Paperbell vs Calendly: Which Should Coaches Use in 2026?

Paperbell vs Calendly: Which Should Coaches Use in 2026?

Paperbell vs Calendly is not really a contest between two schedulers. Paperbell is a one-price coaching back office (booking, packages, payments, contracts, a client portal and a simple website) for $97 a month, as listed in October 2026. Calendly is a scheduling tool with a genuinely useful free plan and paid seats from $10 a month on annual billing. If all you need is a clean booking link, Calendly is the cheaper, more polished choice. If you sell coaching packages and want the paperwork handled in one place, Paperbell covers far more of the job.

Both stop at the same point, though: neither runs what your client does between sessions. This guide compares the two on pricing, booking, payments, contracts and the client experience, then looks at a third option for coaches who want the whole client journey under one login. We make Coachful, so we say plainly where it beats both and where it does not.

What is the short answer by use case?

Pick by the job you need done, not by the brand. Here is the quick version before the detail.

  • You only need people to book a call with you: Calendly. Its Free plan gives you one event type and one calendar connection at no cost, which is enough for a discovery-call link.
  • You sell packages of sessions and want payment, contract and booking in one checkout: Paperbell. One plan includes packages, payments, contracts, a client portal and a coaching website.
  • You run a small team with shared or round-robin booking: Calendly Teams, priced per seat. Paperbell is priced per coach and is built around a solo practice.
  • You deliver programs with habits, check-ins, courses or a community: neither fits well. Calendly has no client records at all, and Paperbell's older profile lists no courses, community, or goal and habit tracking. This is where a coaching platform such as Coachful comes in.

If you want the long version of either tool on its own, read our Paperbell review and our Calendly review.

How do Paperbell and Calendly compare side by side?

Paperbell is broader; Calendly is deeper on scheduling and team routing. The table below adds Coachful as a reference point, since many coaches comparing these two are really deciding how many tools to run.

How we judge: one login for the whole client journey, what clients get between sessions, total stack cost, and setup effort.

How much do Paperbell and Calendly cost?

Paperbell costs $97 a month or $970 a year for everything. Calendly is free for one event type, then $10 per seat per month (Standard) or $16 per seat per month (Teams), both billed annually.

Paperbell pricing in practice

Paperbell's single plan is the whole pitch: no tiers, no client caps and, in its own words, "no upsells or hidden add-ons." The annual price works out to about $80.83 a month. What you are paying for is admin coverage. If you would otherwise pay separately for a scheduler, a contract tool, an invoicing tool and a basic website, $97 can be reasonable. If you only use the booking piece, it is expensive. Our Paperbell pricing breakdown goes through the trial terms and the refund guarantee in detail.

Calendly pricing in practice

Calendly is cheap to start and gets more expensive as you add people and features. Standard, at $10 per seat per month billed annually, unlocks unlimited event types, up to six calendar connections, automations and reminders, and Stripe and PayPal payments. Teams, at $16 per seat, adds round-robin, routing and managed event types, with volume tiers dropping to $12 per seat for 301 or more seats. Notetaker and the Callie assistant sit in "Plus" tiers: Teams Plus is $24 per seat, $8 more than Teams. The detail is in our Calendly pricing guide.

What does the whole stack cost?

The sticker price is not the real comparison, because Calendly only covers scheduling. Here is an illustrative example for a solo coach with 15 clients on packages. With Calendly Standard ($120 a year on annual billing) you still need somewhere to send contracts, issue invoices, keep notes and share resources, and each of those is another subscription or another manual habit. With Paperbell ($970 a year) most of that admin is included, but programs, courses beyond its online classes, a community and email marketing would still sit elsewhere. With Coachful, the cheapest plan that covers 15 clients is Solo: $49/month for up to 20 clients, and booking, payments, contracts, programs, courses, community, website and email are included in your Coachful membership.

How do booking and scheduling compare?

Calendly is the stronger pure scheduler, especially for teams. Paperbell's booking is good enough for a solo coach and is tied directly to the packages a client has bought.

Calendly's scheduling

Calendly is built for one thing and is well documented. The Free plan gives you a customizable booking page, one event type and one calendar connection. Standard adds unlimited event types, up to six calendar connections, automated reminders and workflows, and integrations such as HubSpot and Mailchimp. Teams adds round-robin and team scheduling, lead qualification and routing forms, managed event types and Salesforce meeting sync. For an organization that routes prospects to the right salesperson or coach based on form answers, Calendly does something most coaching platforms do not. With 714 reviews and a 4.1 score on Trustpilot when we looked in October 2026, it is also widely used and widely reviewed.

Paperbell's scheduling

Paperbell's booking is not a separate product; it sits alongside packages, payments, contracts and the client portal on the same plan, with video call integration included. That is the main reason a solo coach would pick it over a standalone scheduler: the booking, the purchase and the paperwork live in one account instead of three. Paperbell's pricing page lists scheduling and video call integration among included features; it is not a team routing tool.

Coachful's scheduling

Coachful covers the solo-coach scheduling needs both tools handle, inside the same account as the rest of the practice. Booking pages have availability rules, buffers, minimum notice and time-zone detection. Calendars sync two ways with Google, Apple/iCloud and Outlook. Sessions get built-in video or auto-created Zoom, Meet or Teams links, email reminders, plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled. You can take paid sessions, sell session credits, ask intake questions on booking, and assign multi-coach session types by round-robin or least-busy coach. What Coachful does not have is routing forms that pick a host from form answers, so if that is central to your sales process, Calendly Teams is the better fit. More on this on our scheduling software page.

This short walkthrough shows how booking and sessions work in Coachful.

How do payments and packages compare?

Paperbell is built around selling packages; Calendly can collect a payment for a booking. That difference matters more than any feature list.

Calendly lets you connect Stripe or PayPal on Standard and above and charge when someone books. That works for a paid one-off session. It does not track a bundle of sessions, a payment plan across months, or how many sessions a client has left.

Paperbell's pricing page lists payments and packages among included features, and its older profile lists Stripe and PayPal as processors, with no extra Paperbell transaction fee. Packages are the core unit of the product: you define what a client gets, what it costs and how it is paid, and the client buys it in one checkout.

Coachful handles payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction and manual invoices when you need them. Since August 2026 there is a 0% Coachful platform fee, so you only pay processing. One honest gap: Coachful does not support PayPal, so if many of your clients insist on paying that way, both Paperbell and Calendly have the edge here. See coaching payment software for how checkout works.

How do contracts, intake and client records compare?

Paperbell includes contracts, forms and notes; Calendly has booking questions and nothing after the booking.

Calendly's notes for coaches are blunt: no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. Bookings live in your synced calendar and payments in your own Stripe or PayPal account; scheduled events export to CSV.

Paperbell's single plan includes contracts, forms, notes and email workflows. Its client list and history sit in the Clients area. A documented CSV export of client data was not verified in its older profile, which is worth checking before you commit if you care about leaving later. Our guide on how to migrate from Paperbell covers what moves easily and what does not.

In Coachful, coaching agreements with e-signature go out before the first call and are stored on the client record. That record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus an AI briefing per client, and marks each client as thriving, active, quiet or at risk. You can export all client data as a ZIP. Details are on our coaching contracts page and coaching CRM page.

What does the client experience look like in each?

With Calendly, the client sees a booking page and a confirmation email. With Paperbell, they get a portal for their packages, bookings and files. Neither gives the client much to do between sessions.

That is fine if your coaching is the conversation itself. A client books, shows up, talks, and books again. For many executive and business coaches, that is the whole service.

It is less fine if you promise change between sessions. A client working on a 12-week health or habit program needs daily or weekly prompts, somewhere to log progress and a sense that their coach sees it. With Calendly there is no client side at all after booking. Paperbell's client portal handles bookings, files and, per its current pricing page, online classes and digital downloads; its older profile lists no native mobile app, no community and no goal or habit tracking. Our article on the Paperbell client portal shows what clients see there.

In Coachful, the client gets a home under your branding inside the Coachful app. It shows their next session, any pre-session work, their programs with weekly goals and daily tasks, habits and streaks, morning and evening check-ins, goals with progress bars, courses, documents and a community feed. Coaches see check-in rates and task completion on the other side, so a quiet client shows up before they cancel.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What about websites, email, courses and groups?

Calendly has none of these. Paperbell includes a simple coaching website, email workflows, group coaching and online classes, without the depth of a full marketing or course platform.

Paperbell's pricing page lists a coaching website, email workflows, group coaching, digital downloads and online classes among included features. For a solo coach who needs a professional presence and a way to sell packages, that is often enough. Our pieces on the Paperbell website and group coaching on Paperbell look at where each stops.

Coachful goes further on each front. The website builder is section-based, with a blog, custom domain, SEO settings and 30 designed homepage templates. Funnels cover booking, application, lead-magnet and checkout pages with pixels and UTM tracking. Email includes lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits. Courses have modules, lessons, drip release and completion tracking, and community includes a feed, group chat, direct messages, video events, and cohort groups created automatically when someone enrolls in a program. There are limits too: Coachful is not a course marketplace, not a general website builder for non-coaching sites, and has no third-party plugins.

Which should you pick for which kind of coach?

Calendly suits coaches who only need booking; Paperbell suits solo coaches selling packages; coaches running programs or growing past five or six tools usually outgrow both.

  • Brand-new coach testing demand: Calendly Free is enough for a discovery-call link. When the first paying clients arrive, you will want contracts and invoices, which is the point to look at a fuller tool. Our page for new coaches covers that step.
  • Executive or business coach with corporate clients: if sessions are the product and invoices go to a company, Paperbell's packages and contracts fit well, and Calendly's team routing helps firms with several coaches. See for executive coaches and for business coaches.
  • Life, health or habit-focused coach: your results happen between calls. Neither tool tracks habits, check-ins or goals, so you would add another app. See for life coaches and for health coaches.
  • Coaching firm or sales-led team: Calendly Teams, with routing forms and Salesforce sync, is built for this. Coachful's team plans add coach seats with per-coach availability and staff permissions, but not routing forms or a CRM integration with Salesforce or HubSpot.
  • Coach who wants one bill for everything: Paperbell's single plan or Coachful, depending on whether you need program delivery.

Is there a third option that beats both?

For coaches who deliver programs, yes: Coachful replaces the scheduler, the admin tool and the between-session app with one login. For pure booking or team routing, Calendly is still the better buy.

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. The company is based in Tallinn, Estonia, and has a 4.5 Trustpilot score from 21 reviews.

Where Coachful beats Paperbell and Calendly

  • Between-session delivery: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Neither Paperbell nor Calendly offers this.
  • One login for the whole client journey: funnel, booking, contract, payment, program, community and follow-up email in one account, instead of Calendly plus several other tools.
  • Client oversight: each client is marked thriving, active, quiet or at risk, with an AI briefing before sessions from Michelle, the built-in assistant.
  • Credential tracking: Coachful counts coaching hours and distinct clients against ICF ACC, PCC and MCC thresholds and exports an ICF client coaching log. See ICF hour tracking.
  • Payments: subscriptions, payment plans, order bumps and coupons through your own Stripe or Razorpay, with a 0% platform fee.

Where Coachful does not beat them

  • Price for booking only: if a booking link is all you need, Calendly's Free plan costs nothing. Coachful is a paid membership.
  • Routing forms and sales CRMs: Calendly Teams routes prospects by form answers and syncs with Salesforce; Coachful does neither and has no HubSpot integration.
  • PayPal: Paperbell and Calendly both support it; Coachful does not.
  • Your own app store listing: clients use your branding inside the Coachful app, not an app published under your own App Store account.
  • Clinical work: Coachful is not HIPAA-certified and does not sign a BAA, so clinical records and insurance billing belong in a clinical system. Coaching is not treatment; refer clients to a licensed professional when their needs go beyond coaching.

How to start

Start with a free trial, then decide whether to set things up yourself or have the Coachful team do it. Clients, programs and content are imported for you during onboarding.

Why Coachful stands out: a free white-glove service. On every plan, you can go to Create and choose "We'll build it for you," describe what you want, attach up to 8 reference links and up to 10 files (logos, photos, brand guides, copy), and the Coachful team builds it inside your own account, usually within about 24 hours. That can be a website, a funnel, a sales page, a program, a course outline and written material, an email sequence, a form or an automation. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Another: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

What do reviewers say about each?

Public review volume is very different: Calendly has hundreds of Trustpilot reviews, Paperbell has a handful.

ToolTrustpilot scoreNumber of reviewsSeen
Coachful4.521October 2026
Paperbell3.514October 2026
Calendly4.1714October 2026

Small review counts move a lot with a few reviews, so treat Paperbell's and Coachful's scores as a weak signal. Paperbell's score went from 3.9 on 13 reviews to 3.5 on 14 between our checks. Calendly's larger sample is a steadier read, but it is a general scheduling tool, so many of its reviewers will be judging it for uses other than coaching.

How hard is it to switch between them?

Moving between Calendly and Paperbell is mostly a booking-link swap; moving off Paperbell takes more planning because packages, contracts and payments live there.

Leaving Calendly is simple because there is little to move: your bookings already sit in your own calendar, payments in your own Stripe or PayPal account, and scheduled events export to CSV. Replace the booking link on your website and in your email signature, and keep the old link live until existing bookings have passed.

Leaving Paperbell takes more care, because active packages and recurring payments are tied to it. Plan the move around package end dates, set up payments in the new tool before cancelling, and save client history first. Our guide to managing clients without Paperbell and the Paperbell alternatives ranking help with both the plan and the choice. For more scheduling options, see Calendly alternatives for coaches.

Frequently asked questions

Is Paperbell better than Calendly for coaches?

For coaches selling packages, usually yes, because Paperbell bundles booking with packages, payments, contracts and a client portal. For coaches who only need a booking link, Calendly is cheaper and has a free plan. Neither handles habits, check-ins or program delivery between sessions.

Can I use Calendly and Paperbell together?

You can, but there is little reason to. Paperbell's single plan already includes scheduling, so adding Calendly mostly duplicates booking.

Does Paperbell have a free plan?

No. Paperbell has one paid plan at $97 a month or $970 a year, as listed in October 2026. There is a "Try For Free" button; its help center (July 2026) describes a 7-day trial with the public site offline, and a 30-day money-back guarantee applies.

Is Calendly free for coaches?

Calendly's Free plan includes one event type, one calendar connection and a customizable booking page. Taking payments, unlimited event types and automated reminders need Standard, at $10 per seat per month billed annually.

Do Paperbell or Calendly charge transaction fees?

Paperbell says there are no additional transaction fees, and Calendly documents no fee of its own on payments. In both cases your processor (Stripe or PayPal) charges its normal rates.

Which one has a mobile app for clients?

Calendly is a booking tool with no client portal. Paperbell's older profile lists no native mobile app, with clients using the portal in a mobile browser. Coachful clients use your branding inside the Coachful app.

Which is better for a coaching team?

Calendly Teams is stronger for routing and round-robin across many seats, with Salesforce sync. Paperbell is priced per coach and built for solo practices. Coachful's team plans add coach seats with per-coach availability, staff permissions and round-robin or least-busy assignment, but no routing forms.

What is Coachful's free white-glove service?

On every Coachful plan, you can ask the team to build a website, funnel, program, course outline, email sequence or other piece inside your account, usually within about 24 hours. You attach reference links and files, and nothing is invented: no fake testimonials, credentials or prices. Video recording, logo design and ad management are not included.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. It is built for coaching, which is not treatment.
