SimplePractice vs upcoach: Which Fits Coaches in 2026?

SimplePractice vs upcoach is not really a contest between two coaching tools. SimplePractice is practice management for therapists and health practitioners, with clinical notes, insurance claims and e-prescribing. upcoach is a group program platform for coaches and training firms, with progress dashboards and AI reports. If you run cohort programs, upcoach fits better. If you are a licensed clinician who also coaches, SimplePractice fits better. Most coaches who compare the two need neither shape exactly, which is why this article ends with a third option.
We make Coachful, so read the last sections with that in mind. Everything said here about SimplePractice and upcoach comes from what each vendor documents on its own pricing and product pages as listed in October 2026, plus what public reviewers report. We have not run hands-on tests of either product, and we say so where it matters.
What is the short answer by use case?
Pick upcoach for structured group programs and pick SimplePractice only if you bill insurance or keep clinical records. For a coach who sells 1:1 packages, programs and content from one place, both leave gaps that a coaching-first platform fills.
- You are a licensed therapist, dietitian or clinician who also coaches: SimplePractice. Its HIPAA BAA, clinical documentation and claims tools are the point of the product.
- You run cohort programs for organizations or groups of 25 to 500 participants: upcoach. It is built around programs, participant progress and sponsor reporting.
- You are a solo life, business, health or career coach selling 1:1 and group work: neither is a natural fit. SimplePractice brings clinical overhead you do not need, and upcoach has no contracts or invoicing (per its older profile) and charges a transaction fee below its top plan.
- You want booking, payments, contracts, programs, courses, community and a website in one login: look at Coachful, covered in the third-option section below.

How do SimplePractice and upcoach compare side by side?
They overlap on very little. The table below ranks the three options for a coach on four criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including a free white-glove build).
| Platform | Built for | Starting price | Platform fee on payments | Programs and habits | Contracts | Website and funnels |
|---|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs, solo to small team | Lite: $29/month for up to 5 clients | 0% (Stripe or Razorpay processing only) | Yes: weekly goals, daily tasks, habits, check-ins, streaks | Yes, e-signature before the first call | Yes, website builder, funnels, email |
| upcoach | Group and cohort program delivery | $49/mo (Starter, 25 participants) | 2% Starter, 1% Pro and Business, 0% Scale | Yes, programs with progress dashboards | No (older profile) | Custom domain from Pro; no funnel builder documented |
| SimplePractice | Therapists and health practitioners | $49/mo (Starter) | Card payments 3.15% + $0.30 | No coaching programs | Not a coaching feature | No funnels for coaching offers documented |
Two facts stand out. First, SimplePractice is a clinical system: the BAA takes effect automatically at signup, and the product revolves around notes, claims and CPT codes. Second, upcoach is a delivery system for structured programs. It does not try to be your website, your contract tool or your invoicing system.
What does each one cost in October 2026?
Both start at $49 a month, but the real cost depends on add-ons for SimplePractice and on transaction fees and participant caps for upcoach. Here are the listed plans.
| Plan | Monthly price | Key limits | Fees and extras |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Lower plans cap clients; Pro is unlimited; team plans add seats | 0% platform fee; only Stripe or Razorpay processing |
| SimplePractice Starter | $49 | Monthly billing only | Card payments 3.15% + $0.30 |
| SimplePractice Essential | $79 | Monthly billing only | Group sessions +$20/mo |
| SimplePractice Plus | $99 | Each additional practitioner about $74/mo; 6+ clinicians on custom pricing | Care Aide $59/mo, Note Taker $35/mo, ePrescribe $49/mo plus $89 setup |
| upcoach Starter | $49 | 25 active participants, 1 seat, 3 AI impact reports/mo, 100 GB | 2% upcoach fee on top of Stripe |
| upcoach Pro | $99 | 100 participants, 2 seats, 15 reports/mo, 250 GB | 1% fee; brand colors, logo, custom domain |
| upcoach Business | $199 | 250 participants, 5 seats, 50 reports/mo, 500 GB | 1% fee; extra participants $99/mo per 100, extra seats $99/mo |
| upcoach Scale | $399 | 500 participants, 10 seats, 1 TB | 0% fee |

SimplePractice lists no annual billing on its pricing page. It offers a 30-day free trial with no card required, and during October 2026 it showed 50% off for three months when a paid plan starts within the first seven days of the trial. Insurance claims cost $0.39 each, and there is a $20 per clinician per year charge for AMA CPT code access. A coach who never bills insurance pays for none of that, but the product is still designed around it.

upcoach offers a 14-day free trial with no credit card and a 14-day money-back guarantee on the first paid subscription. One oddity: its pricing toggle says "2 months free" on annual billing, yet the annual totals shown ($588, $1,188, $2,388 and $4,788) equal twelve times the monthly price. Check the checkout page before assuming a discount. Our full upcoach pricing breakdown walks through each tier.
What do the fees mean in practice?
Transaction fees matter more than sticker prices once you sell programs. Take an example coach who collects $3,000 a month from clients.
- On upcoach Starter: the 2% upcoach fee is $60 a month, on top of Stripe's own processing and the $49 plan. That is $109 before Stripe, or $1,308 a year.
- On upcoach Pro: 1% is $30, plus $99, so $129 before Stripe.
- On SimplePractice Starter: if that $3,000 arrives as 15 card payments of $200, processing is 3.15% ($94.50) plus 15 times $0.30 ($4.50), so $99 in processing plus the $49 plan.
These are illustrations, not quotes. The pattern holds, though: upcoach's percentage fee grows with your revenue until you reach the Scale plan, and SimplePractice bundles its own processing rate. A platform with no percentage fee of its own keeps that line flat as you grow.
How do they compare on scheduling and booking?
SimplePractice is organized around 1:1 appointments in a clinical practice; upcoach is organized around programs, so neither is designed first for a coach's paid discovery call or single-session sales.
SimplePractice was built for practices where clients come back for recurring appointments that end in clinical notes and, often, an insurance claim. Group sessions cost an extra $20 a month on Essential, which tells you that groups are an add-on to a 1:1 practice, not the core. If you only need a calendar and card billing, you are paying for a clinical workflow around it.
upcoach approaches the work from the program side. Its plans are defined by active participants, seats and AI reports, not by booking features, which suits a cohort that moves through a program together. Before you commit, check in the trial whether its booking options cover how new clients find and pay for a first session, because that is where many coaching businesses start.
Booking is also where small details add up: buffers between calls, minimum notice, time-zone handling, two-way calendar sync, reminders and paid sessions. Write down which of these you use today and test each one during a trial rather than relying on a feature grid.

How do they handle programs, habits and between-session work?
upcoach wins this category clearly. SimplePractice has no coaching programs, courses or community features.
upcoach lets you build unlimited programs on every plan, track participant progress on dashboards and generate AI impact reports (3 a month on Starter, 15 on Pro, 50 on Business). It also lists MCP access on all plans, so you can query program data from Claude or ChatGPT. For a coach selling a 12-week leadership cohort to a company, the sponsor reporting and multi-role access (Admin, Facilitator, Sponsor, from Pro) are real strengths.
SimplePractice's tooling centers on clinical notes, insurance claims and e-prescribing, which serve a therapy practice well. Its documented features include nothing comparable to a multi-week program with daily tasks or a habit tracker. Coaches who rely on homework, accountability and check-ins between sessions would be rebuilding that outside the product.

What about payments, invoicing and contracts?
SimplePractice handles billing well for clinicians; upcoach takes payments through Stripe but, per its older profile, does not do contracts or invoicing.
SimplePractice runs payments through its own processor at 3.15% + $0.30 per card payment and handles insurance claims at $0.39 each. For a coach, the useful part is card billing and receipts. The insurance machinery is unused weight.
upcoach connects to Stripe and adds its own fee of 2% on Starter and 1% on Pro and Business. The fee drops to 0% only on the $399 Scale plan. Without contracts, you would send coaching agreements through a separate e-signature tool and keep them outside the client record.
Which one handles privacy and HIPAA better?
SimplePractice, by design: its BAA takes effect automatically at signup. upcoach does not position itself as a HIPAA product.
Whether you need HIPAA at all is a separate question. HIPAA applies to covered entities, which are health plans, healthcare clearinghouses and healthcare providers who transmit health information electronically in connection with certain transactions, as the U.S. Department of Health and Human Services explains. Many coaches are not covered entities. If you are licensed, bill insurance or keep clinical records, you probably are, and you belong in a clinical system like SimplePractice. If you are unsure, ask a healthcare attorney.
For health and wellness coaches the scope line matters too: coaching is not treatment. If a client reports symptoms, medication questions, disordered eating or anything that needs diagnosis, refer them to a doctor or licensed professional. Our guide to SimplePractice alternatives for health coaches covers where that line sits in software terms.
What is the client experience like on each?
SimplePractice gives clients a clinical portal; upcoach gives participants a program workspace. Neither gives a 1:1 coaching client one branded home for everything they bought.
A SimplePractice client experiences a practice built around appointments, clinical paperwork and billing. That framing is reassuring for therapy and can feel clinical for coaching. A coaching client who expected a program, daily tasks and a community will not find them, because SimplePractice does not offer coaching programs, courses or community features.
An upcoach participant logs into a program, sees modules and tasks, and tracks progress. Brand colors, logo and a custom domain arrive on Pro. A branded mobile app in the app stores is available only on Enterprise, which is quote-only and aimed at 500+ participants.
On reputation, SimplePractice holds 2.6 on Trustpilot from 1,616 reviews (as listed in October 2026). upcoach's Trustpilot page had no reviews when we checked in October 2026, and an older Capterra profile showed 4.9 from 8 reviews (September 2026 data). Small review counts tell you little either way.
Which should you pick for which kind of coach?
Match the tool to how you deliver. The table below sets out the common cases.
| Your situation | Best fit | Why |
|---|---|---|
| Coachful: solo or small-team coach selling 1:1, programs and content | Coachful | Booking, payments, contracts, programs, courses, community and website in one login, with 0% platform fee |
| Licensed therapist or clinician who bills insurance | SimplePractice | BAA at signup, clinical notes, claims and e-prescribing |
| Corporate cohort programs with sponsors | upcoach | Sponsor roles, participant dashboards, AI impact reports |
| Coach with 200+ program participants and a team of facilitators | upcoach Business or Scale | Seats and participant capacity scale up; 0% fee on Scale |
| Health coach who also needs charting | Neither; see Healthie or Practice Better | Built for wellness practitioners with programs and charts |

Is there a third option that beats both?
For most coaches, yes: Coachful does what each of these does for coaching, in one product, without clinical overhead or a percentage fee. It does not beat SimplePractice for clinicians, and it does not beat upcoach for firms that need a branded app-store app.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; the client has one branded app. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. The company is based in Tallinn, Estonia, and holds 4.5 on Trustpilot from 21 reviews.
Here is a short walkthrough of how programs are built and delivered:
Where Coachful beats upcoach
- No percentage fee. Payments run through your own Stripe Connect or Razorpay account with a 0% Coachful platform fee since August 2026. You pay only processing, on every plan.
- Contracts and invoicing. Coaching agreements with e-signature go out before the first call and are stored on the client record. Every transaction produces an invoice, and you can send manual invoices.
- Open booking. Booking pages with availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple/iCloud and Outlook sync, built-in video or auto-created Zoom, Meet or Teams links, paid sessions and session credits.
- Selling, not just delivering. A section-based website builder with blog and custom domain, booking, application, lead-magnet and checkout funnels, email lists, broadcasts and multi-step sequences.
- Daily habits. Programs include weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks.

Where Coachful beats SimplePractice for coaches
- Programs, courses and community. Multi-week programs, courses with modules, drip and completion tracking, plus a community feed, group chat, direct messages and video events. Cohort groups are created automatically when someone enrolls in a program.
- No clinical overhead. No CPT codes, claims or e-prescribing to set up or pay for.
- Coaching-specific records. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments, sessions and an AI briefing, with a status of thriving, active, quiet or at risk.
- ICF credential tracking. Coaching hours and distinct clients count against ACC, PCC and MCC thresholds, and you can export an ICF client coaching log with paid and pro bono hours. See ICF hour tracking.

Michelle, the built-in AI assistant, works from your live practice data. She builds programs, drafts emails and content, summarizes recorded sessions and briefs you before sessions. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. An AI Coach, which the coach configures, lets selected clients chat with an AI version of the coach between sessions.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you · FREE", and describe what you want: a website, funnel, sales page, program, course outline, email sequence, form, lead quiz or automation. Attach up to 8 reference links and up to 10 files such as your logo, photos or existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. Recent builds include a five-page sage and cream site for a menopause and midlife health coach starting from nothing, with every button leading to a free 20-minute consultation, and a 12-week mentorship sales page, start-up-guide funnel and rewritten follow-up emails for a business mentor to beauty professionals. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the white-glove build service.

When Coachful is not the right pick
- You need HIPAA. Coachful is not HIPAA-certified and signs no BAA. Clinical record-keeping and insurance billing belong in SimplePractice or a similar clinical system.
- You need your own app-store listing. Coachful's client app ships under the Coachful listing with your branding. upcoach Enterprise offers a branded app in the app stores.
- You need PayPal. Coachful takes payments through Stripe or Razorpay only.
- You need wearables. There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available.
- You run a large sales team. There is no multi-stage deal board for large teams and no Salesforce or HubSpot integration.
- You want a permanent free plan. There is none; there is a free trial.
How much does Coachful cost compared to the two?
Coachful uses flat monthly plans. Lower plans cap the number of clients, Pro is unlimited, team plans (Studio and Agency) add coach seats, and monthly plans cancel in one click. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. For a coach with 15 clients, the relevant plan is Solo: $49/month for up to 20 clients. For unlimited clients: Pro: $99/month with unlimited clients.
| What you need | Price for 15 clients | Percentage fee on revenue | Contracts and website included |
|---|---|---|---|
| Coachful | Solo: $49/month for up to 20 clients | None; processing only | Yes, both |
| upcoach Starter | $49/mo (up to 25 participants) | 2% plus Stripe | No contracts; no website builder |
| SimplePractice Starter | $49/mo | Processing 3.15% + $0.30 | Clinical forms; no coaching website or funnels |
The bigger saving is usually the stack. A coach on SimplePractice or upcoach still tends to pay separately for a website, email marketing, e-signature and a course or community tool. Those features are included in your Coachful membership. Explore more at coaching software, coaching contracts and the coach website builder.
How to start
- Start a free trial and connect your Stripe or Razorpay account.
- Request a white-glove build of your website, first program or funnel from Create.
- Your clients, programs and content are imported for you during onboarding.
- Send your coaching agreement and booking link to your first client.
How hard is it to switch away from either one?
Leaving upcoach is documented; leaving SimplePractice is less clear from public pages.
upcoach exports clients to CSV, including custom fields, from its Admin Panel (per its older profile). SimplePractice documents export steps behind a bot check, so we could not confirm the exact process; ask its support before you commit if portability matters. Coachful exports full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses) plus course exports, and imports your clients, programs and content for you during onboarding. Coachful is GDPR-ready.
If you are leaving SimplePractice, keep any clinical records in a compliant system. Move only coaching material, such as programs, worksheets and scheduling, into a coaching platform.
What should you test during a free trial?
Run one real client journey from first click to second session, in every tool you are considering. Feature lists hide the friction you will feel every week.
- Booking a first call. Send yourself the booking link from a phone. Count the screens between landing and a confirmed, paid slot.
- Signing an agreement. Check where the signed agreement lives afterwards. If it sits in a separate tool, note that you will need that subscription too.
- Taking a payment. Run a small real payment and look at what lands in your bank account after the processor fee and any platform percentage.
- Delivering week one. Assign a task, a habit and a check-in. See what the client receives and how you learn whether they did it.
- Exporting. Try exporting your client list on day one. A tool that makes leaving hard is a tool that will be hard to live with.
Write your total monthly stack cost next to each option: plan price, percentage fees at your current revenue, and every separate tool you would still need. That number decides more than any single feature does.
Frequently asked questions
Is SimplePractice or upcoach better for life coaches?
upcoach is closer, because it is built for coaching programs, while SimplePractice is built for therapy practices. Neither includes contracts plus a website and funnels, so a life coach usually adds tools on top. See Coachful for life coaches for a single-platform option.
Does upcoach charge a transaction fee?
Yes. As listed in October 2026, upcoach adds 2% on Starter and 1% on Pro and Business, on top of Stripe's own processing. The fee drops to 0% only on the $399 Scale plan and Enterprise.
Do coaches need SimplePractice's HIPAA compliance?
Most do not, because many coaches are not HIPAA covered entities. If you are licensed, bill insurance or keep clinical records, you likely are and should use a clinical system. If unsure, ask a healthcare attorney.
Does SimplePractice have a free trial?
Yes, 30 days with no card required. In October 2026 it also showed 50% off for three months when a paid plan starts within the first seven days of the trial.
Does upcoach have a free plan?
No. It has a 14-day free trial with no credit card and a 14-day money-back guarantee on the first paid subscription.
Can I run group programs on SimplePractice?
SimplePractice supports group sessions as a $20-a-month add-on on Essential, but it has no coaching programs, courses or community features. For multi-week group programs, upcoach or a coaching platform is a better fit.
What is Coachful's free white-glove service?
On every plan, the Coachful team builds a website, funnel, program, course outline, email sequence or similar asset inside your account from your brief and files, usually within about 24 hours. Nothing is invented, and it does not include video recording, logo design or ad management. Details are in our white-glove service guide.
Can Coachful replace SimplePractice for a therapist?
No. Coachful is not HIPAA-certified and does not handle clinical records or insurance billing. A therapist who also coaches can keep SimplePractice for clinical work and use a coaching platform for programs.
Which is better for team coaching, upcoach or SimplePractice?
For coaching teams, upcoach: seats grow from 1 on Starter to 10 on Scale, with sponsor and facilitator roles. SimplePractice adds practitioners to Plus at about $74 a month each, priced for clinics. Coachful's team plans add coach seats with per-coach availability; see Coachful for teams.
