Circle vs Practice Better: Which Fits Your Coaching in 2026?

Circle vs Practice Better: Which Fits Your Coaching in 2026?

Circle vs Practice Better comes down to what you are running. Circle is a community platform: spaces, courses, live events and paid memberships, with no 1:1 booking or client back office. Practice Better is practice management for wellness and nutrition practitioners: scheduling, telehealth video, charting, billing, programs and a client portal, with no community feed or website builder. If your business is a paid group, Circle fits. If your business is 1:1 clients with notes and protocols, Practice Better fits. If it is both, neither covers the whole job alone.

We make Coachful, a coaching platform that puts booking, payments, programs with habits and check-ins, courses, community and a website under one login, so we cover it at the end as a third option and say plainly when it beats both and when it does not. Everything about Circle and Practice Better below comes from their own pricing pages as listed in October 2026 and from public reviews, not from hands-on testing.

What is the short answer by use case?

Pick by the shape of your offer, not by the feature list. Each tool is strong where it was built to be strong and thin everywhere else.

  • You sell a paid community or membership with courses and live events: Circle. That is its core product, and it has member directories, gamification and apps for iOS, Android and desktop on every plan.
  • You run a nutrition, dietetics or functional health practice with charting: Practice Better. It has note templates, forms, an AI Charting Assistant add-on and, for prescribers, ePrescribe.
  • You coach 1:1 and also run group programs with a community: neither alone. Circle has no 1:1 scheduling or client records; Practice Better has no community space or sales pages. This is where Coachful fits.
  • You want clients doing daily habits and check-ins between sessions: Circle does not do per-client habits or check-ins. Practice Better delivers programs and forms. Coachful builds daily check-ins, habits, goals and streaks into the program itself.
  • You keep clinical records or bill insurance: use a clinical system. Practice Better positions itself closer to that world (see our Practice Better EHR explainer), and Coachful is not HIPAA-certified.

How do Circle and Practice Better compare side by side?

Circle and Practice Better barely overlap: one is built around members talking to each other, the other around a practitioner managing individual clients. We rank on the criteria that decide a coach's week: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including a free white-glove build).

Practice Better's Trustpilot score was 3.8 from 87 reviews and Circle's was 4.1 from 129 reviews when we checked on October 25, 2026. Coachful's Trustpilot score is 4.5 from 21 reviews. Small review counts swing easily, so treat all three as a rough signal.

How does pricing compare between Circle and Practice Better?

Practice Better is cheaper at small client counts and charges by client cap; Circle starts at $89 a month on annual billing and also takes a percentage of every payment. The two pricing models punish different things: Practice Better charges more as your client list grows past a tier, Circle charges more as your revenue grows.

Practice Better plans (as listed in October 2026)

  • Sprout: free, 3 clients, 1 practitioner, 100 MB. Aimed at students and new practitioners.
  • Starter: $35/mo, or $25/mo billed annually. 10 clients, 1 GB. Scheduling, telehealth video, billing and payments, secure messaging, client portal, forms and note templates, 20+ integrations.
  • Professional: $69/mo, or $59/mo annually. 300 clients, 5 GB. Adds group scheduling and messaging, fixed-date programs, PDF branding, deposits and payment plans, Zapier. The page is inconsistent here: the card says "Save $84/year", which implies about $62/mo annually, while the table says $59.
  • Plus: $99/mo, or $89/mo annually. Unlimited clients, 3 admins, unlimited storage. Adds evergreen (self-paced) programs, portal branding, a personalized URL, 750 SMS a month, 10,000 broadcasts a month, a fax number and program templates.
  • Team: $155/mo, or $145/mo annually. 2 practitioners (up to 200 at $50 each), unlimited admins, roles and permissions, team scheduling and chat, advanced workflows, 2,000 SMS a month.

Add-ons include the AI Charting Assistant at $10, $20 or $40 per practitioner per month, the Connector Hub at $49/mo, ePrescribe at $49/mo plus $99 onboarding per prescriber, extra SMS at 5¢ each and extra admins at $10/mo. There is a 14-day trial on paid plans and 30 days on Team. Practice Better does not state a platform fee on payments; its payments run on Stripe, with rates not listed on the pricing page.

Circle plans (as listed in October 2026)

  • Professional: $89/mo billed annually. 3 admins, 10 moderators, 2,500 AI credits a month. Community, courses, live events, website, member directory, analytics, payments, gamification, custom domain and Circle-branded apps.
  • Business: $199/mo billed annually. 5 admins, 15 moderators. Adds Workflows (20 automations, 20 scheduled and 20 bulk actions a month), custom profile fields, APIs and MCP, activity scores, branded email notifications, Circle branding removal and white-labeling.
  • Scale: $419/mo billed annually. 10 admins, 100 moderators, 5,000 AI credits. Adds AI agents, unlimited workflows, webhooks, custom SSO and priority support.
  • Circle Plus: custom price. Branded iOS and Android apps, branded push notifications, Email Hub with 10,000 contacts and a dedicated success manager.

Circle's page shows annual-billing prices only. An older profile listed Professional at $129 and Business at $219 billed monthly. On top of the plan, Circle takes 2% of payments on Professional, 1% on Business and Scale and 0.5% on Circle Plus, plus Stripe processing. Common add-ons: Email Hub at $99/mo for 10,000 contacts, AI credits at $10 per 1,000, extra admins at $10/mo, extra live hours at $50/mo per 10 hours, and branded email notifications at $40/mo on Professional. The trial is 14 days with no card required.

What does each cost for a real practice?

The table below prices three example practices. The client numbers and the revenue figure are illustrative, not data from any vendor.

Here is how Circle's percentage adds up. Say, as an example, a coach sells $5,000 a month through Circle on Professional: the 2% fee is $100 a month, or $1,200 a year, before Stripe processing. At that volume the fee costs more than the plan itself. Moving to Business cuts the fee to 1% but raises the plan to $199 a month. For more detail on the per-client side, see our Practice Better review.

How do they compare on scheduling and 1:1 sessions?

Practice Better has scheduling and telehealth video on every paid plan; Circle has no 1:1 scheduling at all. If your income comes from booked sessions, that ends the comparison for Circle unless you add a separate booking tool and link it from your community.

Practice Better's Starter plan already includes scheduling, telehealth video and billing, and Professional adds group scheduling. Below the Team plan, each account has one practitioner, so a second coach means moving to Team at $155/mo. Circle schedules live events and streams for members, which works for group calls, but it does not handle 1:1 booking pages, availability rules or session packages.

Coachful covers this with booking pages that have availability rules, buffers, minimum notice and time-zone detection; two-way sync with Google, Apple/iCloud and Outlook calendars; built-in video or auto-created Zoom, Meet and Teams links; and email reminders, plus SMS and WhatsApp reminders once messaging is turned on. Paid sessions, session credits and intake questions sit on the booking itself. See the scheduling software overview for the full list.

Which handles programs, habits and between-session work better?

Practice Better is the stronger of the two for structured programs, and Circle is stronger for self-paced courses, but neither tracks a client's daily habits and check-ins the way a coaching program needs. That gap matters, because most coaching results come from what clients do between sessions.

Practice Better offers fixed-date programs from Professional and evergreen, self-paced programs plus program templates from Plus. Programs sit alongside forms, notes and secure messaging in the client portal. Our Practice Better client portal guide walks through what clients see.

Circle's courses sit inside the community, next to spaces and live events. Circle does not offer per-client habits, check-ins or individual coaching plans: every member sees the same course.

Coachful builds multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses (modules, lessons, drip, completion tracking) live alongside programs, and the client sees both in their branded home and app.

Which is better for community and group coaching?

Circle is clearly better for community. It is the product: spaces, a member directory, gamification, live streams and events, with moderators and admins on every plan. Practice Better offers group scheduling and group messaging from Professional, which supports a cohort but is not a community platform.

The catch with Circle is what sits next to the community. It has no client records, so a coach running a paid group alongside 1:1 clients keeps those clients somewhere else and tracks them separately. Branded mobile apps under your own name are only on custom-priced Circle Plus, and lower plans ship Circle-branded apps.

Coachful's community covers a feed, group chat, direct messages and video events, and cohort groups are created automatically when someone enrolls in a program. Group calls and webinars run from the same calendar as 1:1 sessions. It is not as deep as Circle on member gamification or large-scale moderation, so a 5,000-member open community is still Circle's territory. For group-first coaches, see the group coaching software page and our Coachful vs Circle comparison.

How do payments, contracts and invoices compare?

Both take payments through Stripe-based systems, but Circle adds a platform fee of 0.5 to 2% and Practice Better does not state one. Practice Better adds deposits and payment plans from Professional; Circle handles paid memberships and course sales.

Neither vendor's plan list in October 2026 names e-signed coaching agreements, so check before you rely on either for contracts. Practice Better's forms and note templates on every paid plan suit intake paperwork in a health practice.

Coachful runs payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction plus manual invoices. Coachful has charged a 0% platform fee since August 2026. Coaching agreements with e-signature go out before the first call and are stored on the client record (see coaching contracts). There is no PayPal option.

What about websites, email and marketing?

Circle includes a website with a custom domain and sells email as the Email Hub add-on; Practice Better has no website builder or funnel pages according to an older profile, though Plus adds a personalized URL, SMS and broadcasts. Neither is built to take a stranger from an Instagram post to a booked discovery call.

Practice Better's 10,000 broadcasts a month on Plus suit announcements to existing clients. Circle's Email Hub costs $99/mo for 10,000 contacts (the first 30 days are free, and it is included in Circle Plus), and Workflows for automation start on Business.

Coachful's section-based website builder has a blog, custom domain, SEO settings and 30 designed homepage templates, plus an Import website option. Booking, application, lead-magnet and checkout funnels carry pixels and UTM tracking. Email lists, broadcasts and multi-step sequences support triggers, delays, branching and A/B splits. Instagram automations can send a booking link or lead magnet by DM when someone comments a keyword. More on the coach website builder page.

What does the client experience look like on each?

On Circle, a client is a member of a community; on Practice Better, a client is a patient-style record with a portal. That difference shapes everything the client sees.

A Practice Better client has a clear place for appointments and paperwork but no community to join. A Circle client has a lively community but nowhere to book a 1:1 or log a daily habit. When a coach stitches the two together, the client ends up with two logins and two sets of notifications, and the coach loses the picture of who is engaged. Our Practice Better app article covers its mobile side in detail.

How do data export and switching compare?

Both let you leave with your contact list, but neither exports everything in one go. Circle lets you export members and subscriptions as CSV files any time; posts and content have no bulk export (older profile). Practice Better emails a per-client archive of notes, invoices and forms that is kept for 48 hours, exports the contact list as a spreadsheet, and handles bulk export on request (older profile).

Coachful exports full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses) plus courses, and imports your clients, programs and content for you during onboarding. If you are moving off Practice Better, our switching checklist lists what to pull before you cancel.

Which should you pick for your type of coaching?

Match the tool to where your revenue and your clients' effort actually happen.

  • Pick Circle if your main product is a paid community or membership of dozens to thousands of people, you sell courses inside it, and 1:1 work is rare or handled elsewhere. Circle's moderation, member directory and gamification are deeper than an all-in-one coaching tool's.
  • Pick Practice Better if you are a dietitian, nutritionist or functional health practitioner who needs charting, note templates, telehealth and possibly ePrescribe, and you want a practice-management system first. Health coaches who mostly do 1:1 protocols also fit here.
  • Pick Coachful if you coach 1:1 and in groups, deliver programs with habits and check-ins, and want booking, payments, contracts, community, website and email under one login instead of two or three subscriptions. This often describes life, business, health, mindset and fitness coaching.
  • Use a clinical system if you diagnose, treat or bill insurance. Coaching is not medical treatment; if a client describes symptoms, medication questions or signs of an eating disorder, refer them to a licensed clinician.

The third option: when does Coachful beat both?

Coachful beats both when a coach needs 1:1 sessions and a group or community in the same place, with clients doing daily work between calls. It does not beat Circle for a large, community-only business, and it does not replace Practice Better's clinical charting.

What Coachful is: a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant called Michelle. The coach has one login; the client has one branded app. It is built for coaches who deliver programs rather than single sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. The company is based in Tallinn, Estonia.

Here is a short walkthrough of how programs are built and delivered:

Where Coachful beats Circle

  • 1:1 booking, session credits, intake questions and calendar sync are built in; Circle has none of these.
  • Each client has a record with goals, check-ins, habits, notes, intake answers, payments and sessions, and a status of thriving, active, quiet or at risk.
  • 0% platform fee on payments, against Circle's 0.5 to 2%.
  • E-signed coaching agreements and email sequences are included in your Coachful membership; no Email Hub add-on.

Where Coachful beats Practice Better

  • A community feed, group chat and automatic cohort groups, which Practice Better does not offer.
  • A website builder with 30 homepage templates, funnels and email sequences, so you do not need a separate site and email tool.
  • Daily habits, morning and evening check-ins and streaks inside programs.
  • ICF credential tracking that counts coaching hours against ACC, PCC and MCC thresholds and exports a client coaching log (see ICF hour tracking).

When Coachful is the wrong choice

  • You need HIPAA compliance with a BAA, clinical charting, ePrescribe or insurance billing. Coachful is not HIPAA-certified; keep clinical records in a clinical system such as Practice Better.
  • You run a very large open community where moderation depth and member gamification matter most. Circle is built for that.
  • You need PayPal, a permanent free plan, or your own App Store listing. Coachful's client app carries your branding inside the Coachful app.
  • You need Garmin, Fitbit, Whoop or Oura sync, or a stock exercise video library.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you. Describe the website, funnel, sales page, program, course outline, email sequence or form you want, attach up to 8 reference links and up to 10 files, and the team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. A somatic coach leaving another platform, for example, had the homepage and About page rebuilt and the contact form connected. It does not include recording videos, logo design or ads. How to start: begin a free trial, request a white-glove build of your site or first program, and let the team import your clients, programs and content during onboarding. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click. Frequently asked questions

Is Circle or Practice Better better for coaches?

It depends on the offer. Circle suits coaches whose main product is a paid community or membership with courses. Practice Better suits wellness and nutrition practitioners who need scheduling, telehealth and charting for 1:1 clients. Coaches who need both usually end up running two tools.

Does Circle have 1:1 scheduling?

No. Circle schedules live events and streams for members but has no 1:1 booking pages, availability rules or client management back office. Coaches using Circle add a separate booking tool.

Does Practice Better have a community feature?

Practice Better offers group scheduling and group messaging from the Professional plan, which supports a cohort. It does not offer a community feed, member directory or spaces like Circle does.

Which is cheaper, Circle or Practice Better?

Practice Better is cheaper at small client counts: a free Sprout plan for 3 clients and Starter at $35/mo for 10 clients, as listed in October 2026. Circle starts at $89/mo billed annually and adds a 2% fee on payments on Professional.

Does Circle take a cut of my sales?

Yes. Circle's pricing page lists a fee of 2% on Professional, 1% on Business and Scale and 0.5% on Circle Plus, on top of Stripe processing. Practice Better does not state a platform fee.

Is Practice Better HIPAA compliant?

Practice Better positions itself as practice management for health practitioners, with charting and ePrescribe add-ons; check its current compliance documents and BAA terms directly before storing health records. Coachful is not HIPAA-certified, so clinical records should stay in a clinical system.

Can I use Circle and Practice Better together?

Yes, some practitioners run Practice Better for 1:1 clients and Circle for a paid group. The cost is two subscriptions, Circle's payment fee, and clients juggling two logins. A single platform that covers both avoids that split.

What is Coachful's free white-glove service?

On every Coachful plan, the team will build a website, funnel, program, course outline, email sequence or form inside your account from your brief, references and files, usually within about 24 hours. It invents nothing, such as testimonials or prices, and it does not cover video recording, logo design or ads.

Does Coachful replace both Circle and Practice Better?

For most coaches, yes: it covers 1:1 booking, programs with habits and check-ins, payments, contracts, community, website and email under one login. It does not replace Practice Better's clinical charting or ePrescribe, or Circle's depth for very large communities.

How do I move my clients off Practice Better or Circle?

Export your contact list from Practice Better and your members and subscriptions CSVs from Circle, then save any content you want to keep. On Coachful, the team imports your clients, programs and content for you during onboarding.
