Arketa vs Mindbody: An Honest 2026 Comparison for Coaches

Arketa vs Mindbody: An Honest 2026 Comparison for Coaches

Arketa vs Mindbody comes down to the size of what you run. Arketa is the lighter, cheaper entry for a solo instructor or a small studio: its Individual plan was listed at $49 a month billed annually in October 2026, with a 3% Arketa transaction fee on top of Stripe. Mindbody is the heavier system for studios with front desks, staff and several locations: it starts at $79 a month per location, everything above that is quote only, and it sells term contracts. Both are built around class schedules and memberships. If you coach people one to one through multi-week programs, neither was designed for you first, and that is where a third option belongs in this comparison.

We make Coachful, a coaching platform, so we have a stake in the answer. This guide sticks to what Arketa and Mindbody publish on their own pricing pages and what public reviewers report, says plainly where each one wins, and then explains when Coachful beats both and when it does not.

Arketa vs Mindbody: what is the short answer by use case?

Pick Arketa if you are a solo instructor or a small studio that wants published pricing, unlimited group classes and a fast start. Pick Mindbody if you run a multi-location studio that needs front-desk tools and wants exposure in a consumer booking marketplace. Pick neither if your business is 1:1 or small-group coaching delivered over weeks, with habits, check-ins and programs between sessions.

  • Solo yoga, Pilates or fitness instructor teaching classes: Arketa. One login, one location, published entry price, a free trial button, and full data export listed on the Individual plan.
  • Studio with staff, rooms and several locations: Mindbody or Arketa's Studio tiers. Both go to a sales conversation at this size, so get written quotes from each.
  • Studio that wants marketplace discovery: Mindbody. Its consumer app sends new clients your way, at a cost of 20% (capped at $30) of a new client's first purchase.
  • Personal trainer, health coach or online coach selling programs: look at a coaching platform such as Coachful, which puts booking, payments, agreements, programs, habits, check-ins and a branded client app under one login.

The rest of this article backs each of those calls with the numbers and the trade-offs.

How do Arketa and Mindbody compare side by side?

On paper, Arketa is the more transparent and flexible choice for small operators, and Mindbody is the more established platform for larger studios. The table below adds Coachful as the coaching-first reference point.

How we ranked: one login for the whole client journey, delivery between sessions, total stack cost including fees and add-ons, and setup effort (including whether someone builds it for you).

Two things stand out. Arketa publishes far more of its pricing than Mindbody does, and Mindbody's contract terms are the strictest of the three. Neither studio tool lists habits, daily check-ins or goal tracking, which is the core of most coaching programs.

What do Arketa and Mindbody cost?

Arketa's Individual plan is $49 a month billed annually, and Mindbody's Starter plan begins at $79 a month per location. Every tier above those two entry points is quote only on both sides, so the real comparison for a growing studio happens on sales calls.

PlanListed priceWhat the vendor says it includesPayment fees

Add-ons change the picture. As listed in October 2026, Mindbody charges for livestreaming from $49 a month and an on-demand video library at $99 a month, and its branded app has no published price. Arketa lists a branded mobile app, a marketing suite, a branded website, accounting and bookkeeping as add-ons without prices, and puts the branded app and website in its top Studio Suite tier.

What do the fees look like on a real month?

Subscription price is only half of the bill. Here is an illustrative example, not a quote: a solo coach who takes $4,000 in client payments in a month.

Cost line (example month, $4,000 collected)How it is calculatedExample amount
Coachful platform fee0% platform fee; only Stripe or Razorpay processing appliesNone
Arketa Individual transaction fee3% of $4,000$120
Arketa Individual subscription$49 a month, billed annually$49
Mindbody Starter subscriptionFrom $79 a month per location$79 or more
Mindbody per-transaction chargesUnpublished rate plus $0.10 to $0.30 each; at 40 payments that is $4 to $12 before the rateUnknown until quoted

Card processing from Stripe applies on top for Arketa and for Coachful. The point of the example: on Arketa's Individual plan, the 3% fee grows with your revenue, so at higher volumes it can cost more than the subscription itself. Ask any vendor for its full effective rate in writing before you sign. How do booking and scheduling compare?

Both Arketa and Mindbody are strong at class booking, which is their home ground. Arketa's Individual plan lists unlimited group classes, appointments, workshops and events, waitlists, Google Calendar sync and email and SMS reminders. Mindbody is built around class schedules, memberships and the front desk, with livestream classes available as an add-on.

The difference shows up in who is booking. A studio fills recurring classes with many clients, and both tools handle that well. A coach books fewer, longer relationships: a discovery call, then a run of 1:1 sessions inside a paid program, often with intake questions and an agreement before the first call. Studio software can book those sessions, but it treats them as appointments rather than as steps inside a program.

Coachful's scheduling is built for that second pattern. Booking pages carry availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get built-in video or auto-created Zoom, Meet or Teams links, email reminders, plus SMS 24 hours before and WhatsApp 1 hour before once messaging is enabled. You can sell paid sessions and session credits, ask intake questions at booking, and assign multi-coach session types by round robin or least busy. More on that on our scheduling software page.

Here is a short walkthrough of how scheduling works inside Coachful:

Which handles programs and between-session work better?

Arketa has the edge over Mindbody for program-style content, because programs and an unlimited video library are listed on its entry plan, while Mindbody sells on-demand video as a $99 monthly add-on. Neither documents habits, daily tasks, morning and evening check-ins or goal progress, which are the tools most coaches use to keep clients moving between sessions.

That gap matters more than it sounds. In a studio, the class is the product and the client comes back next week. In coaching, the work happens between calls: the client logs a workout, answers a check-in, ticks off a habit, and the coach sees who is slipping before the next session. If your software stops at the booking, you end up adding a habit app, a form tool and a messaging app, and your client juggles four logins.

Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, lessons, drip and completion tracking sit alongside downloads, videos, books, events and bundles, all delivered into the client's branded home and app. Enrolling in a group program creates a cohort group automatically, with a community feed, group chat and video events.

Here is how programs are built and delivered in Coachful:

For fitness and nutrition coaches, the Fitness & Nutrition pack adds a workout builder with an illustrated exercise library (supersets, circuits, AMRAP, EMOM, intervals, tempo), client workout logging with set history and PRs, nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, weekly check-ins and private form-check video with timestamped coach comments. Coaches attach their own demo videos; there are no stock exercise videos, and there is no Garmin, Fitbit, Whoop or Oura sync.

A note on scope for health and fitness coaches: coaching is not medical treatment. If a client reports chest pain, fainting or dizziness during exercise, a recent injury or surgery, pregnancy complications, or signs of an eating disorder, refer them to a doctor or licensed clinician and get clearance before you program for them. None of the three tools here should be your clinical record system; Coachful is not HIPAA-certified and does not sign a BAA.

How do payments, fees and contracts compare?

Arketa is cheaper to start and easier to leave, while Mindbody locks you in longer and publishes less about its processing rate. That is the clearest practical difference between the two.

  • Arketa: payments run through Stripe. On the Individual plan, Arketa adds a 3% transaction fee on top of Stripe's US rate of 2.9% + $0.30. Studio plan fees are "Let's talk". Individual is shown billed annually, and the monthly-billed price is not shown.
  • Mindbody: payments run through Mindbody's own processing at an unpublished rate plus $0.10 to $0.30 per transaction. Contracts run 12, 24 or 36 months, or month-to-month with a 90-day minimum, and they auto-renew unless you give 30 days' notice. There is no free trial, only a demo.

Mindbody's marketplace adds another cost line: when a new client finds you through the Mindbody consumer app, Mindbody takes 20% of that client's first purchase, capped at $30. For a studio that fills classes from the marketplace, that can be worth it. For a coach whose clients come from referrals and their own content, it is a fee on clients you may have found anyway.

On Coachful, payments go through your own Stripe Connect or Razorpay account with a 0% platform fee (since August 2026), so you pay only processing. You can sell one-time payments, subscriptions, payment plans, order bumps and coupons, issue refunds, accept Apple Pay and Google Pay, and use Stripe Tax. Every transaction gets an invoice, and you can send manual invoices too. Coachful does not support PayPal. See the coaching payment software page for detail.

Agreements are another split. Arketa lists intake forms and waivers on its Individual plan, which suits liability waivers for classes. Coaching agreements are a different document: scope, cancellation policy, confidentiality and what coaching is not. Coachful sends coaching agreements with e-signature before the first call and stores them on the client record.

What about marketing, websites and apps?

On both studio platforms, the marketing and branding layer costs extra. Arketa keeps email and text campaigns, automated workflows, a lead pipeline and an AI email builder for Studio Growth, and the branded app and website for Studio Suite or as add-ons, all without published prices. Mindbody lists a branded app with no published price, and its pricing beyond the entry plan is quote only.

For a coach, this is often where the stack quietly grows: a website builder here, an email tool there, a funnel tool on top. Coachful includes them in the membership:

  • A section-based website builder with blog, custom domain, SEO settings, 30 designed homepage templates and an Import website option.
  • Booking, application, lead-magnet and checkout funnels with pixels and UTM tracking, plus a link-in-bio page that sells.
  • Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits.
  • A social planner that schedules and publishes posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar.
  • Instagram automations: someone comments a keyword on your post and gets your booking link, lead magnet or checkout in a DM, then lands in the same lead and client records.

The honest limit: Coachful is not a general website builder for non-coaching sites, has no third-party plugins, and is not a course marketplace. If you need a big consumer marketplace sending you strangers, Mindbody offers that and Coachful does not.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What is the client experience like on each?

On Mindbody and Arketa, the client experience is a booking experience: find a class, buy a pack or membership, book, show up. Mindbody clients can book through the Mindbody consumer app alongside other studios, and a branded app is available at an unpublished price. Arketa clients get a branded iOS and Android app on Studio Suite or through the branded app add-on.

That works well for drop-in fitness and wellness. It works less well when the client is in a 12-week program and needs to know what to do on Tuesday. A coaching client wants their next session, this week's tasks, their habits, their check-in, their course lessons and a way to message you, in one place.

In Coachful, the client gets your branding inside the Coachful app (it ships under the Coachful listing, not your own App Store account), with tabs for programs, sessions, progress and documents. Pre-session tasks show up next to the next booking, and the coach can turn on an AI Coach, an AI version of the coach that selected clients can chat with between sessions.

On the coach's side, each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk, and an AI briefing per client before each session. That status view is the closest thing to a front desk for a coaching practice: it tells you who needs a message today.

Public reviews are worth a look, with caveats. As seen in October 2026, Mindbody held 4.4 on Trustpilot from 2,361 reviews, Arketa held 2.6 from just 7 reviews, which is too small a base to read much into, and Coachful held 4.5 from 21 reviews. Read the recent reviews for the problems that would hurt your business specifically, such as support response times, billing disputes or migration.

Which should you pick for your kind of coaching?

Match the tool to how you deliver, not to how you are labeled. A personal trainer who runs bootcamps is closer to a studio; a personal trainer who coaches clients online over months is closer to a coach.

Is there a third option? Coachful, honestly

Yes. If you coach people rather than run a class timetable, Coachful is built for your shape of business, and it is our recommendation for most coaches weighing Arketa vs Mindbody. Here is when it beats both, and when it does not.

A tablet showing Coachful's habit tracker and a phone showing the client's coaching hub on a kitchen counter
Coachful's client habit tracker on a tablet and the client coaching hub on a phone, beside a resistance band and a glass of water.

What Coachful is. A coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. The company is based in Tallinn, Estonia.

Who it is for. Coaches who deliver programs, not just sessions; solo coaches growing into a small team (Studio and Agency plans add coach seats with per-coach availability and staff permissions); and coaches replacing four to six separate tools. There are dedicated pages for fitness coaches and health coaches, and a broader overview of our coaching software.

When Coachful beats both.

  • Your clients need structure between sessions: weekly goals, daily tasks, habits, check-ins and streaks.
  • You want a website, funnels, email and the client app included in your Coachful membership rather than as quote-only add-ons.
  • You want to keep more of each payment: 0% platform fee, only Stripe or Razorpay processing.
  • You want monthly plans you can cancel in one click instead of a 12 to 36 month term.
  • You want help with the work: Michelle, the built-in AI assistant, works from your live practice data to build programs, draft emails, summarize recorded sessions and brief you before calls. Questions and planning are included; confirmed builds and changes use AI credits.
  • You are working toward an ICF credential: ICF hour tracking counts your coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log.

When Coachful does not beat them.

  • You run a class timetable with rooms, a front desk, point of sale and payroll: Arketa's Studio tiers or Mindbody fit that better.
  • You want marketplace discovery from a consumer booking app: Mindbody offers that; Coachful does not.
  • You need your app under your own App Store account: Coachful's client app ships under the Coachful listing with your branding.
  • You need wearable sync, stock exercise videos, PayPal, HIPAA compliance, insurance billing, a Salesforce or HubSpot integration, or routing forms that pick a host from form answers: Coachful does not offer these.
  • You want a permanent free plan: Coachful has a free trial, not a free tier.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you inside your own account. From Create, choose "We'll build it for you", describe what you want (a website, funnel, sales page, program, course outline and written material, email sequence, form, link in bio, lead quiz, event or automation) and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides or copy. The team usually delivers within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Coachful Create page with the We'll build it for you card
The Create page in Coachful with the "We'll build it for you" card for the free white-glove build service.

Two recent anonymized examples show the range. A menopause and midlife health coach starting from nothing got a five-page site in sage and cream, with every button leading to a free 20-minute consultation. A real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel.

How to start. Start a free trial, then request a white-glove build of your website or first program. Clients, programs and content are imported for you during onboarding, and you can export all client data as a ZIP at any time (roster, notes, check-ins, goals, habits, sessions and form responses). Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. If you plan to coach 15 clients, the plan that covers that is Solo: $49/month for up to 20 clients.

What should you check before you sign with either?

Get the exit terms and the total effective fee rate in writing. Both vendors leave key parts of them off their pricing pages.

  1. Contract length and renewal. With Mindbody, confirm whether you are on a 12, 24 or 36 month term or month-to-month with the 90-day minimum, and put the 30-day cancellation notice date in your calendar. With Arketa, confirm whether the Individual price you see requires annual billing.
  2. Effective payment rate. Ask Mindbody for its processing rate in writing, since it is not published. For Arketa, add the 3% fee to Stripe's rate to get your real cost per payment.
  3. Add-on costs. Price the branded app, website and marketing tools you will actually need. On both studio tools, these are add-ons or higher tiers.
  4. Data export. Arketa lists full data export on Individual. For Mindbody, ask how you would export client and payment history and whether a fee applies.
  5. Who your clients are. If most of your revenue comes from programs rather than class drop-ins, test a coaching platform during the same week you take the studio demos.

If you are comparing more than two tools, our comparison hub lines up the common options, and the group coaching software page covers cohorts and community in more depth.

Can you switch later without losing clients?

Yes, but switching is easier from a tool with clean exports and short terms. Arketa lists full data export on its Individual plan. Mindbody's export process and any fee are not published on its pricing page, so ask before you sign. Leaving a term contract early may also carry costs, so time the move to your renewal date.

Moving into Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your website or sales pages from your reference links and files. Payments run through your own Stripe Connect or Razorpay account, so the processor relationship is yours.

Frequently asked questions

Is Arketa cheaper than Mindbody?

At the entry level, yes. As listed in October 2026, Arketa Individual is $49 a month billed annually and Mindbody Starter starts at $79 a month per location. Arketa adds a 3% transaction fee on Individual, so at high payment volumes the gap narrows; above the entry tiers, both are quote only.

Does Mindbody have a free trial?

No. Mindbody offers a demo rather than a free trial. Arketa shows a "Start Free Trial" button on its Individual plan, though it does not state the trial length or whether a card is required.

Does Mindbody require a contract?

Yes. Mindbody contracts run 12, 24 or 36 months, or month-to-month with a 90-day minimum, and they auto-renew unless you give 30 days' notice. Read the order form carefully before signing.

What is Arketa's transaction fee?

On the Individual plan, Arketa charges a 3% transaction fee on top of Stripe processing, which is 2.9% + $0.30 in the US. Fees on the Studio plans are set in a sales conversation.

Is Arketa or Mindbody better for personal trainers?

For a trainer teaching group classes, Arketa is the simpler, cheaper start. For a trainer coaching clients online through multi-week programs, a coaching platform with workout logging, nutrition targets and weekly check-ins, such as Coachful with the Fitness & Nutrition pack, fits better than either.

Can I use Arketa or Mindbody for 1:1 coaching?

You can book 1:1 appointments in both. What they do not document is the coaching layer between sessions: habits, daily tasks, check-ins and goal tracking. Coaches who need that usually add other tools or choose a coaching platform.

What is Coachful's free white-glove service?

It is a done-for-you build included on every Coachful plan. You describe what you want (a website, funnel, program, course outline, email sequence and more), attach up to 8 links and 10 files, and the team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Health and fitness coaches who also work clinically should keep clinical records in a clinical system.

Does Coachful replace Mindbody for a studio?

Not for a class-based studio with rooms, a front desk, point of sale and payroll. Coachful is built for coaches who deliver programs, from solo practices to small teams with coach seats. A studio that also sells coaching programs may keep its studio tool for classes and use Coachful for the program side.
