Dubsado vs Satori for Coaches: Honest 2026 Comparison

If you are weighing dubsado vs satori, here is the short version: Dubsado is a client-workflow CRM built around forms, contracts, invoices and automated workflows, while Satori is a smaller coaching practice tool built around scheduling, packages and a client portal. Dubsado suits coaches who sell a lot of proposals and want deep automation; Satori suits solo coaches who mainly book and bill 1:1 sessions and like that only active clients count toward billing. Neither one delivers the coaching itself between sessions: no habits, no check-ins, no courses, no community.
That gap is why this comparison ends with a third option. We make Coachful, so read that section with that in mind; we have tried to say plainly where Coachful wins and where Dubsado or Satori is the better buy. Everything about Dubsado and Satori below comes from what each vendor documents publicly (Dubsado as listed in October 2026; Satori's dollar figures from its September 2026 pricing data, because its price amounts did not render when we checked in October). We have not run either tool with paying clients, so where we report experience it comes from public reviewers.
What is the short answer by use case?
Pick by the shape of your practice, not by the feature list. The table of "who wins" below is the fastest way to see it.
- You send proposals, contracts and invoices to many prospects and want them to move through automatically: Dubsado Premier. Its Flows (automated workflows) are its strongest feature.
- You are a solo coach with fewer than ten paying clients and mostly sell session packages: Satori Essentials, which caps you at 10 active paying clients.
- You are still studying for a coaching certification and coach pro bono: Satori's Scholar plan, which is free for that use (you apply by form).
- You need to pass card fees to clients, take Klarna or Affirm, or use Square: Dubsado, through Dubsado Payments, PayPal or Square.
- You run programs with work between sessions, a group, a course or a website: neither. Both vendors leave that out, so you would add three or four tools. That is where Coachful fits.

How do Dubsado and Satori compare side by side?
Our ranking criteria, stated once: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including whether someone will build it for you). On those four, Coachful ranks first, Dubsado second for admin depth, and Satori third for scope, though Satori is the simplest of the three to start with.
| Tool | Built for | Entry price | Scheduler | Programs, habits, check-ins | Courses and community | Website and funnels |
|---|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs, solo to small team | Lite: $29/month for up to 5 clients | Yes, on every plan | Yes | Yes | Yes, plus email sequences |
| Dubsado | Service businesses that run on forms, contracts and invoices | $35/month Starter | Premier only ($55/month) | No | No | No (Dubsado says it does not build websites) |
| Satori | Solo coaches selling packages | $33/month Essentials; free Scholar plan for students | Yes | Packages and programs, no habits or check-ins | No | No landing pages (September 2026 data) |
Two things stand out. First, Dubsado's cheapest plan has no scheduler and no automated workflows, so a coach who books sessions really starts at Premier. Second, Satori caps active clients on every paid tier, which keeps the bill low while you are small and pushes you up a tier as you grow.
What does Dubsado do well for coaches?
Dubsado is strongest at the paperwork side of a client relationship: lead capture forms, proposals, contracts, invoices and the automated steps that connect them. If your sales process is "inquiry, proposal, contract, deposit, onboarding questionnaire", Dubsado can run that sequence with little manual work once it is set up.

According to Dubsado's own documentation, as listed in October 2026:
- Starter includes invoicing, contracts and a client portal, with unlimited clients and projects, but only one active lead-capture form, no scheduler and no automated workflows.
- Premier adds the scheduler, Flows (automated workflows), unlimited lead forms, a bookkeeping integration, public proposals and Zapier.
- Payments run through Dubsado Payments (powered by Stripe, with cards, ACH, Klarna, Affirm and Tap to Pay), PayPal or Square. Optional surcharging lets you pass card costs to the client.
- Up to three additional team members are included; larger teams pay more, and each additional brand costs $10/month.
What Dubsado says it is not matters just as much. It states that it does not include website building and is not an email marketing platform. Its mobile app is a companion; full functionality needs the desktop web app. And there are no courses, no client community, no habits and no check-ins. For a coach, Dubsado handles everything up to the first session and the invoices after it; the coaching itself happens elsewhere. Our Dubsado review goes deeper on each plan and its limits.
What does Satori do well for coaches?
Satori is a coaching practice tool: scheduling, a client portal, packages and programs, invoices and contracts, made for coaches rather than general service businesses. Its language and defaults fit someone selling a six-session package more naturally than Dubsado's project-based setup does.

The parts of Satori that coaches tend to like:
- Only active clients count toward billing. Past clients sitting in your records do not push you into a higher tier.
- A free Scholar plan for people studying for a coaching certification, with unlimited pro-bono clients. You apply through a form.
- A coaching-log export for ICF credentialing, which helps if you are logging hours toward ACC or PCC.
- No Satori charge on client payments; standard PayPal and Stripe fees apply.
- A 15-day trial with unrestricted access and no card during the trial, plus a refund if requested within 30 days of signing up.
The limits are real too. Based on Satori's September 2026 profile, there is no native mobile app and no native Zoom integration, and no landing pages, courses or community. A general client-data export beyond the coaching log was not something we could verify. Our Satori review covers each of these in more detail.
How does Dubsado pricing compare with Satori pricing?
On sticker price they start within a couple of dollars of each other, but they charge for different things: Dubsado by features (Starter vs Premier), Satori by how many active clients you have. A booking-heavy coach will usually pay $55/month on Dubsado; a small Satori practice can stay at $33/month until it outgrows ten paying clients.
| Plan | Monthly | Billed yearly | Client limit | Key inclusions |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Flat monthly plans; monthly plans cancel in one click | Lower plans cap clients; Pro is unlimited | Booking, payments, contracts, programs, courses, community, website, email, AI assistant |
| Dubsado Starter | $35 | $335/year (about $27.92/month) | Unlimited clients and projects | Invoices, contracts, client portal; 1 lead form; no scheduler or Flows |
| Dubsado Premier | $55 | $525/year (about $43.75/month) | Unlimited | Scheduler, Flows, unlimited lead forms, Zapier, bookkeeping integration |
| Satori Scholar | $0 | $0 | Unlimited pro-bono clients | For coaches studying for certification |
| Satori Essentials | $33 | About $27.50/month (two months free) | 10 active paying clients | Discovery-session booking, launch foundation |
| Satori Pro | $49 | About $40.83/month | 50 active clients | Group coaching, custom branding |
| Satori Leader | $124 | About $103.33/month | 150 active clients | Unlimited bookings, dedicated support |
Notes on the numbers. Dubsado's prices are as listed in October 2026 and apply to subscribers who joined since December 1, 2025; earlier subscribers keep their old rates. Satori's dollar amounts and the Pro and Leader limits come from its September 2026 pricing data, because the amounts are loaded by script and did not show when we checked in October; Satori sells annual billing as "Get 2 Months Free", so the yearly per-month figures above are our arithmetic (monthly price times 10, divided by 12), not printed prices. The Essentials cap of 10 active paying clients was confirmed in October.

The bigger cost question is what you add around each tool. Neither ships a website, an email marketing tool, a course platform or a community. As an illustrative example only: a coach on Dubsado Premier who also pays separately for a website builder, an email tool and a course or community platform is running four subscriptions and four logins. The same is true on Satori, plus a video-call tool if you rely on Zoom links being created for you. For the full price breakdowns, see Dubsado pricing and Satori pricing.
Which is better for booking sessions?
Satori, for most coaches, simply because booking is on every paid plan and it is built around sessions and packages. Dubsado's scheduler is capable but only arrives on Premier, so the price of booking on Dubsado is $55/month, not $35.
Satori's own pitch for Essentials leads with booking discovery sessions, which is exactly where a new coach starts. The trade-off, per the September 2026 profile, is the lack of a native Zoom integration, so you may be pasting video links by hand. Dubsado's scheduler on Premier ties into Flows, so a booked call can trigger the next form or email automatically, which is useful if your discovery call leads into a proposal.
For comparison, Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple/iCloud and Outlook calendar sync, and either built-in video or automatically created Zoom, Meet or Teams links. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. More on that in our coaching scheduling software page.

Which is better for contracts and onboarding?
Dubsado, clearly. Contracts, proposals, questionnaires and the automated hand-offs between them are what Dubsado was built for, and its Flows let you send each piece at the right moment without remembering to. Satori includes contracts and invoices too, but it does not document a comparable automated workflow builder.
If onboarding is the main reason you are looking at Dubsado, it is worth knowing how the same job looks elsewhere. Our guide to running client onboarding without Dubsado walks through the steps. In Coachful, coaching agreements with e-signature go out before the first call and are stored on the client record, and intake questions can be asked at booking. See coaching contracts for how that works.

Which is better for payments and invoices?
Dubsado offers more payment choices; Satori keeps it simple. Dubsado supports Dubsado Payments (Stripe-powered, with cards, ACH, Klarna, Affirm and Tap to Pay), PayPal and Square, and lets you surcharge to pass card costs on. Satori supports PayPal and Stripe, with no Satori charge on client payments.
Neither vendor states a platform fee on top of processing, so on fees the two are close. The difference is flexibility: if your clients want to pay in instalments through a buy-now-pay-later provider, or you take payments in person, Dubsado has the tools. If you just want a package paid by card, Satori is enough.
Coachful takes payments through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction plus manual invoices. Coachful charges a 0% platform fee (since August 2026); only Stripe or Razorpay processing applies. Coachful does not support PayPal, so if PayPal matters to your clients, Dubsado or Satori is the better fit there. Details are on our coaching payment software page.

Which is better for automation and email?
Dubsado Premier, among these two. Flows are Dubsado's headline feature: a sequence of forms, emails, contracts and invoices that runs on triggers and delays. Satori does not position itself as an automation tool.
Neither, however, is an email marketing platform. Dubsado says so directly. That means newsletters, nurture sequences to leads who have not booked yet, and broadcasts to past clients all need a separate tool. Coachful includes email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits, so client-workflow email and marketing email live in one place.
Which is better for programs and work between sessions?
Satori, narrowly, because it has packages and programs as a concept; Dubsado has projects. But neither one gives clients anything to do between sessions: no habits, no daily check-ins, no goals with progress, no course lessons, no group space. For a coach whose results depend on what clients do in the six days between calls, this is the biggest gap in both tools.
This is the part of the decision most comparisons skip. If your coaching is mostly conversation, it does not matter. If you run a 12-week program, a group cohort or anything with homework, you will end up adding a course platform, a community tool or a habit app on top of either Dubsado or Satori, and asking clients to log into each one.

What is the client experience like in each tool?
In Dubsado, the client experience is a client portal plus the forms, proposals and invoices you send them. It is built for the transactional moments (sign here, pay here, fill this in). There is no space for the coaching itself, and the mobile app is a companion to the desktop web app, so clients mostly use it through email links and the browser.
In Satori, clients get a portal for booking, packages and their coaching documents. Per the September 2026 profile there is no native mobile app, so clients use the portal in a browser, and custom branding appears from the Pro plan up.
In both cases, clients will likely meet you in more than one place: the CRM for paperwork, a video tool for calls, and another app or platform for any course or group. In Coachful, the client opens one branded home and app (your branding inside the Coachful app) where they see their next session, their program week, habits and check-ins, documents, courses and community.

Which tool helps with ICF credential hours?
Satori has a coaching-log export for ICF credentialing; Dubsado has nothing coaching-specific. If you are working toward ACC or PCC, that is a genuine point for Satori over Dubsado.
Coachful tracks this inside the account: it counts coaching hours and distinct clients against the ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. See ICF hour tracking.

Which should you pick for which kind of coach?
Here is how we would match each tool to a coaching practice, assuming you only choose between Dubsado and Satori.
| Coach | Best fit | Why |
|---|---|---|
| Coachful (programs, groups, courses or a website) | Coachful | One login for booking, payments, contracts and delivery between sessions; free white-glove build to set it up |
| Coaching student building hours pro bono | Satori | Free Scholar plan and a coaching-log export |
| New solo coach with a handful of 1:1 clients | Satori | Booking on the entry plan; billing counts only active clients |
| Business or executive coach selling proposals to companies | Dubsado | Proposals, contracts, invoices and Flows; ACH and payment options |
| Coach who also runs a non-coaching service business | Dubsado | Built for service businesses generally; multiple brands at $10/month each |
| Coach with a small admin team | Dubsado | Up to three additional team members included |
| Coach with 50 to 150 active clients | Either, with care | Satori Leader caps at 150 active clients at $124/month; Dubsado has no client cap |
If you have already decided to leave one of them, our migration guides cover moving off Dubsado and moving off Satori without losing a client.
Is there a third option that beats both?
For coaches who deliver programs, yes: Coachful. It covers what Dubsado and Satori do (booking, payments, contracts, a client record) and adds what both leave out (programs with habits and check-ins, courses, community, a website with funnels, email marketing and an AI assistant), under one subscription and one login.

What Coachful is. A coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. The company is based in Tallinn, Estonia, and has a Trustpilot rating of 4.5 from 21 reviews.
Who it is for. Coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. If you would otherwise pair Dubsado or Satori with a website builder, an email tool, a course platform and a community app, Coachful replaces that stack.
What it does that neither Dubsado nor Satori does:
- Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks.
- Courses with modules, lessons, drip and completion tracking, plus downloads, videos and bundles, delivered into the client's branded home. See course platform for coaches.
- Community feed, group chat, direct messages and video events, with cohort groups created automatically when someone enrolls in a program. See group coaching software.
- A section-based website builder with blog, custom domain, SEO settings and 30 designed homepage templates, plus booking, application, lead-magnet and checkout funnels. See coach website builder.
- Michelle, the built-in AI assistant, which works from your live practice data: it builds programs, drafts emails, summarizes recorded sessions and briefs you before each session. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.
- A client record with goals, check-ins, habits, notes, intake answers, payments and sessions, and a status of thriving, active, quiet or at risk, so you can see who needs attention.
Here is a short walkthrough of how a program is built and delivered in Coachful:

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you inside your own account: a website, a funnel, a sales page, a program, a course outline and written material, an email sequence, a form, a link-in-bio page and more. You describe what you want from Create, attach up to 8 reference links and up to 10 files (logos, photos, brand guides, copy), and the team usually builds it within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. In recent builds, a leadership coach with a website renewal days away got one clean homepage with a repeated "talk with me" button, and a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Moving from Dubsado or Satori is also lighter than it sounds: clients, programs and content are imported for you during onboarding, and you can export everything later as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses).
When is Coachful not the right choice?
Coachful is not the better buy for every coach, and it is worth being specific about where Dubsado or Satori wins.
- You need PayPal or Square. Coachful has no PayPal. Dubsado supports PayPal and Square; Satori supports PayPal.
- You coach pro bono while studying. Satori's Scholar plan is free for that; Coachful has a free trial but no permanent free plan.
- Your business is mostly proposals and project paperwork, possibly alongside a non-coaching service. Dubsado's Flows and multi-brand setup are built for that.
- You need a multi-stage sales deal board for a large team, or a Salesforce or HubSpot integration. Coachful has neither.
- You keep clinical records or bill insurance. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong in a clinical system.
- You want the client app under your own App Store account. Coachful's client app is your branding inside the Coachful app.
If none of those apply and you run programs, groups or courses, Coachful is our recommendation over both. If you want the side-by-side details for one vendor at a time, see Coachful vs Dubsado, the Dubsado alternative page and the Satori alternative page.

Frequently asked questions
Is Dubsado or Satori cheaper for coaches?
For a coach who books sessions, Satori is usually cheaper: Essentials is $33/month (September 2026 data) with booking included, while Dubsado's scheduler needs Premier at $55/month (as listed in October 2026). Dubsado has no client cap, though, so a coach with many clients may find Satori's tiers climb past Dubsado's price.
Does Satori have a free plan?
Yes, the Scholar plan is free for people studying for a coaching certification and covers unlimited pro-bono clients. You apply through a form. Paid plans start at Essentials.
Does Dubsado's Starter plan include scheduling?
No. Starter includes invoicing, contracts and a client portal, but no scheduler and no automated workflows. Both arrive on Premier.
Can I use PayPal with Dubsado or Satori?
Yes, both support PayPal. Dubsado also supports Square and its own Stripe-powered Dubsado Payments; Satori also supports Stripe. Coachful does not support PayPal.
Does either tool have courses or a client community?
No. Dubsado documents no courses, client community, habits or check-ins, and Satori's September 2026 profile shows no courses or community. Coaches who need those usually add another platform, or use an all-in-one tool such as Coachful.
Which tool is better for ICF credentialing?
Satori, between these two, because it offers a coaching-log export for ICF credentialing. Coachful goes further by tracking hours and distinct clients against ACC, PCC and MCC thresholds and exporting an ICF client coaching log with paid and pro bono hours.
Can I move my clients from Dubsado or Satori to Coachful?
Yes. Dubsado lets you export contacts to CSV with selectable fields; Satori offers a coaching-log export. During Coachful onboarding, your clients, programs and content are imported for you. Our migration guides for Dubsado and Satori list what to export first.
What is Coachful's free white-glove service?
On every plan, the Coachful team will build a website, funnel, program, course outline, email sequence or similar inside your account, usually within about 24 hours. You describe it and attach up to 8 links and 10 files. It does not include recording videos, logo design, ad management or ongoing marketing.
Is Coachful HIPAA-compliant?
No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Coaching is not medical treatment; health coaches should refer clients to a licensed provider for clinical needs and keep clinical records in a clinical system.
How do I start with Coachful?
Start a free trial, then request a free white-glove build from Create if you want the team to set up your website, program or funnel for you. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.
