CoachVantage vs Practice Better (2026): Which Fits You?

CoachVantage vs Practice Better (2026): Which Fits You?

The short answer on coachvantage vs practice better: CoachVantage is the better fit for life, executive and business coaches who sell 1:1 engagements and want contracts, invoices and a coaching log in one place for a low flat price with unlimited clients. Practice Better is the better fit for nutrition, wellness and health practitioners who need charting, telehealth, forms and structured programs, and who are happy to pay more as features unlock on higher tiers. Neither one builds your website, runs your funnels or keeps clients engaged with daily habits and check-ins between sessions, which is where a third option comes in.

We make Coachful, so we have a stake in this. We have kept the CoachVantage and Practice Better sections to what each vendor documents on its own pricing page (as listed in October 2026) and what public reviewers report. We have not tested either product hands-on, and we say where Coachful is the weaker choice.

What is the short answer by use case?

Pick by the kind of practice you run, not by the longest feature list. Here is the quick version before the detail.

  • You coach executives, leaders or founders 1:1 and invoice per engagement: CoachVantage. It is built around coaching engagements, a coaching log and e-signed contracts, and both plans allow unlimited contacts.
  • You are a nutritionist, dietitian-adjacent practitioner or health coach who keeps charts: Practice Better. Note templates, an AI charting add-on, telehealth video and clinical add-ons like ePrescribe and fax point at clinical-style practices.
  • You are new and have three clients or fewer: Practice Better's free Sprout plan costs nothing while you start. CoachVantage has no free plan, only a 14-day trial.
  • You run group programs, courses, a community and your own marketing: neither is a complete answer. CoachVantage caps group programs and courses on its lower plan; Practice Better has no website builder or funnel pages according to its older profile. This is the case for Coachful, covered near the end.
  • You are a team of coaches: Practice Better has a Team plan with roles and team scheduling. CoachVantage is priced per coach and its older profile lists no team or multi-coach features.

If you want the long view on either vendor alone, our Practice Better review and the CoachVantage alternative page go deeper.

How do CoachVantage and Practice Better compare side by side?

CoachVantage is coaching practice management with a coaching vocabulary; Practice Better is practice management for wellness practitioners with a clinical vocabulary. Coachful sits in the first row because we rank on the criteria below, and those criteria favour an all-in-one platform.

Ranking criteria: one login for the whole client journey, delivery between sessions, total stack cost once you add a website and email, and setup effort (including Coachful's free white-glove build).

The biggest structural difference is how each charges for growth. CoachVantage charges for features: unlimited clients from day one, but caps on booking pages, sales pages, e-signatures, contract templates and courses on the cheaper plan. Practice Better charges for clients and features together: the client cap rises with each tier, and evergreen programs, portal branding and SMS only arrive on Plus.

What do CoachVantage and Practice Better cost?

CoachVantage costs $39 or $59 per month (as listed in October 2026), with 10% off annual billing. Practice Better runs from a free plan for three clients to $99 per month for unlimited clients, with a Team plan from $155 per month and several paid add-ons.

CoachVantage plans in detail

  • Clarity ($39/month, $35 annually): unlimited contacts and engagements, client portal, coaching log, unlimited invoices and forms, scheduling and integrations. Caps: 2 group programs, 2 sales pages, 2 booking pages, 4 e-signatures per month, 2 contract templates, 2 courses and 500 MB of storage.
  • Aha! ($59/month, $53 annually): unlimited group programs with cohorts, sales pages, booking pages and e-signatures; 5 contract templates, 5 courses, 1 GB of storage; and the ability to embed e-contracts in sign-up pages.

The Clarity cap that bites first for most coaches is four e-signatures a month. If you sign more than four new clients in a month, or send renewal agreements, you will be on Aha! quickly. CoachVantage says it takes no commission on the revenue you earn; Stripe and PayPal charge their usual processing fees.

Practice Better plans in detail

  • Sprout ($0): 3 clients, 1 practitioner, 100 MB. Aimed at students and new practitioners.
  • Starter ($35/month, $25 annually): 10 clients, 1 GB. Scheduling, telehealth video, billing and payments, secure messaging, client portal, forms and note templates, 20+ integrations.
  • Professional ($69/month, $59 annually): 300 clients, 5 GB. Adds group scheduling and messaging, fixed-date programs, PDF branding, deposits and payment plans, and Zapier. The pricing card says "Save $84/year", which implies about $62 a month annually, while the table shows $59, so check the page when you buy.
  • Plus ($99/month, $89 annually): unlimited clients, 3 admins, unlimited storage. Adds evergreen self-paced programs, portal branding, a personalized URL, 750 SMS a month, 10,000 broadcasts a month, a fax number and program templates.
  • Team ($155/month, $145 annually): 2 practitioners, up to 200 at $50 each, unlimited admins, roles and permissions, team scheduling, team chat, advanced workflows, team reporting, managed billing, 2,000 SMS a month.

Practice Better's add-ons are where the bill can grow: the AI Charting Assistant costs $10, $20 or $40 per practitioner per month (1,200, 3,600 or 7,200 minutes, then 2 cents a minute); Connector Hub is $49 a month on Plus and Team; ePrescribe is $49 a month plus $99 onboarding per prescriber; PDMP is $5 a month plus $399 onboarding; SMS is 5 cents a text; extra admins are $10 a month; extra storage on Professional is $1 per GB; fax is 10 cents a page. Most coaches will never touch the clinical add-ons, but the AI charting and SMS charges are worth budgeting for.

What would three typical coaches pay?

These are illustrative examples using monthly list prices as listed in October 2026, before card processing fees. They assume you need the features named, not just the client count.

ToolExample A: 8 clients, 1:1 onlyExample B: 40 clients, a group program, evergreen courseExample C: 3 coaches sharing clients
CoachfulSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clients (website, funnels and email included)Studio plan with coach seats (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients)
CoachVantage$39 (Clarity), if 4 e-signatures a month is enough$59 (Aha!) plus a separate website and email tool3 separate accounts at $59 = $177, with no shared team features listed
Practice Better$35 (Starter, 10 clients)$99 (Plus, for evergreen programs) plus a separate website tool$155 + $50 = $205 (Team, 3 practitioners)

Example B is the one to look at hard. Both tools need a separate website builder and usually a separate email marketing tool once you start selling programs to people who are not yet clients. Add those subscriptions to the comparison before you decide which one is cheaper.

Which handles scheduling and video better?

Both include scheduling and client self-booking, so for most solo coaches this is close to a tie. The differences are in limits and video quality reports.

CoachVantage includes scheduling on both plans, but Clarity allows only two booking pages, which matters if you offer a discovery call, a 1:1 session and a group session as separate booking types. Aha! removes the cap. CoachVantage has a built-in video option, CVMeet; its older public profile notes reviewers describing it as weak and many users still running sessions on Zoom.

Practice Better includes scheduling and telehealth video from Starter, and group scheduling from Professional. Team adds team scheduling. Reminders by SMS are counted against a monthly allowance (750 on Plus, 2,000 on Team) and charged at 5 cents a text beyond that or on plans without an allowance.

Coachful's sessions calendar with demo 1:1 sessions and group accountability calls color-coded across September 2026.

For comparison, Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple/iCloud and Outlook calendar sync, built-in video or auto-created Zoom, Meet and Teams links, email reminders, plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled. More detail is on the scheduling software page.

How do contracts, invoices and payments compare?

CoachVantage is stronger on coaching contracts; Practice Better is stronger on flexible billing like deposits and payment plans, but only from Professional upward.

CoachVantage builds e-signed contracts into the product on both plans. Clarity limits you to 2 contract templates and 4 e-signatures a month; Aha! gives unlimited e-signatures, 5 templates and lets you embed the contract in a sign-up page so a new client signs and pays in one flow. Invoices are unlimited on both plans, and payments run through Stripe or PayPal.

Practice Better includes billing and payments through Practice Better Payments, which is powered by Stripe; the pricing page does not list processing rates. Deposits and payment plans start on Professional. Forms and note templates are on every paid plan. Its pricing page lists no PayPal option.

Coachful payments tab with an invoice table

Coachful handles payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction plus manual invoices. Coaching agreements with e-signature go out before the first call and stay on the client record. Coachful has charged no platform fee since August 2026. It does not support PayPal, so if your clients pay by PayPal, CoachVantage is the better fit on that point. See coaching contracts and coaching payment software for the details.

Which is better for programs, courses and groups?

Practice Better has the deeper program engine once you reach Plus; CoachVantage covers group programs with cohorts on Aha!. Neither documents the daily habits, streaks and morning and evening check-ins that keep program clients active between calls.

On CoachVantage, Clarity allows 2 group programs and 2 courses, and Aha! allows unlimited group programs with cohorts and 5 courses. That suits a coach with one signature program and a short self-study course. It is tight for a coach building a library.

On Practice Better, fixed-date programs (everyone starts together) arrive on Professional, while evergreen self-paced programs and program templates arrive on Plus. Group messaging starts on Professional. Practice Better's pricing page does not list a community feed, so a cohort's conversation runs through group messaging.

If programs are the heart of your business, look at how a client actually experiences week three on a Tuesday morning. Coachful's programs run on weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks, with cohort groups created automatically on enrollment and a community feed alongside. Courses with modules, drip and completion tracking are included in your Coachful membership, as are more than 40 ready-to-film program templates and 48 course templates with quizzes.

Here is a short walkthrough of how programs are built and delivered in Coachful:

How do client records, notes and charting compare?

Practice Better has the stronger charting; CoachVantage has the stronger coaching log. Which matters depends on whether you think of your notes as clinical records or coaching records.

Practice Better includes note templates on every paid plan, and its AI Charting Assistant add-on costs $10 to $40 per practitioner per month, billed in blocks of minutes. Clinical add-ons such as ePrescribe, PDMP and fax show who the product is built for. If you are a licensed practitioner who also coaches, that clinical depth is a real reason to choose it. Our explainer on the Practice Better EHR covers what that means.

CoachVantage includes a coaching log on both plans and exports it to CSV, according to its older profile. For a coach working toward an ICF credential, a clean log of hours is useful evidence.

A scope note for health and wellness coaches. Coaching is not medical treatment. If a client describes new or worsening symptoms, wants to change medication, shows signs of disordered eating, is pregnant and changing diet or training, or has a diagnosed condition that your plan could affect, refer them to their doctor or a licensed clinician before continuing. Clinical records and insurance billing belong in a clinical system built for them. Coachful is not HIPAA-certified and does not sign a BAA, so if you need that, it is not the right tool for those records.

Coachful's client record holds goals, check-ins, habits, notes, intake answers, tags, payments, sessions and an AI briefing per client, with a status of thriving, active, quiet or at risk. It also counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. More on the ICF hour tracking page.

What does the client experience look like on each?

On both CoachVantage and Practice Better, the client gets a portal to book, pay, sign, fill in forms and see shared resources. The difference is branding and how much happens between sessions.

CoachVantage includes a client portal on both plans, alongside its scheduling, invoices, forms, e-signed contracts, group programs and courses.

Practice Better includes a client portal and secure messaging from Starter, with PDF branding on Professional and portal branding plus a personalized URL only on Plus. If a portal under your own brand matters to you, budget for Plus. Our walkthrough of the Practice Better client portal shows what clients see.

In Coachful, the client opens one branded home and app (your branding inside the Coachful app, not your own App Store listing) where their next session, program week, habits, check-ins, courses, community and documents sit together. That is the practical meaning of one login for the whole client journey: fewer "where do I find that link?" messages.

Which one grows with a team?

Practice Better, clearly, between these two. CoachVantage is a solo tool in the facts we have.

Practice Better's Team plan starts at 2 practitioners for $155 a month and scales to 200 at $50 each, with unlimited admins, roles and permissions, team scheduling, team chat, advanced workflows, team reporting and managed billing. Below Team, each account has one practitioner, though Plus allows 3 admins for assistants.

CoachVantage is priced per coach, and its older profile lists no team or multi-coach features. Three coaches would run three separate accounts.

Coachful's Studio and Agency plans add coach seats with per-coach availability and staff permissions, plus round-robin or least-busy assignment for multi-coach session types. It is aimed at solo coaches growing into a small team, not large sales organizations: there is no multi-stage deal board for large teams and no Salesforce or HubSpot integration. See Coachful for teams.

How easy is it to leave each one later?

Both let you export your contacts. Neither documents a one-click export of everything.

CoachVantage offers one-click CSV export and import of contacts, and the coaching log exports to CSV, according to its older profile. Practice Better emails a per-client archive (notes, invoices, forms) that is kept for 48 hours, exports the contact list as a spreadsheet, and handles bulk export on request, also according to its older profile. If you are planning a move, our guide on how to migrate from Practice Better walks through the order of operations.

Coachful exports the full client dataset as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), plus course exports. When you join, clients, programs and content are imported for you during onboarding.

Which should you pick for your kind of coaching?

Match the tool to how you deliver and how you sell. This table leaves out Coachful on purpose so the head-to-head is clear; the third option follows.

Is there a third option? Coachful, honestly

Yes. If you deliver programs rather than only sessions, and you are paying for a separate website, email tool and course platform on top of CoachVantage or Practice Better, Coachful replaces the stack with one subscription. If you need clinical charting or PayPal, it does not.

Coachful's client dashboard and a client goal view on two screens in a bright studio

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, coaches growing from solo into a small team, and coaches replacing four to six tools. The company is based in Tallinn, Estonia, and is rated 4.5 on Trustpilot from 21 reviews. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

Where Coachful beats both

  • Between-session delivery. Weekly goals, daily tasks, habits, morning and evening check-ins, progress bars and streaks keep a program alive between calls. Neither CoachVantage nor Practice Better documents this layer.
  • Your own marketing. A section-based website builder with blog, custom domain and SEO settings, 30 designed homepage templates, booking, application, lead-magnet and checkout funnels with pixels and UTM tracking, and email lists, broadcasts and multi-step sequences with branching and A/B splits. Practice Better has no website builder in its older profile, and CoachVantage's sales pages are not a full site.
  • Community and cohorts. A community feed, group chat, direct messages, video events, group calls and webinars, with cohort groups created automatically on enrollment.
  • AI that knows your practice. Michelle, the built-in assistant, works from your live practice data: it builds programs, drafts emails and content, summarizes recorded sessions, briefs you before sessions, and can give private feedback on your coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. An optional AI Coach lets selected clients chat with an AI version of you between sessions, configured by you. See the AI coaching assistant page.
  • Total stack cost. Because the website, funnels, email, courses and community are included in your Coachful membership, compare it against CoachVantage or Practice Better plus the tools you would add.
Coachful website builder page list
Coachful's website builder with a demo Home page and About, Work With Me, Results and Contact subpages.

Where Coachful does not beat them

  • Clinical work. Coachful is not HIPAA-certified, has no BAA, and is not for clinical record-keeping or insurance billing. Practice Better's charting and clinical add-ons are the better fit for licensed practitioners.
  • PayPal. CoachVantage supports PayPal; Coachful does not.
  • Starting at zero cost. Practice Better's Sprout plan has no charge for up to three clients. Coachful has no permanent no-cost plan, only a free trial.
  • Your own App Store listing. Coachful's client app runs under the Coachful listing with your branding.
  • Wearables. No Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available.
  • Large sales teams. No multi-stage deal board for large teams, no Salesforce or HubSpot integration, and no routing forms that pick a host from form answers.

Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you" option lets you describe what you want: a website, funnel, sales page, program, course outline and written material, email sequence, form, link in bio, event or automation. You can attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours, and nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another: a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. Read more about the free white-glove service.

Frequently asked questions

Is CoachVantage or Practice Better cheaper?

For a coach with more than 10 clients, CoachVantage is usually cheaper: $39 or $59 a month with unlimited contacts, as listed in October 2026. Practice Better is cheaper only at the very start, with a free plan for 3 clients and Starter at $35 a month for 10. Add any website and email tools you would need before comparing totals.

Does CoachVantage have a free plan?

No. CoachVantage offers a 14-day trial with no credit card needed. Practice Better has a free Sprout plan limited to 3 clients, 1 practitioner and 100 MB of storage.

Is Practice Better good for life coaches?

It can work, but much of it is built for wellness and nutrition practitioners: charting, telehealth, ePrescribe and fax. Life coaches who do not keep clinical notes often find CoachVantage's coaching log and engagement model a closer fit, or prefer a program-focused platform.

Which one supports PayPal?

CoachVantage supports Stripe and PayPal. Practice Better uses Practice Better Payments, powered by Stripe. Coachful uses your own Stripe Connect or Razorpay account and does not support PayPal.

Can I run group programs on CoachVantage and Practice Better?

Yes, with limits. CoachVantage allows 2 group programs on Clarity and unlimited group programs with cohorts on Aha!. Practice Better adds group scheduling, group messaging and fixed-date programs on Professional, and evergreen programs on Plus.

Which is better for a team of coaches?

Practice Better, because its Team plan includes roles, team scheduling, team chat and reporting from 2 practitioners. CoachVantage is priced per coach with no team features listed in its older profile. Coachful's Studio and Agency plans add coach seats and staff permissions.

Do either of them include a website builder?

Not a full one. CoachVantage includes sales pages and booking pages (2 each on Clarity, unlimited on Aha!). Practice Better has no website builder or funnel pages in its older profile. Coachful includes a website builder, funnels and email sequences.

What is Coachful's free white-glove service?

It is a done-for-you build included on every Coachful plan. You describe what you want, such as a website, funnel, program or email sequence, attach references and files, and the team builds it inside your account, usually within about 24 hours. It does not cover video recording, logo design, ads or ongoing marketing.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. Practitioners who need that should keep clinical records in a clinical system and refer clients to licensed clinicians when health concerns go beyond coaching.

Can I move my clients from Practice Better or CoachVantage to Coachful?

Yes. Export your contacts from either tool (CSV from CoachVantage; a spreadsheet and per-client archives from Practice Better), and Coachful imports your clients, programs and content for you during onboarding. Our Practice Better switching checklist covers the order to do it in.
