Healthie vs Paperbell (2026): Pricing, Features, Best Fit

Healthie vs Paperbell (2026): Pricing, Features, Best Fit

In the healthie vs paperbell decision, the split is clean: Healthie is a HIPAA-ready practice platform built for dietitians and nutrition and wellness providers, with charting, telehealth and insurance add-ons, while Paperbell is a single-price admin tool for solo coaches that handles booking, packages, payments, contracts and a simple website. If you chart like a clinician or bill insurance, Healthie fits. If you sell coaching packages and want the paperwork handled, Paperbell fits. If you deliver programs and want clients doing the work between sessions, neither is the strongest choice, and that is where a third option comes in.

This guide compares both on price, features and the client experience, using what each vendor lists on its own pricing page in October 2026 and what public reviewers report. We make Coachful, so we also show where Coachful beats both and, just as plainly, where it does not. We have not run hands-on tests of Healthie or Paperbell; every vendor claim below comes from the vendor's own pages or public review sites.

What is the short answer by use case?

Pick by the work you actually do with clients. The software that fits a registered dietitian writing chart notes is not the software that fits a life coach selling a six-session package.

  • You are a licensed provider who charts, bills insurance or needs a BAA: Healthie. Its pricing page lists HIPAA and PCI compliance on every plan, an electronic health record, smart-fill charting, superbills and CMS 1500 forms, with ClaimMD claims and DoseSpot e-prescribing as add-ons.
  • You are a solo coach selling packages and want one flat price: Paperbell. One plan at $97 a month (or $970 a year) covers scheduling, packages, payments, contracts, a client portal and a coaching website, with unlimited clients.
  • You run multi-week programs with habits, check-ins, courses and a community, and want one login for the whole client journey: Coachful. It is the option we recommend for most coaches who are not doing clinical work, for reasons covered in detail below.
  • You are a health coach (not a clinician) who wants habit and nutrition tracking without clinical overhead: Coachful with the Fitness & Nutrition pack, or Healthie if you specifically need HIPAA coverage.

A note on scope for health and wellness coaches: coaching is not medical treatment. If a client describes symptoms, disordered eating, medication questions or a condition that needs diagnosis, refer them to a doctor, registered dietitian or licensed therapist. Your software choice should follow that line too, which we come back to in the HIPAA section.

How do Healthie, Paperbell and Coachful compare side by side?

Ranked on four criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build).

Healthie homepage describing its practice platform for health and wellness providers
Healthie's homepage in October 2026.

Healthie describes itself as an all-in-one patient platform, back-office EHR and telehealth system. Its language is clinical throughout: patients, charts, care plans, superbills. That is a strength for a credentialed provider and noise for a coach.

Paperbell homepage pitching all-in-one admin for coaches
Paperbell's homepage in October 2026.

Paperbell speaks directly to coaches. Its pitch is that it replaces the admin pile: a client books, pays, signs and lands in a portal without the coach stitching tools together. It does not try to be clinical, and it does not try to be a course or community platform either.

How does Healthie pricing compare with Paperbell pricing?

Healthie is cheaper at low client counts and charges more as you grow or add clinical features; Paperbell costs the same at every size. As listed in October 2026, Healthie runs from $19.99 to $149.99 a month across four public tiers plus Enterprise, and Paperbell has one plan at $97 a month.

Healthie pricing page with Core, Essentials, Plus and Group plan cards
Healthie's pricing page in October 2026.

Two caveats on Healthie's page. First, the plan cards and the comparison table disagree about which tier includes online programs and the ClaimMD integration, so confirm with Healthie before you buy a tier for one of those features. Second, the add-ons are real costs for clinical users: ClaimMD insurance claims are listed from $30 a month (or $25 a month plus a $50 to $100 setup fee), DoseSpot e-prescribing at $40 per clinician per month, an inbound eFax line at $10 a month, and AI charting with no published price. Card payments run through Stripe at 2.9% plus $0.30 per transaction. Coaches rarely need the clinical add-ons, which is part of why the base price can look low.

Paperbell pricing page showing its single plan with monthly and annual billing
Paperbell's pricing page in October 2026.

Paperbell's page is simpler. One price, unlimited clients, sessions, files and packages, and the annual option is shown as $970 against $1,164 with "2 Mo Free!". Paperbell states there are no additional transaction fees from Paperbell and no upsells or hidden add-ons; Stripe or PayPal processing fees still apply. There is a "Try For Free" button, and Paperbell's help center (July 2026) describes a 7-day trial with the public site offline and client messages and SMS turned off, plus a 30-day money-back guarantee.

What does each cost at your client count?

Here is an illustrative comparison at three practice sizes, using list monthly prices from October 2026 and no add-ons.

PlatformExample: 8 clientsExample: 40 clientsExample: 300 clients
CoachfulSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clientsPro: $99/month with unlimited clients
Healthie$19.99 (Core)$49.99 (Essentials)$129.99 (Plus)
Paperbell$97$97$97

The software line is only part of the bill. Neither Healthie nor Paperbell lists courses with drip, a community feed or email sequences with branching, so coaches who sell those usually add a course platform, a community tool and an email service on top. Count the whole stack, not just the headline plan. For a full Paperbell cost breakdown and what switching involves, see how to migrate from Paperbell.

Which one handles HIPAA and health data properly?

Healthie does, and that is its clearest advantage. Its pricing page lists HIPAA and PCI compliance on every tier, and the business associate agreement takes effect automatically when you create the account. Paperbell does not list HIPAA compliance on its pricing page, and Coachful is not HIPAA-certified and does not sign a BAA.

Whether you need HIPAA coverage depends on whether you are a covered entity or a business associate of one. The U.S. Department of Health and Human Services explains who counts as a covered entity; a health care provider who transmits health information electronically in connection with standard transactions such as insurance claims is one. Many health and wellness coaches who are paid directly by clients and do not diagnose or treat fall outside it, but rules and your contracts vary, so check with an attorney if you are unsure.

The practical rule: clinical records, diagnoses and insurance billing belong in a clinical system like Healthie. Coaching notes, goals, habits and accountability belong in a coaching platform. If you are a dietitian who also coaches, some practitioners run both. Our Healthie vs SimplePractice and Practice Better vs Healthie comparisons cover the clinical side in more depth.

How do booking and scheduling compare?

All three handle online booking; the difference is how much control and automation you get around it. Healthie lists calendar and online scheduling with email and SMS reminders on every plan, and HIPAA-compliant Zoom at no extra cost. Paperbell includes scheduling with video call integration in its single plan, tied to packages so a client books from what they bought.

Coachful's booking pages support availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get built-in video or an auto-created Zoom, Meet or Teams link. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. You can take paid sessions or session credits, ask intake questions on booking, and assign multi-coach session types round-robin or to the least-busy coach.

For a solo coach with straightforward 1:1 sessions, Paperbell's package-linked booking is enough. For a practice where reminders, credits and multiple coaches matter, Coachful is the stronger fit; read more on our scheduling software page.

How do payments, packages and contracts compare?

Paperbell is built around this exact flow: buy a package, sign the contract, book. Healthie handles payment processing and invoicing through Stripe and lists electronic forms and waivers, but it frames them for a practice rather than for coaching packages. Coachful covers the same ground plus subscriptions, payment plans and checkout extras.

  • Healthie: payment processing and invoicing through Stripe at 2.9% plus $0.30, direct transfers to your bank account, electronic forms and waivers, superbills and CMS 1500s for insurance.
  • Paperbell: packages and payments with Stripe or PayPal, contracts, and no Paperbell transaction fee.
  • Coachful: payments through your own Stripe Connect or Razorpay account, with one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Every transaction gets an invoice and you can issue manual invoices. Coachful takes a 0% platform fee (since August 2026); only Stripe or Razorpay processing applies. Coaching agreements with e-signature go out before the first call and are stored on the client record.

One honest gap: Coachful does not support PayPal. If your clients insist on PayPal, Paperbell has it and Coachful does not. For contract workflows specifically, see coaching contracts in Coachful.

Which is better for programs, habits and between-session work?

This is where the three diverge most. Healthie lists goals and metrics tracking, food and lifestyle journaling and care plans on its plans, with automated online programs (fixed-start and rolling) as a premium feature. Paperbell, per our older profile of it, has no goal or habit tracking, and its value is in admin rather than delivery. Coachful is built around delivery.

In Coachful, a program runs over multiple weeks with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Clients see it all in one branded home and app, and the coach sees who is thriving, active, quiet or at risk on each client record.

Here is a short walkthrough of how programs are built and delivered in Coachful:

For nutrition-focused coaches, Healthie's food and lifestyle journaling is a genuine draw. Coachful's Fitness & Nutrition pack covers similar ground for coaching use: nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, weekly check-ins, a workout builder with an illustrated exercise library, and client workout logging with set history and PRs. Coaches attach their own demo videos; Coachful has no stock exercise videos, and it does not sync with Garmin, Fitbit, Whoop or Oura.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

What about courses, groups and community?

Coachful includes all three; Healthie and Paperbell cover parts. Healthie lists group and blast messaging and group telehealth and webinars on higher tiers. Paperbell's pricing page now lists group coaching, online classes and digital downloads among its included features, though it does not list a community feed or a full course builder with drip.

Coachful's course builder supports modules, lessons, drip and completion tracking, alongside downloads, videos, books, AI tools, events and bundles. Its community has a feed, group chat, direct messages and video events, and enrolling in a program automatically creates a cohort group.

If group work is central to your offer, our breakdown of Paperbell group coaching shows where it stops, and the group coaching software page shows how Coachful handles cohorts.

Which gives you a website and marketing tools?

Paperbell includes a simple coaching website; Healthie's pricing page does not list a website builder or funnels; Coachful includes a full website builder, funnels and email. That matters if you want to stop paying for a separate site.

  • Paperbell: a coaching website with your services and booking, enough for many solo coaches. See what the Paperbell website does and where it stops.
  • Healthie: branding covers a provider dashboard and email templates (basic or advanced by tier). Most providers pair it with a separate website.
  • Coachful: a section-based website builder with blog, custom domain and SEO settings, 30 designed homepage templates and an Import website option; booking, application, lead-magnet and checkout funnels with pixels and UTM tracking; a link-in-bio page that sells; email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits; and a social planner that schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube.

What is the client experience like on each?

Healthie gives clients a portal and a native iOS and Android app; Paperbell gives clients a browser-based portal; Coachful gives clients a branded home and app that carries the whole program. What the client opens every day shapes whether they actually do the work.

Healthie lists its mobile app on every plan, along with a secure client messenger, document library and the client portal. Clients can journal food and lifestyle entries and track goals and metrics. The experience is shaped like a patient app: appointments, forms, messages and logs.

Paperbell clients get a clean portal for booking, paying, signing and accessing files. Our older profile notes no native mobile app, so clients use it in a mobile browser. For a package of sessions, that is fine. For daily habits, it is a weak link.

Coachful clients get one login to their sessions, program, habits, check-ins, courses, community and documents. The app ships under the Coachful listing with your branding inside it, not under your own App Store account; that is a real limitation for coaches who want their own app listing.

Public review data is thin for both main vendors. As of late October 2026, Paperbell showed 3.5 on Trustpilot from 14 reviews and Healthie showed 4.0 from 5 reviews; Coachful shows 4.5 from 21. Samples that small are a weak signal, so weigh them lightly against your own trial.

Which should you pick for which kind of coach?

Match the tool to your license, your offer and how much happens between sessions. The table below is our recommendation by coach type.

For health coaches specifically, our Paperbell alternatives for health coaches roundup and the Coachful for health coaches page go further. If you are weighing Healthie against another coaching tool, see CoachAccountable vs Healthie.

Is there a third option that beats both?

For most non-clinical coaches, yes: Coachful. It covers what Paperbell does (booking, packages, payments, contracts, a website) and what Healthie offers for engagement (goals, tracking, programs, a client app), then adds courses, community, funnels, email and an AI assistant under one login. It does not replace Healthie for clinical work.

What Coachful is, and who it is for

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions; for solo coaches growing into a small team; and for coaches replacing four to six tools. The company is based in Tallinn, Estonia.

Where Coachful beats both

  • One login for the whole client journey. Funnel, checkout, agreement, booking, program, community and course in one place, so nothing is copied between tools.
  • Between-session delivery. Habits, daily tasks, morning and evening check-ins, streaks and goal progress, with a client status of thriving, active, quiet or at risk so you see who is slipping.
  • Michelle, the built-in AI assistant. It works from your live practice data: builds programs, drafts emails and content, summarizes recorded sessions, briefs you before each session, and can give private feedback on your own coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. You can also set up an AI Coach that selected clients chat with between sessions.
  • ICF credential tracking. Coaching hours and distinct clients counted against ACC, PCC and MCC thresholds, with an exportable ICF client coaching log. See ICF hour tracking.
  • Templates. More than 40 program templates, 48 course templates with quizzes and about 25 funnel templates.
  • Teams. Studio and Agency plans add coach seats with per-coach availability and staff permissions; Paperbell is one price per coach.
  • Your data leaves with you. A full client data export as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) and course export.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you: a website, funnel, sales page, program, course outline and written material, coaching flow, form, email sequence, link in bio, lead quiz, event, automation and more. You describe what you want, attach up to 8 reference links and up to 10 files (logos, photos, brand guides, copy), and the team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. Another: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

Where Coachful does not beat them

  • Clinical work. Coachful is not HIPAA-certified, signs no BAA, and is not for clinical record-keeping or insurance billing. Healthie wins here outright.
  • PayPal. Coachful has no PayPal; Paperbell supports it.
  • Your own App Store listing. Coachful's client app carries your branding inside the Coachful app, not under your own developer account.
  • Wearables. No Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available.
  • No permanent free plan. There is a free trial, but no free tier.
  • Simplicity for a tiny practice. If you sell one package to a handful of clients and never plan to run programs, Paperbell's single screen of admin may feel lighter.

How to start

Start a free trial, then use the free white-glove build to have your website, first program or funnel set up for you. Clients, programs and content are imported for you during onboarding, so moving from Paperbell does not mean retyping your roster. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Frequently asked questions

Is Healthie or Paperbell cheaper?

It depends on your client count. As listed in October 2026, Healthie Core is $19.99 a month for up to 10 active clients and Essentials is $49.99 for up to 250, both below Paperbell's $97. Past 250 clients, Healthie Plus at $129.99 costs more, and clinical add-ons such as ClaimMD or DoseSpot raise Healthie's bill further.

Is Paperbell HIPAA compliant?

Paperbell's pricing page does not list HIPAA compliance or a BAA. If you need HIPAA coverage, Healthie states that its BAA takes effect automatically when you create an account. Coachful is not HIPAA-certified either.

Can a health coach use Healthie without being a dietitian?

Nothing on the pricing page restricts it, but Healthie is built and priced around clinical workflows such as charting, superbills and e-prescribing. A coach who does not need those pays for complexity they will not use. Coaching platforms usually fit non-clinical work better.

Does Paperbell have a mobile app for clients?

Our older profile of Paperbell notes no native mobile app, with clients using a mobile browser. Healthie lists an iOS and Android app on every plan. Coachful clients use a branded app under the Coachful listing.

Which is better for group coaching?

Paperbell lists group coaching and online classes; Healthie lists group telehealth, webinars and group messaging on higher tiers. Coachful adds a community feed, group chat and cohort groups created automatically when clients enroll in a program, which suits ongoing group programs better.

Can I move from Paperbell or Healthie to Coachful?

Yes. Clients, programs and content are imported for you during onboarding. For the Paperbell side, our Paperbell migration guide covers data, payments and timing. Keep clinical records in a HIPAA-covered system rather than moving them into Coachful.

What is Coachful's free white-glove service?

It is a build service included on every plan: you describe a website, funnel, program, course outline, email sequence or similar, attach references, and the Coachful team builds it in your account, usually within about 24 hours. It does not invent credentials, testimonials or prices, and it excludes video recording, logo design and ad management.

Does Coachful charge transaction fees?

No. Coachful has charged a 0% platform fee since August 2026; you pay only Stripe or Razorpay processing. Paperbell also states no additional transaction fees, while Healthie lists Stripe processing at 2.9% plus $0.30.

Is there a free trial for each?

Healthie lists a free trial. Paperbell has a "Try For Free" button, and its help center (July 2026) describes a 7-day trial with limits, plus a 30-day money-back guarantee. Coachful offers a free trial.

When should I stick with Healthie instead of switching?

Stay with Healthie if you are a licensed provider who charts clinically, bills insurance, prescribes, or needs a signed BAA. Those needs outrank everything else in this comparison, and Coachful is not built for them.
