Vibly vs CoachAccountable in 2026: Which Fits Your Coaching?

Vibly vs CoachAccountable in 2026: Which Fits Your Coaching?

The short answer to vibly vs coachaccountable: Vibly is coaching management software built mainly for organizations (coaching firms, employers, wellness programs, clinics and coach networks), with an operations portal, two-way HubSpot sync and HIPAA compliance with a signed BAA. CoachAccountable is a coaching back office for individual coaches and small practices, priced by the number of active clients, with action plans, metrics, worksheets, courses, invoicing and agreements on every plan. If you run a coaching organization with sponsors and compliance needs, Vibly is the closer fit. If you are a solo coach with a modest roster who wants accountability tools, CoachAccountable is. If you deliver programs between sessions and want the website, payments and client app in one place, there is a third option at the end of this guide.

We make Coachful, so read our recommendation with that in mind. Every vendor fact below comes from the vendors' own pricing pages and public review sites as listed in October 2026, unless we say the detail is older. We have not run either product with paying clients; we describe what each vendor documents and what public reviewers report.

What is the short answer for each type of coach?

Pick by who pays for the coaching and how many clients you carry. Organizations with sponsors lean Vibly; solo coaches with under about 20 clients lean CoachAccountable; program-led coaches who want fewer tools lean Coachful.

  • You run a coaching firm, an employer wellbeing program or a coach network: Vibly. Its operations portal handles coach rosters, client assignment and sponsor reports, and it syncs both ways with HubSpot.
  • You coach in a clinic or handle protected health information: Vibly, because it offers HIPAA compliance with a business associate agreement. CoachAccountable said in our older (September 2026) profile data that it is not HIPAA compliant, and Coachful is not HIPAA-certified either.
  • You are a solo coach with a small roster and want action plans and metrics: CoachAccountable. Its 30-day trial needs no card, every plan has the full feature set, and you only pay for active clients.
  • You run a small team of coaches but do not need HubSpot or HIPAA: CoachAccountable allows unlimited coaches and admins on every plan, which is unusual. Its cost still climbs with the total active-client count.
  • You sell multi-week programs, want habits and check-ins between sessions, and also need a website, funnels and email: Coachful. Neither Vibly nor CoachAccountable documents a website builder or funnel pages.

If you are already leaning one way, our deeper pages may help: the Vibly review and the CoachAccountable review cover each tool on its own.

How do Vibly and CoachAccountable compare side by side?

On paper, Vibly wins on organization features and compliance, and CoachAccountable wins on transparent, all-features pricing and trial length. Coachful wins on how much of the client journey sits behind one login.

Public ratings point in the same direction for both vendors: users who choose them tend to like them. Vibly holds 4.9 on Capterra from 22 reviews (seen October 29, 2026). CoachAccountable holds 4.8 on Trustpilot from 47 reviews (seen October 25, 2026). Coachful holds 4.5 on Trustpilot from 21 reviews. These are small samples on different sites, so treat them as a sign that none of the three is broken, not as a ranking.

How much do Vibly and CoachAccountable cost?

Vibly charges per plan: Basic is $25 a month ($20 billed annually), Pro is $59 ($50 annually), and Teams is $149 a month for 2 seats plus $50 per extra seat. CoachAccountable charges by active clients, from $20 a month for 2 clients up to $4,000 a month for 1,000, with no annual discount.

Here are the plan ladders as listed in October 2026.

Two caveats on Vibly. First, it advertises an AI add-on at $20 a month (first month free), but the add-on was labelled "Coming Soon" with a waitlist, so you cannot budget for features you cannot use yet. Second, Vibly's feature list and its plan comparison table disagree in places, and the plan summary we recorded describes Basic and Pro as solo-coach plans without setting out a client cap. Before you pay, confirm which features sit on Basic versus Pro, and whether any client limit applies.

CoachAccountable pricing page with prices set by number of active clients
CoachAccountable's pricing page in October 2026.

CoachAccountable's ladder is the clearest of the three: 2 clients cost $20, 5 cost $40, 10 cost $70, 20 cost $120, 35 cost $200, 50 cost $250, 75 cost $340 and 100 cost $400. Only active clients count, and there are no add-ons to buy. The flip side is that every new client moves you toward the next tier, which is why reviewers call it expensive for large group programs. Our CoachAccountable pricing breakdown and Vibly pricing guide go tier by tier.

What would you pay at 10, 20 and 50 clients?

The table below is an example for a solo coach paying monthly. Vibly's figures assume the solo plans carry no client cap, which you should confirm; CoachAccountable's figures are its listed tiers.

Tool10 active clients20 active clients50 active clientsAlso covers a website and email?

Vibly (Pro, monthly)$59$59$59Not documented; budget for separate tools
CoachAccountable$70$120$250No (older profile); budget for separate tools

The tool line is only part of the bill. If your platform has no website, funnels or email, you pay for those somewhere else, and you also pay in hours keeping them connected. Add up the full stack before you compare sticker prices.

How do the features compare, area by area?

Both tools cover the core of a coaching practice: sessions, client records, payments and programs. They differ on who the system is designed around. Vibly is designed around the organization that manages coaches; CoachAccountable is designed around the coach who holds clients accountable.

Scheduling and video

Vibly includes built-in video, so sessions can run inside the platform rather than through a separate meeting tool. CoachAccountable handles sessions as part of its back office, and our profile notes do not list a built-in video room, so plan on your usual meeting link. If you live in your calendar, test two-way sync with the calendar you use during each trial.

Action plans, metrics and worksheets

This is CoachAccountable's home ground. Action plans, tracked metrics and worksheets are the reason most of its users choose it: the coach sets commitments, the client reports progress, and both see the record. Vibly lists programs, group cohorts and events. If your method depends on clients logging numbers every week, CoachAccountable's documentation is deeper here. Our guide on tracking client habits without CoachAccountable shows what the same workflow looks like elsewhere.

Payments and invoicing

Vibly takes payments through Stripe and states no Vibly fee on client payments, so you pay Stripe's processing only. CoachAccountable includes invoicing, and our older profile lists Stripe, Square and PayPal as processors; its pricing page does not state a transaction fee. If you have clients who insist on PayPal, CoachAccountable is the one of the two that lists it.

Agreements and forms

CoachAccountable lists agreements and worksheets among its core tools. Vibly's public materials focus on operations and programs; confirm how it handles signed coaching agreements before you migrate contract workflows.

Courses, groups and events

CoachAccountable includes courses on every plan. Vibly lists programs, group cohorts and events. Neither documents a community feed in the material we reviewed. If you run cohorts, note that CoachAccountable's per-active-client pricing counts every cohort member, so a 30-person group program moves you to the 35-client tier at $200 a month.

Team and organization tools

This is the clearest split. Vibly has an operations portal for coach rosters, client assignment and sponsor reports, two-way HubSpot sync and an API. That suits a firm placing coaches with corporate clients and reporting back to the sponsor. CoachAccountable takes a different approach: unlimited coaches and admins on every plan, priced by the total active clients across the account. A three-coach practice with 40 clients between them pays for 50 clients, not for three seats.

Website, funnels and email marketing

Neither tool documents a website builder, funnel pages or email sequences. Our older CoachAccountable profile says plainly that it has no landing pages, website or marketing automation. So with either, you keep a separate site builder and email tool, and you connect them to your booking and payment links yourself.

AI features

Vibly's AI add-on was still marked "Coming Soon" in October 2026. CoachAccountable's pricing page lists no AI add-on and no add-ons at all. If AI help with program drafting or session prep matters to you today, neither tool offers it in a form you can buy now.

Data export and switching

CoachAccountable documents a per-client Export on the Clients tab that exports full coaching history, a bulk CSV import, and lifetime access for previous clients to their records. Vibly has no public help center or documented export we could find, so ask how you would get your data out before you put a roster in. If you are leaving CoachAccountable, our CoachAccountable migration guide covers data, payments and timing.

Which is safer for health coaching and clinical settings?

Vibly, if you handle protected health information. It offers HIPAA compliance with a business associate agreement, which CoachAccountable (by its own statement in our older profile) and Coachful do not.

Under HIPAA, a vendor that stores protected health information on behalf of a covered entity, such as a clinic or health plan, acts as a business associate and needs a signed agreement. The U.S. Department of Health and Human Services explains this in its guidance on business associates. If you coach inside a clinic, an insurer's wellness program or an employer health plan, that requirement often decides the software before features do.

For independent health and wellness coaches, the picture is different. Coaching is not medical treatment. A health coach who works on habits, sleep, movement and stress outside a clinical setting often is not a covered entity at all, but check with an attorney if you are unsure, because it depends on how you are paid and who you work with. Whatever tool you use, refer clients to a doctor or licensed clinician when you see red flags such as unexplained weight loss, chest pain, signs of disordered eating, or symptoms of depression with thoughts of self-harm. Clinical records and insurance billing belong in a clinical system. Health coaches weighing options can also read our CoachAccountable alternatives for health coaches.

What does the client experience look like in each?

Vibly's clients use a browser portal, and no native mobile app is mentioned. CoachAccountable's clients also work in the browser; our older profile notes no native mobile app. In both, the client experience is a place to see sessions, tasks and materials rather than a daily habit.

That matters more than it sounds. Coaching results happen between sessions, when the client is supposed to do the work. A portal the client opens before a call gets used before a call. An app on the phone with a morning check-in and a habit streak gets opened every day. CoachAccountable's action plans and metrics help here, because they give the client something concrete to report. Vibly's strength is on the organization side: the sponsor gets a report, the firm sees which coach holds which client.

Ask yourself who the main user of the system is. If it is the program manager at a coaching firm, Vibly is built for that person. If it is you, the coach, CoachAccountable is built for you. If it is your client, look for the tool that puts the most care into the client's daily view.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Which should you pick for your kind of coaching?

Match the tool to the shape of your practice, not to a feature count. The table below sums up where each fits, with Coachful included as the third option.

A few specific cases:

  • Executive coach placed through a firm: the firm probably already chose; if it is choosing, Vibly's sponsor reports fit corporate engagements. An independent executive coach may prefer a lighter tool; see our alternatives for executive coaches.
  • Life coach with 8 one-to-one clients: CoachAccountable at the 10-client tier is simple and complete for the back office, though you will still need a website.
  • Business coach running a 40-person cohort: CoachAccountable's 50-client tier is $250 a month; compare that with flat-priced tools before you launch.
  • Fitness or nutrition coach: neither tool documents workout or meal-plan builders in the material we reviewed. Look at a platform with a dedicated fitness and nutrition pack.

Is there a third option between Vibly and CoachAccountable?

Yes. Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; the client has one branded app.

What Coachful is and who it is for. Coachful is built for coaches who deliver programs, not just sessions: solo coaches growing into a small team and coaches tired of paying for and connecting 4 to 6 separate tools. The company is based in Tallinn, Estonia. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click.

Where Coachful beats both

  • Between-session delivery. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. This is the daily layer that neither Vibly's portal nor CoachAccountable's back office is designed around.
  • The whole funnel in one place. A section-based website builder with a blog, custom domain and 30 designed homepage templates; booking, application, lead-magnet and checkout funnels with pixels and UTM tracking; email lists, broadcasts and multi-step sequences with branching and A/B splits.
  • Flat pricing for groups. The unlimited plan does not climb with every cohort member, unlike per-active-client pricing (Pro: $99/month with unlimited clients).
  • AI you can use today. Michelle, the built-in assistant, works from live practice data: she builds programs, drafts emails, summarizes recorded sessions and briefs you before each session. Questions and planning are included in your Coachful membership; confirmed builds use AI credits.
  • Payments without a platform cut. Payments run through your own Stripe Connect or Razorpay account with a 0% Coachful platform fee, plus subscriptions, payment plans, order bumps, coupons and Stripe Tax.
  • ICF credential tracking. Coaching hours and distinct clients are counted against ACC, PCC and MCC thresholds, with an exportable ICF client coaching log. See ICF hour tracking.

The client side is where the difference shows. A client opens the app, sees today's tasks and habits, answers a morning check-in, and the answers land on the coach's client record with a status of thriving, active, quiet or at risk. Before the next session, the coach reads an AI briefing instead of scrolling back through notes.

Scheduling covers the same ground a coach expects from a dedicated tool: booking pages with availability rules, buffers and minimum notice; two-way Google, Apple/iCloud and Outlook sync; built-in video or auto-created Zoom, Meet or Teams links; email reminders plus SMS and WhatsApp once messaging is enabled; and round-robin assignment for multi-coach session types.

Where Coachful does not beat them

Be clear on these before you switch:

  • No HIPAA, no BAA. Coachful is not HIPAA-certified and is not for clinical records or insurance billing. If you need a BAA, Vibly is the better choice.
  • No HubSpot or Salesforce integration and no multi-stage sales deal board for large teams. Vibly's HubSpot sync and operations portal are built for organizations; Coachful is not.
  • No PayPal. CoachAccountable lists PayPal (older profile); Coachful uses Stripe or Razorpay.
  • Seats cost more as teams grow. CoachAccountable includes unlimited coaches and admins on every plan; Coachful's team plans (Studio and Agency) add a set number of coach seats.
  • Client app under the Coachful listing. Clients get your branding inside the Coachful app, not an app in your own App Store account.
  • No routing forms that choose a host from form answers, no permanent free plan, and no Garmin, Fitbit, Whoop or Oura sync.

Why Coachful stands out: a free white-glove service. On every plan, from Create > We'll build it for you · FREE, you describe what you want built (a website, funnel, sales page, program, course outline, coaching flow, form, email sequence, link-in-bio page, lead quiz, webinar or automation) and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing.

Recent builds give a sense of scope. A menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. A real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel. Read more in our post on the free white-glove service.

How should you test these tools during a trial?

Run the same week of real work through each tool. The trial lengths differ (CoachAccountable 30 days with no card, Vibly 14 days, Coachful a free trial), so start the shortest one last if you plan to overlap them.

  1. Set up one real offer. A 12-week program or a 6-session package, with the price, the payment plan and the agreement you actually use.
  2. Book a test session as a client. Use a second email address. Note every screen the client sees, every email they receive and whether the calendar invite lands in the right time zone.
  3. Do one week of between-session work. Assign tasks or a habit, complete them as the client on your phone, and see what the coach sees afterwards.
  4. Take a payment. Run a small real charge through Stripe and refund it. Check what the invoice looks like.
  5. Export your data. Try to get one client's full history out. If you cannot find how, ask support before you commit.
  6. Price your next 12 months. Use your realistic client count in six months, not today's, and add whatever separate website and email tools you would still need.

Write down the results in a simple table. The tool that wins on your own offer, your own client view and your own 12-month cost is the right one, whatever any comparison says.

What do coaches commonly get wrong in this comparison?

The most common mistake is comparing feature lists instead of who the product serves. Vibly and CoachAccountable can both list sessions, programs and payments, yet they feel very different in use because one is built for an organization and the other for a coach.

  • Buying organization software as a solo coach. Sponsor reports and HubSpot sync are valuable to a firm and dead weight to a solo practice.
  • Pricing only today's roster. On per-active-client pricing, a successful launch raises your bill. Price the roster you hope to have.
  • Forgetting the rest of the stack. If the tool has no website or email, those costs and logins do not disappear.
  • Assuming compliance. If you need HIPAA, get a signed BAA in writing. Do not assume it from marketing copy.
  • Ignoring the client's daily view. Your clients will judge your coaching partly by the app they open between sessions.

Frequently asked questions

Is Vibly or CoachAccountable cheaper?

It depends on your roster. For a solo coach, Vibly Basic is $25 a month and Pro is $59, while CoachAccountable starts at $20 for 2 active clients and reaches $70 at 10 and $120 at 20. Once you carry more than about 10 active clients, Vibly's solo plans usually cost less, provided no client cap applies, which you should confirm on Vibly's plan page.

Does Vibly offer HIPAA compliance?

Yes. Vibly offers HIPAA compliance with a business associate agreement, which is one of its main differences from CoachAccountable. CoachAccountable stated in our older profile data that it is not HIPAA compliant. Coachful is not HIPAA-certified either.

Does CoachAccountable have a mobile app?

Our older profile data notes no native mobile app for CoachAccountable; clients use it in the browser. Vibly's client portal also runs in the browser, and no native app is mentioned. Coachful clients use your branding inside the Coachful app.

Which is better for a coaching firm with several coaches?

Vibly is built for that case, with an operations portal for coach rosters, client assignment and sponsor reports, plus HubSpot sync and an API. CoachAccountable is a reasonable choice for a small team that does not need sponsor reporting, because every plan includes unlimited coaches and admins. Coachful suits a small team that sells programs and wants one shared website and client app.

Do Vibly or CoachAccountable take a cut of client payments?

Vibly states no Vibly fee on client payments; you pay Stripe's processing fees. CoachAccountable's pricing page does not state a transaction fee, and our older profile lists Stripe, Square and PayPal as processors. Coachful charges a 0% platform fee, so you pay only Stripe or Razorpay processing.

Can I build a website with Vibly or CoachAccountable?

Neither documents a website builder or funnel pages, and our older CoachAccountable profile says it has no landing pages, website or marketing automation. Plan to keep a separate site and email tool with either. Coachful includes a website builder, funnels and email sequences in your membership.

How long are the free trials?

CoachAccountable offers 30 days with no credit card and no limits. Vibly offers 14 days. Coachful offers a free trial, and its white-glove team can build your first website or program while you test it.

What is Coachful's free white-glove service?

On every Coachful plan, you can ask the team to build a website, funnel, program, course outline, email sequence or similar inside your account, usually within about 24 hours. You attach reference links and files, and nothing is invented: no fake testimonials, credentials or prices. It does not include video recording, logo design or ad management.

Can I move my clients from CoachAccountable to another tool?

Yes. CoachAccountable documents a per-client export of full coaching history from the Clients tab, and previous clients keep lifetime access to their records. If you move to Coachful, clients, programs and content are imported for you during onboarding.

Which should a health coach pick?

If you work inside a clinic or handle protected health information for a covered entity, choose a tool that signs a BAA, such as Vibly. If you coach independently on habits and lifestyle, and keep clinical records elsewhere, a program-led platform like Coachful gives clients daily habits and check-ins. Either way, coaching is not treatment, so refer clients to a clinician when medical concerns come up.
