Vibly vs Paperbell (2026): Prices, Features, Best Fit

Vibly vs Paperbell (2026): Prices, Features, Best Fit

Vibly vs Paperbell comes down to who you are. Vibly is coaching management software built mainly for coaching organizations: firms, employer programs, wellness programs and coach networks that need a coach roster, client assignment, sponsor reports, HubSpot sync and HIPAA compliance with a signed BAA. Paperbell is a single-plan admin tool for solo coaches: booking, packages, payments, contracts, a client portal and a simple website for one flat price. If you run a team that handles health information, Vibly fits better. If you are one coach who wants clients to book and pay without fuss, Paperbell is the simpler of the two.

There is a third option worth weighing before you choose. We make Coachful, a coaching platform where one login covers booking, payments, contracts, programs with habits and check-ins, courses, community, a website with funnels, email and an AI assistant, and your client gets one branded app. This guide compares Vibly and Paperbell on prices, features and the client experience using what each vendor lists in October 2026, then explains honestly where Coachful beats both and where it does not.

What is the short answer for each type of coach?

Pick by the shape of your practice, not by the feature list. Here is the short version before the detail.

  • You run a coaching firm, an employer program or a clinic-adjacent wellness program: Vibly. Its operations portal, sponsor reports, two-way HubSpot sync, API and HIPAA compliance with a BAA are built for that buyer, and Paperbell has none of them.
  • You are a solo coach selling 1:1 packages and want one price with no tiers: Paperbell is the easier start of these two, though at $97 a month it costs more than Vibly's solo plans.
  • You are a solo coach on a tight budget who still wants programs and cohorts: Vibly Basic or Pro costs less than Paperbell and lists programs, group cohorts and events.
  • You deliver multi-week programs and want clients doing work between sessions, with a website, funnels and email in the same place: Coachful is the better fit than either, unless you need HIPAA.
  • You need HIPAA compliance with a signed BAA: Vibly, not Paperbell and not Coachful. Coachful is not HIPAA-certified.

If you already know you are leaving Paperbell, our Paperbell migration guide covers data, payments and timing. If Vibly is the tool you are questioning, see our Vibly review and Vibly alternatives.

How do Vibly, Paperbell and Coachful compare side by side?

The table below summarizes the three tools. Ranked on one login for the whole client journey, between-session delivery, total stack cost and setup effort (including Coachful's free white-glove build).

Build your platform

What is Vibly, and who is it built for?

Vibly is coaching management software aimed first at organizations that run coaching at scale: coaching firms, employers, wellness programs, clinics and coach networks. Solo coaches can use its Basic and Pro plans, but the product's center of gravity is the operations side.

What Vibly lists, as of October 2026:

  • An operations portal for managing a coach roster, assigning clients to coaches and producing sponsor reports.
  • Two-way HubSpot sync and an API.
  • HIPAA compliance with a business associate agreement (BAA).
  • Built-in video, Stripe payments with no Vibly fee on client payments, programs, group cohorts and events.
  • A client portal that runs in the browser. No native mobile app is mentioned.
  • An AI add-on advertised at $20 a month, labelled "Coming Soon" with a waitlist.

Two cautions. Vibly's public feature list and its comparison table disagree in places, so confirm in a demo or during the 14-day trial which plan includes the feature you care about. And Vibly does not publish a help center or a documented data export, so ask how you would get your client records out before you commit. Public reviewers rate it well: its Capterra listing showed 4.9 from 22 reviews in October 2026. For a deeper look, read our full Vibly review.

What is Paperbell, and who is it built for?

Paperbell is an all-in-one admin tool for solo coaches. One plan covers a coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads, online classes and custom branding, with unlimited clients, sessions, files, packages and traffic.

Its appeal is simplicity. There are no tiers, no add-ons ("no upsells or hidden add-ons" on its pricing page) and "no additional transaction fees", so Stripe or PayPal processing is the only cut taken from your sales. In October 2026 the pricing page added online classes and digital downloads to the included list.

The limits are on the delivery side. Our September 2026 profile found no full course builder, no community and no goal or habit tracking, and no native mobile app, so clients use the mobile browser. Paperbell's Trustpilot page showed 3.5 from 14 reviews in October 2026. If you want to know how far its site builder goes, see what you get with a Paperbell website, and for groups, where Paperbell group coaching stops.

How much do Vibly and Paperbell cost?

Vibly is cheaper for a solo coach: $25 a month on Basic or $59 on Pro, against Paperbell's $97 a month. Paperbell's annual plan narrows the gap ($970 a year), but Vibly Pro billed annually still costs $600 a year.

Prices for Vibly and Paperbell are as listed in October 2026, in US dollars. Some details matter more than the headline figure:

  • Trials. Vibly offers 14 days. Paperbell shows a "Try For Free" button without a stated length; its help center in July 2026 described a 7-day trial during which your public site is offline and client messages and SMS are off. Paperbell also offers a 30-day money-back guarantee.
  • Payment fees. Neither takes a cut of client payments. Vibly runs on Stripe; Paperbell supports Stripe and PayPal. Processor fees still apply on both.
  • Add-ons. Paperbell has none. Vibly's AI add-on is advertised at $20 a month once it launches.
  • Teams. Paperbell is priced per coach, so three coaches means three accounts. Vibly Teams starts at $149 a month for two seats.

What does a year cost in practice?

Here are illustrative first-year totals at list prices. They are examples built from the published plans, not quotes, and they leave out card processing fees, which apply to all three.

ScenarioSolo coach, 15 clientsSolo coach, 40+ clientsThree coaches
CoachfulSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clientsTeam plans add coach seats (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients)
Vibly$240 (Basic, annual) to $708 (Pro, monthly)$240 to $708, depending on plan and billing$2,388 (Teams at $149 + one extra seat at $50, monthly)
Paperbell$970 (annual) or $1,164 (monthly)$970 or $1,164$2,910 (three annual accounts) or $3,492 (monthly)

The bigger cost question is what else you pay for. Paperbell's website and email workflows may cover a simple practice, but coaches who want courses, a community or a funnel often add separate tools. Vibly has no website builder in its listed features, so most solo coaches would add one. Count those tools before comparing headline prices. Our Vibly alternative page and Paperbell alternative page break this down further.

How do they compare feature by feature?

Paperbell covers the transaction (book, sign, pay) well. Vibly adds organizational controls and compliance. Neither puts much weight on what the client does between sessions, which is where Coachful differs.

"Not listed" means the vendor's public materials in October 2026 did not mention it, not that it is impossible. Ask in a trial if something matters to you.

Booking and scheduling

All three handle booking. Paperbell bundles booking into its packages so a client buys a package and books the sessions it contains. Vibly includes booking with built-in video. In Coachful, booking pages carry availability rules, buffers, minimum notice and time-zone detection, sync two ways with Google, Apple/iCloud and Outlook, and add a built-in video room or an auto-created Zoom, Meet or Teams link. Email reminders are standard, with SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled.

Payments and invoices

Paperbell is strongest here for simple package selling, and it supports PayPal, which Vibly and Coachful do not. Vibly takes payments through Stripe with no platform fee. Coachful takes payments through your own Stripe Connect or Razorpay account, with one-time charges, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, Stripe Tax, an invoice per transaction and manual invoices. Coachful charges a 0% platform fee, so only Stripe or Razorpay processing applies. If a meaningful share of your clients insist on PayPal, that points to Paperbell.

Contracts and intake

Paperbell lists contracts and forms on every account. Vibly's public materials do not spell out e-signature, so ask. In Coachful, a coaching agreement with e-signature is sent before the first call and stored on the client record, and intake questions can sit on the booking page itself. See coaching contracts in Coachful for how that flow works.

Compliance and health information

This is Vibly's clearest advantage. It offers HIPAA compliance with a BAA, which matters if you work inside or alongside a covered entity, such as a clinic or a health plan, and handle protected health information. A BAA is the contract the HIPAA rules require between a covered entity and a vendor handling that information on its behalf; the US Department of Health and Human Services explains business associates in plain terms. Paperbell does not list HIPAA compliance. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records and insurance billing belong in a clinical system.

A scope note for health and wellness coaches: coaching is not medical or mental health treatment. If a client describes symptoms, a diagnosis, disordered eating, self-harm or a crisis, refer them to a licensed clinician or emergency services, and keep clinical details out of your coaching tool unless it is built for them.

Teams and organizations

Vibly is the only one of the three with an operations portal for coach rosters, client assignment and sponsor reports, plus HubSpot sync and an API. If you sell coaching to employers and have to report back to a sponsor, that is a real reason to choose it. Paperbell is per coach, with no shared team layer listed. Coachful's Studio and Agency plans add coach seats with per-coach availability and staff permissions, and multi-coach session types can assign bookings round-robin or to the least-busy coach, but there is no HubSpot or Salesforce integration and no multi-stage sales deal board for large teams. More on that at Coachful for teams.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What does the client experience look like on each?

On Paperbell, a client buys a package, signs, pays and books, then uses a browser-based portal for sessions, files and messages. On Vibly, the client portal also runs in the browser, with programs, cohorts and events. In both cases the work between sessions largely happens outside the tool, by email or in a notebook.

Coachful is built around that between-session time. The client opens one branded home (on the web or in the Coachful app with your branding) where their next session, program week, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks all sit together. Courses, downloads and community posts live in the same place. On your side, every client record shows goals, check-ins, habits, notes, intake answers, payments and sessions, with a status of thriving, active, quiet or at risk so you can see who needs a nudge.

Group work follows the same pattern. When a client enrolls in a program, Coachful creates the cohort group automatically, with a community feed, group chat, direct messages and video events. Our group coaching software page shows how cohorts run.

Which should you pick: Vibly or Paperbell?

Choose Vibly if you run coaching as an organization or need HIPAA with a BAA. Choose Paperbell if you are a solo coach who values one predictable price and PayPal support over a lower bill.

Pick Vibly if:

  • You manage several coaches, assign clients and report to sponsors or employers.
  • You need two-way HubSpot sync or an API.
  • You handle protected health information and need a signed BAA.
  • You are solo and want programs and cohorts for $25 to $59 a month.

Pick Paperbell if:

  • You sell 1:1 packages and want booking, contracts and payment in one checkout flow.
  • You want one plan with unlimited clients and no tiers to outgrow.
  • Some clients pay with PayPal.
  • A simple coaching website is enough for now.

Skip both if your offer is a multi-week program where results depend on what clients do between calls, or if you are paying for a separate website, course platform, community and email tool on top. That is the gap Coachful fills. For more options, see our best Paperbell alternatives and Vibly vs Simply.Coach.

Is Coachful a better third option than Vibly and Paperbell?

For most solo coaches and small teams who deliver programs, yes: Coachful replaces the booking tool, the client portal and the four or five tools around them with one login. For coaching organizations that need HIPAA, HubSpot or sponsor reporting, no: Vibly is the better choice.

What Coachful is. A coaching platform from Tallinn, Estonia. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. Coaches get one login and clients get one branded app. It is built for coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches replacing four to six tools. Coachful's Trustpilot page shows 4.5 from 21 reviews.

Where Coachful beats both:

  • Between-session delivery. Multi-week programs with weekly goals, daily tasks, habits, check-ins and streaks, which neither Vibly nor Paperbell lists.
  • Marketing in the same place. A section-based website builder with 30 homepage templates, a blog and custom domain; booking, application, lead-magnet and checkout funnels; email lists, broadcasts and multi-step sequences with branching and A/B splits.
  • Courses and community. Courses with modules, drip and completion tracking, plus a community feed, group chat and video events, all included in your Coachful membership.
  • A client app. Clients use your branding inside the Coachful app. Paperbell has no native app and Vibly does not mention one. Our Paperbell alternatives with a client app covers this in more depth.
  • AI built in. Michelle, the built-in assistant, works from your live practice data: it builds programs, drafts emails, summarizes recorded sessions and briefs you before each session. Questions and planning are included; confirmed builds and changes use AI credits. Vibly's AI add-on is still marked "Coming Soon".
  • ICF credential tracking. Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log. See ICF hour tracking.

What Coachful does not do. It is not HIPAA-certified and signs no BAA, so it is not for clinical record-keeping or insurance billing. It has no PayPal, no permanent free plan, no HubSpot or Salesforce integration and no multi-stage sales deal board for large teams. The client app ships under the Coachful listing with your branding, not under your own App Store account. If any of those is a requirement, Vibly (for HIPAA and HubSpot) or Paperbell (for PayPal) will serve you better.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you" and describe what you need: a website, funnel, sales page, program, course outline, email sequence, form, link-in-bio page or something else. You can attach up to 8 reference links and up to 10 files such as logos, photos and brand guides. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. Recent builds include a five-page site in sage and cream for a menopause and midlife health coach starting from nothing, and a 12-week mentorship sales page with a start-up-guide funnel and rewritten follow-up emails for a business mentor to beauty professionals. Read more about the free white-glove service.

Monthly plans cancel in one click, and a full client data export is available as a ZIP. How hard is it to switch between these tools?

Moving off Paperbell is mostly a matter of exporting client history, recreating packages and moving active payments; our Paperbell migration guide walks through the order. Vibly publishes no documented export, so ask its team how records leave before you sign, especially if you are an organization with sponsor data in it.

Coachful imports clients, programs and content for you during onboarding, and you can export everything later as a ZIP containing roster, notes, check-ins, goals, habits, sessions and form responses. Plan a short overlap where both tools run while active clients move across.

What should you check during a trial?

Run a real client path end to end, not a feature tour. Whichever tool you trial, test these:

  1. Book a session as a client from your phone, including the reminder you receive.
  2. Buy a package or program with a real card, then refund it.
  3. Sign a contract as the client and find it afterwards on the client record.
  4. Send the client something to do before the next session and check whether you can see that they did it.
  5. Export your client list and session history.
  6. For teams: assign a client to a second coach and check what each coach can see.
  7. For health-adjacent work: ask for the BAA in writing before entering any health information.

Remember Paperbell's trial limits described in July 2026: your public site is offline and client messages and SMS are off, so step 1 may need to wait for a paid month or the money-back window.

Frequently asked questions

Is Vibly or Paperbell cheaper?

Vibly is cheaper for a solo coach. As listed in October 2026, Vibly Basic is $25 a month and Pro is $59, while Paperbell's single plan is $97 a month or $970 a year. For teams, Vibly Teams starts at $149 a month for two seats, while Paperbell is priced per coach.

Does Paperbell offer HIPAA compliance?

Paperbell does not list HIPAA compliance or a BAA on its public pages. Vibly does offer HIPAA compliance with a BAA. Coachful is not HIPAA-certified either, so if you need a signed BAA, Vibly is the one of these three to evaluate.

Is Vibly good for solo coaches?

It can be. Solo coaches can use Basic and Pro, which list programs, group cohorts, events, built-in video and Stripe payments. Most of its distinctive features, such as the operations portal, sponsor reports and HubSpot sync, are aimed at organizations, and it has no website builder in its listed features.

Does Vibly or Paperbell have a mobile app for clients?

Neither lists a native client app. Vibly's client portal runs in the browser, and our September 2026 profile found Paperbell works in the mobile browser only. Coachful clients use your branding inside the Coachful app.

Do Vibly or Paperbell take a cut of client payments?

No. Vibly charges no fee on client payments beyond Stripe's, and Paperbell states "no additional transaction fees", with Stripe or PayPal processing fees applying. Coachful also charges a 0% platform fee, so only Stripe or Razorpay processing applies.

Can I run group programs on Paperbell?

Paperbell lists group coaching and online classes, but our September 2026 profile found no community, no habit or goal tracking and no full course builder. Our guide to Paperbell group coaching covers where it stops.

Which is better for a coaching company with several coaches?

Vibly, of these two. Its operations portal handles coach rosters, client assignment and sponsor reports, and it syncs with HubSpot. Paperbell needs one account per coach. Coachful's team plans suit a small team of coaches sharing a practice but have no HubSpot integration or sponsor reporting.

What is Coachful's free white-glove service?

It is a build service included on every Coachful plan. You describe what you want, such as a website, funnel, program or email sequence, attach references and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Can I move from Paperbell or Vibly to Coachful?

Yes. Coachful imports your clients, programs and content during onboarding. Paperbell client history can be moved using our migration guide; for Vibly, ask its team for an export first, since no documented export is published.

When should I not choose Coachful?

Skip Coachful if you need HIPAA compliance with a BAA, insurance billing, PayPal, a HubSpot or Salesforce integration, or a client app under your own App Store account. In those cases Vibly or Paperbell, or a clinical system, will serve you better.
