Dubsado vs Practice Better: Which Fits Coaches in 2026?

Dubsado vs Practice Better comes down to what your coaching business actually runs on. Dubsado is a client workflow CRM for service businesses: lead forms, proposals, contracts, invoices and automated workflows. Practice Better is practice management for wellness and nutrition practitioners: scheduling, telehealth video, charting, billing and programs inside a client portal. If you mostly need paperwork handled, Dubsado fits. If you run a health practice with notes and protocols, Practice Better fits. If you deliver multi-week coaching programs and want clients to stay engaged between sessions, neither was built for that, and a third option is worth a look.
We make Coachful, so we have a stake in this comparison. We kept the vendor facts to what Dubsado and Practice Better publish on their own pricing and product pages (as listed in October 2026) and what public reviewers report. We have not run a hands-on test of either tool, and we say so wherever it matters.
What is the short answer by use case?
Pick Dubsado if you sell custom packages and need proposals, contracts and invoices to flow automatically; pick Practice Better if you run a nutrition or wellness practice that needs charting and telehealth. Pick Coachful if your offer is a program and you want booking, payments, contracts, delivery, community and your website under one login.
- You are a business or executive coach who sends proposals and retainers: Dubsado's Premier plan handles the lead-to-invoice workflow well. Coachful covers contracts, invoices and booking too, and adds program delivery.
- You are a dietitian-adjacent nutrition practitioner who writes clinical-style notes: Practice Better is designed for that, with note templates, an AI Charting Assistant add-on, and even ePrescribe and fax add-ons.
- You are a health, fitness, life or mindset coach selling a 6 to 12 week program: neither tool has habits, daily check-ins, streaks or a client community. That is where Coachful for health coaches and the Fitness & Nutrition pack come in.
- You are brand new with three clients and no budget: Practice Better's free Sprout plan (3 clients) costs nothing; Dubsado has no free plan. Coachful has a free trial and builds your setup for you at no charge.
The rest of this article explains each of those calls with the numbers behind them.
How do Dubsado and Practice Better compare side by side?
They overlap on contracts, forms, invoices and a client portal, and almost nowhere else. Dubsado is strongest at automating the admin around a project; Practice Better is strongest at running sessions and clinical-style records.
How we judge all three tools: one login for the whole client journey, delivery between sessions, total stack cost for a working coaching business, and how much setup effort you carry yourself.
| Tool | Built for | Scheduling | Payments | Between-session delivery | Website and email marketing |
|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs, solo to small team | Booking pages, two-way Google, Apple and Outlook sync, SMS and WhatsApp reminders once messaging is enabled | Your own Stripe or Razorpay; subscriptions, payment plans, coupons; 0% platform fee | Programs, habits, morning and evening check-ins, goals, streaks, courses, community | Website builder, funnels, email sequences and broadcasts included |
| Dubsado | Service businesses that run on proposals, contracts and invoices | Scheduler on Premier only | Dubsado Payments (Stripe), PayPal, Square | None: no courses, community, habits or check-ins | Dubsado says it does not build websites and is not an email marketing platform |
| Practice Better | Wellness and nutrition practitioners | Scheduling and telehealth video from Starter | Practice Better Payments (Stripe); deposits and payment plans from Professional | Programs (fixed-date from Professional, evergreen from Plus), secure messaging, forms | Broadcasts and SMS on Plus; no website builder or funnel pages (September 2026 profile) |

What is Dubsado, and who is it for?
Dubsado is a client workflow CRM. It moves a client from inquiry to signed contract to paid invoice, with forms and automated "Flows" doing the follow-up for you.

Its core pieces are lead-capture forms, proposals, contracts, invoices, a client portal, a scheduler and automated workflows. Dubsado's own AI information page states that it does not include website building and is not an email marketing platform. Its mobile app is a companion app: full functionality needs the desktop web app. There are no courses, client community, habits or check-ins.
Dubsado suits coaches whose work looks like client projects: a business coach selling a custom 6-month retainer, a brand strategist who also coaches, or a consultant who sends a proposal before every engagement. Payments are flexible: Dubsado Payments runs on Stripe and supports cards, ACH, Klarna, Affirm and Tap to Pay, and PayPal and Square also connect. There is an optional surcharging setting that passes card costs to the client.
Public review data is thin. Dubsado's Trustpilot page showed a single review (3.7) when we checked in October 2026, which tells you nothing either way.
What is Practice Better, and who is it for?
Practice Better is practice management software for wellness and nutrition practitioners: scheduling, telehealth video, charting, billing, programs and a client portal in one place.

Even the Starter plan includes scheduling, telehealth video, billing and payments, secure messaging, a client portal, forms and note templates, and 20+ integrations. Higher tiers add group scheduling, fixed-date programs, deposits and payment plans (Professional), then evergreen self-paced programs, portal branding, a personalized URL, 750 SMS a month and 10,000 broadcasts a month (Plus). The add-on list reads like a clinical tool: an AI Charting Assistant, ePrescribe, PDMP access and fax.
That makes it a natural home for functional nutrition practitioners, dietitian-style practices and health coaches who work alongside clinicians. Our guide to Practice Better as an EHR covers the clinical side, and Practice Better for coaches covers where it fits a non-clinical coaching business. Practice Better showed 3.8 on Trustpilot from 87 reviews in October 2026.
One limit matters for growing coaches: below the Team plan, each account has one practitioner.
How does pricing compare?
Dubsado costs $35 or $55 a month with unlimited clients on both plans; Practice Better runs from free (3 clients) to $99 a month for unlimited clients, with client caps on the lower plans. The cheaper sticker price depends on how many clients you have and which features you need.
| Tool | Entry plan | Mid plan | Unlimited clients | Free plan or trial | Platform fee on payments |
|---|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Free trial; no permanent free plan | 0%; only Stripe or Razorpay processing |
| Dubsado | Starter: $35/mo or $335/yr (about $27.92/mo); unlimited clients, 1 active lead form, no scheduler or workflows | Premier: $55/mo or $525/yr (about $43.75/mo); scheduler, Flows, Zapier | Both plans | 21-day trial with full Premier access, no card required; no free plan | None stated; processor rates apply |
| Practice Better | Starter: $35/mo or $25/mo annual; 10 clients, 1 GB | Professional: $69/mo or $59/mo annual; 300 clients, 5 GB | Plus: $99/mo or $89/mo annual; Team $155/mo with 2 practitioners | Free Sprout plan (3 clients); 14-day trial (30 days on Team) | None stated; Practice Better Payments on Stripe, rates not listed |
Two pricing details are easy to miss. Dubsado's prices apply to new subscribers since December 1, 2025; earlier subscribers keep their old rates, so a friend's quote may not match yours. Practice Better's pricing page was inconsistent in October 2026: the Professional card said "Save $84/year", which implies about $62 a month annually, while the table showed $59.

What do the add-ons cost?
Dubsado's add-ons are about team size and brands. Up to 3 additional team members are included; 4 to 10 users cost +$25/mo, 11 to 20 cost +$45/mo, 21 to 30 cost +$60/mo, and each additional brand costs $10/mo.
Practice Better's add-on list is longer:
- AI Charting Assistant: $10, $20 or $40 per practitioner per month (1,200, 3,600 or 7,200 minutes), then 2 cents a minute
- Connector Hub: $49/mo (Plus and Team)
- ePrescribe: $49/mo plus $99 one-time onboarding per prescriber; PDMP: $5/mo plus $399 onboarding
- SMS: 5 cents per text; fax: 10 cents per page
- Additional admin: $10/mo; additional practitioner on Team: $50/mo; extra storage: $1/GB/mo on Professional (up to 30 GB)

What does a 15-client coach actually pay?
Here is an example, not a quote: a solo coach with 15 active clients who wants online booking, contracts, payments and a simple program. The question is what you pay, and what you still have to buy elsewhere.
| Tool | Plan you would need | Monthly cost (as listed) | What you still add |
|---|---|---|---|
| Coachful | Plan covering 15 clients | Solo: $49/month for up to 20 clients | Nothing for booking, payments, contracts, programs, courses, community, website or email |
| Dubsado | Premier (Starter has no scheduler) | $55/mo, or $525/yr | Website builder, email marketing tool, course or program platform, community space |
| Practice Better | Professional (Starter caps at 10 clients) | $69/mo, or $59/mo annual | Website and funnel pages, community space; Plus ($99/mo) if you want evergreen programs or portal branding |
The sticker price is only part of the cost. Every extra tool brings its own login, its own client invite and its own monthly bill, which is why total stack cost is one of our criteria.
How do the features compare, one by one?
Dubsado leads on admin automation, Practice Better leads on session and clinical tools, and neither covers program delivery, community or marketing pages the way a coaching business usually needs. The table summarizes; the sections below explain.
| Tool | Contracts and e-signature | Automations | Courses and programs | Community and groups | Habits and check-ins | Team |
|---|---|---|---|---|---|---|
| Coachful | Yes, sent before the first call and stored on the client record | Email sequences with triggers, delays, branching and A/B splits; Instagram DM automations; Zapier | Multi-week programs, courses with drip and completion tracking, 40+ program templates | Community feed, group chat, cohort groups created on enrollment, group calls | Daily tasks, habits, morning and evening check-ins, goals, streaks | Studio and Agency plans add coach seats and staff permissions |
| Dubsado | Yes, on both plans | Flows on Premier; Zapier on Premier | No | No | No | Up to 3 extra team members included; more at extra cost |
| Practice Better | Forms and note templates on every paid plan | Advanced workflows on Team; Zapier from Professional | Fixed-date programs (Professional), evergreen programs and templates (Plus) | Group scheduling and messaging from Professional | Not listed on the pricing page | Team plan: 2 practitioners, up to 200 at +$50 each |
Scheduling and sessions
Practice Better includes scheduling and telehealth video from its Starter plan, which is a real advantage over Dubsado, where the scheduler only arrives on Premier. Dubsado's scheduler is solid for booking a discovery call that triggers a workflow; Practice Better's is built around recurring client sessions with video included.
Coachful's booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync. Sessions get built-in video or auto-created Zoom, Meet or Teams links, and reminders go out by email, plus SMS 24 hours before and WhatsApp 1 hour before once messaging is enabled. You can sell paid sessions and session credits and ask intake questions at booking. See Coachful's scheduling software for the details.

Contracts, forms and onboarding paperwork
This is Dubsado's home turf. Forms, proposals, contracts and invoices can be chained so a signed contract automatically sends the first invoice and a welcome questionnaire. If your onboarding has many steps and you hate chasing them, that is the reason to choose Dubsado.
Practice Better handles intake forms and note templates well, with the emphasis on health history and session notes rather than proposals. Coachful sends coaching agreements with e-signature before the first call and keeps them on the client record alongside intake answers, notes and payments.

Payments and invoicing
Dubsado gives you the widest choice of processors: its own Stripe-based payments (with ACH, Klarna, Affirm and Tap to Pay), PayPal or Square. Practice Better uses its own Stripe-powered payments and does not list rates on the pricing page; deposits and payment plans start on Professional.
Coachful runs payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Each transaction gets an invoice, and you can create manual invoices. Since August 2026 the Coachful platform fee is 0%, so you pay only processing. Coachful does not support PayPal, so if your clients insist on it, Dubsado is the better fit there.

Programs, courses and between-session work
This is the widest gap. Dubsado has no courses, community, habits or check-ins. Practice Better offers fixed-date programs from Professional and evergreen self-paced programs from Plus, delivered through its client portal.
Coachful was built for this part. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses have modules, lessons, drip release and completion tracking. Clients see all of it in your branded home and app, and enrolling in a program can put them straight into a cohort group.

Website, funnels and email
Dubsado states plainly that it is not a website builder or an email marketing platform. Our September 2026 profile of Practice Better found no website builder or funnel pages either, although Plus includes 10,000 broadcasts a month. With either tool, you still pay for a site and, usually, an email tool.
Coachful includes a section-based website builder with a blog, custom domain, SEO settings and 30 designed homepage templates, plus booking, application, lead-magnet and checkout funnels, email lists, broadcasts and multi-step sequences.

Data export and leaving later
Check this before you commit. Our September 2026 profiles found that Dubsado exports contacts to CSV with selectable fields and lets you export invoices and bookkeeping data, but forms and templates are not portable. Practice Better emails a per-client archive (notes, invoices, forms) that stays available for 48 hours, exports the contact list as a spreadsheet, and offers a bulk export on request.
Coachful exports your full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) and lets you export courses. If you are moving off Practice Better, our Practice Better migration guide walks through the order of operations.
What is the client experience like in each?
In Dubsado, a client mostly experiences forms, contracts and invoices, plus a portal that collects them. In Practice Better, a client gets a portal with sessions, messaging, forms and programs. In Coachful, a client gets one branded home and app for sessions, programs, habits, community and payments.
The Dubsado client portal is functional and project-shaped: it is where a client finds what they signed and what they owe. That is fine for a business coach whose client mostly needs to sign, pay and show up. It does not give the client anything to do between calls.
Practice Better's portal is closer to a patient portal: book a session, join a video call, fill in forms, message the practitioner, work through a program. Portal branding and a personalized URL arrive on Plus. Our tour of the Practice Better client portal shows what clients see.
Coachful's client side is built around momentum: the next session, the current program week, today's tasks and habits, and the community. The coach's side shows each client as thriving, active, quiet or at risk, so you know who to nudge before they drift.

One honest caveat: Coachful's client app ships under the Coachful listing with your branding, not under your own App Store account.
Which should you pick, and for which kind of coach?
Match the tool to the shape of your work: proposals and retainers point to Dubsado, clinical-style practice points to Practice Better, and programs with daily client engagement point to Coachful.
| Tool | Choose it if | Skip it if |
|---|---|---|
| Coachful | You sell programs, want clients engaged between sessions, and want booking, payments, contracts, courses, community, website and email under one login | You need HIPAA with a BAA, insurance billing, PayPal, or wearable sync |
| Dubsado | You send proposals, run multi-step onboarding paperwork and want PayPal or Square | You deliver programs or courses, or want a client community or website included |
| Practice Better | You run a nutrition or wellness practice with charting, telehealth, and possibly ePrescribe or fax needs | You need a website and funnels, or several coaches on one account below the Team plan |
- Business, executive and sales coaches: Dubsado is a reasonable choice if your engagements are proposal-led. If you also run group programs or sell a course, a Dubsado alternative that delivers the program saves a second subscription.
- Nutrition and functional health practitioners: Practice Better fits when you work clinically. Coaches who do not need clinical tooling often find our list of Practice Better alternatives useful.
- Health, fitness, life, mindset and wellness coaches: your results come from what clients do between calls. That favors Coachful's habits, check-ins and programs.
- Coaches pursuing an ICF credential: Coachful's ICF hour tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log. Neither Dubsado nor Practice Better lists this.
A note on scope for health coaches
Coaching is not medical treatment. If a client reports symptoms, an eating disorder, a medication question or a condition that needs diagnosis, refer them to a licensed professional. If you are a covered entity handling protected health information, the US Department of Health and Human Services explains who HIPAA applies to; confirm with any vendor whether it signs a business associate agreement before storing clinical records. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong in a clinical system.
What is the third option, and when does Coachful beat both?
Coachful is a coaching platform: one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. It beats both Dubsado and Practice Better when your offer is a program, and it does not when you need clinical records or PayPal.

It is built for coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches replacing four to six separate tools. The company is based in Tallinn, Estonia, and showed 4.5 on Trustpilot from 21 reviews.

Here is a short walkthrough of how programs are built and delivered in Coachful:
Where Coachful beats both
- One login for the whole client journey. A lead lands on your website or funnel, books, signs the agreement, pays, joins the program and its cohort group, and checks in daily, all in one place.
- Between-session delivery. Habits, morning and evening check-ins, goals with progress bars, streaks, courses and community are included in your Coachful membership. Dubsado has none of these; Practice Better has programs but no listed habits or check-ins.
- Marketing included. A website, funnels, email sequences, a social planner and Instagram DM automations. Dubsado says it does not build websites or run email marketing, and Practice Better lists no website builder or funnels.
- Michelle, the built-in AI assistant. It works from your live practice data, drafts programs and emails, summarizes recorded sessions and briefs you before each call. It can also give optional private feedback on your coaching against ICF Core Competencies 3 to 8. Questions and planning are included; confirmed builds and changes use AI credits.
- Fitness and nutrition delivery. The Fitness & Nutrition pack adds a workout builder with illustrated exercises, workout logging with PRs, nutrition targets, meal plans, recipes, barcode scanning, progress photos and form-check video.
Where Coachful does not beat them
- It is not HIPAA-certified and does not support insurance billing, charting add-ons, ePrescribe or fax. A clinical practice should stay with a clinical system such as Practice Better.
- It has no PayPal or Square; Dubsado supports both.
- It has no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration.
- There is no permanent free plan, so a coach with three clients and no budget may prefer Practice Better's Sprout plan for now.
- It has no Garmin, Fitbit, Whoop or Oura sync and no stock exercise videos; coaches attach their own demo videos.
How pricing works
Plans are flat and monthly; lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial to try it before you pay.
Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build your setup for you from Create > We'll build it for you. Describe what you want (a website, funnel, offer or sales page, program, course outline, coaching flow, form, email sequence, link in bio, event or automation), attach up to 8 reference links and up to 10 files such as logos, photos and brand guides, and the team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

A few recent builds, anonymized: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream, with every button leading to a free 20-minute consultation. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up guide funnel and rewritten follow-up emails. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button.
How to start
- Start the free trial and connect your calendar and Stripe or Razorpay account.
- Request a white-glove build for your website, first program or funnel.
- Your clients, programs and content are imported for you during onboarding, so you do not rebuild them by hand.
- Send your agreement and first booking link, then invite clients into the program.
How hard is it to switch from Dubsado or Practice Better?
Switching is mostly a data question: export contacts and records first, then rebuild forms and templates in the new tool. Dubsado's forms and templates do not export, and Practice Better's per-client archives expire after 48 hours, so plan the order.
- Export your contact list (CSV from Dubsado, spreadsheet from Practice Better).
- Download per-client records you need to keep, and in Practice Better request a bulk export if you have many clients.
- Copy the text of contracts, intake forms and email templates into documents.
- Rebuild them in the new tool, or hand them to the Coachful team during onboarding.
- Run both tools in parallel for one billing cycle so active clients finish their current package without disruption.
Our Practice Better switching checklist and the Practice Better alternative page go deeper.
What do public reviewers say about each?
Practice Better has a meaningful public sample; Dubsado's Trustpilot presence does not. In October 2026 Practice Better showed 3.8 from 87 Trustpilot reviews, while Dubsado showed one review at 3.7, which is too few to mean anything.
Beyond scores, the vendors' own pages explain most of the trade-offs reviewers tend to raise: Dubsado's scheduler and automations are Premier-only, its mobile app is a companion to the desktop app, and it leaves websites and email marketing to other tools. Practice Better reserves evergreen programs, portal branding and SMS for Plus, and keeps one practitioner per account below Team. For a fuller verdict on Practice Better, read our Practice Better review.
Frequently asked questions
Is Dubsado or Practice Better cheaper?
It depends on client count. Practice Better is free for up to 3 clients and $35 a month for up to 10, while Dubsado's Starter is also $35 a month but with unlimited clients and no scheduler. Once you need scheduling with more than 10 clients, Dubsado Premier ($55) and Practice Better Professional ($69, or $59 annually) are close.
Does Dubsado have a free plan?
No. Dubsado offers a 21-day trial with full Premier access and no credit card required, as listed in October 2026. Practice Better is the one with a free plan, Sprout, capped at 3 clients.
Can I run coaching programs in Dubsado?
Not really. Dubsado has no courses, community, habits or check-ins; it handles the admin around a client, not the delivery. Coaches who deliver programs usually pair it with other tools or choose a platform that includes delivery.
Is Practice Better good for life or business coaches?
It can work, but much of what you pay for (charting, telehealth, ePrescribe and fax add-ons) is aimed at wellness and nutrition practitioners. Life and business coaches often want a website, funnels and community instead, which Practice Better does not list.
Which one supports PayPal?
Dubsado does, alongside Square and its own Stripe-based payments. Practice Better uses its own Stripe-powered payments. Coachful uses your own Stripe or Razorpay account and does not support PayPal.
Can a team of coaches use Dubsado or Practice Better?
Dubsado includes up to 3 additional team members and charges more beyond that. Practice Better keeps one practitioner per account until the Team plan, which includes 2 practitioners and adds more at $50 each. Coachful's Studio and Agency plans add coach seats with per-coach availability and staff permissions.
Is Coachful HIPAA compliant?
No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Coaches who keep clinical records should use a clinical system for those.
What is Coachful's free white-glove service?
On every plan, the Coachful team builds what you describe inside your own account: a website, funnel, sales page, program, course outline, email sequence and more, usually within about 24 hours. You can attach up to 8 reference links and 10 files. It does not include recording videos, logo design, ad management or ongoing marketing.
Can I move my clients from Dubsado or Practice Better to Coachful?
Yes. Export your contacts and client records from your current tool, and your clients, programs and content are imported for you during Coachful onboarding. Copy contracts and form text before you cancel, since Dubsado's forms and templates do not export.
Which is better for a new health coach?
If you only need to see a few clients and keep notes, Practice Better's free Sprout plan is a low-risk start. If you want to sell a program from day one with a website, habits and check-ins, Coachful fits better, and the free white-glove build saves setup time.
