Vibly vs upcoach: Which Fits Coaches in 2026?

Vibly vs upcoach: Which Fits Coaches in 2026?

Vibly vs upcoach comes down to who is buying. Vibly is coaching management software built mainly for organizations: coaching firms, employers, wellness programs and clinics that need an operations portal, HubSpot sync and HIPAA compliance with a signed BAA. upcoach is a group and cohort program platform with progress dashboards and AI impact reports, priced by participants and seats, with a 1% to 2% transaction fee below its top self-serve plan. If you run a coaching organization with health data, Vibly is the closer fit. If you sell structured cohort programs, upcoach is.

Many solo coaches and small teams sit between those two profiles, so this article also covers a third option, Coachful. We make Coachful, so we will be clear about where it beats both tools and where it does not, including the one requirement (HIPAA) where Vibly is the right answer and Coachful is not. Vendor prices below are as listed in October 2026; anything drawn from older public profiles is dated September 2026.

What is the short answer by use case?

Pick by the shape of your practice, not by the feature list. The two tools solve different problems, and each one is a weak choice for the other's buyer.

  • You run a coaching firm, an employer program or a clinic-adjacent wellness service: Vibly. Its operations portal handles coach rosters, client assignment and sponsor reports, it syncs both ways with HubSpot, it has an API, and it offers HIPAA compliance with a BAA.
  • You sell cohort programs to 25 to 500 participants and want progress dashboards and AI reports on how they are doing: upcoach. Its plans are built around participant counts, and it adds facilitator and sponsor roles from the Pro plan.
  • You are a solo coach on a tight budget who mostly runs 1:1 sessions: Vibly Basic is the cheaper entry, and Vibly takes no fee on client payments.
  • You need a native client app in the app stores: upcoach offers a branded app store app only on Enterprise; Vibly's client portal runs in the browser.
  • You are a solo coach or small team who delivers programs between sessions and also needs booking, contracts, a website, funnels and email in one place: neither is a full fit. That is where Coachful usually wins, as covered below.

How do Vibly, upcoach and Coachful compare side by side?

Ranked for coaches who deliver programs, on four criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including a free white-glove build).

How does Vibly vs upcoach pricing compare?

Vibly is cheaper at every solo tier and takes no platform fee; upcoach costs more and adds a transaction fee until you reach its $399 Scale plan. The gap widens as your program revenue grows.

Both vendors charge Stripe's processing on top of the figures above. A few details matter when you read the two pricing pages.

  • upcoach's annual toggle. The page says annual billing gives "2 months free", but the annual totals it shows ($588, $1,188, $2,388, $4,788) equal 12 times the monthly price. Confirm what you will be charged before you pay annually.
  • upcoach add-ons. Extra participants cost $99 a month per 100, and extra seats cost $99 a month each. Both are available on Business and Scale only; Pro cannot add seats.
  • upcoach branding. Brand colors, logo and a custom domain start on Pro, so the $49 Starter plan runs under upcoach's look.
  • Vibly's AI add-on. Vibly advertises an AI add-on at $20 a month (first month free), but it is labelled "Coming Soon" with a waitlist.
  • Vibly's plan split. Vibly's feature list and comparison table disagree in places, so check with Vibly which features sit on Basic and which need Pro before you choose.
  • Trials. Both offer 14-day free trials. upcoach's needs no credit card and comes with a 14-day money-back guarantee on the first paid subscription.

A worked example: 30 clients in a paid group program

Here is an illustrative case, not a real customer. A solo coach runs a group program for 30 clients and collects $6,000 a month through Stripe.

  • On upcoach: 30 participants is over Starter's 25, so the coach needs Pro at $99 a month. The 1% fee on $6,000 adds $60, for about $159 a month before Stripe's own processing.
  • On Vibly: Pro at $59 a month, or $50 billed annually, with no Vibly fee on the $6,000. Whether Basic covers group cohorts at $25 depends on Vibly's plan split, which you should confirm.
  • The rest of the stack: neither tool includes a full website builder with funnels or an email marketing system in the facts we reviewed, and upcoach has no contracts or invoicing (as its public profile stood in September 2026). Add a website tool, an email tool and a contract tool to either total.

For Coachful, the comparable cost for 30 clients is Pro: $99/month with unlimited clients, with a 0% platform fee and the website, funnels, email and contracts included in the membership. Our upcoach pricing breakdown and Vibly pricing guide go plan by plan.

Which tool is better for group programs and cohorts?

upcoach is the more program-centric of the two. Vibly supports programs and group cohorts, but its center of gravity is running a coaching operation rather than designing the program experience.

upcoach describes itself around group and cohort programs: unlimited programs on every plan, progress dashboards, AI insights and AI impact reports that summarize how participants are doing. The number of impact reports is capped by plan (3 a month on Starter, 15 on Pro, 50 on Business). Every plan also includes MCP access, so you can connect Claude or ChatGPT to your upcoach data. Pro adds multi-role access with Admin, Facilitator and Sponsor roles, which suits programs where an employer or sponsor wants visibility.

Vibly lists programs, group cohorts and events alongside its built-in video. For a firm placing many clients with many coaches, that is enough program structure to run engagements; what it adds on top is the operations layer: client assignment, coach rosters and sponsor reports.

What neither tool documents, in the facts we reviewed, is the daily layer many coaches rely on between calls: habits with streaks, morning and evening check-ins, and weekly goals with progress bars inside one client app. If that is how you get results, read the Coachful section before you decide, and see our group coaching software page.

How do scheduling, video and payments compare?

Vibly has built-in video and Stripe payments with no platform fee. upcoach takes payments through Stripe with a 1% to 2% fee below Scale. Both list Stripe as their payment processor.

Vibly's built-in video means a coach does not need a separate Zoom account for sessions. Its payments run through Stripe, and Vibly states it takes no fee on client payments, so the only deduction is Stripe's processing.

upcoach also runs payments through Stripe. Its fee sits on top: 2% on Starter, 1% on Pro and Business, and 0% only from the $399 Scale plan. For a coach collecting $3,000 a month (an example figure), that is $60 a month on Starter or $30 on Pro, every month, on top of the subscription.

On paperwork, the gap is clearer. upcoach's public profile (September 2026) listed no contracts and no invoicing, so a coach who needs signed agreements before the first session would add a separate e-signature tool. Vibly's public material does not describe contracts in detail either, so ask during the trial. If agreements matter to you, see how coaching contracts work inside Coachful.

Which is better for coaching organizations and teams?

Vibly, clearly. It was built for organizations: coaching firms, employers, wellness programs, clinics and coach networks.

Vibly's operations portal manages coach rosters, assigns clients to coaches and produces sponsor reports, the kind of reporting a corporate buyer asks for. It has a two-way HubSpot sync, so a sales team working deals in HubSpot sees coaching activity without re-entering it, and an API for custom integrations. Teams starts at $149 a month for 2 seats plus $50 for each extra seat; Enterprise is custom and sold through a demo.

upcoach handles teams through seats and roles. Seats scale from 1 on Starter to 10 on Scale, and extra seats cost $99 a month each on Business and Scale. The full role model across teams arrives on Scale. That works for a program company with a handful of facilitators, but it is a program team, not a coaching operations system.

If you are a small team rather than a firm, Coachful's Studio and Agency plans add coach seats with per-coach availability, staff permissions and round-robin or least-busy assignment for shared session types. Coachful has no HubSpot or Salesforce integration and no multi-stage deal board for large sales teams, so a firm that runs its business from HubSpot should stay with Vibly. See Coachful for teams for the small-team setup.

What about HIPAA and health coaching?

If you need HIPAA compliance and a signed Business Associate Agreement, choose Vibly. It offers both. We have not seen upcoach document a BAA, so ask before storing protected health information there, and Coachful is not HIPAA-certified and does not sign a BAA.

Under US rules, a service provider that handles protected health information on behalf of a covered entity needs a business associate agreement; the US Department of Health and Human Services publishes sample business associate agreement provisions. Whether you count as a covered entity depends on how you work and bill, so check with an attorney or compliance adviser if you are unsure.

A scope reminder for health coaches on any of these tools: coaching is not medical treatment. If a client describes symptoms, a new diagnosis, disordered eating, medication questions or thoughts of self-harm, refer them to a doctor or licensed clinician. Clinical records and insurance billing belong in a clinical system. If your practice stays on the coaching side of that line, our health coaching page shows how Coachful is set up for it.

What does the client experience look like on each?

On Vibly, clients use a browser portal; no native mobile app is mentioned. On upcoach, clients use upcoach's platform, with a branded app in the app stores only on Enterprise.

For a corporate coaching engagement, a browser portal is often fine: clients book, join video calls and see their program. For a coach whose clients need to log habits or check in every day, the experience on a phone matters more, and a browser link is easier to forget than an app icon.

upcoach's branding also depends on plan. Starter runs under upcoach's look; brand colors, logo and a custom domain arrive on Pro at $99 a month. Its store-listed branded app is an Enterprise feature at custom pricing.

Coachful takes a middle path: clients use the Coachful app, branded with your name and colors, with sessions, programs, habits, check-ins, courses, community and payments in one place. It is not listed in the app stores under your own developer account; if that is a hard requirement, upcoach Enterprise is the option among these three.

How do AI features, data and reviews compare?

upcoach has the more developed AI in the published plans; Vibly's AI add-on is not live yet. On data export, upcoach documents a CSV export; Vibly has no public help center or documented export.

  • upcoach AI: AI insights and AI impact reports on every plan (capped monthly), plus MCP access to connect Claude or ChatGPT.
  • Vibly AI: an add-on advertised at $20 a month, marked "Coming Soon" with a waitlist as listed in October 2026.
  • Export: upcoach's older profile (September 2026) describes exporting clients to CSV, including custom fields, from the Admin Panel. For Vibly, ask during the trial how you would get your data out.
  • Reviews: Vibly shows 4.9 on Capterra from 22 reviews (seen October 2026). upcoach's Trustpilot page has no reviews; an older Capterra profile showed 4.9 from 8. Both samples are small.

Solo executive coaches often find Coachful covers contracts, invoices and session notes with less overhead (see Coachful for executive coaches).
  • Health or wellness coach handling health data for a covered entity: Vibly, for the BAA.
  • Course and cohort creator: upcoach for participant dashboards; Coachful if you also want courses, community and a sales funnel in the same account.

Is there a third option? When Coachful beats both, and when it does not

Yes. Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and coaches replacing four to six tools.

Where Coachful beats both

  • Between-session delivery. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client record shows a status of thriving, active, quiet or at risk, so you see who is slipping before the next call.
  • Booking and video. Booking pages with availability rules, buffers, minimum notice and time-zone detection; two-way Google, Apple/iCloud and Outlook sync; built-in video or auto-created Zoom, Meet or Teams links; email reminders, plus SMS 24 hours before and WhatsApp 1 hour before once messaging is enabled; paid sessions and session credits.
  • Payments and paperwork. Your own Stripe Connect or Razorpay account; one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, Stripe Tax; an invoice per transaction plus manual invoices; coaching agreements with e-signature sent before the first call. Coachful has charged a 0% platform fee since August 2026.
  • Getting clients. A section-based website builder with blog, custom domain and 30 designed homepage templates; booking, application, lead-magnet and checkout funnels; email lists, broadcasts and multi-step sequences; a social planner; and Instagram automations that send a booking link or lead magnet when someone comments a keyword.
  • Courses and community. Courses with drip and completion tracking, a community feed, group chat, video events, and cohort groups created automatically when a client enrolls in a program.
  • Michelle, the AI assistant. Works from your live practice data: builds programs, drafts emails, summarizes recorded sessions and briefs you before each session. Questions and planning are included in the membership; confirmed builds and changes use AI credits. An AI Coach can also chat with selected clients between sessions, configured by you.
  • ICF credentialing. Coaching hours and distinct clients counted against ACC, PCC and MCC thresholds, with an exportable ICF client coaching log (see ICF hour tracking).

Where Coachful does not beat them

  • HIPAA: Coachful is not HIPAA-certified and does not sign a BAA. Vibly does.
  • CRM integrations: no HubSpot or Salesforce integration and no multi-stage deal board. Vibly's two-way HubSpot sync and API serve firms better.
  • Your own app store listing: the client app ships under the Coachful listing with your branding. upcoach Enterprise offers a branded app in the stores.
  • Large-cohort analytics with sponsor roles: upcoach's AI impact reports and Sponsor role are purpose-built for that buyer.
  • Other gaps: no PayPal, no permanent free plan, no Garmin, Fitbit, Whoop or Oura sync, and no routing forms that pick a host from form answers.

How to start

Coachful has flat monthly plans: lower plans cap the number of clients, Pro is unlimited, and Studio and Agency add coach seats. The cheapest plan with unlimited clients is Pro: $99/month with unlimited clients. Monthly plans cancel in one click, and there is a free trial. During onboarding, your clients, programs and content are imported for you, and the full client data export (a ZIP of roster, notes, check-ins, goals, habits, sessions and form responses) means you are never locked in. The company is based in Tallinn, Estonia, and holds a 4.5 rating on Trustpilot from 21 reviews.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you want, and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides or copy. The Coachful team builds it inside your own account, usually within about 24 hours: a website, a funnel, a sales page, a program, a course outline, an email sequence, a lead quiz or an automation. Nothing gets invented; there are no fake credentials, testimonials or prices, and gaps are left for you to fill. In one recent build, a real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel. In another, a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. It does not cover recording videos, logo design, ad management or ongoing marketing. Read how the white-glove service works.
