Most client trackers are dead by week three.
The sheet looked great on day one. By week three it has two rows filled in, and you only learn how the month went when the client tells you on the call.
The spreadsheet way
- A shared sheet the client opened twice, both times the night before a call
- A Friday form asking them to rate the week from 1 to 10, answered by half the roster
- Habit screenshots from another app, pasted into WhatsApp
- No idea who went quiet until a renewal does not happen
- Two years of ICF hours rebuilt from an old calendar
A tracker they open
- Goals, habits and check-ins in the same app as their sessions and messages
- A morning mood and an evening review of the day, on their phone
- A weekly reflection on every goal: on track, not sure or off track
- One overview of the roster, with the clients who need you listed first
- Coaching hours counted from the sessions you already run
Tracked on their phone, read on your screen.
Goals that show the client how far they have come
A goal has a title, a target date and a progress figure from 0 to 100, shown to the client as a ring with the days left. You can set it, the client can write it, or a program can create it and ask them to name it. A milestone path marks the checkpoints on the way, and the client moves the progress when they review the goal each week.

A daily routine with streaks that survive the weekend
Each morning the client logs how they feel on a seven-point scale, from low and stuck to energized. In the evening they rate the day and see the tasks they finished against the tasks they set. Habits sit beside that with their own frequency, reminder and target. You decide which of these count toward the daily alignment score and the streak.

A weekly reflection that tells you how the week really went
Once a week the client reviews every active goal. They move the progress, say whether they are on track, not sure or off track, then write what went well, what got in the way and the plan for next week. The answers land on their record, and you can reply to the reflection from there.

Huge week. Bring the sign-up page on Thursday.
The whole roster on one screen, with who needs you first
The clients overview rolls all of that up for the last 7, 14, 30 or 90 days. Task completion, check-in rate, average mood and the goals nearest the finish sit at the top. Each client is marked thriving, active, quiet or at risk from their own activity, and anyone who logged a low or uneasy morning is listed by name.

A sheet works for three clients. Twenty need a tracker.
Plenty of coaches start with a spreadsheet, and they are right to. This is where it holds up, and where it starts costing you the chasing.
A spreadsheet holds up when
- You coach a handful of clients and meet every week
- The method fits three columns: the outcome, two habits and a weekly score
- You fill it in together on the call, so nobody has to remember
Move to a tracker when
- The work has to happen on the days you are not talking
- You want a mood every morning rather than a guess on Friday
- Twenty clients need to fit on one screen
- Hours, notes and payments belong on the same record
Everything in the coaching tracker.
No asterisks and no add-on pricing. This is what you get.
Goals that show the client how far they have come
- Progress from 0 to 100 percent, shown as a ring with the target date and the days left
- Goals set by you, written by the client, or created by a program or journey
- A milestone path, including the checkpoints that programs and journeys add
- Several active goals at once, with one featured on the client home
- Active, paused, completed and archived goals, so history is never lost
- You choose whether milestones, daily momentum and reflections appear on the goal page
A daily routine with streaks that survive the weekend
- Morning mood on a seven-point scale, from low and stuck to energized
- An evening check-in that rates the day and counts tasks done against tasks set
- Habits with five frequency options, a reminder time, a target and a streak
- A daily alignment score built from the activities you choose: check-ins, tasks, habits, an active goal or the group chat
- Task and habit thresholds of at least one, half or all
- Weekends skipped unless you count them, plus streak breaks you schedule for holidays
- Daily or weekly streaks, set once for your whole practice
A weekly reflection that tells you how the week really went
- Every active goal reviewed in one flow, with progress moved and an on-track answer
- What went well, the biggest obstacles and next week’s plan, in the client’s own words
- A focus for next week, shown on their record beside their latest check-in
- Goals marked complete during the reflection when the client gets there
- Your reply saved on the reflection, with a notification to the client
- On track, not sure and off track counted across the roster on your clients overview
The whole roster on one screen, with who needs you first
- Task completion, check-in rate, average mood and goals near finish for the period you choose
- A period picker for the last 7, 14, 30 or 90 days
- Thriving, active, quiet and at-risk counts, with a Needs attention filter
- Days since each client was last active, shown under their name
- A Check in on list for clients whose morning mood was low or uneasy
- Task and check-in trends and a mood trend, charted over time
- Average task completion and completion rate per program
The number they hired you to move, measured to the target
Some coaching has a number at its centre: monthly revenue, sales calls booked, a stress score out of ten. An outcome scorecard holds that number for one client, with a baseline, a target and a date. You or the client log entries over time, and the scorecard reads on track, behind or at target by comparing progress with the time that has passed.
- A label and unit you choose, such as revenue in dollars or stress from 1 to 10
- A baseline, a target and a target date on every scorecard
- Entries logged by you or by the client from My Coaching, each with an optional note
- On track, behind or at target, worked out from progress against time elapsed
- Targets that go down as well as up, so a falling number can be the win
- Archived scorecards keep every entry
Your ICF hours and every record, kept without a spreadsheet
The same tracker counts your own progress. Completed sessions add up to coaching hours and distinct clients against the ICF ACC, PCC and MCC thresholds, and past sessions can be logged by hand. Everything a client tracked can leave with you as a ZIP. If you coach three people with a method that fits a sheet, the free progress tracker generator builds one for your niche.
- Hours and distinct clients counted against ACC, PCC and MCC from completed sessions
- Group time counted once, the way the ICF counts it
- Past sessions logged by hand so earlier work counts
- A client coaching log export with paid and pro bono hours
- A full client export as a ZIP: roster, notes, check-ins, goals, habits, sessions and form responses
- A monthly pulse asking clients how supported they feel, with a private follow-up on a low score
Loved by the coaches who actually use it.
“Coachful brings scheduling, payments, client communication, programs, habit tracking and accountability together. Instead of managing several different apps, everything feels more organized and professional — for the coach and the client.”

Margie Wilson

What it does
- Tracks goals with progress from 0 to 100, a target date and a milestone path.
- Tracks habits with five frequency options, reminders, targets and streaks.
- Records morning mood on a seven-point scale and an evening rating of the day with tasks done.
- Runs a weekly reflection in which the client reviews each goal as on track, not sure or off track.
Good to know
- Outcome scorecards do not send reminders of their own; the cadence is saved as a reference.
- Its custom metric charting is lighter than in tools built only for accountability.
- There is no check-in by SMS reply; clients check in inside Coachful on the app or the web.

“Seriously. I have tried just about every coaching, booking, learning platform out there. I've tried developing my own.”
