HubSpot Review 2026: Is It the Right Fit for Coaches?

HubSpot Review 2026: Is It the Right Fit for Coaches?

This HubSpot review is for coaches deciding whether HubSpot should run their practice. Short answer: HubSpot is a capable CRM and marketing suite with a generous no-cost tier, and it handles the part of your business that happens before someone becomes a client. It has no coaching programs, habit tracking, client check-ins or course delivery, and its mobile app is for your own team rather than your clients. If you run a sales-led practice with a separate delivery system, it can work well. If you deliver multi-week programs and want one login for the whole client journey, a coaching platform fits better.

Verdict in brief

  • Who it suits: coaching firms with a sales process, several people working leads, a marketing list to nurture, and client delivery that already lives somewhere else.
  • Who should skip it: solo coaches and small teams who deliver programs, packages or cohorts and do not want to connect a CRM to separate tools for contracts, courses, community and check-ins.
  • Public rating: 1.5 out of 5 on Trustpilot from 1,176 reviews, seen on 28 October 2026.
  • Price: free tools for up to 2 users, then Starter at $7 per seat per month billed annually or $10 billed monthly under a limited-time new-customer offer, against a standard $20 per seat, as listed in October 2026.

We make Coachful, a coaching platform that competes with part of what HubSpot does, so read our view with that in mind. Everything below about HubSpot comes from its pricing pages, its Product and Services Catalog, its help documentation and what public reviewers report. We have not run a hands-on test, and where HubSpot's published information conflicts or stops short, we say so.

What is HubSpot?

HubSpot is a general-purpose customer platform covering sales, marketing and customer service, built around a CRM that stores contacts, companies and deals. It is designed for businesses of many kinds, so nothing in its core model assumes that you sell coaching.

That matters more than any single feature. A CRM treats a person as a record moving through a pipeline toward a closed deal. A coaching business needs that too, but most of the work starts after the deal closes: the agreement, the first session, the weekly goals, the check-ins and the quiet client who needs a nudge. HubSpot's plan material covers the first half of that story in depth and does not describe the second half.

The no-cost tier is real and useful. HubSpot describes it as free for up to 2 users, with no credit card and no expiration date, and it includes contact, company and deal management, deal pipelines, forms, email marketing, live chat, email tracking, a meeting scheduler, a reporting dashboard, the Breeze AI assistant and two-way app sync. For a coach who only needs somewhere to keep a lead list, that is a lot at no cost.

What does HubSpot do for each part of a coaching business?

HubSpot is strong on marketing and selling, adequate on admin, and absent on delivery and client experience. Here is how that breaks down by job, using what HubSpot lists as of October 2026.

Marketing: email, forms and landing pages

This is where HubSpot earns its reputation. Free and Starter both include forms, email marketing and up to 30 landing pages. On Free, those pages and your emails carry HubSpot branding, you get 2,000 email sends a month and just one automated email action. Marketing Hub Starter removes the branding, allows up to 10 automated email actions and one simple workflow per form with up to 10 actions, and sets monthly email sends at 5 times your marketing-contact tier. Social media management only appears at Professional.

Honest note: the limits shape what a coach can actually build. A welcome sequence plus a nurture sequence plus a post-call follow-up can use up one automated email action on Free straight away, so a coach who wants real email follow-up should expect to need Starter at least.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Selling: pipelines, scheduling and calls

Deal pipelines are the heart of the product, and Starter allows up to 15 of them per account. You also get email tracking, calling, AI meeting recording and transcription, website chat and up to 50 workflows with restricted triggers and actions on Sales Hub Starter. Meetings links go from 1 branded personal link on Free to 1,000 personal and team links on Starter. Quotes start on Professional, according to HubSpot's Revenue Hub pricing page.

Honest note: this is more sales machinery than a solo coach booking ten discovery calls a month will touch. If you do have setters, closers and a real pipeline review each week, this is the part of HubSpot you will value most, and it is also the part Coachful does not try to match. If your pipeline is simpler, our guides on managing coaching leads without HubSpot and managing coaching pipelines without HubSpot show the lighter process.

Delivery: where the coverage stops

HubSpot lists no coaching programs, habit tracking, client check-ins or course delivery on its CRM, marketing and sales plan material. So once a client signs, the work moves elsewhere. Depending on your offer, that can mean a course or membership tool, a contract tool and something for accountability between sessions, which is a stack to pay for and a set of connections to maintain.

You can log notes, tasks and meetings against a contact, and a disciplined coach could run simple one-to-one work from those records. That is a workaround rather than delivery, because the client sees none of it.

Coachful's demo Programs view showing an enrolled group program, its current week and members
The demo Programs view shows an enrolled group program, its current week, members and the route into the program.

Client experience: nothing client-facing to log into

HubSpot's mobile app is for the business's own team. HubSpot's plan material does not describe a client app or a client portal for program work, so your client's experience of you is your emails, your booking link and whatever other tools you add. Help Desk appears at Professional, but it is a support tool rather than a coaching space.

Honest note: if you coach through calls alone and your clients want nothing between them, this gap may not bother you. It starts to hurt when you sell outcomes that depend on what clients do between sessions, because you have no shared place to see whether they did it.

Admin: payments, reporting and data

Stripe processing is available on every tier including Free, and HubSpot Payments is available from Starter in the US, Canada and the UK. Each route carries a HubSpot fee, covered in the pricing section below. The free tools include 10 dashboards. Records export from index views as CSV, XLS or XLSX, with up to 300 exports per rolling 24 hours and download links that expire after 30 days, so leaving with your contact data is straightforward. Form submissions, tasks, products and some report types can also be exported.

The plan material we read does not describe a coaching agreement flow with signature before a first call, or tracking of coaching hours toward a credential. If either matters to you, ask HubSpot directly before you commit.

Here is the same comparison in one view.

How much does HubSpot cost?

HubSpot costs nothing for up to 2 users on its free tools, and paid plans are priced per seat from a limited-time $7 a month billed annually, or $10 billed monthly. The standard Starter price is $20 per seat per month. All figures below are in US dollars as listed in October 2026; the currency on HubSpot's page follows your location, so you may see a different one until you switch it.

PlanListed priceMain limits and notes
CoachfulLite: $29/month for up to 5 clientsFlat monthly plans; lower plans cap the number of clients; Pro is unlimited; team plans add coach seats
HubSpot Free tools$0Up to 2 users; 1,000 contacts; 2,000 email sends a month with HubSpot branding; 1 branded personal meetings link; up to 30 branded landing pages; 1 automated email action; 10 dashboards
HubSpot Starter$7 per seat per month billed annually, or $10 billed monthly, under a limited-time new-customer offer; standard price $20 per seat per monthUp to 10 paid users; 1,000 marketing contacts; email sends 5 times the contact tier each month; 30 unbranded landing pages; 1,000 meetings links; up to 15 pipelines; no required onboarding fee
HubSpot Professional$90 per seat per month billed annually, or $100 billed monthly, on the platform pageMore than 10 paid users allowed; advanced automation, social media management, AI agents, AI-powered quotes, Help Desk; required one-time onboarding, amount not shown on the platform page
HubSpot Enterprise$175 per seat per month on the platform pageRequired one-time onboarding; aimed at larger teams, so unlikely to matter for most coaches

Three things in that table deserve a closer look.

The Starter offer has no published end date. HubSpot's page says the special Starter pricing is for new customers only and that offers are available for a limited time. It does not say how long the discount lasts for you once you are a customer. Budget at the standard $20 per seat, and treat the lower price as a welcome bonus until HubSpot confirms the terms in writing.

Professional figures are in flux. HubSpot is moving to single platform pricing, and its pages disagree. The platform page shows $90 to $100 per seat. Older hub pages still list Marketing Hub Professional at $800 a month with 3 core seats plus a required $3,000 onboarding, and Sales Hub Professional at $90 to $100 per seat plus $1,500 onboarding. Ask HubSpot for a written quote before you plan around any Professional number.

Costs grow in more than one direction. Seats are the obvious one. Marketing contacts beyond the included tier are also billed by tier, and we did not find a simple per-tier price to quote here, so ask for that too. AI features draw on HubSpot Credits, with additional credits at $10 per 1,000-credit pack according to the Product and Services Catalog.

A worked example: one coach, then a small team

These are illustrative sums from the listed prices, before tax, payment fees and contact tiers.

  • One seat on Starter under the annual offer: $7 x 12 = $84 a year.
  • One seat on Starter at the standard price: $20 x 12 = $240 a year.
  • Three seats on Starter at the standard price: $20 x 3 x 12 = $720 a year.
  • Three seats on Professional on the platform page, billed annually: $90 x 3 x 12 = $3,240 a year, plus onboarding at an amount not shown there.
  • Marketing Hub Professional on the older hub page: $800 x 12 = $9,600, plus $3,000 onboarding, which is $12,600 in the first year.

The Starter figures look cheap, and for a CRM they are. The fairer comparison is the whole stack, because none of those sums includes a course tool, a community, a contract tool or anything for clients to log into. Add each subscription you would need alongside HubSpot, then compare the total against one membership.

What do HubSpot's payment fees look like?

HubSpot adds its own fee on top of processing on both payment routes, though HubSpot Payments waives it for the first year. Here is how that compares, as listed in October 2026.

RoutePlatform feeProcessingAvailability
Coachful with your own Stripe or Razorpay account0% (since August 2026)Stripe's or Razorpay's own processing onlyWherever your Stripe or Razorpay account operates
HubSpot PaymentsFree for 1 year, then 0.5% per transaction (ACH capped at $10)2.9% card, 0.8% ACH (maximum $10), 5.99% buy now pay laterStarter and up; US, Canada and UK only
Stripe inside HubSpot0.75% per transactionStripe's 2.9% + $0.30 card fee and other Stripe chargesAll tiers; HubSpot recommends it outside the US, Canada and UK

As an example, take a $1,000 coaching package paid by card. Through Stripe inside HubSpot, the HubSpot fee is $7.50 and the Stripe card fee is $29.30, so $36.80 in total. Through HubSpot Payments after the first year, it is $29 plus $5, so $34 in total. The platform fee looks small on one package, but it applies to every package and every monthly instalment for as long as you stay.

What do public reviewers praise and complain about?

Public complaints about HubSpot center on billing, renewals and support rather than on what the software can do. HubSpot's Trustpilot score was 1.5 out of 5 from 1,176 reviews when we saw it on 28 October 2026.

We read the public excerpts available to us rather than every review, and we paraphrase them here. Review sites tend to draw people with a problem to report, and a large share of HubSpot's customers will never write one, so read the score as a signal about what goes wrong when things go wrong, and not as a measure of the product's features.

The complaints

  • Auto-renewal. This is the most repeated theme in what we read. One Trustpilot reviewer says the one-year contract renewed automatically without that being made clear, and also says that changing the account locked them into a further year. That second claim is one person's account, and we could not confirm it.
  • Refunds. A complaint on HubSpot's Better Business Bureau profile describes a refund being denied after a dispute over what was said in sales conversations.
  • Support. Third-party summaries describe long waits and generic answers, and one Better Business Bureau complaint says support was deflected by automated AI responses.

The renewal point is worth checking for yourself, because HubSpot documents the mechanics in its own help center:

To prevent an auto-renewal, you must notify HubSpot by turning off the auto-renewal in your HubSpot account before your next renewal term.

The same help page says auto-renewal is on by default unless your Order Form says otherwise, and that turning it off cancels the subscription on the renewal date and not immediately. Practical advice: if you buy an annual plan, put the renewal date in your calendar on day one and read your Order Form.

The praise

Positive evidence in what we could read was thinner, so we will not overstate it. A third-party summary of Trustpilot reviews mentions a smooth user experience and helpful support as reasons for satisfaction, and that is weak evidence. We also saw much higher scores for HubSpot attributed to software directories, but only second-hand, so we do not quote them here. Read several sources before you decide.

What are HubSpot's pros and cons for coaches?

HubSpot's pros are its no-cost entry, its CRM depth and its marketing tools; its cons are the missing delivery layer, per-seat costs and renewal terms that need watching.

ProsCons
Free tools for up to 2 users, with no credit card and no expiration dateNo coaching programs, habit tracking, client check-ins or course delivery

Who is HubSpot best for, and who should skip it?

HubSpot is best for coaching businesses that behave like sales organizations. It is a poor fit for coaches whose main work is delivering programs.

It is a good fit if:

  • You sell high-ticket coaching with a sales team or setters and need to see pipeline stage, deal value and rep activity.
  • You run a corporate or executive coaching firm with long buying cycles and several contacts per account, so company and deal records matter.
  • You already have a delivery platform you like and only need the front end.
  • You want a no-cost place to hold up to 1,000 contacts, and branded emails and pages do not bother you yet.

It is a poor fit if:

  • You deliver multi-week programs and want clients to log in and see their goals, tasks and check-ins.
  • You want courses, a community and group chat alongside your client records.
  • You are a new coach who needs a website, booking, agreement and payment working this month, and would rather not assemble them. Our page for new coaches shows a simpler route.
  • You work outside the US, Canada and the UK and prefer to avoid a platform fee on every payment, since Stripe is the route HubSpot recommends there, at 0.75% on top of Stripe's own charges.

The word "outgrow" usually runs the other way with a CRM: a business outgrows a small tool and moves up to HubSpot. Coaches tend to meet its limit differently. The list and the pipeline grow fine, then the practice shifts from selling sessions to delivering programs, and that work has no home in it. At that point the CRM stays and the stack around it keeps growing.

What are the best HubSpot alternatives for coaches?

Coachful is our recommendation for coaches who deliver programs, because it covers the whole client journey in one login. The other options below are client-management or marketing CRMs that solve narrower problems. For the full field, see our 12 best HubSpot alternatives for coaches.

The criteria for this table are one login for the whole client journey, between-session delivery, total stack cost and setup effort. Vendor Trustpilot figures were seen on 25 to 28 October 2026.

Coachful is a coaching platform. One membership covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your client. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing 4 to 6 tools.

Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). A practice with around 15 active clients would start here: Solo: $49/month for up to 20 clients. For no client cap: Pro: $99/month with unlimited clients. Pricing is flat rather than per seat for solo coaches, and team plans add coach seats with per-coach availability and staff permissions.

Where HubSpot stops at the signed deal, Coachful carries on. You can build multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. The client sees all of it in your branded home and app.

On the coach's side, each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus an AI briefing and a status of thriving, active, quiet or at risk. That status is the difference between a CRM that tells you a deal closed and a system that tells you a client has gone quiet. See our coaching CRM page for more.

The front of the business is covered too, though more simply than in HubSpot. Leads land in a prospects table with their source and stage. Booking pages handle availability rules, buffers, minimum notice and time zones, with two-way Google, Apple and Outlook calendar sync and built-in video or auto-created Zoom, Meet and Teams links. Email lists, broadcasts and multi-step sequences support triggers, delays, branching and A/B splits, and a website builder and funnels sit in the same account. Coaching agreements with e-signature go out before the first call and stay on the client record, as our coaching contracts page explains.

Payments run through your own Stripe Connect or Razorpay account, with one-time charges, subscriptions, payment plans, coupons and refunds, and Coachful takes no platform fee on top of processing. Also included in your Coachful membership: Michelle, the built-in AI assistant that works from your live practice data, and ICF credential tracking that counts coaching hours and distinct clients against ACC, PCC and MCC thresholds. Questions and planning with Michelle are included; confirmed builds and changes use AI credits.

Why Coachful stands out: a free white-glove service. From Create, on any plan, you describe what you want built, such as a website, funnel, program, course outline, form or email sequence, and attach up to 8 reference links and up to 10 files. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: gaps are left for you rather than filled with fake credentials, testimonials or prices. It does not include recording videos, logo design, ad management or ongoing marketing. A leadership coach with a Squarespace renewal days away, for instance, got one clean homepage with a repeated "talk with me" button. Read more about the white-glove build service.

Coachful's Create page with the We will build it for you card
Coachful's Create page with the card for requesting a white-glove build.

Be clear about what Coachful does not do, especially if you are comparing it with HubSpot. It has no multi-stage sales deal board for large teams, no Salesforce or HubSpot integration, and no routing forms that pick a host from form answers. If you run a sales floor, that is a real gap. It is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing. It has no PayPal option and no third-party plugins, and the client app ships under the Coachful listing with your branding rather than under your own App Store account.

To start, open a free trial, ask for your website, funnel or program through the white-glove service, and have your clients, programs and content imported during onboarding. Monthly plans cancel in one click, and a full client data export is available as a ZIP.

Pick HubSpot over Coachful if your main problem is managing a sales team and a complex pipeline, or you need company-level records for corporate deals, and delivery is already handled elsewhere.

Can you use HubSpot and a coaching platform together?

You can run both, but with Coachful they will not sync directly, because Coachful has no HubSpot integration. Coachful does connect to Zapier, so simple handoffs may be possible; test any flow you depend on before you rely on it.

Running both makes sense in one situation: a firm with a sales team that needs HubSpot's pipeline, and coaches who need a delivery platform. For a solo coach or a team of two or three, two systems usually means duplicate records and two subscriptions, and the leads and client records in a single platform will likely be enough. Our guide to managing a client CRM without HubSpot walks through that setup.

What should you check before you buy HubSpot?

Check the renewal terms, the real seat price after the offer, and what your contact count will cost. These questions are worth getting answered in writing:

  1. How long does the Starter offer price last, and what will my renewal price be?
  2. How many marketing contacts will I pay for, and what does the next tier cost?
  3. If I change my subscription mid-term, does that affect my contract length or renewal date?
  4. When exactly must auto-renewal be turned off to avoid another term?
  5. If I need Professional, what is the onboarding fee and the total first-year cost?
  6. Which tools will I still need for contracts, courses, community and client check-ins, and what do they add to the bill?

Then write down what a client's first 90 days look like, step by step, and mark which steps happen in HubSpot. If most of the list falls outside it, you are shopping for a different kind of tool. Our overview of coaching software is a good next stop.

Is HubSpot worth it for coaches? Our verdict

HubSpot is worth it for coaches who are really running a sales operation, and for anyone who wants a capable contact database at no cost. It is a serious product for what it is built to do: pipelines, email marketing, forms and reporting. The free tools are a fair way to try it, and exporting your records is straightforward if you change your mind.

It is the wrong center of gravity for a practice built on delivery. It offers nothing for programs, habits, check-ins, courses or a client login, so you would pay for and connect those separately. The public complaints about renewals and support, and a 1.5 Trustpilot score from 1,176 reviews, are also reasons to read your Order Form before you sign anything annual.

For most coaches who deliver programs, we recommend Coachful: one login, your own payment account with no platform fee, and a team that will build your first website, funnel or program for you through the white-glove service. If a large sales team is your actual problem, buy HubSpot and be glad of it.

HubSpot review FAQ

Is HubSpot really free?

Yes, for what the tier includes. HubSpot lists its free tools for up to 2 users and 1,000 contacts, with no credit card and no expiration date, as of October 2026. Expect HubSpot branding on emails, pages and your meetings link, and a limit of 1 automated email action.

How much does HubSpot cost for one coach?

Starter is listed at $7 per seat per month billed annually or $10 billed monthly under a limited-time new-customer offer, and the standard price is $20 per seat per month. That works out to $84 a year on the offer or $240 at the standard price for one seat. Marketing contacts beyond the included 1,000 are billed by tier.

Why is HubSpot's Trustpilot score so low?

The score was 1.5 from 1,176 reviews on 28 October 2026, and the complaints we read focus on auto-renewal, refunds and support rather than on features. Review sites tend to draw unhappy customers, so treat it as a warning about contract terms and support, and read your Order Form closely.

Does HubSpot auto-renew?

Yes, by default, unless your Order Form says otherwise, according to HubSpot's help center. You must turn off auto-renewal in your account before your next renewal term, and the subscription then cancels on the renewal date.

Can coaches deliver programs in HubSpot?

Not in any built-for-purpose way. HubSpot lists no coaching programs, habit tracking, client check-ins or course delivery, and its mobile app is for your team rather than your clients. Expect to pair it with separate delivery tools if you run programs.

Does HubSpot take a fee on payments?

Yes. HubSpot Payments charges a 0.5% platform fee after the first free year, on top of processing, and Stripe inside HubSpot carries a 0.75% HubSpot fee on top of Stripe's charges. HubSpot Payments is limited to the US, Canada and the UK.

Does Coachful integrate with HubSpot?

No. Coachful has no HubSpot or Salesforce integration. It does connect to Zapier, and it includes its own lead and client records, so a solo coach or small team may not need both systems.

What is Coachful's free white-glove service?

On any plan, you can ask the Coachful team to build a website, funnel, program, course outline, form, email sequence and more inside your own account, usually within about 24 hours. You attach your links and files, and gaps are left for you rather than invented. It does not cover recording videos, logo design, ad management or ongoing marketing.

Is Coachful a good HubSpot replacement for a sales team?

Not for a large one. Coachful has no multi-stage sales deal board for large teams and no routing forms that pick a host from form answers, so a sales floor should stay on a dedicated CRM. For solo coaches and small teams who mainly need leads, booking and delivery, Coachful's team plans are a better fit.

Can I get my data out of HubSpot if I leave?

Yes. HubSpot documents exporting contacts, companies, deals and other records from index views as CSV, XLS or XLSX, with download links that expire after 30 days. Form submissions, tasks, products and some report types can also be exported.
