Paperbell vs SimplePractice: Which Fits a Coach in 2026?

If you are weighing paperbell vs simplepractice as a coach, the short answer is that Paperbell fits most coaches better, because SimplePractice is an electronic health record built for therapists and other licensed clinicians. Paperbell is a single-price admin tool for solo coaches: booking, packages, payments, contracts, a client portal and a simple website. SimplePractice is excellent at clinical notes, insurance claims and HIPAA paperwork, which most coaches never need and still pay for in price and complexity.
That said, neither tool covers what many coaches now sell: multi-week programs with habits and check-ins, courses, a community and a client app. This guide compares the two head to head on price, features and client experience, then looks at a third option, Coachful, and is honest about when it beats both and when it does not. We make Coachful, so we have kept vendor facts to what each company documents on its own pages as listed in October 2026, and to what public reviewers report.
Paperbell or SimplePractice: what is the short answer by use case?
Pick by what your work actually is. If you coach and do not diagnose or bill insurance, SimplePractice solves problems you do not have; if you are a licensed clinician, Paperbell lacks the records you are required to keep.
- Solo life, business or career coach selling packages: Paperbell is the closer fit of the two. One price covers booking, packages, payments, contracts and a basic site.
- Licensed therapist, counselor or dietitian who also coaches: SimplePractice, because it gives you progress notes, treatment plans, insurance claims and a BAA at signup.
- Coach who delivers programs between sessions (habits, check-ins, courses, community, a client app): neither is built for this. Coachful covers it in one login.
- Coach on the tightest budget: SimplePractice's Starter plan has the lowest sticker price, but its card fees and clinical focus usually make it the wrong saving.
- Small coaching team: SimplePractice charges per additional practitioner on Plus; Paperbell is priced per coach. Coachful's team plans add coach seats with per-coach availability.
How do Paperbell and SimplePractice compare side by side?
Side by side, Paperbell is a coaching admin tool and SimplePractice is a clinical practice system, and the table makes that gap plain. Coachful is included as a third reference point.
Ranked on what matters most for a coach: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including a free white-glove build).
| Tool | Built for | Starting price | Programs, habits, check-ins | Courses and community | Website | HIPAA BAA |
|---|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs, solo to small team | Lite: $29/month for up to 5 clients | Yes: weekly goals, daily tasks, habits, morning and evening check-ins, streaks | Yes: courses with drip, community feed, group chat, cohort groups | Yes: section-based builder, funnels, blog, custom domain | No (not HIPAA-certified) |
| Paperbell | Solo coaches | $97/month or $970/year | Packages and sessions; no goal or habit tracking reported | Online classes and digital downloads listed; no community | Yes: simple coaching website | Not offered |
| SimplePractice | Therapists and health practitioners | $49/month (Starter) | Treatment plans and progress notes, not coaching programs | No | Client portal, not a marketing site | Yes, at signup |
What does Paperbell offer coaches?
Paperbell is an all-in-one admin tool for solo coaches with one plan that includes every feature. Its pricing page lists a coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads, online classes and custom branding, with unlimited clients, sessions, files, packages and traffic.

The appeal is simplicity. A coach can set up a package (say, six sessions over three months), connect a calendar and a payment processor, add a contract and send one link. Clients buy, sign and book in one flow. Paperbell states there are "no upsells or hidden add-ons" and no additional transaction fees on its side; Stripe or PayPal processing fees still apply.
Where it stops: earlier profiles of the product found no courses or learning area in the full sense, no community, and no goal or habit tracking, and no native mobile app (clients use a mobile browser). The pricing page now lists online classes and digital downloads, so content delivery has grown, but between-session coaching work such as daily tasks, check-ins and streaks is not part of what Paperbell documents. We cover its site builder in more depth in our Paperbell website guide and its group features in Paperbell group coaching.
Pick it over Coachful if you sell one-to-one session packages, want a single flat price with nothing to configure beyond booking and payment, and do not plan to run programs, courses or a community.
What does SimplePractice offer, and is it meant for coaches?
SimplePractice is an EHR (electronic health record) and practice management system for therapists and health practitioners, not a coaching platform. Its pricing page describes itself as "EHR pricing and plans" and its features are organized around clinical care.

The core features SimplePractice lists for every plan include unlimited clients, telehealth, online payments, progress notes, paperless intake documents, a client portal website and mobile app, an EHR mobile app for the practitioner, and "Insurance Essentials". Depending on the plan, it also lists appointment reminders (free on Essential and Plus, per its FAQ), calendar sync, customizable treatment plans, Wiley Treatment Planners and secure client messaging, and Plus highlights group appointments, group telehealth, a premium support phone line, advanced analytics and additional clinicians. Add-ons include Care Aide (AI clinical tools), Note Taker (AI progress notes) and ePrescribe.
The HIPAA side is real: SimplePractice's BAA (business associate agreement) takes effect automatically when you sign up. That matters if you are a covered entity under HIPAA, which the U.S. Department of Health and Human Services explains here. Most coaches are not, because coaching is not diagnosis or treatment and is not billed to insurance.
For a coach, the downside is that you pay for and navigate around claims, CPT codes, diagnosis fields and treatment plans, while the things coaches sell (programs, group cohorts, courses, a sales page) are missing. We list better-fitting options in SimplePractice alternatives for coaches.
Pick it over Coachful if you are a licensed clinician who keeps clinical records, bills insurance or prescribes, and needs a signed BAA. Coachful is not HIPAA-certified and is not for clinical record-keeping.
How much do Paperbell and SimplePractice cost?
Paperbell costs $97 per month or $970 per year (about $80.83 per month), with everything included. SimplePractice costs $49, $79 or $99 per month on its Starter, Essential and Plus plans, billed monthly only, plus card fees and optional add-ons.

| Tool and plan | Monthly price | Annual option | Clients | Payment fees | Trial |
|---|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Flat monthly plans; monthly plans cancel in one click | Lower plans cap clients; Pro is unlimited (Pro: $99/month with unlimited clients) | 0% platform fee; only Stripe or Razorpay processing | A free trial |
| Paperbell (single plan) | $97 | $970/year ($80.83/month), shown as "2 Mo Free" | Unlimited | No Paperbell transaction fee; Stripe or PayPal fees apply | "Try For Free"; help center described 7 days with site offline; 30-day money-back guarantee |
| SimplePractice Starter | $49 | None listed | Unlimited | Cards 3.15% + $0.30 | 30 days, no card |
| SimplePractice Essential | $79 | None listed | Unlimited | Cards 3.15% + $0.30 | 30 days, no card |
| SimplePractice Plus | $99 for the first practitioner, $74 per additional | None listed; 6+ practitioners get custom pricing | Unlimited | Cards 3.15% + $0.30 | 30 days, no card |
A few details change the real bill:
- SimplePractice extras: insurance claims cost $0.39 each, there is a $20 per clinician per year fee for AMA CPT code access, Care Aide is $59/month, Note Taker $35/month, and ePrescribe $49/month plus an $89 setup fee. A coach would rarely need these, but the CPT fee is charged per clinician regardless of use, according to SimplePractice's FAQ.
- SimplePractice promotion: in October 2026 the pricing page offered 50% off for three months if you start a paid plan within the first 7 days of the 30-day trial.
- Paperbell annual billing: paying yearly saves $194 against twelve monthly payments ($1,164 vs $970).
Here is an illustrative example, not a quote. A coach who collects $4,000 a month in client payments across 10 transactions through SimplePractice's card processing would pay about $126 in percentage fees plus $3 in per-transaction fees, roughly $129, on top of the plan. On Paperbell the plan price stays at $97, and the processor's own fees (Stripe or PayPal) apply instead. Compare the processor rates you would actually pay before deciding on sticker price alone.

Which is better for booking and scheduling?
For coaches, Paperbell's booking is simpler and tied to packages, while SimplePractice's scheduling is built around clinical appointments and only adds reminders and calendar sync above Starter. Both handle the basics of a client picking a time.
Paperbell links booking to what the client bought: a package of sessions, then booking against it. SimplePractice lists online appointment requests, telehealth and a client portal; its FAQ says email, text and voice reminders are free on Essential or Plus, and calendar sync appears among its plan features. Group appointments and group telehealth are Plus highlights.
Coachful's booking pages add availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple/iCloud and Outlook sync, built-in video or auto-created Zoom, Meet or Teams links, intake questions on booking, paid sessions and session credits, and email reminders, plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled. Teams can assign sessions round-robin or to the least-busy coach. More on this in Coachful's scheduling software.

How do payments, packages and invoices compare?
Paperbell is stronger for selling coaching packages; SimplePractice is stronger for insurance billing. Neither offers the sales tools a coach might want for launches, such as order bumps or payment plans on a checkout page, as part of what they document.
- Paperbell: packages and payments through Stripe or PayPal, with no Paperbell transaction fee.
- SimplePractice: online payments through SimplePractice payments at 3.15% + $0.30 per card payment, plus insurance claims at $0.39 each. Built for self-pay and insured clients of a clinic.
- Coachful: payments run through the coach's own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction plus manual invoices. There has been a 0% Coachful platform fee since August 2026. There is no PayPal.

See coaching payment software for how packages, plans and subscriptions are set up in Coachful.
What about contracts, intake forms and client records?
Both handle paperwork, but the records are shaped differently. Paperbell keeps coaching contracts, forms and notes; SimplePractice keeps clinical intake documents, progress notes and treatment plans.
For a coach, a clinical chart is the wrong shape. You want goals, agreements, session notes and a sense of whether the client is moving. Paperbell gives you contracts, forms and notes in a client record. SimplePractice gives you diagnosis and treatment fields, measurement-based care and Wiley Treatment Planners, which are designed for therapy.
In Coachful, coaching agreements with e-signature go out before the first call and are stored on the client record. The record also holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, an AI briefing per client, and a status of thriving, active, quiet or at risk. See coaching contracts and coaching CRM.

On exports: SimplePractice's FAQ says that when you close an account you have a window of around 60 days to export client records, notes and dates of service. For Paperbell, the client list and history are in the Clients area; a documented CSV export was not verified in our research. Coachful exports full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), and courses can be exported too.
Can either tool deliver coaching programs between sessions?
Not in the way most coaches mean it. Paperbell sells and schedules packages, and SimplePractice tracks treatment, but neither documents weekly goals, daily tasks, habit tracking or morning and evening check-ins that a client works through between calls.
This is the biggest gap in the paperbell vs simplepractice comparison for coaches whose results depend on what clients do between sessions. A 12-week program is more than 12 calls: it is the small daily actions, the check-in that shows a client slipping in week five, and the group that keeps them going.
Coachful is built around that. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses (modules, lessons, drip, completion tracking), downloads, videos, books and AI tools are delivered into the client's branded home and app. Cohort groups are created automatically when a client enrolls in a program. The short video below walks through programs.

If group work is central to you, our Paperbell alternatives with group coaching and group coaching software go further.
What is the client experience like on each?
SimplePractice gives clients a client portal on the web and a mobile app; Paperbell gives clients a branded portal in the mobile browser, with no native app reported. In both, the client mostly books, pays, signs and fills in forms.
That is a fine experience for therapy clients and for coaching clients who only need a booking link. It is thinner for coaching clients who are meant to do work between sessions, because there is nothing to open each morning: no tasks, habits, streaks or community.

In Coachful, the client gets one branded home and app. They see their next session and what is due before it, their program week, habits and goals, courses, the community feed and messages. The app ships under the Coachful listing with the coach's branding, not under the coach's own App Store account, which is worth knowing if a fully separate app matters to you. See Paperbell alternatives with a client app for more.

What do public reviewers say?
Public review data is limited for Paperbell and mixed for SimplePractice. On Trustpilot, Paperbell had 3.5 from 14 reviews when checked in October 2026, and SimplePractice had 2.6 from 1,616 reviews when checked in October 2026.
Treat both with care. Fourteen reviews is a small sample, and SimplePractice's large count reflects a big clinical user base whose complaints are often about billing and support issues that a coach may never hit. Coachful's Trustpilot rating is 4.5 from 21 reviews. No rating replaces a trial with your own offer, calendar and a real client flow.
Which should you pick for which kind of coach?
Match the tool to the shape of your practice, not to the feature count. The table below sums up where each one fits.
| Tool | Best for | Not a fit when | Typical stack you still need |
|---|---|---|---|
| Coachful | Coaches running programs, groups, courses or a community, solo or as a small team, replacing 4 to 6 tools | You need HIPAA, insurance billing, PayPal, or wearable sync | Usually none for core coaching; Zapier for edge cases |
| Paperbell | Solo coaches selling 1:1 session packages who want one flat price | You want habits, check-ins, a community or a native client app | Course or community tool, email marketing for launches |
| SimplePractice | Licensed therapists and health practitioners with clinical records and insurance | You coach without diagnosing, treating or billing insurance | Website, sales pages, programs, courses, community |
- New coach with one offer: Paperbell is the simpler of the two. If you want a site and a funnel built for you, Coachful's free white-glove build gets you live faster. See Paperbell alternatives for new coaches.
- Health or wellness coach: coaching is not medical care. If you do not diagnose or treat, you do not need an EHR. If a client reports symptoms, medication changes, disordered eating, self-harm thoughts or anything outside your scope, refer them to a doctor or licensed clinician. If you are also licensed and keep clinical records, those belong in a clinical system such as SimplePractice. See SimplePractice alternatives for health coaches and Coachful for health coaches.
- Life coach: Paperbell over SimplePractice, and Coachful over both if you run programs. See Paperbell alternatives for life coaches and Coachful for life coaches.
- Business or executive coach: Paperbell covers booking and contracts; Coachful adds ICF hour tracking, agreements and team seats. See Paperbell alternatives for business coaches.
- Coach who is also a therapist: keep clinical clients in SimplePractice and consider a coaching platform for non-clinical coaching clients, with a clear line between the two services.
Is Coachful a better third option than Paperbell or SimplePractice?
For most coaches who deliver programs, yes: Coachful puts booking, payments, contracts, programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant under one login, with one branded app for clients. It is not the better choice for clinicians who need HIPAA, or for coaches who only want a booking link.

What Coachful is: a coaching platform for coaches who deliver programs, not just sessions, from solo coaches growing into a small team to coaches replacing 4 to 6 tools. The company is based in Tallinn, Estonia.
Where it beats both:
- Between-session delivery: multi-week programs, weekly goals, daily tasks, habits, check-ins, streaks, courses and a community feed with group chat and video events.
- Selling: a section-based website with blog, custom domain and 30 designed homepage templates; booking, application, lead-magnet and checkout funnels with pixels and UTM tracking; email lists, broadcasts and multi-step sequences; a link-in-bio page that sells.
- Insight: client status (thriving, active, quiet, at risk) and Michelle, the built-in AI assistant, which works from your live practice data, briefs you before sessions, drafts emails and content, builds programs and summarizes recorded sessions. Questions and planning are included in the membership; confirmed builds and changes use AI credits.
- ICF credential tracking: counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log. See ICF hour tracking.
- Team growth: Studio and Agency plans add coach seats with per-coach availability and staff permissions.

Where it does not beat them:
- It is not HIPAA-certified, offers no BAA, and is not for clinical record-keeping or insurance billing. SimplePractice wins here.
- No PayPal, which Paperbell supports.
- No permanent free plan.
- The client app runs under the Coachful listing with your branding, not your own App Store account.
- No Garmin, Fitbit, Whoop or Oura sync, and no stock exercise videos.
- If all you want is a booking link and a payment for a session pack, Coachful is more than you need, and Paperbell's single plan may suit you.
Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you", and describe what you need: a website, funnel, sales page, program, course outline, email sequence, form, link in bio, lead quiz or event. Attach up to 8 reference links and up to 10 files such as logos, photos and brand guides. The Coachful team builds it inside your own account, usually within about 24 hours, and leaves gaps for you instead of inventing credentials, testimonials or prices. Recent builds include a five-page site in sage and cream for a menopause and midlife health coach starting from nothing, with every button leading to a free 20-minute consultation, and a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel for a real-estate and money coach. It does not include recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

How to start: begin a free trial, then request the free white-glove build for your site, funnel or first program. Your clients, programs and content are imported for you during onboarding, so switching from Paperbell does not mean retyping your roster (see how to migrate from Paperbell). Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Every feature above is included in your Coachful membership. For a direct comparison, see Coachful vs Paperbell.
Frequently asked questions
Is SimplePractice good for life coaches?
It works, but it is built for licensed clinicians, so a life coach pays for and works around insurance billing, CPT codes and treatment plans. It also lacks coaching programs, courses and community. Most life coaches are better served by a coaching platform.
Is Paperbell cheaper than SimplePractice?
Not on sticker price: Paperbell is $97 per month or $970 per year, and SimplePractice starts at $49 per month, as listed in October 2026. But SimplePractice charges 3.15% + $0.30 on card payments through its own processing and has optional add-ons, so compare your total cost, not just the plan.
Do coaches need a HIPAA-compliant platform?
Usually not. HIPAA applies to covered entities such as health plans and providers that bill electronically, as HHS explains, and most coaches are not covered entities. If you are a licensed clinician keeping clinical records, use a clinical system with a BAA. Check with an attorney if you are unsure where your practice falls.
Does Paperbell have a mobile app?
Earlier profiles of Paperbell found no native mobile app; clients use the portal in a mobile browser. SimplePractice offers a client portal website and mobile app. Coachful gives clients a branded app under the Coachful listing.
Can I run group coaching on Paperbell or SimplePractice?
Paperbell lists group coaching among its included features. SimplePractice offers group appointments and group telehealth as Plus plan highlights. Neither documents cohort communities or group programs with habits and check-ins, which Coachful creates automatically when clients enroll in a program.
Does either tool include a website?
Paperbell includes a simple coaching website. SimplePractice offers a client portal, not a marketing site with sales pages. Coachful includes a section-based website builder with blog, custom domain, funnels and email.
What is the free white-glove service in Coachful?
It is a free build service on every Coachful plan. You describe what you want (a website, funnel, program, course outline, email sequence and more), attach references and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.
Can I move my clients from Paperbell or SimplePractice to Coachful?
Yes. Coachful imports clients, programs and content for you during onboarding. SimplePractice's FAQ says you have about 60 days after closing an account to export records; keep any clinical records in a clinical system rather than moving them into a coaching platform.
Does Coachful take a cut of my client payments?
No. Since August 2026 there has been a 0% Coachful platform fee; you pay only Stripe or Razorpay processing through your own account. PayPal is not supported.
