GoHighLevel vs Keap for Coaches: 2026 Comparison

GoHighLevel vs Keap for Coaches: 2026 Comparison

GoHighLevel vs Keap is a choice between a cheaper, wider marketing toolkit and a pricier, sales-focused small-business CRM. For most coaches, GoHighLevel wins on price and breadth: its Starter plan is $97 a month and includes funnels, websites, calendars, courses and communities, while Keap starts at $299 a month plus a required implementation package and has no course hosting or client portal. Keap is the better fit only if you run a U.S. sales-led practice that lives on quotes, invoices, lead scoring and pipeline automation. Neither tool was built to deliver coaching between sessions, which is why this comparison ends with a third option.

We make Coachful, a coaching platform, so read our view of the third option with that in mind. Everything below about GoHighLevel and Keap comes from their own pricing pages and help documentation as listed in October 2026, plus what public reviewers report. We have not run a hands-on trial of either tool for this article, and we say so wherever it matters.

What is the short answer for each kind of coach?

Pick by the job you need the software to do, not by the length of the feature list. Here is the short version, by use case.

  • You sell programs through funnels, webinars and ads: GoHighLevel. Funnels, websites, email, SMS, calendars, courses and communities all sit in the $97 Starter plan.
  • You run a U.S. consulting-style practice with quotes, proposals and recurring invoices: Keap. Its strengths are pipeline automation, lead scoring, billing automation and prebuilt "proven automations".
  • You run an agency or want to resell software to other coaches: GoHighLevel. Sub-accounts and SaaS Mode (on Agency Pro) exist for exactly this.
  • You coach people through multi-week programs and need habits, check-ins and a client app: neither. Both would need workarounds; a coaching platform such as Coachful does this directly.
  • You are a solo coach on a tight budget: Keap is hard to justify at $299 a month for 1,500 contacts and 2 users. GoHighLevel Starter is cheaper, but its metered SMS, email and AI usage adds up.

If you already know you are leaving one of these tools, our guides to Keap alternatives for coaches and GoHighLevel alternatives for coaches go wider than this head-to-head.

How do GoHighLevel and Keap compare side by side?

GoHighLevel is an agency-first marketing suite built around sub-accounts; Keap is a single-plan small-business CRM owned by Thryv. The table below adds Coachful as the third column of comparison. We rank on four things that matter to coaches: one login for the whole client journey, between-session delivery, total stack cost, and setup effort.

Two things stand out. First, Keap costs roughly three times GoHighLevel Starter before you add contacts or users. Second, neither tool gives your clients a place to do the work between calls. That second point matters more than the price gap for most coaches, and we come back to it in the client experience section.

How much do GoHighLevel and Keap cost in 2026?

GoHighLevel starts at $97 a month and Keap at $299 a month, as listed in October 2026. The list prices only tell part of the story, because GoHighLevel meters usage and Keap adds required implementation, extra users and contact tiers.

PlanMonthly billingAnnual billingWhat is limitedExtra costs to expect

The annual per-month figures are the yearly totals divided by 12; neither pricing page shows them that way. GoHighLevel's Enterprise plan is priced on request and includes a white-label mobile app and HIPAA support.

GoHighLevel's hidden line items

GoHighLevel's plan price covers the software, not the messages you send through it. SMS, email, phone numbers and AI are metered and billed separately, with per-unit rates on separate pricing guides rather than the main pricing page. The add-ons a coach is most likely to meet, as listed in October 2026:

  • Branded Client Portal App: $49/month per sub-account
  • AI Employee: $50/month (Growth) or $97/month (Unlimited) per sub-account
  • WhatsApp: $10/month per sub-account
  • HIPAA compliance: $297/month
  • White-label mobile app: $497/month
  • Premium support: $500/month
  • Dedicated email IP: $59/month per IP

Our full breakdown of these is in GoHighLevel pricing in 2026.

Keap's hidden line items

Keap moved to a single plan ("Say goodbye to feature-based plans"), so every account gets the whole feature set. The price rises with contacts and users instead. The pricing widget's data, as listed in October 2026, shows the starting price covering 1,500 contacts and 2 users, roughly $36/month more for the next 1,000 contacts and $84/month for the next tier on monthly billing; treat those contact tiers as approximate, because they come from the widget rather than printed text. Additional users are $39/month each.

Text marketing Tier 1 is included (500 texts and 100 voice minutes, U.S. only), with paid tiers from $24/month up to $279/month and overages of $0.015 per message. The implementation package is required: a one-time $500 shown discounted from $1,500, covering a business-mapping session, two automations built for you, basic data import, up to 15 hours of migration and scheduled calls across the first year. The pricing page also invites buyers to "ask us how" to save on implementation, so the figure may be negotiable.

A first-year cost example

Here is an illustrative first year for a solo coach with fewer than 1,500 contacts, before usage fees and processing. These are examples built from list prices, not quotes.

SetupFirst year, monthly billingFirst year, annual billingNot included
Coachful (15 clients)Solo: $49/month for up to 20 clientsLite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clientsStripe or Razorpay processing; AI credits for confirmed builds
GoHighLevel Starter$1,164$970SMS, email, phone and AI usage; client portal app ($588/year if added monthly)
GoHighLevel Starter + client portal app$1,752$970 plus the add-onUsage fees
Keap (2 users, 1,500 contacts)$4,088 ($3,588 + $500 implementation)$3,488 ($2,988 + $500)Extra users, contact tiers, text tiers above Tier 1
Keap with a third user$4,556about $3,872 (with the $384/year user price)Contact tiers, text tiers

On these examples, Keap costs about three to four times GoHighLevel Starter in year one. GoHighLevel's real bill depends on how much you text and email, so check its usage guides before you compare.

Which is better as a CRM for a coaching pipeline?

Keap is the more focused sales CRM; GoHighLevel is the broader one. If your business is mostly closing deals with a pipeline of prospects, Keap's tools are aimed squarely at that.

Keap includes a sales pipeline with pipeline automation, lead scoring, quotes and billing automation, all on its single plan. Its mobile app lets you send appointment links and work your contacts on the go. GoHighLevel's CRM tracks contacts, opportunities and conversations, with unlimited contacts and users even on Starter, which is a real advantage if your list is large. Keap's contact cap starts at 1,500, so a coach with a 10,000-person email list pays more each month for the same feature set.

The catch for coaches is what a CRM tracks. Both treat a person as a contact moving through sales stages. After someone pays, a coach needs to see whether they are doing the work: their goals, check-ins, habits and session notes. Neither GoHighLevel nor Keap has that client record natively. If your pipeline is the bottleneck, read our guide to managing a coaching pipeline without Keap, and compare it with what a coaching CRM tracks after the sale.

Which handles email, SMS and automation better?

Keap has the more polished automation library for a small business; GoHighLevel has more channels and fewer limits on contacts. Your answer depends on whether you need breadth or prebuilt recipes.

Keap's selling point is its library of prebuilt "proven automations", along with email broadcasts, pipeline automation and billing automation. Its implementation package includes two automations built for you. Text marketing is U.S. only, and the dedicated phone line and 1:1 texts are U.S. and Canada only, which rules Keap's texting out for coaches with mainly international clients.

GoHighLevel covers email, SMS, phone and (as an add-on) WhatsApp, with workflows that can trigger across all of them. Usage is metered. Unlimited and Agency Pro let agencies rebill that usage to clients, which matters to resellers and very little to a solo coach. If you send a lot of texts, budget for it; the per-message rates sit on separate guides.

Both trials limit automation testing: Keap's 14-day trial caps you at 25 emails and blocks texting and payments, and GoHighLevel bills usage-based telecom fees even during its 14-day trial.

How do booking and calendars compare?

Both include a scheduler, and both rely on outside video tools. Neither has built-in video rooms.

Keap's appointment scheduler connects to your calendar and email, and you can send appointment links from its mobile app. GoHighLevel includes calendars on every plan and creates Zoom or Google Meet links; it has no built-in video room. For a coach running mostly 1:1 calls, either will get people booked. What neither does natively is tie a booking to a coaching program: session credits from a package, intake questions that land on the client's record, and reminders by SMS and WhatsApp from the same place you deliver the program.

Coachful's booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync, built-in video or auto-created Zoom, Meet or Teams links, and paid sessions or session credits. Our scheduling software page covers the details.

Which is better for payments, invoices and contracts?

Keap has the deeper invoicing and quoting; GoHighLevel has the wider payment processor choice and adds contracts. Neither charges its own platform fee on sales, according to their pricing pages.

Keap handles quotes, one-time and recurring invoices, checkout forms with upsells, subscriptions and billing automation. Payments run through Keap Pay (its native U.S. processor) or third-party processors "such as PayPal, Stripe and Eway". Keap's FAQ says each processor charges its standard fee and "the rates are the same as what you'd pay if not using Keap." Its pricing page does not list e-signature contracts, so plan on a separate tool if you need signed coaching agreements.

GoHighLevel lists invoicing and contracts among its core features and supports Stripe, PayPal and other processors. It shows no HighLevel fee on sales.

For coaches, the agreement step matters. A coaching agreement should be signed before the first call and stored with the client, not in a separate folder. Coachful sends coaching agreements with e-signature before the first session and stores them on the client record; see coaching contracts. Payments run through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, order bumps, coupons, Apple Pay and Google Pay. Coachful does not support PayPal, which is a real reason to choose one of the other two if your clients insist on it.

Which one looks like you?

Build your platform

Can either one deliver courses, programs or a community?

GoHighLevel can host courses and communities; Keap cannot. Neither delivers structured coaching programs with habits and check-ins.

GoHighLevel includes courses and communities on Starter, so you can sell a self-paced course and run a member group without another subscription. What it lacks is a coaching-program engine: there are no habits, client check-ins or weekly tasks. You can approximate them with workflows and forms, but you are building a coaching app out of marketing parts. Our Kajabi vs GoHighLevel comparison goes deeper on courses.

Keap has no course hosting, membership area or client portal. A Keap coach typically adds a course platform and a community tool, and pays for each.

What does the client actually experience?

With GoHighLevel, clients get emails, texts, booking pages and (if you build them) course and community logins. With Keap, clients get emails, texts, booking links and invoices. In both, there is no single place where a client sees their program, next session, tasks and progress.

That gap is where coaching results come from. Between sessions, a client should know what to do today, log a habit, answer a check-in and see that you noticed. In GoHighLevel, you can add a Branded Client Portal App for $49 a month per sub-account, which gets you closer, though it is still a marketing platform's portal rather than a coaching workspace. Keap offers nothing client-facing beyond messages and checkout pages.

On what public reviewers report: as listed in October 2026, GoHighLevel holds a Trustpilot score of 4.9 from 15,250 reviews, and Keap 1.1 from 498 reviews. Review scores reflect many things, including billing and support experiences, so read recent reviews yourself before deciding.

How hard is setup, and what happens if you leave?

Keap includes guided onboarding but makes it mandatory and paid; GoHighLevel is self-serve, so the build is yours to do. Leaving either takes more work than joining.

Keap's required implementation package walks you through a business-mapping session, builds two automations, imports basic data and includes up to 15 hours of migration. Cancellation needs at least 10 days' notice by phone, and an annual contract carries a $299 early termination fee. To leave, you can export contacts to CSV (exports over 1,000 are emailed as a link), though exports do not include tags, which need a separate Tag Tracker report. Orders download from the All Sales report. Keap's checkout data also lists paid export services, such as a $999 email history export.

GoHighLevel exports contacts with custom fields, opportunities and conversations to CSV. Funnels, sites and workflows are portable only as snapshots inside HighLevel, and data becomes inaccessible after cancellation. Our step-by-step guide to migrating from GoHighLevel covers the export order. Our GoHighLevel review looks at who its breadth suits.

Which should you pick for which kind of coach?

Match the tool to how you earn and deliver. The table below gives each option one clear fit and one clear reason to skip it.

ToolPick it if youSkip it if you
CoachfulDeliver programs and want booking, payments, agreements, habits, check-ins, courses, community, website and email under one login, with a branded client appNeed PayPal, HIPAA coverage, wearable sync or a multi-stage deal board for a large sales team

KeapRun a U.S. sales-led practice with quotes, recurring invoices, lead scoring and prebuilt automationsAre a solo coach under budget pressure, coach clients outside the U.S. by text, or sell courses

GoHighLevel: pick it over Coachful if you are an agency, need SaaS Mode, run high-volume SMS marketing, or need PayPal or HIPAA coverage (via a paid add-on or Enterprise). Keap: pick it over Coachful if your revenue depends on quotes and a sales pipeline worked by several salespeople, or your clients pay through PayPal and you never deliver programs inside software.

Is there a third option that beats both for coaches?

Yes, if you deliver coaching programs rather than mostly running campaigns. Coachful was built for the part both tools leave out: what happens after someone pays.

A client's program view and habit tracker open on a laptop and tablet on a morning desk
Coachful's client program view and habit tracker on a laptop and tablet beside a journal and a mug.

Coachful is a coaching platform. One membership covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. The company is based in Tallinn, Estonia, and holds a Trustpilot score of 4.5 from 21 reviews.

Where Coachful beats both

  • Between-session delivery: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Neither GoHighLevel nor Keap has these natively.
  • A client record built for coaching: goals, check-ins, habits, notes, intake answers, tags, payments and sessions in one place, with each client marked as thriving, active, quiet or at risk, and an AI briefing per client.
  • One branded client home: courses, downloads, videos, events and bundles are delivered into the client's branded home and app, where they also book sessions and see progress.
  • Community built around programs: a community feed, group chat, direct messages and video events, with cohort groups created automatically when someone enrolls in a program.
  • Marketing still included: a section-based website builder with 30 designed homepage templates, booking, application, lead-magnet and checkout funnels with pixels and UTM tracking, email lists, broadcasts and multi-step sequences with branching and A/B splits, a social planner, and Instagram automations that send a booking link or checkout when someone comments a keyword.
  • Michelle, the built-in AI assistant: works from your live practice data, builds programs, drafts emails, summarizes recorded sessions and briefs you before each call. Questions and planning are included in your Coachful membership; confirmed builds use AI credits. See the AI coaching assistant.
  • ICF hour tracking: counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log. See ICF hour tracking.
  • 0% Coachful platform fee on sales since August 2026; you pay only Stripe or Razorpay processing.

Here is a short walkthrough of how a coaching program is built and delivered in Coachful:

Where Coachful does not beat them

  • No PayPal. GoHighLevel and Keap both support it.
  • Not HIPAA-certified and no BAA. If you handle protected health information under HIPAA, GoHighLevel's HIPAA add-on or Enterprise plan, or a clinical system, is the safer route.
  • No multi-stage sales deal board for large teams, and no Salesforce or HubSpot integration. Keap's pipeline and lead scoring are stronger for a sales team.
  • No SaaS reselling or agency sub-accounts. GoHighLevel is the tool for agencies.
  • The client app ships under the Coachful listing with your branding, not under your own App Store account.
  • No routing forms, no third-party plugins, no Garmin, Fitbit, Whoop or Oura sync, and no permanent free plan.

What does Coachful cost next to GoHighLevel and Keap?

Coachful uses flat monthly plans: lower plans cap the number of clients, Pro is unlimited, and team plans for Studio and Agency add coach seats with per-coach availability and staff permissions (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There are no required implementation fees and no metered messaging on the plan itself, and monthly plans cancel in one click. Coaching teams can read Coachful for teams.

Why Coachful stands out

Why Coachful stands out: a free white-glove service. Keap charges for required implementation, and GoHighLevel leaves the build to you. In Coachful, you open Create > We'll build it for you, describe what you want built (a website, funnel, sales page, program, course outline, email sequence, form, link in bio, lead quiz, webinar or automation), attach up to 8 reference links and up to 10 files such as your logo, photos or brand guide, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing.

Recent anonymized builds include a somatic coach leaving Kajabi who had the homepage and About page rebuilt with the contact form connected, a business mentor for beauty professionals who got a 12-week mentorship sales page, a start-up-guide funnel and rewritten follow-up emails, and a leadership coach with a Squarespace renewal days away who got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service. Your clients, programs and content are imported for you during onboarding too.

Frequently asked questions

Is GoHighLevel cheaper than Keap?

Yes, on list price. GoHighLevel Starter is $97 a month and Keap starts at $299 a month plus a required $500 implementation package, as listed in October 2026. GoHighLevel meters SMS, email, phone and AI usage on top, so heavy texters should estimate usage before comparing.

Does Keap have courses or a membership area?

No. Keap has no course hosting, membership area, client portal or client-facing app. Coaches who sell courses on Keap pair it with a separate course platform, while GoHighLevel includes courses and communities on every plan.

Is the Keap implementation fee required?

Keap's pricing page calls implementation services required. Its implementation page lists a one-time $500 package, shown discounted from $1,500, and the pricing page also says to ask how to save on implementation. Confirm the figure with Keap before signing.

Can I use GoHighLevel or Keap outside the U.S.?

Both can take payments internationally through processors such as Stripe and PayPal. Keap's text marketing is U.S. only, and its dedicated phone line and 1:1 texts are U.S. and Canada only. GoHighLevel's pricing is in USD.

Which has a better free trial?

Both offer 14 days. Keap's trial needs no credit card but is capped at 25 emails and cannot process payments or texts. GoHighLevel's trial starts billing automatically at the end unless you cancel, and usage-based telecom fees can apply during the trial.

Is either GoHighLevel or Keap HIPAA-compliant?

GoHighLevel offers HIPAA compliance as a $297/month add-on and includes it on Enterprise. Keap's pricing page does not mention HIPAA coverage. Coachful is not HIPAA-certified, so clinical records belong in a clinical system whichever coaching tool you choose.

Can I track client habits and check-ins in GoHighLevel or Keap?

Not natively. Neither has habit tracking, client check-ins or a structured coaching-program engine; in GoHighLevel you would simulate them with workflows and forms. Coachful includes habits, morning and evening check-ins, goals and streaks inside each program.

What is Coachful's free white-glove service?

It is a done-for-you build on every Coachful plan. You describe what you want (a website, funnel, program, email sequence and more), attach links and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not cover video recording, logo design or ad management.

How do I leave Keap or GoHighLevel without losing data?

Export contacts first: Keap exports contacts to CSV without tags (use the Tag Tracker report for those) and orders from the All Sales report. GoHighLevel exports contacts, opportunities and conversations to CSV, but data becomes inaccessible after cancellation, so export before you cancel.

Which is better for a solo life or business coach?

Between the two, GoHighLevel, because Keap's entry price is hard to justify for one person. If your work is delivering programs rather than running campaigns, a coaching platform such as Coachful fits better than either, and the cheaper GoHighLevel alternatives list covers more options.
