TidyCal vs Calendly: Which Scheduler Fits Coaches in 2026?

TidyCal vs Calendly: Which Scheduler Fits Coaches in 2026?

In the tidycal vs calendly decision, TidyCal wins on cost: its free plan already takes paid bookings and session packages, and a one-time lifetime deal covers most solo coaches. Calendly wins on polish, integrations and team scheduling, but it charges per seat every year and its free plan allows only one event type. Neither one holds client notes, contracts, programs or check-ins, so if your coaching runs longer than a single call, both leave you buying more tools.

This guide compares the two schedulers the way a coach actually uses them: what each plan costs as listed in October 2026, where the payment fees sit, how bookings feel for your clients, and which type of coach should pick which. We make Coachful, a coaching platform with booking built in, so near the end we cover it as a third option and say plainly when it beats both and when it does not.

What is the short answer for each type of coach?

Pick TidyCal if you want the cheapest way to sell sessions and packages; pick Calendly if you need team routing, CRM integrations or a scheduler your corporate clients already recognise. If you deliver programs between sessions, a coaching platform replaces both and the rest of your tool stack.

  • Brand-new coach, tight budget: TidyCal Free or the Individual Lifetime deal. You get unlimited booking types and paid bookings without a monthly bill, at the cost of a 1% platform fee on Stripe payments.
  • Solo coach selling packages of sessions: TidyCal, because package and recurring bookings are on its free plan. Calendly sells single paid bookings well but does not document session packages on its pricing page.
  • Executive or business coach booked by corporate assistants: Calendly. The Standard plan connects HubSpot and Mailchimp and takes Stripe or PayPal.
  • Small coaching team with shared intake calls: Calendly Teams if you need routing forms and Salesforce sync; TidyCal Agency Lifetime if round robin and a team booking page are enough.
  • Coach delivering programs, habits and check-ins: neither. Look at a platform where booking sits next to client records, contracts and program delivery, such as Coachful's scheduling software.

How do TidyCal and Calendly compare side by side?

TidyCal is a low-cost booking tool sold largely through lifetime deals; Calendly is a per-seat scheduling platform aimed at sales and recruiting teams as much as solo professionals. The table below sets them next to a full coaching platform.

Ranking criteria for coaches: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including a free white-glove build).

The short version: TidyCal and Calendly both solve the "pick a time" step well. What they do not solve is everything that happens after the booking, which for most coaches is the work they are paid for.

What does TidyCal cost compared with Calendly?

As listed in October 2026, TidyCal costs nothing on its free plan, a one-time 29 or 79 dollars for its lifetime plans, or 12 dollars a month (99 dollars a year) for Pro. Calendly is free for one event type, then 10 dollars per seat per month for Standard and 16 dollars per seat per month for Teams, both billed annually.

TidyCal's pricing quirks

TidyCal's lifetime plans are struck through on its pricing page from 144 and 240 dollars down to 29 and 79 dollars, and they are sold as one-time payments with no renewal through AppSumo. That makes the upfront cost close to nothing. The catch is the 1% TidyCal platform fee on every Stripe payment on the Free and Lifetime plans, with Stripe's own processing fee on top. Only Pro removes it. TidyCal's page does not state a free trial, and its refund policy sits behind a terms link. For the full breakdown, see our TidyCal pricing guide.

Calendly's pricing quirks

Calendly's pricing page shows 10 dollars for Standard (labelled "Save 17%") and 16 dollars for Teams (labelled "Save 20%"). Those are annual-billing figures, which Calendly's help center confirms for Teams. The billed-monthly price is not shown on the page today, and the free trial terms are not visible either. A Standard Plus tier with Notetaker and Callie appears in the comparison table without a visible price. Every coach on your team pays for their own seat. Our Calendly pricing breakdown goes plan by plan.

When does TidyCal's 1% fee cost more than Pro?

Here is a worked example with illustrative numbers. Suppose you take 3,000 dollars a month in session payments through TidyCal on the Individual Lifetime plan. The 1% platform fee is 30 dollars a month, or 360 dollars a year, before Stripe's own fees. TidyCal Pro at 99 dollars a year removes that fee, so above roughly 825 dollars a month in payments (99 dollars divided by 12 months, divided by 1%), Pro is the cheaper TidyCal plan. Below that, the lifetime deal wins.

Calendly does not document a platform fee on payments, so its cost is simply the seat price. For one coach on Standard, that is 120 dollars a year at the annual rate.

Example: one coach, 3,000 dollars a month in session paymentsSoftware cost per yearPlatform fee per yearWhat is still missing
Coachful (plan for 15 clients)Solo: $49/month for up to 20 clientsNone (0% platform fee)Contracts, client records, programs, website and email are included; PayPal is not supported

TidyCal Pro (annual)$99NoneContracts, client records, programs, website, email
Calendly Standard (annual)$120None documentedContracts, client records, programs, website, email

Stripe's processing fees apply in every row. The real difference shows up in the last column: with either scheduler, contracts, a client portal, a course host and an email tool are separate subscriptions.

How do the features compare, one by one?

On features, Calendly is broader and more integrated, while TidyCal packs more into its free and lifetime tiers. The table lists what each vendor documents on its pricing page as of October 2026.

Booking pages and event types

TidyCal gives unlimited booking types and bookings on its free plan, which is unusually generous. You can set up a free discovery call, a paid single session and a package of six sessions without paying anything. Calendly's free plan stops at one event type, so a coach who wants a discovery call and a paid session side by side needs Standard. Once on Standard, Calendly allows unlimited event types and up to six calendar connections.

Calendar sync

Calendar limits matter if you keep a personal calendar, a family calendar and a work calendar. TidyCal Free reads one calendar and writes to one, with basic integrations for Google, Office 365 and Apple. The lifetime plans read up to ten calendars, and Pro removes the cap. Calendly Free connects a single calendar; Standard connects up to six. For most solo coaches, both paid tiers are enough.

Payments and packages

This is where TidyCal surprises people. Paid bookings, recurring bookings, package bookings, subscriptions and a digital storefront all sit on its free plan, paid through Stripe with the 1% platform fee. Calendly takes payments through Stripe or PayPal from Standard upward and does not document a Calendly fee. If PayPal matters to your clients, Calendly is the only one of the two that lists it.

Reminders and automations

Calendly's Standard plan includes automations and reminders. TidyCal offers custom emails from the Individual Lifetime plan, but SMS reminders are limited: none on Individual Lifetime, ten a month in the US and Canada on Agency Lifetime, and unlimited only on Pro. If no-shows hurt your income, factor that in.

Team features

Calendly Teams is the stronger team product: round robin, team scheduling, lead qualification and routing, managed event types, Salesforce meeting sync and team analytics. TidyCal Agency Lifetime covers round robin, collective meetings and a team booking page for a one-time 79 dollars. For a two-coach practice, TidyCal is far cheaper. For a team that routes leads by answers to a form, Calendly is the one that does it.

Integrations and AI

Calendly connects HubSpot and Mailchimp on Standard and Salesforce, Marketo and Pardot on Teams. Its Plus tiers add Notetaker and Callie, an email scheduling assistant listed as beta on Standard. TidyCal offers Zapier, an API, Google Analytics and Tag Manager, and an AI booking assistant from its Individual Lifetime plan. If your practice already lives in a CRM, Calendly fits better. If you only need bookings to land in a spreadsheet or a Zapier flow, TidyCal is enough.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What is the client experience like on each?

For the client, both tools feel similar for the first booking: they open a link, pick a time in their own time zone and get a confirmation email. The differences appear in what happens next and in how the page looks.

Calendly is a widely used name in scheduling, which can help when corporate buyers or assistants book on someone's behalf. TidyCal's page is clean but carries TidyCal branding unless you are on Pro, which also adds a custom domain. Neither tool gives the client anywhere to go after the call: no portal with session notes, no homework, no progress view. Reminders, the reschedule link and the receipt are the whole relationship.

Public reviewers reflect this split. On Trustpilot, Calendly rates 4.1 from 714 reviews and TidyCal 3.1 from 182 reviews, both as seen on 25 October 2026. Review scores mix sales teams, recruiters and solo users, so treat them as a rough signal, not a verdict on coaching use.

Which should you pick for which kind of coach?

Choose by what you sell and who books you, not by headline price alone.

  • Life, mindset or confidence coaches starting out: TidyCal Individual Lifetime. Low upfront cost, packages built in, and the 1% fee is small while revenue is small.
  • Coaches taking more than about 825 dollars a month through TidyCal: TidyCal Pro, to drop the platform fee (based on the worked example above).
  • Executive, leadership and sales coaches: Calendly Standard. It integrates with HubSpot and Mailchimp, and Teams adds Salesforce. Our list of Calendly alternatives for executive coaches covers other options.
  • Coaches whose clients want to pay by PayPal: Calendly, which lists PayPal from Standard.
  • A coaching team routing intake calls by client answers: Calendly Teams, the only one of the two with routing forms.
  • A coaching team that just shares intake calls: TidyCal Agency Lifetime with round robin.
  • Coaches selling 8 to 12 week programs, memberships or group cohorts: a coaching platform. A scheduler only handles one step in that process.

If you want to weigh other schedulers too, our guide to Calendly alternatives for coaches and the TimeTuna vs Calendly comparison are good next reads.

What does a scheduler leave out for coaches?

Both tools stop at the booking. According to what each vendor documents, neither TidyCal nor Calendly holds client notes, intake history beyond booking questions, coaching agreements, invoices, programs, habits or check-ins.

In practice, a coach using either scheduler usually adds a contract and e-signature tool, a notes app or spreadsheet, a course or membership host for program content, an email marketing tool and a website builder. Each has its own login, its own subscription and its own copy of the client's name. The scheduler might be the cheapest line on that list; the stack around it rarely is. Our guide to automating client scheduling without Calendly walks through what a joined-up setup looks like.

The third option: when does Coachful beat both, and when does it not?

Coachful beats both TidyCal and Calendly when booking is one part of a longer client relationship; it does not beat them when all you need is a cheap booking link. Here is the honest breakdown.

Coachful is a coaching platform. One membership covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. The company is based in Tallinn, Estonia, and holds a Trustpilot rating of 4.5 from 21 reviews.

Booking, on par with a dedicated scheduler

Coachful's booking pages cover the scheduler basics: availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get a built-in video room or an auto-created Zoom, Meet or Teams link. Clients receive email reminders, plus an SMS 24 hours before and a WhatsApp message one hour before once messaging is enabled. You can sell paid sessions and session credits, ask intake questions on booking, and assign multi-coach session types by round robin or to the least-busy coach. Here is a walkthrough of scheduling in Coachful:

What happens after the booking

This is where a coaching platform pulls away from both schedulers. A coaching agreement with e-signature goes out before the first call and is stored on the client record (coaching contracts). Payments run through your own Stripe Connect or Razorpay account with one-time charges, subscriptions, payment plans, coupons, Apple Pay and Google Pay, and an invoice for each transaction. Since August 2026, Coachful charges a 0% platform fee, so only Stripe or Razorpay processing applies (coaching payment software).

Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk, and an AI briefing from Michelle, the built-in assistant, before each session. Between sessions, clients follow multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins and streaks, all inside the coach's branded home and app.

When Coachful is not the right choice

  • You only need a booking link. If you sell single calls and nothing else, TidyCal's free plan or lifetime deal costs less.
  • Your clients pay by PayPal. Coachful does not support PayPal; Calendly does.
  • You route leads by form answers. Coachful has no routing forms that pick a host from answers; Calendly Teams does.
  • You run on Salesforce or HubSpot. Coachful has no Salesforce or HubSpot integration; Calendly connects both.
  • You keep clinical records. Coachful is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing.
  • You want a free plan forever. Coachful has a free trial, not a permanent free plan.

What Coachful costs next to the two schedulers

Coachful uses flat monthly plans: lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Monthly plans cancel in one click. Compared with a scheduler alone, the subscription is higher; compared with a scheduler plus a contract tool, course host, email tool and website builder, it usually replaces several bills. See the full Coachful vs Calendly comparison for a closer look.

How to start

Why Coachful stands out: a free white-glove service. On every plan, you can open Create and choose "We'll build it for you · FREE", describe what you want, and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides or existing copy. The Coachful team builds it inside your own account, usually within about 24 hours: a website, a booking or lead-magnet funnel, a program, a course outline, an email sequence, a form or a link-in-bio page. Nothing is invented, so there are no made-up credentials, testimonials or prices; gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. A leadership coach with a website renewal days away, for example, got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

To start, open a free trial, request your build, and move your clients, programs and content in; Coachful's team imports them for you during onboarding. If you are coming from TidyCal or Calendly, keep your old booking link live until your first week of sessions is booked in the new calendar. How do you switch between TidyCal and Calendly?

Moving from Calendly to TidyCal is the easier direction, because TidyCal documents a built-in Calendly importer on every plan. Moving the other way means recreating your event types by hand.

  1. Export your history. Calendly exports scheduled events to CSV; TidyCal exports bookings to CSV on Lifetime and Pro.
  2. Rebuild event types. List each session type, its length, buffers, price and booking questions before you start.
  3. Reconnect payments. Both use your own Stripe account, so payment history stays in Stripe either way.
  4. Update every link. Your website, email signature, social bio and any automated emails all carry the old booking link.
  5. Run both for a week. Leave the old page live, but block its availability, so late bookers are not lost.

If you are also considering a client management tool, compare Paperbell vs Calendly before deciding, and read our Calendly review for a closer look at what coaches get and what they miss.

Frequently asked questions

Is TidyCal better than Calendly for coaches?

TidyCal is better value for a solo coach who sells sessions and packages, because paid and package bookings sit on its free plan and lifetime deals start at 29 dollars. Calendly is better for coaches who need PayPal, CRM integrations or team routing. Neither stores client notes, contracts or programs.

Does TidyCal take a cut of my payments?

Yes, on the Free and Lifetime plans. TidyCal charges a 1% platform fee on Stripe payments, with Stripe's processing fee on top. The Pro plan, at 12 dollars a month or 99 dollars a year as listed in October 2026, removes the platform fee.

Does Calendly charge a fee on payments?

Calendly does not document a fee of its own on payments. You connect your own Stripe or PayPal account from the Standard plan and pay their processing rates.

Is the TidyCal lifetime deal really a one-time payment?

TidyCal's pricing page lists the Individual and Agency lifetime plans as one-time payments with no renewal, sold through AppSumo. The 1% Stripe platform fee still applies on those plans, so heavy payment volume can cost more over time than Pro.

Can I import my Calendly events into TidyCal?

Yes. TidyCal documents a built-in Calendly importer on every plan, including Free. Check each imported event type's price, buffers and booking questions before sharing the new link.

Which is better for a coaching team?

For a small team sharing intake calls, TidyCal Agency Lifetime offers round robin, collective meetings and a team booking page for a one-time fee. For larger teams needing routing forms, managed event types or Salesforce sync, Calendly Teams is stronger but costs 16 dollars per seat per month on annual billing. A platform like Coachful adds coach seats on its team plans with per-coach availability and staff permissions.

Do TidyCal or Calendly have a free trial?

Neither pricing page states a trial today. Both have a free plan instead: TidyCal's allows unlimited booking types, while Calendly's allows one event type and one calendar connection.

What does Coachful's free white-glove build include?

On every plan, the Coachful team builds a website, funnel, program, course outline, email sequence, form or similar piece inside your account, usually within about 24 hours, from the description, links and files you send. It does not include video recording, logo design, ad management or ongoing marketing, and it never invents credentials, testimonials or prices.

Can Coachful replace TidyCal or Calendly?

For most coaches, yes: Coachful's booking pages include availability rules, buffers, calendar sync, video links, reminders, paid sessions and session credits. It is not a fit if you need PayPal, routing forms or a HubSpot or Salesforce integration.
