Vibly vs Practice Better for Coaches: 2026 Comparison

If you are weighing Vibly vs Practice Better, the short version is this: Vibly is coaching management software built mainly for organizations that run coaches (coaching firms, employer programs, coach networks), with an operations portal, HubSpot sync and HIPAA compliance with a signed BAA. Practice Better is practice management for wellness and nutrition practitioners, with charting, telehealth, billing and programs, and a free plan for very small practices. Pick Vibly if you manage a roster of coaches and report to sponsors. Pick Practice Better if your work looks clinical: notes, forms, protocols and health records. If you are a solo or small-team coach who mainly sells programs and wants clients doing the work between sessions, neither is a perfect match, and there is a third option at the end of this comparison.
We make Coachful, so read our recommendation with that in mind. Every Vibly and Practice Better price below is as listed on the vendors' own pricing pages in October 2026, and every feature claim is what the vendors document or what public reviewers report. We have not run either tool with real clients.

Vibly vs Practice Better: what is the short answer by use case?
It depends on who pays you and what you keep on file. Organizations that assign coaches to clients lean Vibly; health practitioners who chart lean Practice Better; program-led coaches usually want something built around delivery.
- You run a coaching firm or an employer coaching program: Vibly. Its operations portal handles coach rosters, client assignment and sponsor reports, and it syncs two ways with HubSpot.
- You are a dietitian, nutritionist or functional practitioner who writes notes and protocols: Practice Better. Charting, forms, note templates, ePrescribe and fax add-ons, and an AI Charting Assistant make it a practitioner's tool.
- You need a signed Business Associate Agreement for US health data: Vibly offers HIPAA compliance with a BAA. Practice Better positions itself for health practitioners and references HIPAA-compliant handling; confirm BAA terms with them directly before you sign up.
- You are a student or just testing the idea with three clients: Practice Better's free Sprout plan (3 clients, 100 MB).
- You are a life, business, career or health coach selling programs, courses and group work: look at the third option, Coachful, which puts booking, payments, programs, habits, community and a website in one login.
How do Vibly and Practice Better compare side by side?
On paper they overlap on scheduling, video, payments, programs and a client portal, but they were built for different buyers. Vibly serves the organization that coordinates coaches; Practice Better serves the individual practitioner and, on its Team plan, a clinic.
How we rank the three options: one login for the whole client journey, delivery between sessions, total monthly stack cost, and how much setup effort you carry yourself.
| Category | Coachful | Vibly | Practice Better |
|---|---|---|---|
| Coachful | Best for: program-led coaches and small teams who want one login for the whole client journey | Best for: coaching organizations that assign coaches and need a BAA | Best for: wellness and nutrition practitioners who chart |
| Entry price | Lite: $29/month for up to 5 clients | Basic, $25/mo ($20/mo annual) | Sprout free (3 clients); Starter $35/mo ($25/mo annual) |
| Free plan | No (a free trial) | No (14-day trial) | Yes, Sprout |
| HIPAA with a BAA | No | Yes | Positions itself for health practitioners; confirm BAA terms |
| Scheduling and video | Booking pages, two-way calendar sync, built-in video or auto Zoom, Meet, Teams links | Scheduling and built-in video | Scheduling and telehealth video |
| Programs | Multi-week programs with daily tasks, habits, check-ins, goals, streaks | Programs, group cohorts and events | Fixed-date programs from Professional; evergreen from Plus |
| Charting and clinical notes | Coaching notes on the client record; not for clinical records | Not its focus | Charting, forms, note templates, AI Charting add-on |
| Website and funnels | Website builder, funnels, email sequences included | Not documented | No website builder or funnel pages (older profile) |
| Courses and community | Courses, community feed, group chat, events | Group cohorts and events | Programs; group messaging from Professional |
| Client app | Coach-branded client app inside the Coachful app, plus browser | Browser client portal; no native app mentioned | Client portal; portal branding from Plus |
| Team and organization tools | Coach seats on Studio and Agency, staff permissions | Operations portal, client assignment, sponsor reports, HubSpot sync, API | Team plan: roles, team scheduling, team chat, team reporting |
| Payments | Your own Stripe or Razorpay, 0% platform fee | Stripe, no Vibly fee on client payments | Practice Better Payments (Stripe) |
| Public rating | Trustpilot 4.5 (21 reviews) | Capterra 4.9 (22 reviews) | Trustpilot 3.8 (87 reviews) |
Two caveats on the table. Vibly's own feature list and comparison table disagree in places, so treat its plan-by-plan feature split as provisional and ask in a demo. And the ratings come from different sites with small sample sizes; a 4.9 from 22 reviews and a 3.8 from 87 reviews are not directly comparable.
How much do Vibly and Practice Better cost?
Vibly starts at $25 a month and Practice Better is free for three clients, then $35 a month. Once you need branding, unlimited clients or a team, the two land in a similar range, roughly $99 to $205 a month before add-ons.

Vibly lists four plans in USD. Basic and Pro are for a solo coach; Teams covers two seats and then charges per seat; Enterprise is custom and available by demo only. An AI add-on is advertised at $20 a month with the first month free, but in October 2026 it was labelled "Coming Soon" with a waitlist, so do not budget for features you cannot use yet. Vibly does not take a cut of client payments; you pay Stripe's fees.

Practice Better has five plans, and the client cap is what pushes you up the ladder: 3 on Sprout, 10 on Starter, 300 on Professional, unlimited on Plus. Several features coaches care about sit on higher tiers. Evergreen (self-paced) programs, portal branding, a personalized URL and 750 SMS a month start on Plus. One small oddity: the Professional card says "Save $84/year", which implies about $62 a month on annual billing, while the table shows $59. Check the checkout page before you commit.
| Plan | Monthly | Billed annually | What you get |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Flat monthly plans, cancel in one click | Lower plans cap clients; Pro is unlimited; Studio and Agency add coach seats |
| Vibly Basic | $25 | $20/mo | Solo coach |
| Vibly Pro | $59 | $50/mo | Solo coach |
| Vibly Teams | $149 | Not listed | 2 seats, then $50 per extra seat |
| Vibly Enterprise | Custom | Custom | Demo only |
| Practice Better Sprout | $0 | $0 | 3 clients, 1 practitioner, 100 MB |
| Practice Better Starter | $35 | $25/mo | 10 clients, 1 GB, scheduling, telehealth, billing, portal, forms, 20+ integrations |
| Practice Better Professional | $69 | $59/mo | 300 clients, 5 GB, group scheduling, fixed-date programs, deposits and payment plans, Zapier |
| Practice Better Plus | $99 | $89/mo | Unlimited clients, 3 admins, evergreen programs, portal branding, custom URL, 750 SMS/mo |
| Practice Better Team | $155 | $145/mo | 2 practitioners (up to 200 at +$50 each), roles, team scheduling, workflows, 2,000 SMS/mo |
What do the add-ons add?
Practice Better's add-on list is long, and most items are clinical. As listed in October 2026: the AI Charting Assistant costs $10, $20 or $40 per practitioner per month (1,200, 3,600 or 7,200 minutes, then 2 cents a minute); Connector Hub is $49 a month on Plus and Team; ePrescribe is $49 a month plus $99 onboarding per prescriber; PDMP is $5 a month plus $399 onboarding; SMS beyond the allowance is 5 cents a text; extra admins are $10 a month; extra storage on Professional is $1 per GB; fax is 10 cents a page. A coach rarely needs ePrescribe or PDMP, but a nutrition practice that charts every session may well want AI charting.
Vibly's only listed add-on is the AI feature that was not yet live.
What does a realistic month cost?
Here are three example practices. These are illustrations built from the listed prices, not quotes; taxes and payment processing are extra on every option.
| Example practice | Coachful | Vibly | Practice Better |
|---|---|---|---|
| Coachful | Solo coach, 10 clients: Solo: $49/month for up to 20 clients | Solo coach, 40 clients with self-paced programs: Pro: $99/month with unlimited clients | Unlimited clients: Pro: $99/month with unlimited clients |
| Solo coach, 10 clients | See the row above | Basic, $25/mo | Starter, $35/mo |
| Solo coach, 40 clients, evergreen programs and branded portal | See the row above | Pro, $59/mo (confirm which plan includes programs) | Plus, $99/mo |
| Three coaches sharing one account | Team seats on Studio or Agency | Teams, $149 + $50 = $199/mo | Team, $155 + $50 = $205/mo |
Remember the rest of the stack. Neither Vibly nor Practice Better documents a website builder, funnels or email marketing sequences, so a coach who sells online usually pays separately for a site, an email tool and possibly a course or community host. That gap often matters more than the $10 to $40 difference between their plans. For a deeper breakdown of one side, see our Vibly pricing guide.
Which is better for scheduling and sessions?
Both handle booking and video calls well enough for 1:1 work. Practice Better documents more of its scheduling detail; Vibly's strength is assigning clients across a coach roster.
Practice Better includes scheduling and telehealth video from Starter, adds group scheduling on Professional and team scheduling on Team. Reminders by SMS come with an allowance from Plus (750 a month) and Team (2,000), with extra texts at 5 cents each. Deposits and payment plans for sessions start on Professional.
Vibly includes built-in video and scheduling, and its operations portal is where an organization assigns clients to coaches. If a sponsor company buys 50 coaching engagements and you need to match employees to coaches, then report back on usage, that is the job Vibly was built for. For a solo coach, the scheduling itself is the same basic job either way: share availability, take bookings, start a call.

For comparison, Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple/iCloud and Outlook calendar sync, built-in video or auto-created Zoom, Meet or Teams links, intake questions on booking, session credits, and round-robin assignment for multi-coach session types. More on that on our scheduling software page.
Which handles programs and between-session work better?
Practice Better documents its program tiers more clearly; Vibly includes programs, group cohorts and events but does not publish much detail about them. Neither is built around daily habits and check-ins the way a program-led coach usually wants.
On Practice Better, programs come in two flavors: fixed-date programs (everyone starts together) from Professional at $69 a month, and evergreen, self-paced programs from Plus at $99 a month, where program templates are also included. Practitioners use them to deliver protocols, education modules and forms on a schedule. Our Practice Better review goes into how they work.
Vibly lists programs, group cohorts and events. Because there is no public help center, the depth of its program builder is hard to judge from the outside. If programs are the core of what you sell, book the demo and ask to see a client's view of week three of a program, not just the builder.
What both lack, at least in their documentation, is the daily layer: habits with streaks, morning and evening check-ins, and goals with progress bars that the client returns to every day. That layer is where results between sessions come from, and it is the main reason program-led coaches look past both tools.
Which is better for HIPAA and clinical work?
Vibly is the clearer choice if you need a Business Associate Agreement: it states HIPAA compliance with a BAA. Practice Better is the clearer choice if you need clinical tools such as charting, ePrescribe, PDMP and fax.
Under HIPAA, a covered entity (for example a clinician who bills insurance) must have a Business Associate Agreement with vendors who handle protected health information on its behalf. The US Department of Health and Human Services publishes sample BAA provisions if you want to see what one covers. Many coaches are not covered entities at all, but if you work inside a clinic, take referrals from one, or a corporate wellness sponsor demands it, the BAA matters.
Practice Better is designed for practitioners who keep health records: charting, note templates, forms, an AI Charting Assistant, ePrescribe and PDMP add-ons, and a fax number on Plus. Its pricing page also refers to keeping files HIPAA-compliant during migration. If you need a BAA, ask Practice Better for it in writing before you import client records. Our explainer on Practice Better as an EHR covers who actually needs one.
A scope reminder for health coaches: coaching is not medical treatment. If a client describes symptoms, a diagnosis, medication changes, disordered eating or a mental health crisis, refer them to a doctor or licensed clinician. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong in a clinical system such as these two, not in Coachful.
Which is better for teams and coaching organizations?
Vibly, by design. It was built for organizations: an operations portal for coach rosters, client assignment and sponsor reports, two-way HubSpot sync, and an API. Practice Better's Team plan is closer to a group practice: shared scheduling, roles and permissions, team chat, workflows and team reporting.

The pricing is close at two or three seats. Vibly Teams is $149 a month for two seats plus $50 per extra seat, and Enterprise is custom. Practice Better Team is $155 a month for two practitioners plus $50 each (up to 200), with unlimited admins and a 30-day trial instead of 14 days. Below Team, Practice Better is one practitioner per account, so two coaches sharing a Plus account is not an option.
The real difference is the buyer. If your revenue comes from companies or programs that sponsor coaching for their people, and someone outside your firm expects a report, Vibly's sponsor reports and HubSpot sync fit. If your team is a handful of practitioners each seeing their own clients, Practice Better's Team plan fits. If your team is two to five coaches running shared programs and group work, look at our page on Coachful for teams.

How do payments, marketing and websites compare?
Both take payments through Stripe with no platform fee stated. Neither documents a website builder, funnels or email sequences, so marketing lives in other tools.
- Vibly: Stripe payments, with no Vibly fee on client payments; you pay Stripe's processing fees.
- Practice Better: Practice Better Payments, powered by Stripe. Billing and payments from Starter; deposits and payment plans from Professional; Zapier from Professional; 10,000 broadcasts a month on Plus. Processing rates are not listed on the pricing page.
Practice Better's broadcasts let you message your client list, but a broadcast is not a sales funnel. You still need somewhere for a stranger to land, opt in, and book. That usually means a separate website builder, an email marketing tool and a scheduling link, each with its own login and bill.
What does the client experience look like?
On both, clients log in to a portal in the browser. Practice Better's portal branding and personalized URL start on Plus; Vibly's portal runs in the browser and no native mobile app is mentioned.
Practice Better's client portal is where clients complete forms, book, pay, message and follow programs. On Starter and Professional it carries Practice Better's look; on Plus you can add your branding and URL. Our guides to the Practice Better client portal and the Practice Better app show what clients see.
Vibly's client portal is browser-based. For corporate clients who join a coaching engagement through their employer, a browser link is often fine. For a consumer client you want to check in every morning, the lack of a documented app is worth weighing.
What a client needs between sessions is simple to say and hard to build: one place that shows the next session, today's task, their habits, their progress, and a way to reach you. If they have to log in to three tools for that, many stop logging in.
Which should you pick for your kind of coaching?
Match the tool to who pays you and what you deliver. Here is how we would decide.
- Coaching firm, employer program or coach network: Vibly. The operations portal, sponsor reports and HubSpot sync are the reason to choose it.
- Dietitian, nutritionist or functional medicine practitioner: Practice Better. Charting, forms and the clinical add-ons fit the way you work. Our list of Practice Better alternatives for nutrition coaches covers the field if you want to compare further.
- Health coach working alongside clinicians who require a BAA: Vibly, or Practice Better after confirming its BAA terms.
- Brand-new coach with three clients and no budget: Practice Better Sprout, accepting that you will hit the 3-client cap quickly.
- Life, business, career or mindset coach selling programs, groups and courses: neither fits naturally. You would add a website, funnel tool, email tool and possibly a community host on top. That is where the third option comes in.
Is there a third option? Coachful, honestly
Yes. Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools.

Where Coachful beats both
Between-session delivery. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Clients open one branded app and see what to do today. Group cohorts are created automatically when someone enrolls in a program. This short walkthrough shows how programs are built:

The whole stack in one login. Coachful includes a section-based website builder with a blog and custom domain, booking, application, lead-magnet and checkout funnels, email lists, broadcasts and multi-step sequences, courses with drip and completion tracking, a community feed with group chat and events, and a social planner. Neither Vibly nor Practice Better documents a website or funnels, so this is where the total stack cost changes most.

Payments without a platform cut. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, Apple Pay and Google Pay, with a 0% Coachful platform fee since August 2026. Coaching agreements with e-signature go out before the first call and are stored on the client record.
A client record that tells you who is drifting. Each client's record holds goals, check-ins, habits, notes, intake answers, payments and sessions, with a status of thriving, active, quiet or at risk, and Michelle, the built-in AI assistant, briefs you before sessions from live practice data. For ICF-credentialed coaches, Coachful counts hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log; see ICF hour tracking.

Why Coachful stands out: a free white-glove service. On every plan, you can describe what you want built (a website, funnel, sales page, program, course outline, email sequence, form or event) from Create > We'll build it for you, attach up to 8 reference links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. Recent examples: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation, and a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Clients, programs and content are also imported for you during onboarding. Read more about the free white-glove service.

Where Vibly or Practice Better beats Coachful
- HIPAA and a BAA. Coachful is not HIPAA-certified and does not sign a BAA. It is not for clinical record-keeping or insurance billing. If you need either, choose Vibly or a clinical system like Practice Better.
- Clinical tools. Coachful has no charting, ePrescribe, PDMP or fax. Practice Better does.
- Organization operations. Coachful has no HubSpot or Salesforce integration and no multi-stage deal board for large teams. Vibly's operations portal, sponsor reports and HubSpot sync serve coaching firms better.
- A permanent free plan. Practice Better has Sprout; Coachful has a free trial but no free plan.
- Other gaps. No PayPal, no Garmin, Fitbit, Whoop or Oura sync, and the client app ships under the Coachful listing with your branding rather than under your own App Store account.
What Coachful costs
Coachful uses flat monthly plans. Lower plans cap the number of clients, Pro is unlimited, and Studio and Agency add coach seats. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Monthly plans cancel in one click.
How to start
- Start a free trial and connect your Stripe or Razorpay account.
- Request the free white-glove build for your website, first funnel or flagship program.
- Let the team import your clients, programs and content during onboarding.
- Invite one or two clients first, check the experience in the branded app, then move the rest.
If you are leaving Practice Better specifically, our migration guide covers exporting per-client archives (Practice Better emails them and keeps them for 48 hours) and the contact list. For a two-way view, see Practice Better vs Coachful and the Vibly alternative page.
What should you check before you sign up for either?
Five questions to ask in a demo or trial, whichever tool you pick.
- Data export. Practice Better offers a per-client archive (notes, invoices, forms), a contact list spreadsheet, and bulk export on request. Vibly has no public help center or documented export, so ask how you get your data out before you put it in.
- BAA in writing. If you need one, get it signed before importing any health information.
- Which plan includes programs. On Practice Better, fixed-date and evergreen programs sit on different plans. On Vibly, the feature list and comparison table disagree in places.
- Trial length. Vibly offers 14 days. Practice Better offers 14 days on paid plans and 30 days on Team.
- What else you will pay for. Add up the website, email tool, course host and community you will still need.
Frequently asked questions
Is Vibly or Practice Better cheaper?
For a solo coach with up to 10 clients, Vibly Basic ($25 a month) is cheaper than Practice Better Starter ($35 a month), as listed in October 2026. Practice Better's Sprout plan is free for 3 clients. For two coaches, Vibly Teams ($149) and Practice Better Team ($155) are close.
Does Vibly offer HIPAA compliance?
Yes. Vibly states HIPAA compliance and offers a Business Associate Agreement. That makes it a fit for coaches who work with clinics or health sponsors that require one.
Is Practice Better good for life coaches?
It works, but it was built for wellness and nutrition practitioners, so much of the charting and clinical add-on list goes unused, and there is no website builder or funnels. Our guide to Practice Better for coaches covers the fit in detail.
Does Vibly have a mobile app?
Vibly's client portal runs in the browser, and no native mobile app is mentioned on its site as of October 2026. Ask Vibly directly if an app matters to your clients.
Can I run a coaching team on Practice Better?
Yes, on the Team plan: $155 a month for two practitioners, with up to 200 at $50 each, plus roles, team scheduling, team chat and reporting. Below Team, each account is limited to one practitioner.
Which has better reviews?
As seen in October 2026, Vibly holds 4.9 on Capterra from 22 reviews and Practice Better holds 3.8 on Trustpilot from 87 reviews. Different sites and small samples make a direct comparison unreliable, so read the written reviews for patterns that match how you work.
Is Coachful HIPAA compliant?
No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not the right home for clinical records or insurance billing. Coaches who need a BAA should use Vibly or a clinical system.
What is Coachful's free white-glove service?
On every plan, the Coachful team builds what you describe (a website, funnel, program, course outline, email sequence and more) inside your own account, usually within about 24 hours. It does not include recording videos, logo design or ad management, and nothing is invented: gaps are left for you to fill.
Can I move from Practice Better or Vibly to Coachful?
Yes. Export your client list and records from your current tool, and the Coachful team imports clients, programs and content during onboarding. Our Practice Better switching checklist walks through the order of steps.
What are the best alternatives to both?
It depends on your niche. For coaches who sell programs and want one login, Coachful is our pick. For more options, see our lists of Vibly alternatives and Practice Better alternatives.
