Top 5 Multi Coach Team Management Platforms in 2026

Top 5 Multi Coach Team Management Platforms in 2026

The best multi coach team management platforms answer one question: when a client moves from your website to a second coach's calendar to a group program, does anyone on your team have to carry that client across by hand? Seat counts matter, but handoffs are where a practice with several coaches loses time, money and clients. This guide ranks five options by how much of that journey they hold in one place, then shows what each stack costs at real team sizes.

Our pick is Coachful, because it puts the website, booking, contracts, payments, programs, community and team permissions under one login, with one branded app for the client. We make Coachful, so weigh the ranking with that in mind. The other four sections say plainly when another tool is the better buy, and every vendor price below is as listed in October 2026.

One note on terms. This article is about one business with several coaches on staff or on contract. If you coach leadership teams as your service, read our guide to software for team coaches and how team coaching works instead.

What does a multi-coach practice need at each stage of the client journey?

A multi-coach practice needs four stages to connect: attract, enroll, deliver and retain, with the owner able to see all four across every coach. A solo coach can hold the gaps in their head. A team cannot, because the person who took the discovery call is often not the person running week six.

Attract: one front door that routes to the right coach

Prospects should meet the practice first and the individual coach second. That calls for a single website, a funnel for each offer, email that sends from the practice's domain, and lead records that everyone can read. The failure to avoid is each coach running a private list and a private booking link, because the owner then cannot tell which channel produced which client.

Enroll: booking, contract and payment that do not depend on who picks up

Discovery calls need to land on an available coach automatically. After that call, the agreement, intake questions and first payment should run the same way for every coach, so quality does not vary by who closed the sale. Decide early whether payments go to the practice's account or to each coach's account, because that choice shapes your bookkeeping and is awkward to reverse later.

Deliver: shared standards, separate caseloads

Coaches should see their own clients, work from the same program templates and leave notes a colleague can read during cover. Between sessions, clients need tasks, habits and check-ins that a coach can scan quickly. Without that, the owner only learns a client has gone quiet when the renewal fails.

Retain: a view of the whole practice

Retention at team level is a reporting problem. The owner needs caseload per coach, clients at risk, packages nearly used and revenue by offer, without asking each coach for a spreadsheet on Friday. A community or cohort also gives clients a reason to stay that does not rest on one coach's schedule, which matters when that coach leaves.

The question under every stage: who owns the client relationship?

Software settings follow from a few decisions that are not software decisions:

  • Worker status. Whether coaches are employees or contractors depends on how much control you hold over their work, and control is exactly what shared templates and required processes create. The IRS sets out the US test. Rules differ elsewhere, so check with an accountant or attorney.
  • Client data. If you coach people in the EU or UK, the General Data Protection Regulation or its UK version applies, so limit each coach's access to what they need and agree what happens to client records when a coach leaves.
  • Clinical work. A practice that includes licensed clinicians working under HIPAA needs a vendor willing to sign a business associate agreement. That requirement alone can change your choice of tool, as the Vibly section shows.

Which platform covers which stage?

Only Coachful and AttractWell reach all four stages, and they differ most in delivery and team controls. The other three are stronger in the middle of the journey and need help at the top of it.

How we ranked: one login for the whole client journey, between-session delivery, total stack cost, and setup effort, including the free white-glove build.

Which team controls does each platform document?

Coachful and Vibly document client assignment most clearly, while the rest say less publicly about how a coach's access is limited. "Not listed" below means we did not find it in the vendor's published plan and feature information, so ask the vendor before you rely on it either way.

We left out several familiar names on purpose. Paperbell prices per coach and is aimed at solo admin. CoachVantage has no multi-coach features according to older profile data from September 2026. Delenta's Teams plan does not show a price. Practice Better has a real Team plan, but it is built around wellness and nutrition charting rather than coaching programs. For a longer list, see our eight-platform comparison of seats, permissions and billing.

1. Coachful: the whole journey under one team login

Coachful is a coaching platform for practices that deliver programs as well as sessions, and for solo coaches growing into a small team. One subscription covers booking, payments, contracts, program delivery, courses, a community, a website with funnels and email, and an AI assistant. Team plans add coach seats: Studio has 3 and Agency has 6 (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). It is a flat monthly plan rather than a per-coach or per-client bill, and all of it is included in your Coachful membership.

Seats, roles and assigned clients

On team plans you add coaches and virtual assistants. Each role starts from defaults you set, and any person can have their own overrides. A coach can be limited to the clients assigned to them or given the full roster. Revenue, payments, website and settings are off limits for a virtual assistant, so the money side can stay with the owner.

Each client shows their assigned coach, and clients with no team relationship are flagged so nobody slips through. A team view shows caseloads, programs and upcoming sessions per coach. The client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus a status of thriving, active, quiet or at risk, so cover during a colleague's holiday does not start from zero.

Here is the team setup in the product itself:

Calendars and session routing

One session type can belong to several coaches. Coachful's scheduling gives each booking to an available coach by round-robin, or to the coach with the fewest upcoming sessions, or it lets the client choose a coach and see only that coach's openings. Every coach keeps their own availability and syncs their own Google, Apple or Outlook calendar both ways. Video runs on the built-in option or on automatically created Zoom, Meet or Teams links, and reminders go out by email, with SMS and WhatsApp once messaging is enabled.

Delivery between sessions

This is the sharpest difference from the admin-first tools in this list. Programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Enrolling a client in a group program creates the cohort group automatically, so a group program does not need a separate community tool. Courses, downloads and events all land in the client's branded home and app.

Money and reporting for the owner

Payments run through your own Stripe Connect or Razorpay account, with one-time charges, subscriptions, payment plans, coupons and refunds. There is a 0% Coachful platform fee, so only processing costs apply. Coaching agreements go out for e-signature before the first call and stay on the client record. The Analytics tab splits into Business, Client Activity, Community, Funnels, Products, Retention and Email views, and a private renewal signal appears once a program or session package is two thirds used.

Michelle, the built-in AI assistant, works from live practice data. It can brief a coach before a session, which helps when someone picks up a colleague's client, and it can summarize recorded sessions and draft programs and emails. Questions and planning are included in the membership, while confirmed builds and changes use AI credits. For coaches working toward a credential, ICF hour tracking counts hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log.

What about setup?

Why Coachful stands out: a free white-glove service. From Create, under "We'll build it for you · FREE", you describe what you need: a website, funnel, offer page, program, course outline, email sequence, form or automation. You can attach up to 8 reference links and up to 10 files. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented, so missing credentials or testimonials are left for you to fill. Recordings, logo design, ad management and ongoing marketing are not included. Recent anonymized builds include a business mentor's 12-week mentorship sales page with a free start-up-guide funnel and rewritten follow-up emails, and a year-long cohort program with an application form and an eight-page site. Here is how the service works.

Where it falls short

  • Agency's 6 coach seats are the largest listed team size, so a larger network should look at Vibly or Simply.Coach.
  • It is not HIPAA-certified and offers no BAA, so it is not for clinical records or insurance billing.
  • There is no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration.
  • It has no routing forms that choose a host from form answers, so lead routing rests on the session type rules above.
  • It has no PayPal and no permanent free plan, and the client app ships under the Coachful listing with your branding, not your own App Store account.

Coachful holds a Trustpilot score of 4.5 from 21 reviews. To start, take a free trial and request a white-glove build for the piece you least want to make yourself.

2. Vibly: built for firms with sponsors and compliance needs

Vibly earns second place because it is one of the few tools here designed around an organization rather than a coach. Its stated audience is coaching firms, employers, wellness programs, clinics and coach networks, and the product follows from that.

Vibly's homepage presenting its coaching management software for organizations
Vibly's homepage in October 2026.

An operations portal handles coach rosters, client assignment and sponsor reports. Two-way HubSpot sync and an API suit a firm whose sales team already lives in a CRM. Vibly also documents HIPAA compliance with a BAA, which rules it in for practices with clinical staff where Coachful is ruled out. Programs, group cohorts, events, built-in video and Stripe payments round out delivery.

Teams is $149 a month for 2 seats, then $50 per extra seat, so three coaches cost $199 and six cost $349. Solo coaches can use Basic at $25 a month ($20 on annual billing) or Pro at $59 ($50 on annual billing), and Enterprise is custom and demo only. There is a 14-day trial, and Vibly takes no fee on client payments beyond Stripe's. Capterra shows 4.9 from 22 reviews, seen in late October 2026.

Vibly's pricing page with its Basic, Pro, Teams and Enterprise plans

The gaps sit at both ends of the client's experience. We did not find a website builder, funnels or email marketing in Vibly's listed features, so a practice that markets itself needs another tool for the attract stage. Its client portal runs in the browser and no native mobile app is mentioned, which matters if your clients check in daily from their phones. A firm selling to employers may not care about either point. A practice selling to individuals through its own site will.

Pick it over Coachful if you sell mainly to employers or sponsors, need a signed BAA, need HubSpot sync or an API, or expect to pass six coaches soon.

3. AttractWell: the marketing-heavy choice

Few tools in this list do more at the top of the funnel. AttractWell positions itself as an all-in-one for coaches, course creators, consultants, authors and speakers, and its site lists websites, funnels, a blog, CRM, email and text marketing, booking, contracts, invoicing, a store, courses (called vaults), a Facebook-style community and memberships. It also lists an app for you and your clients.

AttractWell's homepage presenting its all-in-one platform for coaches and course creators
AttractWell's homepage in October 2026.

Its Team plan is listed from $600 a month and starts at 6 accounts at Premium-plan capacity. As a single Premium account, that capacity means 4,000 contacts, 2,000 texts a month, 500 automations, 10 domains, unlimited pages, 10 vaults and 10 classes, 400 videos, Zoom for up to 100 people, and unlimited booking links and call packages. Unlimited vaults and classes cost another $17 a month. AttractWell charges a 0% transaction fee, payment options include buy-now-pay-later through Afterpay, Klarna and Affirm, and the first month on any plan is $1 rather than a free trial. Trustpilot shows 4.6 from 21 reviews, seen on 27 October 2026.

Two things temper the fit for a team. The price starts at six accounts, so a three-coach practice pays for capacity it will not use, or has to run on individual plans. And the published plan table describes capacity rather than team controls: we did not find assigned caseloads, per-coach permissions or session routing listed, so ask how accounts share contacts before you commit. Delivery is built around courses, session packages and a client portal. Daily habits and check-ins are not listed, so accountability-heavy programs would need more manual follow-up.

Pick it over Coachful if your practice earns mostly from courses and memberships, you rely on text broadcasts or buy-now-pay-later checkout, and you have at least six people who would each use a full account.

4. Simply.Coach: the per-coach option for structured programs

Simply.Coach has the most explicit multi-coach pricing of the direct coaching platforms. Beyond its solo tiers it sells business plans for multi-coach companies, plus separate plans for learning and development teams and universities, which tells you who it has in mind.

Simply.Coach's homepage presenting its digital coaching platform for coaches and businesses
Simply.Coach's homepage in October 2026.

Its site lists goal and development planning, action plans, forms, reports, stakeholder integration, coach matching, nudges, scheduling, notes, a client workspace, a resource library, team engagements, contracts, session packages, embedded video and a professional development log. For a practice running structured engagements where a sponsor needs a window into progress, that set is well aimed.

The catch is how the bill grows. CoCreate is $79 a month per active coach with 10 clients per coach. Surge is $159 per active coach with 25 clients per coach, 2 program managers and 5 sponsors. That makes the math sensitive to caseload: three coaches on CoCreate cost $237 and cover 30 clients, while the same three coaches holding 40 clients between them need Surge at $477. Six coaches on Surge reach $954. A client-heavy group program can push you up a tier even if your coach count stays flat.

On the marketing side, the listing shows a showcase page and prospect management rather than a site builder with funnels. Its fee position on client payments is not stated on the pricing pages, and the solo pricing page marks automated invoices as "Coming Soon", so confirm invoicing on the business tier. There are no refunds for mid-period cancellations. A 14-day trial needs no credit card. Our side-by-side comparison with Coachful goes deeper on features.

Pick it over Coachful if your work is corporate or institutional, you need named program manager and sponsor roles, and clients per coach stay modest enough that per-coach billing remains reasonable.

5. Quenza: a focused delivery layer for small teams

Quenza does one part of the job and says so. It is a client-engagement tool for coaches and therapists, covering activities, worksheets, programs, chat and a client app. Nothing about it tries to run your sales process.

Quenza's homepage presenting its client-engagement tool for coaches and therapists
Quenza's homepage in October 2026.

That focus makes the price attractive for a small team. Collective is $160 a month ($128 on annual billing) for up to 3 professionals and 500 clients, which is generous if you only need delivery. Above three professionals you move to Beyond, which covers unlimited clients and professionals but shows no listed price. There is a 30-day trial with no credit card, and Trustpilot shows 4.3 from 8 reviews, seen on 25 October 2026.

The limits are large, though, and a team feels them sooner than a solo coach would. Quenza takes no client payments today, with invoicing and digital products marked as planned. Older profile data from September 2026 also shows no scheduling or video calls. So a team needs a booking tool, a payment and contract tool, and a website before a client ever reaches a Quenza worksheet. Each of those adds a subscription, a login and a handoff. We also did not find assigned-client permissions or team reporting in its plan listing.

Where it fits is a practice that already has sales and admin working and simply wants a better client workspace between sessions, particularly one with therapists alongside coaches who value a worksheet-led approach. The assembled stack below shows what that route costs.

Pick it over Coachful if you already have booking, contracts and billing you like, you have three or fewer practitioners, and you want only a worksheet and activity layer on top.

What do the stack recipes cost for a real team?

For an example practice with 3 coaches, 40 active clients and one group program, an all-in-one route means one subscription, while an assembled stack means four tools and four logins per coach. Vendor prices are as listed in October 2026. Annual billing is used where a tool's table gives it, and processing fees are extra throughout.

The sticker price of the assembled stack is only part of its cost. HoneyBook is its own processor, with its comparison table and its FAQ showing different card rates. Calendly has no client records or notes, Systeme.io has no one-to-one scheduling with client records, and HoneyBook has no programs. Someone on your team becomes the human link between those systems, and that time does not show on an invoice.

How much does each option cost as the team grows?

Seat-based and per-coach pricing diverge quickly once you pass three coaches. Each scenario below is an example, and the Simply.Coach figures assume clients are split evenly across coaches.

A worked setup: three coaches in Coachful

This is an illustrative build for the example practice, in the order we would do it.

  1. Choose the plan. Studio gives you 3 coach seats. Decide who owns the Stripe account before anyone joins.
  2. Request the build. Use the white-glove form for the website and one discovery-call funnel. Attach your logo, brand guide and coach bios, and leave gaps you still need to fill.
  3. Set the roles. Set the defaults for coaches and your virtual assistant, then limit coaches to assigned clients. Keep revenue and settings with the owner.
  4. Bring the clients in. Upload your contact export, map the columns and carry over remaining session credits with their expiry. Assign a coach to each client, then clear the flagged list until nobody is unassigned.
  5. Build the session types. Make the discovery call a multi-coach session type on round-robin. Make ongoing 1:1 sessions client-choice, so returning clients go back to their own coach. Have each coach connect their calendar and set their availability.
  6. Standardize enrollment. Add intake questions to booking and one coaching agreement for e-signature, reviewed by your own lawyer.
  7. Load the group program. Start from a program template, or describe your program to Michelle and confirm the draft. Add weekly goals, daily tasks and check-ins. Enrollment creates the cohort group for you.
  8. Set the owner's rhythm. Each week, open the team view for caseloads, then check clients marked quiet or at risk and raise them with the assigned coach.
Coachful's Squads view listing program-linked groups with member counts
Coachful's Squads view, showing program-linked groups and example member counts.

What the client experiences: they find the practice's site and book a discovery call in their own time zone with whichever coach is available. They answer the intake questions and sign the agreement before the first call, then pay through a checkout that takes Apple Pay or Google Pay. After that they log in to one branded home and app showing their coach, next session, program week, daily tasks and cohort. If their coach is away, a colleague given access sees the same notes, so the client does not have to retell their story.

How do you move a team to a new platform without losing clients?

Move in stages, with one coach first and the group program last. Timing needs as much care as the data, because several people change their daily habits at once.

  • Export before you decide. Pull the roster, notes, session history and package balances from your current tools now, so you know what you actually hold. Check that notes and forms come through, not just contacts.
  • Count package balances by hand once. Remaining sessions are money owed to clients. Reconcile them before import, and spot-check ten records afterward.
  • Pilot with one coach for two weeks. Choose your most patient coach and a handful of clients. Fix the booking and reminder wording before the others arrive.
  • Run calendars carefully during overlap. Have each coach keep a single source of truth for availability, because two booking tools live at once is how double bookings happen.
  • Do not move a cohort mid-program. Start the next intake on the new platform and let the current one finish where it is.
  • Move subscriptions deliberately. Recurring payments tied to a processor account may need clients to re-enter card details, so ask your processor and tell clients in advance.
  • Write the offboarding rule now. Agree in each coach's contract what happens to their clients and records if they leave. An attorney can advise on your jurisdiction.

In Coachful, contact import works from a spreadsheet, CoachAccountable or Paperbell export, and clients, programs and content are imported for you during onboarding. A tracked client can have a full record before they ever log in, so you can choose when to invite each person. Should you ever leave, you can export every client's history as a ZIP and the roster as a CSV that includes the assigned coach. For more on the record side, see client management platforms compared across the whole workflow.

Which multi coach platform should you choose?

Choose Coachful if you run a practice of two to six coaches, sell to individuals, deliver programs between sessions and want to retire several subscriptions. It covers all four journey stages under one login, handles assigned caseloads and session routing, and the free white-glove build removes much of the setup work.

The other four each win on a specific need:

  • Vibly if sponsors, a BAA, HubSpot or more than six coaches define your practice.
  • AttractWell if courses and memberships drive revenue and you can fill six accounts.
  • Simply.Coach if you run corporate engagements with program managers and sponsors.
  • Quenza if your admin stack already works and you only need a delivery layer.

Before you trial anything, write down your next three hires and your largest planned cohort, then price them against the tables above. That one exercise will rule out most of the wrong options. You can also read how Coachful handles teams and browse other side-by-side comparisons.

Frequently asked questions

What are multi coach team management platforms?

They are coaching platforms that let several coaches work under one business account. The core features are seats, roles, client assignment, session routing and reporting for the owner. The better ones also cover marketing, payments and delivery, so the team is not stitching together separate tools.

How many coaches can Coachful support?

Coachful's team plans add coach seats, with 3 on Studio and 6 on Agency. Each coach has their own availability, and you can add virtual assistants with limited permissions. If you expect to go well past six coaches soon, compare Vibly or Simply.Coach, which list per-seat or per-coach growth.

Can coaches see only their own clients?

In Coachful, yes. A coach can be limited to assigned clients or given the whole roster, and permissions can be adjusted per person. On other platforms, confirm this directly, because it is often missing from public plan pages.

How do bookings get assigned across several coaches?

Coachful's multi-coach session types assign by round-robin, by least busy, or by letting the client choose a coach first. Only coaches available at the chosen time are assigned. It does not offer routing forms that pick a host from form answers, so plan your offer pages with that in mind.

Is per-coach or flat pricing better for a coaching practice?

Flat or seat-bundled pricing is usually kinder if your coaches carry large or group caseloads, since extra clients do not raise the bill by tier. Per-coach pricing can be reasonable with a few one-to-one clients per coach. Run your own coach and client counts through the tables above, because the crossover depends on your caseload.

What is the free white-glove service?

It is a build service included on every Coachful plan. You describe what you want, such as a website, funnel, program or email sequence, and attach references, and the team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design, ad management or ongoing marketing.

Is Coachful suitable for a practice with licensed therapists?

Not for clinical work. Coachful is not HIPAA-certified, signs no BAA and is not for clinical records or insurance billing, so those records belong in a clinical system. Vibly documents HIPAA compliance with a BAA, and Practice Better is a practice-management option worth comparing for that need.

What happens to client data when a coach leaves?

Software can reassign the client, but your contract and privacy notice decide who may keep what. In Coachful, a client's history lives on the client record rather than with the coach, and the roster export lists each assigned coach. Agree the terms in writing up front, and have a local attorney check them, particularly where the GDPR applies.

Do we need a separate CRM alongside a team coaching platform?

Most small practices do not, since a built-in coaching CRM holds leads and client records together. Firms with a sales team on HubSpot or Salesforce are the exception. Coachful has no integration with either, while Vibly offers two-way HubSpot sync.

Can we try these platforms before committing?

Yes, in most cases. As listed in October 2026, Vibly offers 14 days, Simply.Coach 14 days without a card and Quenza 30 days without a card, while AttractWell's first month is $1. Coachful offers a free trial too. Test with real coaches and a real booking, because team problems rarely show up in a solo walkthrough.
