching website. If you want a home page, about page, services, booking and a blog in one place, a dedicated coach website builder is a better fit than stretching an email tool.

Can you sell coaching with Flodesk or Mailchimp?

You can sell simple offers with Flodesk Everything; Mailchimp's marketing plans are not built for it. Neither handles the parts that come after the sale, such as booking sessions or tracking a client's progress.

Flodesk Checkout runs on Stripe. With Stripe Express (US, Canada, Australia and New Zealand), processing is 3% + $0.30 per transaction; the UK rate is 3% + £0.30 and the Euro Area rate is 3% + €0.30. If you connect your own Stripe Standard account, you pay your regional Stripe rate instead, and Apple Pay and Google Pay are available. Flodesk states no fee of its own on top. Checkout payments are supported only in the US, Canada, the UK, Australia, New Zealand and Euro Area countries, so a coach based elsewhere should check before building an offer around it. Everything is the plan that unlocks unlimited checkouts, subscriptions and payment plans; Pro gets one checkout as a limited-time bonus.

Mailchimp's marketing pricing page does not cover selling or checkout processors, and its separate commerce pricing pages now redirect to the marketing page, so we could not verify any store fees. In practice, coaches who use Mailchimp take payment in another tool and connect it through one of Mailchimp's 300+ integrations.

Selling a 12-week program is more than a checkout, though. After payment you still need a signed agreement, a first session booked, an intake form, and a place to deliver the content. Our coaching payment software page walks through what that whole flow looks like when it is connected.

How do deliverability, analytics, support and data export compare?

Mailchimp documents more of this than Flodesk does, which matters if you ever need to leave. On analytics and support, the plan you are on decides most of the answer.

  • Analytics: Flodesk Lite includes email analytics; Pro and Everything add advanced analytics. Mailchimp Standard adds custom reports and predictive segmentation; Premium adds multivariate testing. Mailchimp Essentials and up include A/B testing.
  • Deliverability options: Flodesk offers a dedicated IP on Pro and Everything (price not shown). Mailchimp's dedicated IP is part of the Transactional Email add-on at $29.95 a month. Most small lists do not need a dedicated IP; a clean, permission-based list matters more.
  • Support: Mailchimp's Free plan gets email support for the first 30 days only; Essentials and Standard get 24/7 email and chat; Premium adds phone and priority support.
  • Seats: Flodesk gives 1, 2 and 3 seats on Lite, Pro and Everything. Mailchimp gives 1 seat on Free, 3 on Essentials, 5 on Standard and unlimited on Premium.
  • Data export: Mailchimp exports a ZIP once every 24 hours with audiences as CSV files split by status, campaigns, reports, templates and more (billing statements and deleted audiences are not included). Flodesk's export process was not documented on the pages we checked, so test it during your trial.

Whichever you choose, the legal basics are the same: an accurate sender name, a physical postal address and a working unsubscribe link in every marketing email, as the FTC's CAN-SPAM compliance guide sets out for the US. If you email people in the EU, the European Commission's data protection pages explain the consent rules. Rules vary by country, so check with an attorney if you sell internationally.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What does the client experience look like?

With Flodesk or Mailchimp, your client experiences an inbox and nothing else. That is fine for a newsletter reader and thin for someone paying for coaching.

A subscriber on either tool sees your emails, perhaps a landing page and, with Flodesk Everything, a checkout page. Once they become a client, they move into whatever else you use: a booking link from one app, a contract from another, a course in a third, a shared document for homework. Each app has its own login, its own notifications and its own look, and the client has to remember which one holds what.

Email also cannot tell you how a client is doing. You can see who opened a message, not who skipped their morning check-in or stopped logging habits. For a coach whose results depend on what happens between sessions, that is the real gap.

A client's My Coaching page on a phone and Coachful's Funnels page on a laptop in a cosy reading nook
A demo client's My Coaching page on a phone next to Coachful's Funnels page on a laptop.

This is the job a coaching platform does: a client gets one branded home with their sessions, program, habits, check-ins and documents, and the coach sees who is thriving and who has gone quiet. The screenshot below shows the client side of that in Coachful.

Which should you pick for your kind of coaching practice?

Match the tool to how much of your business runs through email. If email is the business (a newsletter, a podcast audience, digital downloads), choose between Flodesk and Mailchimp. If email feeds a coaching practice, start from the coaching platform and use its email.

MailchimpStarting with a tiny list and no budget, or a marketer who wants branching flows, predictive segments and custom reportsYour list sits across several audiences, you dislike contact-based billing and overages, or you want design to be effortless

A few common situations:

  • New coach with fewer than 250 contacts: Mailchimp Free gets you sending today. Plan for the move: once you need a welcome sequence you will be paying anyway, and that is a good moment to compare total costs. See our guide for new coaches.
  • Coach with a growing Instagram audience and a pretty brand: Flodesk suits the look. Watch the slider as the list grows past 1,000 active subscribers.
  • Coach selling a small digital product: Flodesk Everything if you are in a supported country. Compare it with the tools in our Flodesk vs ConvertKit comparison.
  • Coach with paying clients, sessions and a program: a coaching platform, because the email tool will be one of five logins otherwise.

Is there a third option? Coachful, honestly

Yes, if you coach clients rather than only grow a list. Coachful is a coaching platform that includes email lists, broadcasts and multi-step sequences alongside booking, payments, contracts, programs, courses, a community and a website, with one login for you and one branded app for your clients. We make Coachful, so weigh this section with that in mind.

What Coachful is and who it is for

Coachful is built for coaches who deliver programs, not just sessions: solo coaches growing into a small team, and coaches replacing four to six separate tools. One subscription covers the whole client journey, from the first funnel to the final check-in. The company is based in Tallinn, Estonia, and holds a 4.5 rating on Trustpilot from 21 reviews.

How Coachful's email compares with Flodesk and Mailchimp

Email in Coachful covers lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits, which is the same core job as Flodesk Pro or Mailchimp Standard. The difference is what the triggers can see. Because the email lives next to bookings, payments and programs, a sequence can follow a coaching event rather than only a form signup. Michelle, the built-in AI assistant, drafts emails and content from your live practice data.

Here is a short walkthrough of the email area:

Coachful also handles the steps around email that Flodesk and Mailchimp leave to other apps. Booking, application, lead-magnet and checkout funnels come with pixels and UTM tracking, and a link-in-bio page that sells. On Instagram, automations can reply to a comment keyword with your booking link, lead magnet or checkout in a DM, and the person lands in the same lead and client records as your email subscribers.

When Coachful beats both

  • You sell coaching, not just content. Payments run through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, order bumps, coupons, Apple Pay and Google Pay, and a 0% Coachful platform fee since August 2026; you pay only Stripe or Razorpay processing. Coaching agreements with e-signature go out before the first call.
  • You book sessions. Booking pages include availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync, built-in video or automatic Zoom, Meet and Teams links, and reminders by email, plus SMS and WhatsApp once messaging is enabled. More on our scheduling software page.
  • Results depend on what happens between sessions. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins and streaks. Each client record shows goals, check-ins, notes, payments and a status of thriving, active, quiet or at risk.
  • You want one place for content. Courses with drip and completion tracking, downloads, community feed, group chat and cohort groups created automatically on enrollment are included in your Coachful membership.
  • You want a website without building it. A section-based builder with a blog, custom domain, SEO settings and 30 designed homepage templates, or the white-glove team builds it for you.

When Flodesk or Mailchimp is still the better choice

  • Your business is a newsletter. If you mainly publish to a large audience and sell little coaching, a dedicated email tool's design editor (Flodesk) or reporting depth (Mailchimp's predictive segmentation and multivariate testing) will serve you better.
  • You need a no-cost start. Mailchimp's Free plan sends to 250 contacts indefinitely. Coachful offers a free trial rather than a permanent plan.
  • You need PayPal. Coachful does not support PayPal.
  • You work in a clinical setting. Coachful is not HIPAA-certified and offers no BAA, so clinical records and insurance billing belong in a clinical system.
  • You want third-party plugins or a general-purpose website for a non-coaching business. Coachful is not a general website builder and has no plugin marketplace.

Coachful's plans are flat monthly prices; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). For a practice of around 15 clients, the relevant plan is Solo: $49/month for up to 20 clients. Monthly plans cancel in one click.

Why Coachful stands out: a free white-glove service

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you inside your own account: a website, a funnel, a sales page, a program, a course outline and written material, an email sequence or newsletter, a link in bio, a lead quiz, a form, an automation and more. From Create, choose "We'll build it for you", describe what you want, and attach up to 8 reference links and up to 10 files such as your logo, photos or existing copy. Builds usually arrive within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing.

For a coach moving off Flodesk or Mailchimp, this is the practical part. One recent anonymized example: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Another, a leadership coach with a website renewal days away, got one clean homepage with a repeated "talk with me" button. Read more about how the white-glove service works.

How to start

  1. Start a free trial and connect your Stripe or Razorpay account.
  2. Export your subscribers from Flodesk or Mailchimp as a CSV. Clients, programs and content are imported for you during onboarding.
  3. Request a white-glove build for your welcome sequence, website or funnel, and review it when it lands.
  4. Keep your old email tool running until your first sequence is live, then cancel it.

How do you move a list from one tool to another?

Export a CSV, import it into the new tool, and keep only people who gave permission. The work is in tidying tags and rebuilding sequences, not in the transfer.

From Mailchimp, the account export produces a ZIP with each audience as CSV files split into subscribed, unsubscribed and cleaned. Import only the subscribed file as active contacts, and keep the unsubscribed list so nobody who opted out is emailed again. If you kept several audiences, merge them and turn each audience into a tag, which also ends the double counting. From Flodesk, check the export options during your trial, since the process was not documented on the pages we reviewed.

Before switching, write down every automation you run: the trigger, each email, the delays and any tags it applies. Rebuild those first in the new tool, test each with your own address, and only then point your forms at the new account. Send a short note to your list from the new tool so their inbox learns the new sender. Our Flodesk review covers more of what to check before moving to or from it.

What do coaches most often get wrong when choosing an email tool?

They compare email prices in isolation and forget the stack. The cheapest email plan is often attached to the most expensive total setup.

  • Judging on the free plan. Flodesk's Free plan cannot send; Mailchimp's Free plan has no automation flows. Plan for the paid tier you will need within six months.
  • Splitting audiences in Mailchimp. Each extra audience can count the same person again. Use tags.
  • Ignoring where checkout works. Flodesk Checkout is limited to a set of countries.
  • Treating email as client delivery. Clients need a place to do the work, see their next session and find their materials. An inbox is not that place.
  • Skipping the export test. Export your list during the trial so you know you can leave.

Flodesk vs Mailchimp: frequently asked questions

Is Flodesk better than Mailchimp for coaches?

Flodesk is better if design and unlimited sending matter most and your list is modest. Mailchimp is better if you want a working free plan or advanced segmentation and reporting. If you also need booking, payments for sessions and client delivery, a coaching platform with built-in email covers more than either.

Does Flodesk have a free plan that sends email?

No. As listed in October 2026, Flodesk's Free plan includes unlimited subscribers, forms, landing pages and link-in-bio pages, but no email sending. Sending starts on Lite at $25 a month, or $19 a month billed annually, for up to 1,000 subscribers.

How much does Mailchimp cost for a small coaching list?

Mailchimp Free covers up to 250 contacts and 500 sends a month. Essentials starts at $13 a month and Standard at $20 a month for up to 500 contacts, with prices rising by contact tier. Multi-step nurture sequences need Standard, because Essentials limits each flow to 4 steps.

Which is cheaper, Flodesk or Mailchimp?

Under 500 contacts, Mailchimp is cheaper, and free under 250. Between 500 and 1,000 subscribers they are close, and Flodesk's unlimited sends help if you email often. Above that, run your exact list size through both pricing sliders, because both prices scale with list size.

Can I sell my coaching program with Flodesk?

Yes, on the Everything plan, which includes unlimited checkouts, sales pages, subscriptions and payment plans through Stripe. Checkout works only in the US, Canada, the UK, Australia, New Zealand and Euro Area countries. It handles the sale, not the booking, contract or program delivery that follow.

Does Mailchimp have a booking or scheduling feature for coaches?

Mailchimp's marketing plans do not handle session booking, client records or coaching programs. Coaches connect a separate scheduler through Mailchimp's integrations. A coaching platform with built-in booking avoids the extra tool.

Can I replace Flodesk or Mailchimp with Coachful?

Yes, for most coaching practices. Coachful includes email lists, broadcasts and multi-step sequences with branching and A/B splits, plus booking, payments, programs and a client app. If your business is primarily a large newsletter with advanced reporting needs, a dedicated email tool may still suit you better.

What is Coachful's free white-glove service?

On every plan, the Coachful team builds things inside your account at no extra cost: a website, funnel, sales page, program, email sequence and more. You describe what you want from the Create page and attach references and files, and builds usually arrive within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.

Will I lose subscribers if I switch email tools?

Not if you export carefully. Import only subscribed contacts, keep your unsubscribe list so opted-out people stay opted out, and rebuild your automations before pointing forms at the new tool. A short note from the new sender helps inboxes recognise you.
