Systeme io vs ActiveCampaign: Which Fits Coaches in 2026?

Systeme io vs ActiveCampaign: Which Fits Coaches in 2026?

In the systeme io vs activecampaign decision, the short answer is this: Systeme.io is the cheaper all-in-one marketing suite (funnels, email, courses, a basic community and a free plan that never expires), while ActiveCampaign is the deeper email automation and contact CRM, priced by contact count and without its own funnels on the entry plan, checkout, courses or client area. If you mainly need to sell a course or a low-ticket offer on a tight budget, Systeme.io wins. If your business runs on segmented email sequences and lead scoring, ActiveCampaign wins. If you are a coach whose real work is sessions, programs and clients between calls, neither one was built for that, and that is where a third option comes in.

We make Coachful, a coaching platform, so we have an obvious interest here. This guide keeps the two named tools honest: every Systeme.io and ActiveCampaign figure below is what each vendor lists on its pricing page as listed in October 2026, and we say what public reviewers report rather than claiming hands-on testing. Then we explain where Coachful beats both, and where it does not.

What is the short answer by use case?

Pick by what your business actually does every week, not by feature count. The list below maps common coaching setups to the tool that fits each one best.

  • You sell a course or digital product and want the lowest possible bill: Systeme.io. Its free plan covers 2,000 contacts, 3 funnels and 1 course, and paid plans start at $17 a month.
  • You run a big email list with complex nurture sequences, lead scoring and segmentation: ActiveCampaign. Its automation builder, 950+ automation recipes and predictive sending (Pro) are the reason people pay for it.
  • You sell 1:1 or group coaching and need booking, contracts, payments and between-session follow-up: neither is a fit on its own. You would bolt a scheduler, a contract tool and a client portal onto either one. Coachful covers that whole journey in one login.
  • You need HIPAA support: ActiveCampaign lists HIPAA support on Enterprise only. Systeme.io and Coachful do not offer it, so clinical work belongs in a clinical system.
  • You run a sales team with a multi-stage deal board: ActiveCampaign, with its paid Enhanced CRM add-on. Coachful has a leads board, not a large-team deal pipeline.

If you already know you are leaving one of these tools, our guides to Systeme.io alternatives and managing client emails without ActiveCampaign go deeper on each exit route.

How do Systeme.io and ActiveCampaign compare side by side?

Systeme.io is a broad, shallow marketing suite; ActiveCampaign is a narrow, deep email and automation tool. We rank the three options for coaches on four criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including whether someone will build it for you).

Systeme.io pitches itself as the tool that replaces a funnel builder, an email tool and a course platform for one low price. It is popular: it showed a Trustpilot score of 4.9 from 8,696 reviews as listed in October 2026. For a deeper look, read our Systeme.io review.

ActiveCampaign is an email marketing automation platform with a contact CRM bolted alongside. Its Trustpilot page showed a 2.7 heading score from 1,452 reviews in October 2026 (the star image on the same page reads 2.5). Its strength is the automation builder, covered below.

How much do Systeme.io and ActiveCampaign cost?

Systeme.io is cheaper at almost every list size and has a permanent free plan; ActiveCampaign starts at $15 a month billed yearly for 1,000 contacts and rises as your list grows. The bigger difference is what each price includes.

Tool and planMonthly billingYearly billingWhat the price covers

Systeme.io pricing page showing the Free, Startup, Webinar and Unlimited plans
Systeme.io's pricing page in October 2026.

Systeme.io's pricing is simple: a free plan, then $17, $47 and $97 a month, with 0% transaction fees on every plan (you pay only Stripe or PayPal processing). Annual billing is advertised as "2 months free", but the page no longer prints yearly totals, and it uses "$" without naming the currency. Our Systeme.io pricing breakdown walks through each tier.

ActiveCampaign pricing page showing Starter, Plus, Pro and Enterprise plans billed yearly
ActiveCampaign's pricing page in October 2026.

ActiveCampaign's rendered page shows only yearly-billed prices for 1,000 contacts. The monthly-billing figures above come from the pricing page's own catalog data, whose yearly totals divided by 12 match the rendered prices exactly. The page offers a 14-day free trial with no credit card and a 30-day refund guarantee on paid plans, and its FAQ says "There are no setup costs or hidden fees".

What happens to ActiveCampaign's price as your list grows?

The price climbs with every contact band. At 2,500 contacts, ActiveCampaign lists Starter at $49 monthly or $39 a month billed yearly, Plus at $119 or $95, Pro at $189 or $149, and Enterprise at $319 or $255. Systeme.io's Startup plan, by contrast, stays at $17 a month up to 5,000 contacts.

Which ActiveCampaign add-ons matter to coaches?

  • Enhanced CRM "Pipelines": deal pipelines are not included on any plan. The catalog prices this add-on at $49, $85 or $119 a month on Plus, Pro or Enterprise, plus a per-seat charge of $19, $29 or $49 a month.
  • Custom reporting: $159 a month on Plus and Pro, included on Enterprise.
  • SMS, WhatsApp messaging and transactional email: sold separately.
  • Extra seats: Starter includes one seat and caps at two; an extra Starter seat is priced at $10 a month in the catalog.

What does a full coaching stack cost on each?

Here is an illustrative example, not a quote. Say you are a coach with 2,500 contacts who sells a 12-week program, books 1:1 calls and wants clients to log habits between sessions.

  • On ActiveCampaign: you need Plus for landing pages and the Stripe and scheduling integrations, which is $95 a month billed yearly at 2,500 contacts. On top of that you still pay for a separate scheduler, a checkout or invoicing tool, a contract tool, and a course or client-portal platform, because ActiveCampaign does none of those.
  • On Systeme.io: Startup at $17 a month covers your funnels, checkout, email and up to 5 courses. You still add a scheduler with client records and something for contracts, habits and check-ins.
  • On Coachful: one plan covers booking, payments, contracts, programs with habits and check-ins, courses, community, website, funnels and email (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

The point is not that one number is smaller. It is that the first two bills are only part of the stack. Our comparison hub has more side-by-side breakdowns.

Which is better for email marketing and automation?

ActiveCampaign, clearly. Email automation is its core product, while Systeme.io treats email as one module among many.

ActiveCampaign lists multi-step marketing automation on every plan, an AI-powered automation and campaign builder, 250+ email templates, 950+ automation recipes, and Gmail and Outlook integrations. The catch on Starter is real: each automation is capped at 5 actions and the automation is email-only. Plus removes the action cap and adds sales automation; Pro adds predictive sending, conditional content, split automations, attribution and an automations map.

Systeme.io includes unlimited emails even on the free plan, with broadcasts and automation rules, but the free plan allows only 1 automation rule and 1 email campaign, and its pricing page advertises nothing like ActiveCampaign's recipes, predictive sending or advanced segmentation. For a coach who sends a weekly newsletter and a five-email welcome sequence, that is often enough. For a coach running ten lead magnets into branching nurture paths, it usually is not.

Coachful sits in between: email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits, all tied to the same lead and client records you coach from. It does not offer ActiveCampaign's predictive sending or lead scoring.

Which is better for funnels, landing pages and websites?

Systeme.io. Funnels are its home turf, and ActiveCampaign does not offer landing pages until Plus.

Systeme.io includes funnels on every plan (3 on Free, 10 on Startup, 50 on Webinar, unlimited on Unlimited), plus a blog and a custom domain. Evergreen webinars arrive on the Webinar plan. For a coach selling a lead magnet into a low-ticket offer, this is the most direct path from zero to a live sales page.

ActiveCampaign Starter has only standard and inline forms. Landing pages, site messages and custom-branded forms start on Plus. There is no website builder or blog.

Coachful includes a section-based website builder with a blog, custom domain, SEO settings and 30 designed homepage templates, plus booking, application, lead-magnet and checkout funnels with pixels and UTM tracking, and a link-in-bio page that sells. The difference from Systeme.io is that every funnel ends inside the same client record you coach from, rather than in a contact list. See the coach website builder page for detail.

Which handles booking and payments better?

Neither is strong here, which is the biggest gap for a coach. ActiveCampaign has no booking calendar or checkout at all; Systeme.io has checkout but, in our September 2026 profile, no native 1:1 scheduling tied to client records.

ActiveCampaign does not process payments. On Plus and above, Stripe and PayPal integrations feed purchase data into automations, and Calendly, Acuity Scheduling and Eventbrite integrations bring booking events in. On Starter, none of those integrations are available. So the scheduler and the checkout are always other subscriptions.

Systeme.io sells through Stripe and PayPal with 0% transaction fees. That covers selling a program. It does not cover the coaching calendar: availability rules, intake questions on booking, session credits and reminders tied to a client file.

Coachful builds both in. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. Payments run through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, order bumps, coupons and Stripe Tax, and a 0% Coachful platform fee. Coachful does not support PayPal. More on the scheduling software and coaching payment software pages.

Which is better for courses and community?

Systeme.io, because ActiveCampaign has no course hosting or community at all.

Systeme.io includes courses on every plan (1 course and 500 students on Free, 5 courses on Startup, 20 on Webinar) and a community area. Our September 2026 profile describes both as basic, with no branded mobile app. For a first self-paced course, that is fine. If you later want drip schedules, cohort groups and a polished member experience, you may outgrow it; our Systeme.io vs Kajabi comparison covers that jump.

ActiveCampaign offers no courses, client portal, client app or community. You would pair it with a course platform and sync contacts across.

Coachful includes courses with modules, lessons, drip and completion tracking, plus a community feed, group chat, direct messages and video events, with cohort groups created automatically when someone enrols in a program. See group coaching software and the online course platform for coaches.

Which has the better CRM for coaches?

ActiveCampaign has the stronger sales CRM; neither has a coaching client record. That distinction matters more than it sounds.

ActiveCampaign's contact record holds custom fields, tags, lead and deal scores, and activity. Deal pipelines need the paid Enhanced CRM add-on on Plus or above, and Pro and Enterprise add advanced and premium segmentation. That is a CRM for moving a lead to a sale.

Systeme.io stores contacts with tags and lets automation rules act on them. It is enough to know who bought what.

A coach needs something different after the sale: goals, session notes, intake answers, check-ins, habits, payments and session history in one place. Coachful's client record holds all of that, with a status of thriving, active, quiet or at risk, and Michelle, the built-in AI assistant, can brief you on a client before each session. Coachful does not have a multi-stage sales deal board for large teams and does not integrate with Salesforce or HubSpot. Our guide to managing coaching pipelines without ActiveCampaign and the coaching CRM page go further.

What do clients actually experience with each?

With ActiveCampaign, clients experience emails. With Systeme.io, they get emails plus a course and community login. With Coachful, they get one branded home for everything you deliver.

This is where coaching differs from selling a product. A client in a 12-week program needs to know what to do this week, log the habit they agreed to, answer a check-in, see their next session and message you. On ActiveCampaign none of that has a place to live, so you assemble it from a scheduler, a form tool, a shared document and email. On Systeme.io, the course area can hold the lessons, but there are no habits, check-ins or per-client plans.

In Coachful, clients open one home (and one app under your branding inside the Coachful app) with their program week, daily tasks, habits, morning and evening check-ins, goals with progress bars, courses, community and upcoming sessions. Coachful's AI Coach can also be switched on for selected clients so they can chat with an AI version of you between sessions, configured by you.

How easy is it to set up and leave each tool?

Systeme.io is quicker to get live; ActiveCampaign takes longer to master but documents its exports clearly. Both lock some work in place when you leave.

ActiveCampaign lists basic onboarding and migration support on Starter and priority onboarding on Pro. Contacts export to CSV with standard and custom fields, scores and tags, and the download link stays valid for 7 days. Contact notes cannot be exported, according to its help center.

Systeme.io exports contacts to CSV through an emailed link valid for 3 days; our September 2026 profile found courses and pages are not bulk-exportable, so funnels have to be rebuilt elsewhere.

Coachful exports your full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) plus course exports. Going the other way, clients, programs and content are imported for you during onboarding.

Which should you pick for which kind of coach?

Match the tool to your delivery model. Here is how we would split it.

Coach typeBest fitWhy
Coachful: 1:1 and group coaches running multi-week programsCoachfulBooking, contracts, payments, programs, habits, check-ins and the client app in one login
New coach with no budget selling a first digital productSysteme.io Free2,000 contacts, 3 funnels and 1 course at no cost, 0% transaction fees
Course creator with a growing list on a budgetSysteme.io Startup or WebinarFunnels, courses and email under one bill that stays flat to 5,000 or 10,000 contacts

Coaching company with a sales teamActiveCampaign with Enhanced CRMDeal pipelines, seats and sales automation
Coach working with protected health informationActiveCampaign Enterprise for marketing; a clinical system for recordsOnly ActiveCampaign Enterprise lists HIPAA support

Two quick tests help. If you could run your business without ever seeing a client's progress between calls, a marketing tool is probably enough, and the choice is price (Systeme.io) versus automation depth (ActiveCampaign). If between-call progress is the product, choose a coaching platform first and judge its marketing features second. Coaches comparing other marketing suites may also find GoHighLevel vs Systeme.io and Flodesk vs Systeme.io useful.

Is there a third option that beats both?

For coaches who deliver programs, yes: Coachful replaces the marketing tool and the four or five coaching tools you would otherwise add to it. For pure email marketers and funnel sellers, Systeme.io or ActiveCampaign may still be the better fit.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts with e-signature, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. It is based in Tallinn, Estonia, and showed a Trustpilot score of 4.5 from 21 reviews.

Where Coachful beats both.

  • One login for the whole client journey: a lead from your funnel books a call, signs the coaching agreement, pays and lands in a program, all on one client record.
  • Between-session delivery: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins and streaks, none of which Systeme.io or ActiveCampaign offer.
  • Coaching-specific tools: ICF credential tracking against ACC, PCC and MCC thresholds with an exportable client coaching log, plus Michelle, which builds programs, drafts emails, summarises recorded sessions and briefs you before calls (questions and planning are included in your Coachful membership; confirmed builds use AI credits).
  • Reach on social: a social planner that schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube, and Instagram automations that send a booking link or lead magnet by DM when someone comments a keyword.
  • Total stack cost: flat plans by client count, not by contact count, with no Coachful platform fee on payments.
Coachful client grid with status tags and insight metrics for task completion and check-ins
Coachful's client dashboard with demo clients, status tags and illustrative check-in metrics.

Where Coachful does not beat them.

  • It has no permanent free plan, so Systeme.io Free is cheaper for a coach with no clients yet.
  • It does not match ActiveCampaign's predictive sending, lead scoring, deal pipelines or Salesforce and HubSpot integrations.
  • It is not HIPAA-certified and offers no BAA; ActiveCampaign Enterprise lists HIPAA support.
  • It does not support PayPal; Systeme.io does.
  • It is not a general website builder for non-coaching sites, and it has no third-party plugins.
  • Its affiliate program records payouts manually rather than sending them, while Systeme.io includes an affiliate program even on its free plan.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build something for you from Create > We'll build it for you: a website, a funnel, a sales page, a program, a course outline, an email sequence, a lead quiz or an automation. You describe it, attach up to 8 reference links and up to 10 files, and the team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. It does not include recording videos, logo design or ad management. Read more about the free white-glove service.

Frequently asked questions

Is Systeme.io cheaper than ActiveCampaign?

Yes, at almost every list size. Systeme.io has a free plan for 2,000 contacts and a $17 Startup plan for 5,000 contacts, while ActiveCampaign Starter costs $19 a month (or $15 billed yearly) for just 1,000 contacts, as listed in October 2026. ActiveCampaign also needs Plus for landing pages and payment integrations.

Can Systeme.io replace ActiveCampaign?

For simple newsletters and welcome sequences, often yes. For branching automations, lead scoring, predictive sending and advanced segmentation, no; those are ActiveCampaign's strengths. Decide based on how complex your email paths really are.

Does ActiveCampaign have funnels or a website builder?

It has landing pages and site messages on Plus and above, but no website builder, blog or checkout. Starter only offers standard and inline forms. Most coaches pair it with a separate site and payment tool.

Does either tool handle coaching session booking?

ActiveCampaign has no booking calendar; it integrates with Calendly, Acuity Scheduling and Eventbrite on Plus and above. Our September 2026 profile of Systeme.io found no native 1:1 scheduling tied to client records. Coachful includes booking pages, calendar sync, reminders and session credits.

Which is better for selling an online course?

Systeme.io, since it includes course hosting on every plan and ActiveCampaign has none. Coachful also includes courses with drip and completion tracking, delivered inside the client's branded home alongside programs and sessions.

Do Systeme.io or ActiveCampaign charge transaction fees?

Systeme.io lists 0% transaction fees on every plan, so you pay only Stripe or PayPal processing. ActiveCampaign does not process payments at all, so there is no ActiveCampaign fee, only your processor's. Coachful charges no platform fee either; you pay only Stripe or Razorpay processing.

Is ActiveCampaign HIPAA compliant?

ActiveCampaign lists HIPAA support on its Enterprise plan only. Systeme.io and Coachful do not offer HIPAA compliance, so clinical records and protected health information belong in a dedicated clinical system. Check your obligations with a qualified adviser.

What is Coachful's free white-glove service?

On every plan, the Coachful team will build a website, funnel, program, course outline, email sequence or similar inside your account, usually within about 24 hours. You describe what you want and attach references; the team does not invent credentials, testimonials or prices. It does not cover video recording, logo design or ads.

Can I move my contacts from Systeme.io or ActiveCampaign to Coachful?

Yes. Both tools export contacts to CSV, and Coachful imports your clients, programs and content for you during onboarding. ActiveCampaign contact notes cannot be exported, so copy any notes you need before you leave.

Which should a brand-new coach choose?

If you have no clients and no budget, Systeme.io's free plan is the cheapest way to get a funnel live. Once you are booking paying clients into programs, a coaching platform saves you from stitching together a scheduler, contracts and a client portal. Coachful's page for new coaches shows how that looks.
