Top 7 Arketa Alternatives in 2026

The best Arketa alternatives depend on one question: is your business built around a class schedule, or around clients moving through a coaching program? Arketa is booking and studio-management software for fitness and wellness studios and instructors. If classes, waitlists and memberships are the center of your week, stay with studio software. If your income comes from 1:1 clients, group programs and what happens between sessions, you need something else.
For that second group, our pick is Coachful, a coaching platform where booking, payments, contracts, program delivery, courses, community, website and email share one login and the client gets one branded app. We make Coachful, so weigh that as you read. Below, each of the seven tools opens with the situation where it wins, including the situations where Coachful is the wrong choice.
Which Arketa alternative fits your situation?
Start with the row that sounds like your business, then read that tool's section. The ranking criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort, including the free white-glove build.
| Tool | Best for | Entry price as listed |
|---|---|---|
| Coachful | Best overall: coaches who deliver programs and want to replace several tools | Lite: $29/month for up to 5 clients |
| Momence | A like-for-like move for a class business that wants marketing in the same system | Custom quote only |
| TeamUp | Group fitness studios that want to pay by active customer with no contract | $189/month for 101 to 200 active customers; lower tier not verified |
| Practice Better | Practitioners who need charting, telehealth and HIPAA-oriented records | $35/month, or $25/month billed annually (free plan for 3 clients) |
| Paperbell | Solo 1:1 coaches who want simple admin at one flat price | $97/month, or $970/year |
| ABC Trainerize | Personal trainers who want workout delivery first and little else | $10/month for 2 clients (free plan for 1 client) |
| Mindbody | Established, location-based studios that want a consumer marketplace | From $79/month per location |
Vendor prices in this article are as listed in October 2026 and can change, so confirm them before you commit.
Why do coaches look beyond Arketa?
Usually because of fees, or because the business has outgrown a class-shaped tool. Arketa's Individual plan is listed at $49/month billed annually, and the monthly-billed price is not shown. It covers a lot: unlimited group classes, appointments, workshops and events, a client CRM, an unlimited video library, programs, packages, memberships, waitlists, Google Calendar sync, email and SMS reminders, gift cards, referrals, intake forms, waivers and full data export.
The catches sit around that list:
- A 3% Arketa transaction fee on the Individual plan, on top of Stripe's processing (listed at 2.9% + $0.30 in the US). Studio plans say "Let's talk" on fees.
- One login and one location on Individual. Unlimited team members, locations and rooms start at Studio Core, which has a custom price.
- Growth tools at custom prices. Email and text campaigns, automated workflows and a lead pipeline appear at Studio Growth. A custom-branded app and branded website appear at Studio Suite or as add-ons, with no prices shown.
- A thin public review base. Trustpilot showed 2.6 from 7 reviews in October 2026, which is too few to treat as a verdict either way.

Here is what the fee means in practice. Say 15 clients each pay $300 a month, purely as an example and not a suggested rate. That is $4,500 in monthly revenue. Arketa's 3% comes to $135, so the plan plus its fee costs $184 a month before Stripe. Stripe's own charge on those payments is about $135 and would apply on most Stripe-based tools. Our full Arketa pricing breakdown goes further, and you can run the same sum with your own revenue.
The fee rises with your income while the work does not. For a coach who sells high-ticket packages, that is often the moment the search for alternatives starts.
How did we rank these Arketa alternatives?
We ranked them for one specific business: a coach with about 15 clients, one group program and an occasional live class or workshop. A 200-member yoga studio would rank this list differently, and the quick picks table above shows where it should look.
Four things decided the order:
- One login for the whole client journey. Can someone find you, book, sign, pay and do the work in one place?
- Between-session delivery. Do clients get programs, habits and check-ins, or only reminders about the next booking?
- Total stack cost. The subscription, plus transaction fees, plus every other tool you need beside it.
- Setup effort. How much you have to build yourself, and whether anyone will help.
These criteria favor Coachful, and we chose them because they match the coaching business described above. We did not run a hands-on trial of every product. The facts here come from each vendor's own pricing and documentation pages, plus public Trustpilot scores where we have them. Where a vendor does not publish something, we say so.
1. Coachful: best when you sell programs, not just sessions
Coachful wins when clients pay for a result delivered over weeks and you are tired of connecting a scheduler, a course tool, a community app and an email service. It is built for coaches who deliver programs, for solo coaches growing into a small team, and for anyone replacing 4 to 6 tools. The company is based in Tallinn, Estonia, and Trustpilot shows 4.5 from 21 reviews.

What you get when you leave a booking-first tool
Everything below is included in your Coachful membership (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients):
- Booking that replaces your schedule page. Booking pages have availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync. Sessions run on built-in video or auto-created Zoom, Meet or Teams links. You can sell paid sessions and session credits, and ask intake questions on booking.
- Payments through your own account. Your own Stripe Connect or Razorpay account handles one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay. Coachful takes a 0% platform fee, so only the processor's charges apply. This is the biggest difference from a percentage-based plan.
- Programs that run between calls. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, progress bars and streaks.
- Contracts before the first call. Coaching agreements with e-signature go out ahead of the first session and stay on the client record.
- Group delivery. Cohort groups are created automatically on program enrollment, alongside a community feed, group chat, direct messages, video events, group calls and webinars.
- Your marketing engine. A section-based website builder with 30 designed homepage templates, funnels, a link-in-bio page, email sequences with branching, a social planner and Instagram DM automations.
- Michelle, the AI assistant. Michelle works from your live practice data to build programs, draft emails, summarize recorded sessions and brief you before a call. Questions and planning are included; confirmed builds and changes use AI credits.

This short walkthrough shows how a program is put together:
If you came to Arketa from fitness, the Fitness & Nutrition pack matters most. It adds a workout builder with an illustrated exercise library (supersets, circuits, AMRAP, EMOM, intervals and tempo), client workout logging with set history and PRs, nutrition targets, meal plans, private progress photos and form-check video with timestamped comments. You attach your own demo videos. See also our page for fitness coaches.
A worked setup: 15 clients and one group program
- Move your data. Export your client list from Arketa, where full data export is listed on Individual. Clients, programs and content are imported for you during Coachful onboarding.
- Connect the plumbing. Connect Stripe and your calendar, then create a 1:1 session type and a group session type with buffers and intake questions.
- Build the program. Set up an eight-week program with weekly goals, one or two habits and daily check-ins, or start from one of more than 40 ready-to-film program templates.
- Attach the offer. Create one offer with a payment plan, then send the coaching agreement so it is signed before the first call.
- Open the group. Enroll the first cohort, and the cohort group appears on its own.
The client's side is simpler. They book from your page, sign, pay, and land in the app under your branding. Their next session, program week, habits and documents are in one place. Coaches see each client's goals, check-ins, notes and payments together, along with a status of thriving, active, quiet or at risk, so you can spot the person going quiet in week three.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you" and describe what you want: a website, funnel, sales page, program, course outline, email sequence, form or automation. You can attach up to 8 reference links and up to 10 files. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented, so there are no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read how the service works.

Where Coachful is the wrong tool
- It is not front-desk software for a class studio, so a room-based timetable is better served by the next two tools on this list.
- It is not HIPAA-certified and offers no BAA, so clinical records and insurance billing belong elsewhere.
- There is no PayPal and no permanent free plan, only a free trial.
- The client app ships under the Coachful listing with your branding, not under your own App Store account.
- There is no Garmin, Fitbit, Whoop or Oura sync, and no stock exercise videos.
To start, take the free trial and request a white-glove build. Monthly plans cancel in one click.
2. Momence: best for a class business that wants marketing built in
A studio that lives on classes, memberships and packs, and that wants marketing in the same system, should look at Momence first. It is the closest thing here to a like-for-like Arketa swap. The product covers booking and scheduling, memberships, packs, an AI Inbox, business operations and marketing, with payments on Stripe.

Trustpilot showed 4.1 from 420 reviews in October 2026. That volume says more than Arketa's 7 reviews, though review scores rarely tell you whether a tool fits your exact business.
The weak point is transparency. The pricing page says "Let's talk pricing" and offers a demo, so no figure is published. A "Start free trial" link exists, but its length and terms are not stated. Transaction fees are not published either, although the help center shows Stripe processing fees in transaction details. Data export is not documented on the pages we checked, so ask about it before you sign. Because Arketa's Individual plan does publish a price, you cannot tell in advance whether Momence would cost you more or less.
It is also built around classes and appointments rather than 1:1 coaching programs. If you need weekly goals, habits and check-ins, expect to add something beside it. Our Arketa vs Momence comparison covers the two in more detail.
Pick it over Coachful if most of your revenue comes from class attendance, you can get a quote that beats your current costs, and marketing to a studio customer list matters more than program delivery.
3. TeamUp: best for group fitness studios that dislike contracts
When you run a yoga, Pilates, CrossFit or bootcamp timetable and want to be able to leave at any time, TeamUp is the cleanest fit. Its pricing FAQ says there is no contract or long-term commitment, no setup fee and unlimited locations, and it offers a data import service with an expert when you switch.
Core features listed on the pricing page include registration and booking, memberships and packs, appointments and instructor availability, waivers and forms, online booking, courses, flexible scheduling, employee pay rates, two-way calendar sync, access control, online and in-person payments, point of sale, gift cards, SMS notifications, on-demand programming, family accounts and an AI Business Advisor.
The active-customer pricing catch
You pay by active customers, meaning people who register or purchase during the month. Each one counts once, however often they attend. The figure we could verify on the pricing page in October 2026 is $189/month for 101 to 200 active customers. We could not read the price for the under-100 tier from the page, so check the slider yourself rather than rely on a number from us. The upside is that pricing automatically falls when your active count falls.
Optional add-ons appeared in pounds on the version we read: Marketing Suite at £89/month, Custom Branded App at £79/month, and TeamUp Perform at £79/month. Marketing automation and a unified inbox therefore cost extra, as does your own branded app. TeamUp's pricing page does not list a website builder or coaching programs with habits and check-ins.
Pick it over Coachful if you run a physical or hybrid studio with a real timetable, need point of sale and access control, and your clients attend classes rather than work through programs.
4. Practice Better: best when your work touches clinical care
Dietitians, nutritionists and other practitioners who chart and need telehealth should choose Practice Better over any class tool on this list. Its pricing page lists HIPAA, PIPEDA and GDPR compliance, along with scheduling, telehealth video, billing, secure messaging, a client portal, forms and note templates.

Scope comes before software
Coaching is not medical treatment. If you diagnose, treat or keep clinical records, you need a clinical system, and that is not Coachful. If a client reports a medical condition, an eating disorder, unexplained pain or a mental health crisis, refer them to a licensed clinician whatever software you use. Health coaches who stay inside a coaching scope have more options, which our page for health coaches covers.
Prices, as listed in October 2026, with annual billing second:
- Sprout: free for 3 clients and 100 MB.
- Starter: $35 or $25/month for 10 clients.
- Professional: $69 or $59/month for 300 clients, adding group scheduling, fixed-date programs and Zapier.
- Plus: $99 or $89/month for unlimited clients, adding evergreen and self-paced programs, portal branding, a personalized URL, SMS reminders and broadcasts.
- Team: $155 or $145/month for 2 practitioners, then $50 per additional practitioner.
Several add-ons are metered, including the AI Charting Assistant at $10, $20 or $40 per practitioner per month, and SMS at 5 cents a text. Trustpilot showed 3.8 from 87 reviews. No platform fee is stated, and payments run on Practice Better Payments, powered by Stripe, with rates not listed. An older profile we hold noted no website builder or funnel pages, so marketing lives elsewhere.
Pick it over Coachful if you need clinical records, charting or e-prescribing. For that kind of practice, this is the right category of tool.
5. Paperbell: best for simple 1:1 admin at one flat price
A solo coach who sells packages and wants the paperwork handled, with nothing else to learn, will find Paperbell the easiest tool here. There is a single plan at $97/month, or $970/year, with unlimited clients, sessions, files, packages and traffic. Everything is included: a coaching website, scheduling, payments, packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads and online classes.

Compared with Arketa's Individual plan, the appeal is predictability. The page says there are "no additional transaction fees" and no add-ons, so the bill stays the same as you grow. Processor fees still apply. It also accepts PayPal alongside Stripe, according to the older profile we hold, which Coachful does not. A 30-day money-back guarantee is listed.
What the flat price leaves out
The older profile we hold notes no courses or LMS, no community, and no goal or habit tracking, and it describes a mobile browser experience rather than a native app. So the work between sessions happens somewhere else, or not at all. Trustpilot showed 3.5 from 14 reviews, another small sample. Its data export path was not verified in that profile either, so ask about it. For the wider field, see our list of Paperbell alternatives.
Pick it over Coachful if your offer is 1:1 sessions with no program content, you need PayPal, and you would rather have less software than more capability.
6. ABC Trainerize: best when workouts are the whole product
Personal trainers who deliver training plans through an app, and who do not need a website, courses or email from the same vendor, should compare ABC Trainerize. It is a fitness and personal-training app with workouts, habits, nutrition tracking and messaging, priced by client seats. There are also app and wearable integrations from the Grow plan upward, which Coachful does not offer.
The Basic plan is free for 1 client. Grow is $10/month for 2 clients ($9 billed annually). Pro starts at $25/month for 5 clients ($23 billed annually), with tiers at 15, 30, 50, 75, 100 and 200 clients. Higher Pro prices were not printed as plain text on the page in October 2026, so the figures in this article for 15 and 50 clients come from a profile dated September 2026: $50 and $135 a month. Studio Plus starts at $275/month for up to 500 members ($248 billed annually).
How add-ons change the total
Below Studio Plus, several things you would expect to be included are paid extras:
- Business, which covers scheduling, referrals and selling products: $25/month
- Stripe Integrated Payments: $10/month
- Video Coaching: $10/month
- Advanced Nutrition Coaching: $20/month on lower plans, $45/month from Pro 30
- Custom Branded App on Pro: $169 one-time setup
There is no course builder, website or funnel tool, or email marketing. Client data export is described as incomplete in our older profile, without messages, photos or attachments. Trustpilot showed 3.1 from 100 reviews. Our Trainerize alternatives guide compares it with other fitness tools.
Pick it over Coachful if training plans and wearable data are the core of your service and you already have your website and email sorted.
7. Mindbody: best for established studios that want marketplace reach
Multi-staff, location-based businesses that want to appear in a consumer booking app are the people Mindbody serves. It is studio software for fitness, yoga and wellness businesses, built around classes, memberships, staff and locations, and it has by far the largest review base here: Trustpilot showed 4.4 from 2,361 reviews in October 2026.

Pricing is the barrier for a small operator. Starter is listed from $79/month per location, and Accelerate, Ultimate and Enterprise are quote only. There is no self-serve trial, only a demo. Add-ons include livestream from $49/month and an on-demand video library at $99/month, while a branded app has no published price.
Contract terms worth reading twice
- Terms run 12, 24 or 36 months, or month to month with a 90-day minimum.
- Contracts auto-renew and need 30 days' notice to cancel.
- Payments carry an unpublished rate plus $0.10 to $0.30 per transaction.
- The Mindbody app charges 20%, capped at $30, on a new client's first purchase.
For a coach with 15 clients and no storefront, that is a lot of machinery for a small business, and it is built around class schedules and front desks rather than 1:1 programs. See Arketa vs Mindbody for the direct comparison, or our list of Mindbody alternatives.
Pick it over Coachful if you run a staffed location, walk-in and marketplace discovery bring you new clients, and you are comfortable with term contracts.
How do the seven tools compare, feature by feature?
Coachful is the only tool here where every coaching column reads yes. Studio tools win on class operations, which this table reflects. "Not listed" means we did not find it on the vendor pages we checked, and it does not prove the feature is absent. Arketa is included as a baseline.
| Tool | 1:1 booking | Class timetable | Programs with habits and check-ins | Courses | Community | Website and funnels | Contracts | Added platform fee |
|---|---|---|---|---|---|---|---|---|
| Coachful | Yes | Partial (group sessions, events) | Yes | Yes | Yes | Yes | Yes, with e-signature | 0% |
| Arketa (baseline) | Yes | Yes | Partial (programs) | Partial (video library) | Not listed | Add-on or top tier | Partial (waivers) | 3% on Individual |
| Momence | Yes | Yes | Not listed | Not listed | Not listed | Partial (marketing) | Not listed | Not published |
| TeamUp | Yes | Yes | Partial (on-demand programming) | Partial (courses) | Partial (via branded app add-on) | Not listed | Partial (waivers and forms) | Not listed |
| Practice Better | Yes | Partial (group scheduling) | Partial (programs, journaling) | Partial (self-paced on Plus) | Not listed | No | Partial (forms) | None stated |
| Paperbell | Yes | Partial (group coaching) | No | No | No | Partial (simple website) | Yes | None |
| ABC Trainerize | Partial (add-on) | Partial (group training) | Yes, fitness focused | No | Partial (groups) | No | Partial (consultation forms) | Not shown |
| Mindbody | Not listed | Yes | Not listed | Partial (video add-on) | Not listed | Not listed | Not listed | Unpublished rate plus $0.10 to $0.30 |
What does each tool cost at 5, 15 and 40 clients?
Subscription cost alone varies widely, and two vendors will not tell you without a conversation. These figures are monthly-billed unless noted, and they exclude payment processing.
| Tool | 5 clients | 15 clients | 40 clients |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients |
| Arketa Individual | $49 billed annually, plus 3% | $49 billed annually, plus 3% | $49 billed annually, plus 3% |
| Momence | Quote only | Quote only | Quote only |
| TeamUp | Under-100 tier not verified | Under-100 tier not verified | Under-100 tier not verified |
| Practice Better | $35 (Starter) | $69 (Professional) | $69 (Professional) |
| Paperbell | $97 | $97 | $97 |
| ABC Trainerize | $25 (Pro 5), before add-ons | $50 (Pro 15, September 2026 figure), before add-ons | $135 (Pro 50, September 2026 figure), before add-ons |
| Mindbody | From $79 per location | From $79 per location | From $79 per location |
Remember that the percentage fee is what makes Arketa's flat-looking row misleading. At our example $4,500 in monthly revenue, the row is really $184, and at 40 clients paying the same $300 it becomes $409.
What do real stacks cost per month?
A stack is what you actually pay once you add the tools each option leaves out. The three below are examples for a coach with about 15 clients, or a studio with up to 200 active customers in the second case. None of them include payment processing, which would be similar across all three on Stripe.

| Stack | What is in it | Monthly software cost | What still sits outside |
|---|---|---|---|
| Coachful, one login | Booking, payments, contracts, programs, courses, community, website and email | Solo: $49/month for up to 20 clients | Clinical records, if you ever need them; AI credits for confirmed builds |
| Class studio plus coaching admin | TeamUp for classes (101 to 200 active customers) and Paperbell for 1:1 packages | $189 + $97 = $286 | Habits and check-ins, community, courses; two logins for you and your clients |
| Fitness delivery | ABC Trainerize Pro 15 at the September 2026 figure, with Business and Stripe Integrated Payments | $50 + $25 + $10 = $85 | Website, funnels, email marketing and contracts, priced separately by whichever tools you choose |
The fitness stack looks cheapest, and for a trainer who needs only that, it may be. Its total rises once you add a website and an email tool, and you then manage three or four logins. The studio pairing costs more but is the honest answer for a business that runs both a real timetable and 1:1 work. For a broader view of the coaching category, see our overview of coaching software or comparison pages.
Whichever you test, add up all of it: subscription, percentage fees, add-ons and the separate tools you would keep paying for.
So which Arketa alternative should you choose?
Choose Coachful if you sell coaching programs and want one login for the whole client journey. It removes the percentage fee, adds the between-session delivery that booking tools lack, and the white-glove build means you do not have to set up the website or funnel on your own. It suits the 15-client coach in our scenario better than anything else here.
Otherwise, let the business decide:
- A class business: Momence if you want marketing built in and can accept quote-based pricing, TeamUp if you want published active-customer tiers and no contract.
- Clinical work: Practice Better.
- Purely 1:1 packages with minimal software: Paperbell.
- Workout delivery only: ABC Trainerize.
- A staffed location that wants marketplace reach: Mindbody.
Staying on Arketa is also a fair result. If you are one instructor, one location, with mostly classes and a moderate revenue level, the Individual plan covers a lot, and the 3% may cost less than the work of moving. Run the sum with your real revenue before you decide. If you want to see how we compare more broadly, we publish a page on Coachful alternatives.
Frequently asked questions
What is the best alternative to Arketa for coaches?
For coaches who deliver programs, Coachful is our pick because booking, payments, contracts, programs, community, website and email share one login and it charges a 0% platform fee. We make Coachful, so compare it against your own needs. A studio that mainly runs classes should look at Momence or TeamUp instead.
Why would I leave Arketa?
The most common reasons are the 3% transaction fee on the Individual plan, the one-login and one-location limit, and marketing tools, branded apps and websites that sit in custom-priced tiers or add-ons. Those matter more as revenue grows. If none of them affect you, staying may be the sensible choice.
Which Arketa alternative is cheapest?
It depends on your business, since the price structures differ. ABC Trainerize and Practice Better both have free plans with tight client caps, while Paperbell charges one flat price regardless of client count. Compare the total including percentage fees and add-ons, and not only the headline price.
Can I export my data from Arketa?
Arketa lists full data export as included on its Individual plan. Export before you cancel, and check what the file actually contains. Payment subscriptions usually need separate handling, so ask the new vendor and Stripe how recurring charges can be moved.
Does Coachful replace Arketa for class studios?
Only partly. Coachful handles group sessions, events, group calls, webinars and multi-coach session types, but it is built for coaching programs and not as front-desk software for a room-based timetable. Studios that run on drop-ins and class attendance are better served by studio software.
Is the white-glove build service really free?
Yes, the white-glove build is free on every plan. You describe what you need, attach references, and the team builds it inside your account, usually within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing.
Is Coachful HIPAA-certified?
No. Coachful is not HIPAA-certified, does not sign a BAA, and is not meant for clinical record-keeping or insurance billing. Practitioners who need that should look at a clinical system such as Practice Better, which lists HIPAA compliance on its pricing page. Coaching is not medical care, so refer clients with clinical concerns to a licensed professional.
Does Coachful work for fitness coaches moving from Arketa?
Yes, for coaches who sell training programs. The Fitness & Nutrition pack adds workouts, logging, nutrition targets, progress photos and form-check video. You supply your own demo videos, and there is no wearable sync with Garmin, Fitbit, Whoop or Oura.
Can clients get a branded app with these tools?
Coachful gives clients your branding inside the Coachful app, under the Coachful listing. Arketa, TeamUp, ABC Trainerize and Mindbody offer branded apps as add-ons or higher-tier features, with the price published only in some cases. If having your own App Store listing matters, confirm which plan provides it.
How long does it take to switch?
That varies with how much you have to move. Run both systems side by side for one billing cycle, move new clients first, then migrate recurring payments as each one comes due. With Coachful, clients, programs and content are imported for you during onboarding.
