Calendly vs Satori: Which Should Coaches Use in 2026?

Calendly vs Satori is not really a fight between two versions of the same product. Calendly is a scheduler: it puts a booking link in front of clients, syncs your calendar, sends reminders and can take payment for a call. Satori is a coaching practice tool: it adds a client portal, packages, invoices and contracts on top of scheduling, and it prices by active clients. If all you need is "let people book a time with me", Calendly is the lighter choice. If you need to run paid coaching packages with paperwork, Satori fits the job better. If you also deliver programs between sessions, neither one covers that, which is where a third option comes in.
We make Coachful, a coaching platform, so we have a stake in this question. We have kept the Calendly and Satori sections factual: what each vendor documents, what its pricing page showed, and what public reviewers report. Where a vendor fact comes from an older profile rather than a page checked this month, we say so.
What is the short answer by use case?
Pick by the job you need done, not by brand. The quick version for the most common coaching situations:
- You only need people to book discovery calls. Calendly. Its Free plan gives you one event type and one calendar connection, which is enough for a single "free intro call" link.
- You sell coaching packages and want contracts and invoices in the same place as bookings. Satori. It was built for coaches and bundles scheduling, a client portal, packages, invoices and contracts.
- You are studying for a coaching certification and coaching pro bono. Satori's Scholar plan, which its pricing page describes as free for coaches studying for certification, with unlimited pro-bono clients.
- You run a team where calls need routing to the right person. Calendly Teams, which adds round-robin, lead qualification and routing, and Salesforce meeting sync.
- You deliver multi-week programs with habits, check-ins, courses or a community, and want one login for the whole client journey. Neither. Coachful covers booking, payments, contracts and program delivery in one place, and we explain where it beats both and where it does not further down.
The rest of this article walks through each of those calls in detail: price, booking, client management, payments, client experience and data export.
How do Calendly and Satori compare side by side?
Ranked on what matters most to a working coach: one login for the whole client journey, delivery between sessions, total monthly stack cost, and setup effort.
| Tool | What it is | Booking pages | Client portal | Contracts and invoices | Programs, habits, check-ins | Courses and community | Website and email |
|---|---|---|---|---|---|---|---|
| Coachful | All-in-one coaching platform | Yes, with buffers, minimum notice, two-way calendar sync | Yes, the client app in the coach's branding | E-signed agreements; invoice per transaction plus manual invoices | Yes: weekly goals, daily tasks, habits, morning and evening check-ins | Yes, both included | Yes: website builder, funnels, email sequences |
| Satori | Coaching practice tool | Yes | Yes | Yes, both | Packages and programs; no habit tracking documented | No (older profile) | No landing pages (older profile) |
| Calendly | Scheduling tool | Yes, its core product | No | No | No | No | No |
The table already shows the shape of the decision. Calendly does one thing very well. Satori does the administrative half of a coaching practice. Coachful aims at the whole practice, including the part that happens between calls.
What does each tool actually do?
Calendly gets someone onto your calendar; Satori manages the client once they are a paying client. That is the core difference, and most of the rest follows from it.
Calendly in one paragraph
Calendly is a scheduling tool used far beyond coaching: sales teams, recruiters, consultants and support desks. You set your availability, share a booking page, and invitees pick a slot that syncs to your calendar. Paid plans add automations and reminders, more calendar connections, payments through Stripe or PayPal, and integrations such as HubSpot and Mailchimp. Team plans add round-robin scheduling, routing forms and managed event types. What Calendly does not do for a coach is keep a client record: there are no notes, programs, habits, check-ins, contracts or invoices. On Trustpilot, Calendly showed 4.1 from 714 reviews on 25 October 2026.

Satori in one paragraph
Satori is built specifically for coaches. Its pitch is the admin of a coaching practice: scheduling, a client portal, packages and programs, invoices and contracts. Billing counts only active clients, and each tier caps how many active clients you can have. Our older profile of Satori (September 2026) notes no native mobile app, no native Zoom integration, and no landing pages, courses or community. Satori's Trustpilot page existed with no reviews when we checked, and an earlier Capterra listing showed 4.5 from 13 reviews (September 2026). For the full picture, see our Satori review.

How does Calendly vs Satori pricing compare?
Calendly is cheaper for one person who only needs scheduling; Satori costs more but includes coaching admin, and its price climbs with active clients rather than with seats. Calendly figures are as listed in October 2026. Satori's dollar amounts did not render on its pricing page when it was checked on 25 October 2026, so the figures below are as listed in September 2026; its trial terms, refund policy and Essentials client cap were confirmed in October.
| Tool and plan | Monthly billing | Annual billing (per month) | Key limit |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Flat monthly plans; cancel monthly plans in one click | Lower plans cap clients; Pro is unlimited (Pro: $99/month with unlimited clients) |
| Calendly Free | $0 | $0 | 1 event type, 1 calendar connection |
| Calendly Standard | Not shown on the page | $10 per seat | Up to 6 calendar connections, unlimited event types |
| Calendly Teams | Not shown on the page | $16 per seat (down to $12 at 301+ seats) | Round-robin, routing, managed event types |
| Calendly Teams Plus | Not shown on the page | $24 per seat | Teams plus Notetaker and Callie |
| Calendly Enterprise | Custom | Starts at $15,000 per year | 50-seat minimum |
| Satori Scholar | $0 | $0 | For coaches studying for certification; unlimited pro-bono clients |
| Satori Essentials | $33 | About $27.50 (derived) | Up to 10 active paying clients |
| Satori Pro | $49 | About $40.83 (derived) | 50 active clients (older profile) |
| Satori Leader | $124 | About $103.33 (derived) | 150 active clients (older profile) |
A few notes on reading that table. Calendly's pricing page shows the annual figures ($10 Standard, labelled "Save 17%", and $16 Teams, labelled "Save 20%"); the billed-monthly prices were not shown on the page in October 2026, so we have not guessed them. Satori's annual plans are sold as "Get 2 Months Free", so the annual per-month figures above are our arithmetic (monthly price times 10, divided by 12), not printed prices.

Trials, refunds and fees
- Calendly: the pricing page did not state trial terms in October 2026 (the FAQ question was present but the answer did not render). An older profile describes a 14-day Teams trial with no card that downgrades to Free. Calendly documents no fee of its own on payments; you pay your Stripe or PayPal rates.
- Satori: a 15-day trial with unrestricted access and no credit card during the trial (a card is needed to continue), plus a refund if requested within 30 days of signing up. Satori takes no charge on client payments; standard PayPal and Stripe fees apply.
- Coachful: a free trial, and a 0% Coachful platform fee on client payments since August 2026. You pay only Stripe or Razorpay processing on your own account.

What a realistic stack costs
The subscription line is only part of the bill. Here is an illustrative example for a solo coach with 12 active clients who sells a three-month package, sends a contract, and wants a simple website and an email list. These are example numbers, not quotes, and the add-on tools are placeholders for whatever you already use.
| Stack | Scheduling | Client admin (contracts, invoices, portal) | Program delivery, website, email | Logins to manage |
|---|---|---|---|---|
| Coachful | Included in your Coachful membership | Included in your Coachful membership | Included in your Coachful membership (Solo: $49/month for up to 20 clients) | 1 |
| Calendly-based stack | Calendly Standard, $10 a month on annual billing | Separate e-signature tool and invoicing tool | Separate website builder, email tool and course or community tool | 4 to 6 |
| Satori-based stack | Included | Included; 12 active clients is over the Essentials cap of 10, so Pro at $49 a month (September 2026 figure) | Separate website builder, email tool and course or community tool | 3 to 4 |
The point of the example is not the exact total; it is that Calendly solves one line of the stack and Satori solves two, so the cost comparison changes once you count everything else you pay for. Our Calendly pricing breakdown and Satori pricing guide go plan by plan.
Which is better for booking and scheduling?
Calendly is the stronger pure scheduler, especially for teams; Satori's scheduling is good enough for a solo coaching practice but is not its main selling point.
Calendly's scheduling
This is Calendly's home ground. Documented features include a customizable booking page and a browser extension on Free, then automations and reminders, up to six calendar connections and unlimited event types on Standard. Teams adds round-robin and team scheduling, lead qualification and routing, managed event types and team analytics. The newer Plus tiers add Notetaker and Callie, an email scheduling assistant listed as beta on Standard. The limit for coaches is that once the booking lands, Calendly's job is done: the session lives in your calendar, and anything about the client has to be stored elsewhere.
Satori's scheduling
Satori includes booking for discovery sessions on Essentials, and its scheduling sits in the same tool as packages, invoices and contracts. Keeping "what the client bought" and "what they booked" in one place is the main advantage a coaching-specific tool has over a generic scheduler. On the other side, our older profile notes no native Zoom integration, so check how video links are created before you commit.
How Coachful handles booking
Coachful's booking pages cover availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync. It creates built-in video rooms or auto-creates Zoom, Meet or Teams links, sends email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled, and supports paid sessions, session credits and intake questions on booking. Multi-coach session types can use round-robin or least-busy assignment. Coachful does not have routing forms that pick a host from form answers, so a sales team that depends on Calendly-style routing should keep that in mind. More on this on our scheduling software page.

If you are moving off Calendly specifically, our guide to automating client scheduling without Calendly walks through the setup step by step.
Which handles clients, contracts and invoices better?
Satori, clearly. Calendly has no client records, contracts or invoicing; Satori was designed around them.
Calendly lets you ask booking questions, but beyond that it has no intake questionnaires, no contracts and no invoicing workflow. If you use Calendly as a coach, you will pair it with an e-signature tool, an invoicing or payments tool, and somewhere to keep notes. That works, and plenty of coaches run exactly that setup, but each handoff is a place where a client can fall through.
Satori keeps contracts, invoices and packages alongside the client, which is the reason most coaches choose it over a plain scheduler. Its tiers cap active clients, and only active clients count toward billing, so a coach with a long alumni list does not pay for people who have finished.
Coachful sends a coaching agreement for e-signature before the first call and stores it on the client record, next to goals, check-ins, habits, notes, intake answers, tags, payments and sessions. Each client also gets an AI briefing and a status of thriving, active, quiet or at risk, so you can see who needs attention before you open a single note. See coaching contracts and the coaching CRM for the details.

How do payments compare?
All three use your own payment processor and none of them takes a platform cut, according to their own pages; the differences are in which processors and which payment types.
- Calendly connects Stripe or PayPal from Standard upward, so a session can be paid at booking. It is built for paying per meeting, not for packages, subscriptions or payment plans.
- Satori supports PayPal and Stripe, with invoices and packages, and no Satori charge on client payments.
- Coachful runs payments through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax. It issues an invoice per transaction and lets you create manual invoices. Coachful does not support PayPal, so if most of your clients pay by PayPal, that is a real point in favour of Calendly or Satori.

Tax treatment of coaching income varies by country and state. Check with an accountant before you decide how to invoice international clients.
What is the client experience like in each?
With Calendly, the client sees a booking page and a calendar invite; with Satori, they get a portal; with Coachful, they get a branded app that covers the whole engagement.
The Calendly client
A Calendly client sees a clean booking page, picks a time, maybe answers a question or pays, and gets confirmation and reminders. That simplicity is a strength for a first call: there is nothing to log in to. It is also the ceiling. There is no place for the client to see their goals, homework or history with you, so everything between sessions happens over email or another tool.
The Satori client
A Satori client gets a client portal tied to the coach's packages, invoices and contracts. According to our older profile, there is no native mobile app, so clients use the portal in a browser. For clients who mostly need to book, sign and pay, that is fine. For clients you want checking in daily, a browser portal is a harder habit to build.
The Coachful client
A Coachful client gets your branding inside the Coachful app: their next session, programs, progress, documents, habits and check-ins, plus courses and the community if you use them. The app ships under the Coachful listing with your branding, not under your own App Store account, which matters if you wanted a fully white-labelled app.

What about programs, habits and between-session work?
This is the biggest gap in both tools. Calendly has nothing here, and Satori offers packages and programs but no documented habit tracking, check-ins, courses or community.
Coaching is usually described as a partnership toward the client's own goals, not a series of meetings (see the Wikipedia overview of coaching), and much of the client's work happens between calls. If your offer is "a 12-week program" rather than "a block of calls", you need somewhere to put weekly goals, daily tasks and reflection.
Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, drip and completion tracking, downloads and video events go into the same client home. Cohort groups are created automatically when someone enrolls in a program, with a community feed, group chat and direct messages. Coachful also has more than 40 ready-to-film program templates and 48 course templates with quizzes. See group coaching software and the course platform for coaches.

Here is a short walkthrough of how a program comes together in Coachful:
How do they compare on ICF credentialing and data export?
Satori exports a coaching log for ICF credentialing; Calendly exports scheduled events to CSV; Coachful tracks ICF hours and exports both the ICF log and your full client data.
- Calendly: scheduled events export to CSV, and your bookings already live in your synced calendar, with payments in your own Stripe or PayPal (older profile). Nothing about the coaching itself is stored, so there is nothing else to export.
- Satori: a coaching-log export for ICF credentialing is documented in our older profile. A general client-data export was not verified, so ask Satori support before relying on it. Our guide on migrating from Satori covers what to pull out.
- Coachful: counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. A full export downloads as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), plus a course export. See ICF hour tracking.

Coaches working toward an ICF credential should check the current requirements directly with the International Coaching Federation, since hour thresholds and log formats are set there, not by any software vendor.
Which should you pick for which kind of coach?
Match the tool to your offer and your stage. A simple decision guide:
| Your situation | Best fit | Why |
|---|---|---|
| Coachful: you sell programs, want clients engaged between calls, and want one login for booking, payments, contracts, courses, community, website and email | Coachful | Covers the whole client journey; a free white-glove build gets you set up |
| New coach, one free discovery call link, no packages yet | Calendly Free | One event type and one calendar is enough to start |
| Coaching student building hours pro bono | Satori Scholar | Free for coaches studying for certification, with an ICF coaching-log export |
| Solo coach selling 1:1 packages to about 10 clients, needs contracts and invoices | Satori Essentials | Packages, contracts, invoices and portal in one coaching tool |
| Sales-led team needing routing and Salesforce sync | Calendly Teams | Routing forms and CRM sync are its strengths |
| Coach whose clients pay mainly by PayPal | Calendly or Satori | Both support PayPal; Coachful does not |
Life, mindset and confidence coaches
Your work usually runs as packages of sessions with reflection in between. Satori handles the admin; Calendly handles only the first call. If you want journaling prompts, habits and check-ins in the client's hands, look at Coachful for life coaches. Our list of Satori alternatives for life coaches compares more options.
Business and executive coaches
Engagements are often sponsored by a company, and the calendar is the first thing a busy executive sees. Calendly's polished booking page and team routing are genuine strengths here. For the engagement itself, contracts, session notes and progress reports matter more, which tilts toward a practice tool. See Coachful for business coaches and our Calendly alternatives for executive coaches.
Health and wellness coaches
Coaching is not treatment. If you work with clients on health habits, keep clear of diagnosing or prescribing, and refer to a doctor or licensed clinician when a client reports symptoms, medication questions or a condition outside your scope. None of the three tools here is a substitute for a clinical system: Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong elsewhere. See our Satori alternatives for health coaches and Calendly alternatives for health coaches.
Is there a third option that beats both?
For coaches who deliver programs, yes: Coachful replaces both Calendly and Satori and adds the between-session delivery neither has. For a coach who only needs a booking link, or who relies on PayPal, it may not be the right fit.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. The company is based in Tallinn, Estonia, and has a Trustpilot score of 4.5 from 21 reviews.
Where Coachful beats both
- One login for the whole client journey. Booking, agreements, payments, programs, courses, community and messages live in one account, and the client sees them in one app.
- Between-session delivery. Weekly goals, daily tasks, habits, morning and evening check-ins and streaks, which neither Calendly nor Satori documents.
- Marketing built in. A section-based website builder with blog and custom domain, 30 designed homepage templates, booking, application, lead-magnet and checkout funnels, email broadcasts and multi-step sequences, a social planner, and Instagram automations that send a booking link or lead magnet by DM when someone comments a keyword.
- Michelle, the built-in AI assistant. It works from your live practice data to build programs, draft emails, summarize recorded sessions and brief you before each session. Questions and planning are included in the membership; confirmed builds and changes use AI credits. There is also an AI Coach that selected clients can chat with between sessions, configured by you. See the AI coaching assistant.
- No platform fee on payments. 0% since August 2026; you pay only Stripe or Razorpay processing.

Where Calendly or Satori is the better pick
- You only need a booking link. Calendly Free costs nothing and does that one job well. Coachful does not offer a permanent no-cost plan.
- You depend on PayPal. Calendly and Satori both support it; Coachful does not.
- You run a sales team with routing and Salesforce or HubSpot. Calendly's routing forms and CRM integrations are deeper. Coachful has no routing forms that pick a host from form answers and no Salesforce or HubSpot integration.
- You are a coaching student coaching pro bono. Satori's Scholar plan is built for that stage.
- You need HIPAA. Coachful is not HIPAA-certified. Neither Calendly's nor Satori's HIPAA status is covered here, so ask each vendor directly.
- You want your own App Store listing. Coachful's client app carries your branding inside the Coachful app, not under your own developer account.
Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you · FREE: a website, funnel, sales page, program, course outline and written material, email sequence, form, link in bio, lead quiz, event or automation. You describe what you want, attach up to 8 reference links and up to 10 files (logos, photos, brand guides, copy; no video files), and the team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. In recent builds, a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button, and a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Read more about the free white-glove service.

Frequently asked questions
Is Calendly or Satori better for coaches?
It depends on what you need. Calendly is better if you only need people to book calls, especially on a team. Satori is better if you run paid coaching packages and want contracts, invoices and a client portal in one tool. If you also deliver programs between sessions, consider a full coaching platform instead.
Is Calendly free for coaches?
Calendly has a Free plan with one event type and one calendar connection, as listed in October 2026. That covers a single discovery-call link. Payments, reminders and more event types need a paid plan, which starts at $10 per seat per month on annual billing.
How much does Satori cost?
As listed in September 2026, Satori Essentials was $33 a month, Pro $49 and Leader $124, with annual billing giving two months free. Essentials covers up to 10 active paying clients. There is also a Scholar plan at no cost for coaches studying for certification.
Can I use Calendly and Satori together?
You can, for example using Calendly for discovery calls and Satori for paying clients. The trade-off is two logins, two sets of reminders and clients moving between systems. Satori already includes scheduling, so most coaches who pay for it do not also need Calendly.
Does Satori have a mobile app?
Our older profile of Satori (September 2026) notes no native mobile app, so clients use the portal in a browser. Check with Satori for the current status before you decide, especially if you want clients checking in daily.
Do Calendly or Satori take a cut of client payments?
Neither documents a fee of its own on client payments. You pay your processor's rates: Stripe or PayPal on both. Coachful also charges a 0% platform fee, with only Stripe or Razorpay processing.
Can Calendly send contracts or invoices?
No. Calendly is a scheduling tool: it handles booking pages, reminders, workflows and paid bookings. It has no contracts, invoicing or client records, so coaches who use it pair it with separate tools for those jobs.
What is Coachful's free white-glove service?
On every plan, the Coachful team will build your website, funnel, program, course outline, email sequence or other assets inside your account, usually within about 24 hours. You describe what you want and attach references and files. Nothing is invented, and it does not cover video recording, logo design or ad management.
Is Coachful HIPAA-compliant?
No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Health coaches who need clinical records should keep them in a clinical system.
How do I move from Satori or Calendly to Coachful?
Start a trial and the Coachful team imports your clients, programs and content during onboarding. From Calendly, you mostly rebuild your booking pages and reconnect your calendar. From Satori, export what you can first; our Satori migration guide lists what to pull out.
