HoneyBook vs Bonsai for Coaches: An Honest 2026 Comparison

HoneyBook vs Bonsai comes down to how your coaching business earns money. If you sell packages and want polished proposals, contracts and invoices with automations around them, HoneyBook is the stronger client-management tool. If you bill by the hour or by project, share work with a small team and want time tracking with per-user pricing that starts lower, Bonsai fits better. Neither one delivers coaching between sessions: there are no programs, habits, check-ins, courses or community in either product.
We make Coachful, a coaching platform that handles the same paperwork plus the program delivery both tools leave out, so it appears below as a third option. We say plainly where HoneyBook or Bonsai is the better pick. Vendor prices are as listed on each vendor's pricing page in October 2026; older details are dated where they come from our September 2026 profiles. We describe what each vendor documents, not hands-on testing.
What is the short answer for each kind of coach?
Pick HoneyBook if your work is package-based and the sales paperwork matters most; pick Bonsai if you track hours, run projects or work with associates. Pick neither if your clients need anything from you between calls.
- Solo coach selling three- or six-month packages: HoneyBook Essentials. Proposals, contracts, invoices, a scheduler and automations sit in one flow, and the plan covers up to 2 team members.
- Business or executive coach who also consults by the hour: Bonsai Essentials or Premium. Time tracking, projects and expense tracking are built in, and Premium adds a deals pipeline and profit reports.
- Coach on a tight budget who only needs to invoice: Of these two, Bonsai Essentials is the lower listed price that includes invoices and payments. Bonsai Basic does not include invoicing at all.
- Coach who needs PayPal or their own Stripe account: Bonsai. HoneyBook only processes through HoneyBook Payments.
- Coach running programs, cohorts, habits or courses: neither. You would bolt three or four other tools onto either one. This is where a coaching platform fits better, and it is the case for Coachful.

How do HoneyBook and Bonsai compare side by side?
HoneyBook is a client-flow CRM for service businesses; Bonsai is freelancer and agency business management with projects and time tracking at its core. Both cover proposals, contracts, invoices, a client portal and scheduling on paid plans.
Ranked for coaches by one login for the whole client journey, between-session delivery, total stack cost and setup effort (Coachful includes a free white-glove build).
| Tool | Built for | Lowest listed price | Scheduler | Payments | Programs, habits, check-ins | Trial |
|---|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs as well as sessions | Lite: $29/month for up to 5 clients | On every plan, with two-way calendar sync | Your own Stripe or Razorpay, 0% platform fee | Yes, plus courses and community | A free trial |
| HoneyBook | Service businesses selling packages | $29/month billed annually (Starter) | Essentials and up | HoneyBook Payments only (cards, ACH) | No | 30 days, no card |
| Bonsai | Freelancers and agencies billing projects or hours | $9 per user/month billed annually (Basic, no invoicing) | Essentials and up | Bonsai Payments, Stripe, PayPal | No | 7 days |
On Trustpilot, HoneyBook showed 4.1 from 748 reviews and Bonsai 4.3 from 641 reviews when we checked on October 25, 2026. Coachful showed 4.5 from 21 reviews, a much smaller sample.
How much do HoneyBook and Bonsai cost?
Bonsai's listed prices are lower per seat, but it charges per user on every plan; HoneyBook charges per account, and Essentials includes up to 2 team members. For a solo coach, Bonsai Essentials at $19 per month billed annually undercuts HoneyBook Essentials at $49.
| Tool | Entry plan | Middle plan | Top plan | How it is billed |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Flat monthly plans; lower plans cap clients, Pro is unlimited, team plans add coach seats |
| HoneyBook | Starter: $29/month billed annually; monthly price not shown | Essentials: $49/month annually or $59 monthly | Premium: $109/month annually or $129 monthly | Per account; Essentials up to 2 team members, Premium unlimited |
| Bonsai | Basic: $9/user annually or $15 monthly (no invoices); Essentials: $19/user annually or $25 monthly | Premium: $29/user annually or $39 monthly | Elite: $49/user annually or $59 monthly, minimum 3 users | Per user on every plan |

A few details on HoneyBook's page change the math. The $59 and $129 monthly figures appear struck through as "25% off" references next to the annual prices, and the page runs time-limited promotions of 25%, 40% and 50% off. Starter's month-to-month price is not shown; our September 2026 profile recorded it at $36. That profile also recorded a February 2025 price rise from $19, $39 and $79 a month to $36, $59 and $129. HoneyBook lists a 30-day free trial with no credit card and a 60-day money-back guarantee. More detail is in our HoneyBook pricing breakdown.
Bonsai advertises "up to 4 months free" on yearly billing, which matches the gap between its monthly and annual prices. Its trial is 7 days of full access; you choose a plan and enter card details at the end if you have not already. Teams of 30 or more users get a reduced rate that is not listed. Our Bonsai pricing guide covers each tier.
What does a year cost in practice?
Worked examples from the listed prices, before payment fees:
- Solo coach, annual billing, invoicing plus scheduler: HoneyBook Essentials is $588 a year ($49 × 12). Bonsai Essentials is $228 a year ($19 × 12).
- Same coach, paying monthly: HoneyBook Essentials is $708 a year ($59 × 12). Bonsai Essentials is $300 a year ($25 × 12).
- Two coaches sharing one account, annual billing: HoneyBook Essentials stays at $588 because it covers 2 team members. Bonsai Essentials for 2 users is $456, and Bonsai Premium for 2 users is $696.
- Three-person practice that wants custom permissions: Bonsai Elite requires at least 3 users, so $147 a month billed annually ($49 × 3), or $1,764 a year. HoneyBook Premium, with unlimited team members, is $1,308 a year billed annually.
The bigger number for most coaches is what sits outside either subscription: course hosting, a community app, an email marketing tool and a website builder. Neither HoneyBook nor Bonsai replaces those. That stack cost is the main reason we built a single platform, and it is worth adding up your own tools before comparing headline prices.
What do payment fees add on top?
HoneyBook and Bonsai both earn on payments when you use their built-in processing, so fees matter as much as the plan price. HoneyBook requires its own processor; Bonsai lets you connect Stripe or PayPal, but adds a platform fee where Bonsai Payments is available.
| Tool | Processor options | Card fees | Bank transfer (ACH) | Extra platform fee |
|---|---|---|---|---|
| Coachful | Your own Stripe Connect or Razorpay account | Your processor's standard rates only | Per your processor | 0% platform fee since August 2026 |
| HoneyBook | HoneyBook Payments only | 2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison (the page conflicts) | 1.5% | Instant deposit costs 1%; discounted rates possible for Premium accounts over $500k a year |
| Bonsai | Bonsai Payments (US, CA, UK, AU), Stripe, PayPal | 2.9% + $0.30; Amex 3.25% + $0.30 (help center, September 2026 profile) | 1% ($1 minimum) | 1% (1.35% Amex) when using your own Stripe or PayPal where Bonsai Payments is available |
An example on a $1,500 coaching package paid by card: at HoneyBook's 2.9% + 25¢ the fee is $43.75, and at its 2.7% + 10¢ figure it is $40.60. At Bonsai Payments' 2.9% + $0.30 it is $43.80. Paid by bank transfer, the same package costs $22.50 in fees on HoneyBook (1.5%) and $15 on Bonsai (1%). These are illustrations from listed rates, so confirm current fees with each vendor before you choose. Bonsai's fee page could not be re-read on our October check, which is why its figures carry the September 2026 date.
Sales tax and VAT rules on coaching vary by country and state. Check with an accountant, and see the IRS self-employed tax center if you are in the US.

How do proposals, contracts and invoices compare?
Both tools handle the sales paperwork well; HoneyBook includes it on its cheapest plan, while Bonsai needs Essentials or higher. If paperwork is the reason you are shopping, HoneyBook's flow is the more polished starting point.
HoneyBook
HoneyBook Starter already includes invoices and payments, proposals and contracts, templates, a calendar, the client portal, basic reports and HoneyBook AI. That means a coach can send the proposal, the contract to sign and the invoice from the same tool, so a prospect moves from "yes" to "paid" in one place. Essentials adds automations, which is what lets you trigger the next step automatically, plus QuickBooks Online and removal of the "Powered by HoneyBook" line. Starter limits you to 2 live lead forms; Essentials raises that to 10 and Premium to unlimited.
Bonsai
Bonsai's Essentials plan adds invoices and payments, proposals and contracts, templates, forms and questionnaires, scheduling, a client portal and expense and income tracking. The Basic plan has time tracking, tasks, unlimited projects and clients, a CRM and a service library, but no invoices or payments, so most coaches start at Essentials. Premium adds a deals pipeline, custom fields, client tasks and messaging, profit reports, removal of Bonsai branding and integrations with QuickBooks, Xero, Zapier, Calendly and Google.
How Coachful handles it
In Coachful, coaching agreements go out with e-signature before the first call and are stored on the client record. Payments run through your own Stripe Connect or Razorpay account, with one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay, Google Pay and Stripe Tax. Each transaction gets an invoice, and you can send manual invoices too. If you are curious about the legal status of signing online, the general background on electronic signatures is a good start; for your own contract wording, check with an attorney. Our page on coaching contracts shows the flow.

This short walkthrough shows how invoices work inside Coachful:

Which one handles scheduling better?
Bonsai includes scheduling from Essentials, its second plan; HoneyBook keeps its scheduler for Essentials and up, so HoneyBook Starter users need a separate booking tool. At the Essentials tier both have it, and HoneyBook adds SMS reminders there.
For a coach, scheduling is the most-used feature in any back office. If you choose HoneyBook Starter to save money, budget for a booking tool alongside it; our Calendly pricing guide shows what that typically adds. Bonsai Premium also lists a Calendly integration if you prefer a dedicated scheduler.
Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions can use built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, plus SMS 24 hours before and WhatsApp 1 hour before once messaging is enabled. You can sell paid sessions or session credits, ask intake questions at booking, and assign multi-coach session types by round-robin or least-busy rules. See Coachful's scheduling software for the details.

How do CRM, automations and project tools compare?
HoneyBook's strength is automating the client flow after an inquiry; Bonsai's strength is running work: projects, tasks, time, workload and profit. Which matters more depends on whether your coaching is sold as outcomes or as hours.
HoneyBook automations arrive with Essentials. Standard reports come with Essentials and advanced reports with Premium, which also allows multiple companies under one account, useful if you run coaching alongside another service business.
Bonsai's project tools grow by tier. Premium adds project insights, workload views and Gantt charts; Elite adds custom permissions, timesheet locking, expense markups and custom data import. Bonsai flags custom domains and project phases as "expected in 2026", so they were not released when we checked. For an executive coach who invoices corporate clients against hours, timesheets and profit reports are genuinely useful. For a life coach selling a 12-week package, most of this sits unused. Our Bonsai review looks at that fit in more depth.
Coachful's coaching CRM is shaped around the coaching relationship rather than projects. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with an AI briefing per client and a status of thriving, active, quiet or at risk. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits are included. Coachful does not do time tracking, Gantt charts or a multi-stage deal board for large sales teams, and it has no Salesforce or HubSpot integration.

What does the client experience look like in each?
In both HoneyBook and Bonsai, the client sees a portal built for paperwork: proposals to accept, contracts to sign, invoices to pay and files to download. That is a clean experience for buying, but there is nothing for the client to do between sessions.
HoneyBook includes a client portal on Starter. Bonsai includes a client portal from Essentials, and Premium adds client tasks and messaging, which is the closest either tool comes to ongoing client work. Neither has programs, habit tracking, check-ins, courses or a community feed.
For many coaches, that gap is the whole question. Results in coaching usually come from what happens between calls: the habit a client keeps, the check-in that flags a bad week, the module they watch before the next session. When that lives in other apps, clients juggle several logins and you lose the picture of who is engaged.
In Coachful, the client gets one branded home and app with the coach's branding inside the Coachful app. They see their next session, programs, progress, documents, habits and community in one place.

Can HoneyBook or Bonsai deliver a coaching program?
No. Neither HoneyBook nor Bonsai documents programs, courses, habits, check-ins or community features, so you would need separate tools for anything you deliver beyond the session itself.
A typical stack built around either tool looks like this: HoneyBook or Bonsai for contracts and invoices, a course platform for content, a community app for the group, an email tool for nurture sequences, and a website builder. That is four to six logins for you and three or four for your clients. If you are already on HoneyBook and want to keep invoicing simple while moving delivery elsewhere, our guide to invoicing coaching clients without HoneyBook walks through the options.
Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses support modules, lessons, drip release and completion tracking. Cohort groups are created automatically when clients enroll in a program, and community feed, group chat, direct messages and video events sit alongside. There are more than 40 ready-to-film program templates and 48 course templates with quizzes. See group coaching software for how cohorts work.

Which should you pick for your type of coaching practice?
Match the tool to how you sell and deliver. Package sellers who only need paperwork lean HoneyBook; hourly or project-based coaches lean Bonsai; anyone delivering programs is better served by a coaching platform.
| Tool | Best fit | Skip it if |
|---|---|---|
| Coachful | Life, health, fitness, mindset and business coaches selling programs, cohorts or courses; solo coaches growing into a small team; anyone replacing 4 to 6 tools | You need PayPal, time tracking, HIPAA coverage or insurance billing |
| HoneyBook | Package sellers who want proposals, contracts and invoices in one automated flow; coaches running more than one business | You want your own Stripe account, or clients need anything between sessions |
| Bonsai | Executive, business and career coaches who bill hours or projects, track expenses or share work with associates | You are a solo package seller who will never use time tracking, or you need a custom domain today |
Life, mindset and relationship coaches
Your sessions are usually sold as packages, and progress depends on reflection between calls. HoneyBook handles the sale better than Bonsai, but neither supports the work. Coachful's tools for life coaches cover both.
Executive and business coaches
If corporate clients ask for hours, timesheets and expense lines, Bonsai's Premium tier earns its keep. If you sell leadership programs or retainers with structured goals, Coachful's executive coaching setup fits better. Coachful also tracks coaching hours and distinct clients against ICF ACC, PCC and MCC thresholds and exports an ICF client coaching log, which matters if you are working toward a credential with the International Coaching Federation.
Health and fitness coaches
Neither HoneyBook nor Bonsai has workout, nutrition or check-in tools. Coachful's Fitness & Nutrition pack adds a workout builder with an illustrated exercise library, nutrition targets, meal plans, progress photos and form-check video. Coaching is not medical treatment: refer clients with symptoms, eating disorders or medical conditions to a licensed clinician, and note that Coachful is not HIPAA-certified.
Coaches with a small team
HoneyBook Essentials covers 2 team members at one price, which is good value for a pair. Bonsai bills every seat. Coachful's Studio and Agency plans add coach seats with per-coach availability and staff permissions; see Coachful for teams.
Is there a third option that beats both?
For coaches who deliver programs, yes: Coachful covers the contracts, invoices and scheduling that HoneyBook and Bonsai handle, plus the delivery and marketing neither one offers. For coaches who mainly need paperwork, time tracking or PayPal, one of the two may still be the better buy.

What Coachful is and who it is for
Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs and not just sessions, for solo coaches growing into a small team, and for coaches replacing 4 to 6 tools. The company is based in Tallinn, Estonia.
- Website and funnels: a section-based website builder with blog, custom domain, SEO settings and 30 designed homepage templates, plus booking, application, lead-magnet and checkout funnels with pixels and UTM tracking. Neither HoneyBook's nor Bonsai's listed plan features include a website builder, and Bonsai's custom domain is still marked as expected.
- Michelle, the built-in AI assistant: works from your live practice data to build programs, draft emails and content, summarize recorded sessions and brief you before sessions. Questions and planning are included in the membership; confirmed builds and changes use AI credits. See the AI coaching assistant.
- AI Coach: an AI version of you that selected clients can chat with between sessions, configured by you.
- Data: full client data export as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) and course export. GDPR-ready.
Pricing is flat and monthly (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Lower plans cap the number of clients, Pro is unlimited, team plans add seats, and monthly plans cancel in one click. Every feature above is included in your Coachful membership.
Why Coachful stands out: a free white-glove service. On every plan, you can open Create and choose "We'll build it for you · FREE", then describe what you want: a website, funnel, sales page, program, course outline, email sequence, form, lead quiz, event page or automation. Attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented, so there are no fake credentials, testimonials or prices; gaps are left for you to fill. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another, a business mentor for beauty professionals, got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. The service does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the white-glove service.

Clients, programs and content are imported for you during onboarding, so moving from HoneyBook or Bonsai does not mean rebuilding by hand. Here is how a program comes together inside Coachful:
What Coachful does not do
- It is not HIPAA-certified and offers no BAA; it is not for clinical record-keeping or insurance billing.
- No PayPal, and no permanent free plan.
- No time tracking, Gantt charts or multi-stage deal board for large sales teams; no Salesforce or HubSpot integration.
- QuickBooks and Xero are not on its listed integrations (Google Calendar, Apple Calendar/iCloud, Outlook, Zoom, Google Meet, Teams, Stripe, Razorpay, Zapier, Meta Pixel and GA4).
- The client app ships under the Coachful listing with your branding, not under your own App Store account.
- No routing forms that pick a host from form answers, and no third-party plugins.
Pick HoneyBook over Coachful if...
...you only need proposals, contracts, invoices and automated follow-up, you run more than one company from one account, you want QuickBooks Online built in, or you value HoneyBook's 60-day money-back guarantee and onboarding help in your first 90 days. Our Coachful vs HoneyBook comparison goes feature by feature, and the HoneyBook review covers the rest.
Pick Bonsai over Coachful if...
...you bill by the hour, need timesheets, expense markups or Gantt charts, want to take PayPal, or need QuickBooks or Xero integration. If you are weighing other routes, see our list of Bonsai alternatives.
If you are still deciding between client-flow CRMs, our HoneyBook vs Dubsado comparison covers the other common pairing, and the HoneyBook alternatives for coaches ranking widens the field.
How do you switch without losing client data?
Export your client list to CSV before you cancel; both HoneyBook and Bonsai support contact exports, but templates and documents do not travel in a reusable format. Plan to rebuild those, or have them rebuilt for you.
Our September 2026 profiles recorded that HoneyBook exports contacts and clients to CSV, while its smart files and templates are not portable in a reusable format. Bonsai exports clients, contacts and invoices to CSV, and custom data import is limited to its Elite plan. Download signed contracts and paid invoices as PDFs for your records, since your tax and legal files should not depend on an old subscription.
A simple switching order:
- Export contacts and invoices, and download signed agreements.
- Finish or pause any open proposals and recurring invoices in the old tool.
- Set up the new payment connection and test one checkout before announcing anything.
- Recreate your contract template, then your booking page.
- Move active clients first, past clients later.
- Keep the old account on its cheapest plan for one billing cycle in case you missed a file.
On Coachful, the import of clients, programs and content is done for you during onboarding, and the white-glove team can rebuild a website or funnel from links and files you attach. The HoneyBook alternative page outlines that move.
Frequently asked questions
Is HoneyBook or Bonsai better for coaches?
HoneyBook is better for coaches who sell packages and want proposals, contracts, invoices and automations in one flow. Bonsai is better for coaches who bill hours or projects and want time tracking and expense reports. Neither delivers programs, habits or check-ins, so coaches who run programs usually need a coaching platform instead.
Which is cheaper, HoneyBook or Bonsai?
For one person, Bonsai is cheaper: Essentials is $19 per user a month billed annually against $49 for HoneyBook Essentials, as listed in October 2026. Bonsai charges per user, so the gap narrows with a team. HoneyBook Essentials covers 2 team members at one price.
Do HoneyBook or Bonsai have a free plan?
No. HoneyBook offers a 30-day free trial with no credit card and a 60-day money-back guarantee. Bonsai offers a 7-day trial with full access, and you enter card details at the end if you continue.
Can I use Stripe or PayPal with HoneyBook or Bonsai?
HoneyBook only processes payments through HoneyBook Payments. Bonsai supports Bonsai Payments, Stripe and PayPal, but our September 2026 profile recorded a 1% platform fee (1.35% for Amex) when you use your own Stripe or PayPal where Bonsai Payments is available.
Does either tool include a scheduler on the cheapest plan?
No. HoneyBook's scheduler starts on Essentials, and Bonsai's scheduling also starts on Essentials. Bonsai Basic does not include invoices or payments either, so Essentials is the realistic starting tier on both.
Can HoneyBook or Bonsai run coaching programs or courses?
Neither documents programs, courses, habits, check-ins or community features. Bonsai Premium adds client tasks and messaging, which is the closest either comes. Coaches who deliver structured programs typically add a course platform and a community app, or use a coaching platform that includes them.
Can I move my clients out of HoneyBook or Bonsai later?
Yes, both export contacts to CSV, and Bonsai also exports invoices. HoneyBook's smart files and templates are not portable in a reusable format, so plan to rebuild contracts and proposals in the new tool. Download signed agreements as PDFs before you cancel.
What is Coachful's free white-glove service?
On every Coachful plan, you can ask the team to build a website, funnel, program, course outline, email sequence or similar inside your account, usually within about 24 hours. You attach up to 8 reference links and 10 files, and nothing is invented: gaps are left for you to fill. It does not include video recording, logo design or ad management.
Is Coachful a good fit for therapists or clinical practices?
No. Coachful is not HIPAA-certified, offers no BAA and does not handle insurance billing or clinical records. It is built for coaching, which is not treatment; practitioners who need clinical records should use a tool designed for that.
How do I start with Coachful?
Start a free trial, then request a white-glove build for your website, funnel or first program while you connect Stripe or Razorpay and your calendar. Your clients, programs and content are imported for you during onboarding. Current plans are listed on the plans page.
