Vibly vs Quenza in 2026: Which One Should Coaches Pick?

Vibly vs Quenza comes down to what you need the software to run. Vibly is coaching management software built mainly for organizations: coaching firms, employers, wellness programs and clinics that need a coach roster, client assignment, sponsor reports, HubSpot sync and HIPAA compliance with a signed BAA. Quenza is a client-engagement tool: you send clients activities, worksheets and programs, chat with them and follow their progress, but as listed in October 2026 it does not take client payments and it does not book sessions. If you run a coaching organization with health data, Vibly fits better. If you are a solo coach or therapist who mainly wants structured homework between sessions, Quenza fits better. If you are a coach who wants booking, payments, programs and marketing in one place, a third option, Coachful, covers more of the business than either.
This comparison uses what each vendor lists on its own pricing and product pages in October 2026, plus what public reviewers report. We did not run hands-on tests. We make Coachful, so we say clearly where Coachful wins and where Vibly or Quenza is the better pick. You will find the short answer by use case, a side-by-side table, pricing in dollars, a feature-by-feature walk-through, the client experience, and a decision guide by coach type.
What is the short answer to Vibly vs Quenza?
Pick Vibly if you manage several coaches for clients or sponsors and need HIPAA with a BAA; pick Quenza if you mainly assign activities and worksheets and handle booking and payments somewhere else. Both are narrower than an all-in-one coaching platform, in different directions.
- You run a coaching firm, employee program or clinic: Vibly. Its operations portal handles coach rosters, client assignment and sponsor reports, and it syncs both ways with HubSpot.
- You handle protected health information in the US: Vibly, because it offers HIPAA compliance with a business associate agreement. Quenza does not list a BAA on its pricing page, and Coachful is not HIPAA-certified.
- You are a therapist or coach who lives in worksheets and exercises: Quenza. Its plans include 100+ core activities on Spark, rising to 400+ premium activities on Impact.
- You want to sell, book and deliver in one place as a solo coach or small team: neither is built for that first. Coachful bundles booking, payments, contracts, programs, courses, community, a website, email and an AI assistant under one login.
The rest of this article backs up each of those calls, with the numbers.

How do Vibly and Quenza compare side by side?
Vibly looks after the operations of a coaching business, while Quenza looks after what the client does between sessions. Coachful is included as the third column because many coaches comparing these two end up needing both halves.
Ranked on one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build):
| Tool | Best for | Entry price | Booking and video | Client payments | HIPAA with BAA | Client app |
|---|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs and want booking, payments, delivery and marketing in one place | Lite: $29/month for up to 5 clients | Yes: booking pages, two-way calendar sync, built-in video or auto-created Zoom, Meet or Teams links | Yes, through your own Stripe Connect or Razorpay account; 0% platform fee | No (not HIPAA-certified) | Branded client app inside the Coachful app |
| Vibly | Coaching organizations: firms, employers, wellness programs, clinics, coach networks | $25/month (Basic), $20/month billed annually | Built-in video listed | Yes, through Stripe; no Vibly fee on client payments | Yes | Browser portal; no native mobile app mentioned |
| Quenza | Solo coaches and therapists who assign activities, worksheets and programs | $25/month (Spark, 10 clients), $20/month billed annually | No scheduling or video calls (older profile, September 2026) | No; invoicing and digital products marked "planned" | Not listed | Yes, a mobile app on every plan |
Both Vibly and Quenza start at the same $25 monthly price, so the entry price does not separate them. What you get for it does. Vibly's Basic plan is a solo-coach seat inside software designed for teams. Quenza's Spark plan is the full activity experience, capped at 10 clients.

How much do Vibly and Quenza cost?
Vibly lists Basic at $25 a month and Pro at $59 a month for solo coaches, and Teams at $149 a month for two seats. Quenza lists five plans from $25 a month for 10 clients to $160 a month for three professionals and 500 clients, with a custom Beyond tier above that. These are the prices as listed in October 2026.
| Plan | Monthly | Billed annually (per month) | Limits | Notable inclusions |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Flat monthly plans; monthly plans cancel in one click | Lower plans cap clients; Pro is unlimited; team plans add coach seats | Booking, payments, contracts, programs, courses, community, website, email and AI assistant included in your Coachful membership |
| Vibly Basic | $25 | $20 | Solo coach | Plan-level feature split not consistent on the pricing page |
| Vibly Pro | $59 | $50 | Solo coach | Higher solo tier |
| Vibly Teams | $149 | Not listed | 2 seats, then $50 per extra seat | Multi-coach use |
| Vibly Enterprise | Custom | Custom | Demo only | For larger organizations |
| Quenza Spark | $25 | $20 | 1 professional, 10 clients | Activities, programs, notes, tasks, 1:1 chat, 100+ core activities, mobile app |
| Quenza Growth | $50 | $40 | 1 professional, 250 clients | Groups, 1 landing page, file sharing, recurring tasks, custom logo, 1 webhook, 200+ activities |
| Quenza Impact | $125 | $100 | 1 professional, 400 clients | Custom domain, custom email sender, 2 webhooks, 3 landing pages, 400+ premium activities |
| Quenza Collective | $160 | $128 | Up to 3 professionals, 500 clients | Team chat, API access, 5 webhooks, 5 landing pages |
| Quenza Beyond | Custom | Custom | Unlimited clients and professionals | Roles and permissions, unlimited webhooks, priority support, full-service setup |

Trials, fees and add-ons
Quenza offers a 30-day free trial with no credit card. Vibly offers a 14-day trial. Neither has a permanent free plan. Quenza's annual billing is 20% off the monthly price.
Vibly takes no fee on the payments your clients make; you pay Stripe's processing fees only. Quenza has no transaction fee because it does not process client payments at all: invoicing and digital products are marked "Planned/Soon" on its pricing page. Vibly advertises an AI add-on at $20 a month with the first month free, but labels it "Coming Soon" with a waitlist, so do not budget on it being available yet. Vibly's feature list and its comparison table disagree in places, so confirm in a demo or trial which features sit on Basic and which need Pro.

What a real month costs: three examples
The subscription is only part of the bill. These are illustrative examples built from the listed prices, not quotes.
- Example: a solo coach with 30 clients. Quenza's Spark plan stops at 10 clients, so this coach needs Growth at $50 a month ($40 billed annually). They also still need a booking tool and a way to take payments, because Quenza does neither. On Vibly, the same coach could start on Basic at $25 a month or Pro at $59, with booking, video and Stripe payments listed, but no native client app.
- Example: a coaching firm with 4 coaches. Vibly Teams covers two seats for $149, and two extra seats at $50 each bring it to $249 a month. Quenza's Collective plan stops at three professionals, so a fourth coach pushes the firm onto custom Beyond pricing.
- Example: a therapist with 300 clients doing worksheet-heavy work. Quenza Impact at $125 a month covers up to 400 clients with the full premium activity library. Booking, telehealth and billing would sit in separate tools.
For the same "what does the whole stack cost" view on Coachful, the cheapest plan covering 30 clients is Pro: $99/month with unlimited clients, and the cheapest plan with no client cap is Pro: $99/month with unlimited clients. Booking, payments, contracts, programs and your website are included in your Coachful membership, so there is no second or third tool to add. For deeper breakdowns, read our Vibly pricing guide and our Quenza pricing guide.
How do Vibly and Quenza handle scheduling and sessions?
Vibly lists built-in video and session management; Quenza, in our September 2026 profile, has no scheduling or video calls. If you want clients to book and join sessions in the same tool, Vibly is the only one of the two that does it.
Quenza's model assumes you run sessions elsewhere (a calendar tool plus Zoom or a telehealth platform) and use Quenza for what happens between them. That is a clean split if you already have booking you like. It is extra work if you are starting from nothing, because each client then has a booking link from one tool, a video link from another, and activities from Quenza.
Vibly's session side is built for teams: client assignment across a coach roster matters more there than a polished solo booking page. Vibly's pricing page does not detail its booking rules, calendar sync or reminders, so check those in the 14-day trial if they matter to you. Our Vibly review covers what we could confirm.
For comparison, Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple/iCloud and Outlook calendar sync, built-in video or auto-created Zoom, Meet or Teams links, email reminders, and SMS and WhatsApp reminders once messaging is enabled. Multi-coach session types can assign by round-robin or least-busy. See Coachful scheduling.

Can you take client payments in Vibly or Quenza?
Vibly takes client payments through Stripe with no Vibly fee; Quenza does not take client payments today. This is the single biggest practical difference for solo coaches.
With Quenza, you invoice and collect through another tool: Stripe directly, an invoicing app or your accountant's system. Quenza's pricing page marks invoicing and digital products as planned, so this may change, but you should buy on what exists today. With Vibly, Stripe is the listed processor. Our facts do not show PayPal for either tool.
Coachful runs payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction plus manual invoices. Since August 2026 Coachful takes a 0% platform fee, so you only pay Stripe or Razorpay processing. Coachful does not support PayPal. More on Coachful payments.

How do programs, activities and homework compare?
Quenza is the stronger of the two for structured between-session homework, because the activity library is the product. Vibly lists programs, group cohorts and events, aimed more at running a coaching engagement than building a worksheet catalogue.
Quenza's tiers are effectively sized by activity library: 100+ core activities on Spark, 200+ on Growth, and 400+ premium activities on Impact, alongside programs, notes, tasks, recurring tasks (Growth and up) and groups (Growth and up). Quenza's page also marks an AI activity generator as planned. If your method rests on psychoeducation exercises, reflection forms and assessments, that library is the reason to pick Quenza. Our Quenza review goes deeper.
Vibly's programs and group cohorts suit organizations that run a defined coaching engagement for a sponsor, where reporting on progress to that sponsor matters as much as the content itself.
Coachful sits between the two and goes further on daily structure. Its programs run over multiple weeks with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars, and streaks. Cohort groups are created automatically when clients enroll. There are more than 40 ready-to-film program templates and 48 course templates with quizzes. Here is a short walkthrough of building a program in Coachful:
What Coachful does not have is a 400-item clinical worksheet library like Quenza's premium tier. You write or adapt your own activities, or start from Coachful's templates.

Which is better for coaching organizations and teams?
Vibly, clearly. It is built for organizations first, with an operations portal for coach rosters, client assignment and sponsor reports, two-way HubSpot sync and an API.
Quenza's team story is lighter. Collective adds team chat, API access and up to three professionals; Beyond adds roles and permissions and unlimited professionals on custom pricing. That works for a small group practice. It is not a sponsor-reporting system for an employee coaching program.
Coachful's team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions, which suits a solo coach growing into a small team. Coachful does not have a multi-stage sales deal board for large teams and has no Salesforce or HubSpot integration. If HubSpot is your system of record, Vibly is the better fit. Coachful's team features are on Coachful for teams.
What about HIPAA, privacy and health data?
Vibly offers HIPAA compliance with a business associate agreement (BAA), which is decisive if you are a US covered entity or its business associate handling protected health information. Quenza does not list a BAA, and Coachful is not HIPAA-certified and does not sign one.
Under HIPAA, a covered entity that shares protected health information with a vendor needs a business associate agreement with that vendor; the US Department of Health and Human Services publishes sample business associate agreement provisions. Whether HIPAA applies to you depends on what you do and how you bill, so check with an attorney or compliance adviser if you are unsure.
A plain scope line for health and wellness coaches: coaching is not medical or psychological treatment. If a client describes symptoms, a diagnosis, medication changes, disordered eating, self-harm or thoughts of suicide, refer them to a licensed clinician or emergency services. Clinical records and insurance billing belong in a clinical system. Coachful is GDPR-ready and exports full client data as a ZIP, but it is not for clinical record-keeping. Vibly's public pages do not document a data export, and Quenza's export is not documented either (API access on Collective, per our older profile).
What do clients actually see in Vibly and Quenza?
Quenza clients get a mobile app on every plan; Vibly clients use a browser portal, with no native mobile app mentioned. For clients who check in daily, an app usually matters more than coaches expect.
In Quenza, the client experience centres on receiving activities and programs, completing them, and chatting with the coach. Custom logo arrives on Growth, and a custom domain and email sender on Impact. Because there is no booking or payment, clients still meet your other tools for those steps.
In Vibly, clients log into a browser portal for sessions, programs and events, with built-in video. For organizational clients, such as employees in a sponsored program, a browser portal is often acceptable. For consumer clients doing daily habits, it is more friction.
Coachful clients get one branded home and app covering sessions, programs, check-ins, habits, courses, community and documents. The app ships under the Coachful listing with your branding, not under your own App Store account.

What do public reviewers say about Vibly and Quenza?
Both have small review bases, so treat the scores as signals rather than verdicts. Vibly shows 4.9 from 22 reviews on Capterra (seen October 2026). Quenza shows 4.3 from 8 reviews on Trustpilot (seen October 2026).
With 8 and 22 reviews, a handful of ratings can move either score, and the two sites attract different reviewers. Coachful shows 4.5 from 21 reviews on Trustpilot, which is also a small base. Use a trial to judge fit for your own practice.
Which should you pick for your type of coaching?
Match the tool to how your practice earns money and where clients spend time. This table maps common coach types to the best fit.
| Coach type | Best fit | Why |
|---|---|---|
| Coachful: solo coach selling programs, packages or group coaching | Coachful | Booking, payments, contracts, programs, community, website and email under one login; plan for 15 clients: Solo: $49/month for up to 20 clients |
| Coaching firm placing coaches with corporate sponsors | Vibly | Coach roster, client assignment, sponsor reports, HubSpot sync |
| Clinic or wellness program handling protected health information | Vibly | HIPAA compliance with a BAA |
| Therapist or counsellor who assigns worksheets and exercises | Quenza | Large activity library, client app, 30-day trial |
| Solo coach with under 10 clients who already has booking and payments | Quenza Spark | Low entry price for activities only |
| Health, fitness or nutrition coach without clinical records | Coachful | Habits, check-ins, Fitness and Nutrition pack, branded app |
| ICF-credentialing coach tracking hours | Coachful | Counts hours and clients against ACC, PCC and MCC thresholds and exports a coaching log |

Is there a third option if neither fits?
Yes. Coachful is the third option for coaches who want what Vibly does for sessions and payments and what Quenza does between sessions, in one place. It beats both for solo coaches and small teams who deliver programs; it does not beat Vibly for HIPAA or HubSpot-driven organizations.

What Coachful is
Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing 4 to 6 tools. The company is based in Tallinn, Estonia.
Where Coachful beats both
- One login for the whole client journey. A client can find you through your website or a funnel, book, sign a coaching agreement with e-signature before the first call, pay through your Stripe account, and then follow a program with daily tasks and check-ins, all in one place. With Quenza you would need at least two more tools; Vibly does not list a website builder, funnels or email marketing.
- Between-session delivery. Habits, morning and evening check-ins, streaks, goals with progress bars, courses with drip, and a community feed with group chat. Michelle, the built-in AI assistant, briefs you before sessions and summarizes recorded ones. The AI Coach lets selected clients chat with an AI version of you between sessions, configured by you.
- Selling. A section-based website builder with 30 designed homepage templates, booking, application, lead-magnet and checkout funnels, email broadcasts and sequences, a social planner, and Instagram automations that send a booking link or lead magnet in a DM when someone comments a keyword. See the coach website builder.
- Client record. Goals, check-ins, habits, notes, intake answers, tags, payments and sessions on one record, with a status of thriving, active, quiet or at risk. More on the coaching CRM.
- Total stack cost. Because the pieces are included in your Coachful membership, you are not adding a booking tool to Quenza or a website builder and email tool to Vibly. Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).
Why Coachful stands out: a free white-glove service. On every plan, you can go to Create and choose "We'll build it for you · FREE", describe what you want, and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides or copy. The Coachful team builds it inside your own account, usually within about 24 hours: a website, funnel, sales page, program, course outline and written material, email sequence, form, link in bio, event or automation. Nothing gets invented, so there are no fake credentials, testimonials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream, with every button leading to a free 20-minute consultation. Read more about the free white-glove service.

Where Coachful does not beat them
- HIPAA: Coachful is not HIPAA-certified and does not sign a BAA. Vibly does. If you need a BAA, choose Vibly.
- HubSpot and sponsor operations: Coachful has no HubSpot or Salesforce integration and no multi-stage deal board for large teams. Vibly's operations portal is built for that.
- Clinical worksheet depth: Quenza's premium library of 400+ activities is deeper than anything Coachful ships out of the box.
- Other limits: no PayPal, no permanent free plan, no Garmin, Fitbit, Whoop or Oura sync, and the client app ships under the Coachful listing with your branding rather than your own App Store account.
How to start
Start a free trial, then use the white-glove build to have your website, program or funnel set up for you. During onboarding, your clients, programs and content are imported for you. If you are leaving Quenza or Vibly, see our Quenza alternatives, Vibly alternatives and the Vibly alternative page, or compare more tools on Coachful compare.

How do you switch between these tools without losing data?
Plan the move around what each tool lets you export, because neither Vibly nor Quenza documents a full export publicly. Ask the vendor for an export before you commit, and again before you leave.
- List what you hold: client contact details, session history, notes, completed activities, programs and payment records.
- Ask for exports in writing: Vibly has an API and Quenza has API access on Collective, which can help, but confirm the format.
- Keep health data where it belongs: if you hold protected health information in Vibly, do not move it to a tool without a BAA.
- Run both for one billing cycle: move new clients first, then active ones at a natural program break.
- Tell clients what changes: a new login, a new app, a new payment link.
On Coachful, clients, programs and content are imported for you during onboarding, and you can export full client data as a ZIP at any time. If you are also weighing other Quenza competitors, our CoachAccountable vs Quenza and Delenta vs Quenza comparisons cover them.
Frequently asked questions
Is Vibly or Quenza cheaper?
Both start at $25 a month, or $20 billed annually, as listed in October 2026. Quenza's entry plan caps you at 10 clients, while Vibly's Basic plan is priced per solo coach. Quenza's total cost rises because you still need separate booking and payment tools.
Does Quenza have scheduling or video calls?
Not according to our September 2026 profile. Quenza focuses on activities, programs, chat and a client app, and you run sessions in another tool.
Can Quenza take payments from clients?
No. Its pricing page marks invoicing and digital products as planned, so today you collect payments with a separate tool.
Is Vibly HIPAA compliant?
Vibly offers HIPAA compliance with a business associate agreement. If you handle protected health information, that is a strong reason to choose it over Quenza or Coachful, which is not HIPAA-certified.
Does Vibly have a mobile app for clients?
Vibly's client portal runs in the browser, and no native mobile app is mentioned on its pages. Quenza includes a mobile app on every plan.
Which is better for a team of coaches?
Vibly, for most organizations. Teams costs $149 a month for two seats plus $50 per extra seat, and it adds coach rosters, client assignment, sponsor reports and HubSpot sync. Quenza's Collective plan covers up to three professionals.
Do Vibly and Quenza offer free trials?
Quenza offers 30 days with no credit card. Vibly offers 14 days. Neither has a permanent free plan.
What is Coachful's free white-glove service?
On every plan, you describe what you want built, such as a website, funnel, program or email sequence, and attach reference links and files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices.
When should I choose Coachful over Vibly and Quenza?
When you are a solo coach or small team who wants booking, payments, contracts, programs, community, a website and email in one place, with a branded client app. Choose Vibly instead if you need a BAA or HubSpot sync, and Quenza if a deep clinical worksheet library is your priority.
