Calendly vs Practice Better: Which Fits Coaches in 2026?

Calendly vs Practice Better: Which Fits Coaches in 2026?

In the calendly vs practice better decision, the short answer is that they solve different problems. Calendly is a scheduling tool: it puts a booking page in front of clients, checks your calendar, sends reminders and can take payment for a call. Practice Better is practice management software for wellness and nutrition practitioners: scheduling, telehealth video, charting, billing, programs and a client portal in one account. If all you need is for people to book time with you, Calendly is the lighter, cheaper pick. If you run a health or nutrition practice with notes, forms and programs, Practice Better covers far more of the job.

Many coaches sit between those two. They need more than a booking link, but they do not chart, prescribe or fax. For them there is a third option, Coachful, and this guide is honest about when it beats both and when it does not. We make Coachful, so we have kept every vendor fact to what Calendly and Practice Better publish on their own pricing pages, as listed in October 2026, and to what public reviewers report.

What is the short answer by use case?

Pick by the job you need done, not by the brand you have heard of. Here is the quick version before the detail.

  • You only need clients to book and pay for calls: Calendly. Its free plan covers one event type, and Standard adds unlimited event types, reminders and Stripe or PayPal payments.
  • You are a dietitian, nutritionist or functional health practitioner who charts: Practice Better. Note templates, an AI charting add-on, ePrescribe and fax are clinical tools Calendly does not try to offer.
  • You coach clients through multi-week programs and want booking, payments, contracts, check-ins, courses and a website under one login: Coachful. It replaces the scheduling tool and the delivery tool with one subscription.
  • You run a sales team that books demos and routes leads: Calendly Teams. Routing forms, round robin and Salesforce sync are built for that.
  • You need insurance billing or a signed BAA: neither Calendly nor Coachful is the answer. Look at clinical systems; our Practice Better vs Healthie comparison covers that ground.

How do Calendly and Practice Better compare side by side?

Calendly does one thing in depth; Practice Better does many things for a clinical audience. We rank the three options on four criteria that matter to working coaches: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including whether someone will build it for you).

The table already shows the main pattern: Calendly is narrow and deep, Practice Better is broad but clinical, and the gap for non-clinical coaches is programs, contracts, community and a website. Our Coachful vs Calendly and Coachful vs Practice Better pages go row by row if you want more.

How does pricing compare?

Calendly is cheaper on its own, but it covers only scheduling, so its real cost depends on what else you bolt on. Practice Better costs more and includes more, with client caps on its lower plans and paid add-ons for clinical features.

Calendly pricing page with Free, Standard, Teams and Enterprise plans
Calendly's pricing page in October 2026.

Calendly prices per seat. Its pricing page in October 2026 shows Standard at $10 per seat per month and Teams at $16 per seat per month, and the help center confirms these are annual-billing figures. Billed-monthly prices are not shown on the page today. Teams Plus, which adds Notetaker and Callie, is $24 per seat per month on annual billing. Enterprise starts at $15,000 a year with a 50-seat minimum.

Practice Better pricing page with Sprout, Starter, Professional, Plus and Team plans
Practice Better's pricing page in October 2026.

Practice Better prices per account, with client caps. Sprout is free for 3 clients and 100 MB of storage. Starter is $35 a month ($25 billed annually) for 10 clients. Professional is $69 ($59 annually) for 300 clients, though one card on the page says "Save $84/year", which implies about $62, so the page is inconsistent there. Plus is $99 ($89 annually) with unlimited clients. Team is $155 ($145 annually) for 2 practitioners, with more at $50 each.

What extra costs should you expect?

Calendly lists Notetaker and Callie as the Plus tiers, an SSO add-on for Teams and SCIM provisioning for Enterprise. Calendly takes no documented fee on payments; you connect your own Stripe or PayPal and pay their rates.

Practice Better's add-on list is longer, mostly clinical:

  • AI Charting Assistant: $10, $20 or $40 per practitioner per month (1,200, 3,600 or 7,200 minutes), then 2 cents a minute.
  • Connector Hub: $49 a month on Plus and Team.
  • ePrescribe: $49 a month plus $99 one-time onboarding per prescriber; PDMP adds $5 a month plus $399 onboarding.
  • SMS: 5 cents per text; fax: 10 cents per page.
  • Extra admin: $10 a month (Plus and Team); extra storage: $1 per GB per month on Professional, up to 30 GB.

Practice Better Payments is powered by Stripe. No platform fee is stated, but the processing rates are not listed on the pricing page either.

What does a full stack cost?

Calendly's price looks small until you add what it does not do. As an example only, a solo coach running 12-week programs on Calendly Standard ($10 a month billed annually) would still need a client portal or program tool, an e-signature tool for contracts, a course host, a website builder and an email platform. Each of those is a separate subscription and a separate login for the client. Write your own list, price it from each vendor's page, and add it up before you compare.

Coachful works the other way: one subscription covers booking, payments with 0% Coachful platform fee (only Stripe or Razorpay processing), contracts, programs, courses, community, website, funnels and email. Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Compare that against your summed stack, not against Calendly's headline.

How do the booking and scheduling features compare?

Calendly has the deeper scheduling engine; Practice Better's scheduling is good enough for a practice and tied to its client records. For a solo coach, both will get clients onto your calendar.

Calendly homepage with its scheduling headline and sign-up buttons

Calendly's free plan gives you one event type and one calendar connection. Standard removes the event-type limit, connects up to 6 calendars and adds automations and reminders, payments through Stripe or PayPal, and HubSpot and Mailchimp. Teams adds round robin, lead qualification and routing, managed event types, Salesforce meeting sync and team analytics. If your business looks like a sales team, Calendly's routing and CRM integrations are the strongest of the three. Our Calendon vs Calendly piece covers how it compares with lighter schedulers.

Calendly is a scheduling tool and stays one. It has no client records, notes, programs, habits or check-ins, and its intake is limited to booking questions. There are no contracts or invoices.

Practice Better's homepage in October 2026.

Practice Better includes scheduling from Starter, with telehealth video built in, so you do not need a separate video link for sessions. Group scheduling and group messaging arrive on Professional, and team scheduling with roles on Team. Because bookings attach to the client record, you see the session next to that client's forms, notes and invoices. Below Team, an account has one practitioner. For a deeper look, read our Practice Better review.

Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get built-in video or an auto-created Zoom, Meet or Teams link. You can sell paid sessions and session credits, ask intake questions at booking, and assign multi-coach session types by round robin or least busy. What Coachful does not have is routing forms that pick a host from form answers, so a sales team that routes leads by territory is better served by Calendly Teams. See Coachful scheduling software for the details.

This short walkthrough shows how booking works in Coachful:

How do client records, forms and notes compare?

Practice Better wins this category over Calendly outright, because Calendly has no client records at all. The more useful question is whether you need clinical records or coaching records.

Practice Better was built for practitioners who chart. Starter includes forms and note templates, the AI Charting Assistant add-on is sold in monthly blocks of minutes, and ePrescribe, PDMP and fax exist for prescribers. That suits dietitians and functional medicine practices. If you are a coach and not a clinician, much of it will sit unused.

Coachful keeps a coaching record: goals, check-ins, habits, notes, intake answers, tags, payments and sessions on one page per client, plus an AI briefing per client before you meet. Each client carries a status of thriving, active, quiet or at risk, so you see who is drifting. It is not a clinical record. Coachful is not HIPAA-certified and does not sign a BAA, so clinical notes belong in a clinical system. The U.S. Department of Health and Human Services explains who counts as a covered entity under HIPAA if you are unsure whether the rule applies to you.

A scope note for health coaches: coaching is not medical treatment. If a client describes symptoms, medication questions, disordered eating or anything that needs diagnosis, refer them to a doctor or licensed clinician and keep coaching inside your training. Our page for health coaches covers how Coachful fits that boundary.

How do programs and between-session delivery compare?

This is where the three split most clearly. Calendly ends at the booking. Practice Better has programs, gated by plan. Coachful is built around programs.

Practice Better offers fixed-date programs from Professional ($69 a month) and evergreen, self-paced programs plus program templates from Plus ($99 a month). That matters if you sell a rolling, start-anytime program: on Starter or Professional you cannot run one in the evergreen format.

Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, drip and completion tracking sit alongside, and clients who enroll in a program are dropped into an automatic cohort group in the community. There are more than 40 ready-to-film program templates and 48 course templates with quizzes, so you are not starting from a blank page.

The demo client Programs view in Coachful: an enrolled group program, its current week, members and the route into the program.

Coachful also includes Michelle, an AI assistant that works from your live practice data: it can build a program, draft emails, summarize recorded sessions and brief you before a call. Questions and planning are included in the membership; confirmed builds and changes use AI credits. If you want clients to have help between sessions, AI Coach lets selected clients chat with an AI version of you that you configure.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

How do payments, contracts and invoices compare?

Calendly takes payment for a booking and stops there. Practice Better handles billing, invoices, deposits and payment plans. Coachful adds contracts and checkout features on top.

Calendly's Standard plan connects your own Stripe or PayPal so clients pay when they book. There are no invoices, packages beyond paid events, or contracts. Practice Better includes billing and payments from Starter through Practice Better Payments (Stripe), and adds deposits and payment plans on Professional.

Coachful payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Each transaction gets an invoice, and you can send manual invoices. Coaching agreements with e-signature go out before the first call and are stored on the client record (see coaching contracts). Two limits to know: Coachful has no PayPal, and Calendly does. If your clients insist on PayPal, that counts against Coachful.

What is the client experience like in each?

With Calendly, the client sees a clean booking page and confirmation emails; with Practice Better, a client portal; with Coachful, a branded home and app that holds everything.

Calendly's client experience is short by design. A client picks a time, answers your booking questions, pays if required and gets a calendar invite and reminders. Everything after the call happens somewhere else: your email, a shared document, another app. That is fine for one-off sessions and confusing for a 12-week program.

Practice Better gives clients a portal with secure messaging, and programs on the plans that include them; it also has a client app. Portal branding and a personalized URL start on Plus, so on lower plans clients see Practice Better's default look. Our guide to the Practice Better client portal shows what clients see.

Coachful's client gets one login and the coach's branding inside the Coachful app: next session, programs, habits, check-ins, courses, documents, community and messages in one place. The app ships under the Coachful listing with your branding, not in your own App Store account, which matters if you wanted a fully white-label app.

What about websites, marketing and growth?

Neither Calendly nor Practice Better builds your website. Calendly gives you a booking page; Practice Better gives you a portal and a personalized URL on Plus. You will need a website builder and an email tool alongside either.

Calendly's Standard plan connects to HubSpot and Mailchimp, which helps if you already use them. Practice Better's Plus plan includes 10,000 broadcasts a month, which covers basic emails to clients, but there are no funnel pages.

Coachful includes a section-based website builder with a blog, custom domain, SEO settings and 30 designed homepage templates; booking, application, lead-magnet and checkout funnels with pixels and UTM tracking; email lists, broadcasts and multi-step sequences; a social planner for Instagram, Facebook, LinkedIn, X, Threads and YouTube; and Instagram automations that send a booking link or lead magnet in a DM when someone comments a keyword. It is not a general website builder for non-coaching sites and it has no third-party plugins. See the coach website builder page.

Which should you pick for which kind of coach?

Match the tool to how you deliver the work. Here is how the three line up across common coaching setups.

Pick Calendly if...

Pick it over Coachful if you only need people to book and pay for calls, you already have a client portal or program tool you like, you need PayPal, or you run a sales team that needs routing forms and Salesforce or HubSpot. It has the largest review base of the three (4.1 on Trustpilot from 714 reviews in October 2026).

Pick Practice Better if...

Pick it over Coachful if you chart clinical notes, prescribe, fax, or need a system built for nutrition and functional health practices. Its clinical add-ons have no equivalent in Coachful or Calendly. If you are weighing alternatives anyway, see our roundup of Practice Better alternatives for health coaches.

What is the third option, and when does Coachful beat both?

Coachful is a coaching platform that replaces both a scheduler and a delivery tool. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your client. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing 4 to 6 tools.

Coachful sessions calendar for September 2026 with color-coded session types
Coachful's sessions calendar with demo data: 1:1 coaching, accountability calls and group sessions color coded across a month.

When Coachful beats both: you sell programs rather than single calls; you want contracts signed before the first session; you want clients to check in, track habits and see progress between calls; you run group cohorts with a community; and you would rather have one website, checkout and email list than five tools. Coachful also tracks ICF credential hours (see ICF hour tracking) and charges a 0% platform fee on payments.

When it does not: Coachful is not HIPAA-certified and is not for clinical records or insurance billing, so practitioners who chart belong in Practice Better or another clinical system. It has no PayPal, no permanent free plan, no routing forms and no Salesforce or HubSpot integration, so Calendly fits sales-led teams better. It does not sync with Garmin, Fitbit, Whoop or Oura.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you. Describe what you want (a website, funnel, sales page, program, course outline, email sequence, form, link in bio and more), attach up to 8 reference links and up to 10 files, and the team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. Recent builds give a sense of scope. A menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button.

How do you start?

  1. Start a free trial and pick the plan that matches your client count.
  2. Connect your calendar and your Stripe or Razorpay account.
  3. Send your current clients, programs and content: they are imported for you during onboarding.
  4. Request a white-glove build for the website, funnel or program you need first.
  5. Send your booking link and first agreement to a client.

Frequently asked questions

Is Calendly or Practice Better better for coaches?

It depends on what you deliver. Calendly is better if you only need booking and payment for calls. Practice Better is better if you run a nutrition or wellness practice with charting and forms. Coaches who sell programs often find both fall short and look at an all-in-one platform like Coachful.

Can Practice Better replace Calendly?

Yes, for most solo practitioners. Practice Better includes scheduling and telehealth video from Starter, so you do not need a separate booking tool. Calendly's routing forms and Salesforce sync have no direct equivalent, but most practices do not need them.

Does Calendly have client records or programs?

No. Calendly is a scheduling tool, with booking pages, reminders, workflows and paid bookings. It has no client records, notes, programs, habits, check-ins, contracts or invoicing.

How much does Practice Better cost compared with Calendly?

As listed in October 2026, Calendly Standard is $10 per seat per month billed annually, with a free plan for one event type. Practice Better runs from a free Sprout plan for 3 clients to $35 a month on Starter, $69 on Professional and $99 on Plus, with annual discounts. Practice Better includes far more than scheduling, so compare against your full tool stack.

Is Practice Better HIPAA compliant, and is Coachful?

Practice Better is built for clinical-adjacent practices, so check its current security documentation for a BAA before storing health records. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. Coaches who keep coaching notes rather than medical records generally do not need one, but check with an attorney if you are unsure.

Which is better for group programs?

Practice Better supports group scheduling from Professional and evergreen programs from Plus. Calendly can book group events but has nothing for program delivery. Coachful creates cohort groups automatically when clients enroll and adds community, group chat and group calls.

What is Coachful's free white-glove service?

Every Coachful plan includes a free build service: you describe a website, funnel, program, course outline, email sequence or similar, attach references, and the team builds it in your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.

Does Coachful accept PayPal?

No. Coachful takes payments through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay. Calendly supports both Stripe and PayPal on Standard and above, which matters if your clients pay by PayPal.

Can I use Calendly with Practice Better?

You can, but you would be paying twice for scheduling, since Practice Better includes booking from Starter. Most practices use one scheduler so bookings attach to the client record.

Is there a free trial for each?

Practice Better offers 14 days on paid plans and 30 days on Team, plus the free Sprout plan. Calendly has a free plan; trial terms were not shown on its pricing page in October 2026. Coachful offers a free trial, and monthly plans cancel in one click.
