Practice Better vs upcoach (2026): Which Fits Your Coaching?

The short answer on practice better vs upcoach: Practice Better is a practice management system for nutrition, wellness and health practitioners who run mostly 1:1 work with charting, telehealth and client billing, while upcoach is a program platform for coaches and organizations running cohorts, masterminds and group programs with progress reporting. If your days are intake forms, session notes and follow-ups, Practice Better fits better. If your business is groups moving through a structured program together, upcoach fits better. If you want both, plus a website, funnels and email in one login, there is a third option worth weighing, and we cover it honestly below.
We make Coachful, so read our recommendation with that in mind. Everything we say about Practice Better and upcoach comes from what each company documents on its own pricing and product pages as listed in October 2026, plus what public reviewers report. We have not run either tool in a live practice, and we say so wherever it matters.

What is the short answer by use case?
Pick by the shape of your coaching, not by the feature list. The two tools solve different problems, and most coaches only have one of those problems.
- Solo nutrition, functional health or wellness practitioner with 1:1 clients: Practice Better. It is built around charting, note templates, intake forms, telehealth and client billing, and it has a free Sprout plan for up to 3 clients.
- Coach turning a 1:1 method into group programs or cohorts: upcoach. Its whole pricing model counts active participants across unlimited programs, and it includes community, events and a participant app on every plan.
- Coaching firm selling programs to companies: upcoach, because of its Admin, Facilitator and Sponsor roles and its AI impact reports for sponsors.
- Practitioner who needs ePrescribe, fax or prescription monitoring: Practice Better, which sells those as add-ons. upcoach does not list anything clinical.
- Coach who runs 1:1 and group work, sells online and wants one system for the website, booking, payments, programs and email: Coachful. Neither of the two covers the marketing side fully, and each leaves gaps on the other's strengths.
A note on scope before going further: health coaching is not medical treatment. If a client describes symptoms, medication questions, disordered eating or anything that needs a diagnosis, refer them to a doctor, registered dietitian or licensed therapist. The software you pick should support that boundary, not blur it.
How do Practice Better, upcoach and Coachful compare side by side?
We rank on four criteria that favour coaches who sell and deliver programs: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including Coachful's free white-glove build).
| Tool | Built for | 1:1 sessions | Group programs | Website and funnels | Platform fee on sales | Free plan |
|---|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs, solo to small team | Booking pages, calendar sync, video links, contracts | Programs, cohorts, community, courses | Website builder, funnels, email sequences | 0% (Stripe or Razorpay processing only) | No; free trial |
| Practice Better | Nutrition and wellness practitioners | Scheduling, telehealth, charting, notes | Fixed-date programs on Professional, evergreen on Plus | Not offered (older profile) | None stated; Stripe-powered payments | Yes, Sprout (3 clients) |
| upcoach | Group, cohort and corporate programs | Bookable sessions and events | Core purpose: unlimited programs | Landing page builder | 2% Starter, 1% Pro and Business, 0% Scale | No; 14-day trial |
The pattern is clear. Practice Better is strongest where a session produces a clinical-style record. upcoach is strongest where a program produces a cohort. Coachful sits across both and adds the selling layer, which is why we rank it first for coaches whose business is both delivery and growth.

How does pricing compare between Practice Better and upcoach?
Practice Better is cheaper at small client counts and has a free plan; upcoach costs more at entry and adds a transaction fee below its top self-serve plan. Here are the plans as listed in October 2026.
| Tool and plan | Monthly billing | Annual billing (per month) | Client or participant limit | Seats | Fee on client payments |
|---|---|---|---|---|---|
| Coachful (cheapest plan) | Lite: $29/month for up to 5 clients | Flat monthly plans | Lower plans cap clients; Pro is unlimited | Team plans add coach seats | 0% platform fee |
| Practice Better Sprout | $0 | $0 | 3 clients, 100 MB | 1 practitioner | None stated |
| Practice Better Starter | $35 | $25 | 10 clients, 1 GB | 1 practitioner | None stated |
| Practice Better Professional | $69 | $59 | 300 clients, 5 GB | 1 practitioner | None stated |
| Practice Better Plus | $99 | $89 | Unlimited clients | 1 practitioner, 3 admins | None stated |
| Practice Better Team | $155 | $145 | Unlimited clients | 2 practitioners, up to 200 at $50 each | None stated |
| upcoach Starter | $49 | $49 | 25 active participants | 1 | 2% |
| upcoach Pro | $99 | $99 | 100 active participants | 2 | 1% |
| upcoach Business | $199 | $199 | 250 active participants | 5 (extra $99/mo) | 1% |
| upcoach Scale | $399 | $399 | 500 active participants | 10 (extra $99/mo) | 0% |
| upcoach Enterprise | Custom | Custom | 500+ participants | Custom | 0% |
Two page quirks are worth knowing. Practice Better's Professional card says "Save $84/year", which implies about $62 a month on annual billing, while its table shows $59. upcoach's billing toggle promises "2 months free" on annual, yet the yearly totals it shows ($588, $1,188, $2,388, $4,788) are exactly twelve times the monthly price. Confirm the final number at checkout before you commit to either.

What do the add-ons cost?
Practice Better's base price is only part of the bill if you use its extras. As listed in October 2026: the AI Charting Assistant is $10, $20 or $40 per practitioner per month (1,200, 3,600 or 7,200 minutes, then 2 cents a minute), Connector Hub is $49 a month on Plus and Team, ePrescribe is $49 a month plus $99 onboarding per prescriber, PDMP is $5 a month plus $399 onboarding, SMS is 5 cents per text beyond the included amount, fax is 10 cents a page, extra admins are $10 a month and extra storage is $1 per GB on Professional. Most coaches will never touch ePrescribe or PDMP; those exist for licensed prescribers.
upcoach's add-ons are simpler: 100 more active participants for $99 a month and extra seats for $99 a month, both on Business and Scale only. Pro cannot add seats. The bigger cost lever is the transaction fee, which sits on top of Stripe's own card processing.

What does each cost in a real month? Three worked examples
These are illustrative examples, not typical results. Revenue numbers are made up to show how the fees behave; card processing is left out because all three tools pass it through to Stripe (or Razorpay for Coachful).
| Example | Coachful | Practice Better (monthly billing) | upcoach (monthly billing) |
|---|---|---|---|
| Coachful plan that fits each case | 12 clients: Solo: $49/month for up to 20 clients; 80 clients: Pro: $99/month with unlimited clients; unlimited: Pro: $99/month with unlimited clients | Not applicable | Not applicable |
| A: solo coach, 12 clients, $3,000 a month in client payments | Plan for 12 clients, 0% platform fee | Professional $69 (Starter caps at 10 clients) | Starter $49 plus 2% ($60) = $109 |
| B: group coach, 80 active participants, $12,000 a month | Plan for 80 clients, 0% platform fee | Plus $99 if you need evergreen programs and portal branding; Professional $69 otherwise | Pro $99 plus 1% ($120) = $219 |
| C: three coaches, 150 clients, $20,000 a month | Team plan with coach seats, 0% platform fee | Team $155 plus one extra practitioner $50 = $205 | Business $199 plus 1% ($200) = $399 |
The takeaway: upcoach's percentage fee grows with your revenue, so a successful group program pays more each month. At $10,000 a month in sales, the 1% fee alone is $100. Scale removes the fee but starts at $399. Practice Better's costs grow with features you unlock instead, and its biggest jump is from Professional to Plus for evergreen programs and branding.
Neither total above includes a website builder, a funnel tool or an email marketing tool. Practice Better does not offer website or funnel pages (older profile), so most practitioners pay for those separately. upcoach includes a landing page builder, but not a full website or email sequences on its plan list. That outside spend is the part of the stack Coachful folds into one subscription.
How do scheduling and sessions compare?
Practice Better is the stronger pure 1:1 scheduler of the two; upcoach treats sessions as events inside programs.
Practice Better includes scheduling, telehealth video, secure messaging and a client portal from the Starter plan, with group scheduling and messaging from Professional. Team adds team scheduling and team chat. SMS reminders are included in volume on Plus (750 a month) and Team (2,000 a month), and otherwise cost 5 cents a text. Its depth here comes from being a practice manager: a booking leads to a chart note, an invoice and a follow-up.
upcoach lists "events and scheduling" on every plan, described on its site as live events, bookable sessions, reminders and calendar sync. The emphasis is on group calls tied to a program rather than on a private practice calendar. If most of your income is 1:1 sessions booked from a public page, check in the trial that upcoach's booking flow covers your buffers, notice rules and paid session packages.
Coachful's booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions can use built-in video or auto-created Zoom, Meet or Teams links. Reminders go out by email, plus SMS 24 hours before and WhatsApp 1 hour before once messaging is enabled. Paid sessions, session credits, intake questions on booking, and round-robin or least-busy assignment for multi-coach session types are included in your Coachful membership. More on that in our coaching scheduling software overview.

How do programs and group coaching compare?
upcoach is the specialist here. Practice Better has programs, but they are an add-on to a practice; in upcoach, the program is the product.
upcoach's plans all include unlimited programs, a program builder, worksheets, check-ins, tasks, lessons and assignments, an activity and media library, community channels, threads and feeds, and progress dashboards with aggregated results. Quizzes are marked "soon". The pricing model counts active participants only: the same person in three programs counts once, and you can deactivate finished cohorts to free space. That is a coach-friendly way to price groups.
Practice Better offers fixed-date programs from Professional and evergreen, self-paced programs from Plus, plus program templates on Plus. Programs sit alongside scheduling, charting and billing rather than at the center of the product, which is how the plans are structured too.
Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. When a client enrolls in a program, a cohort group is created automatically, with a community feed, group chat and video events. Our group coaching software page shows that flow in more detail.

Here is how a Coachful program is built, start to finish:
How do client records, notes and charting compare?
Practice Better wins this category for practitioners who need a chart; upcoach is lighter and focused on program progress.
Practice Better includes forms and note templates from Starter and sells an AI Charting Assistant from $10 per practitioner per month. It can also add ePrescribe, PDMP and a fax number, which tells you who its core buyer is: practitioners with clinical-adjacent workflows. We cover that side in Practice Better EHR: what it does and who needs one.
upcoach tracks participants against program progress: who is on track, who needs attention, and AI impact reports (3, 15 or 50 a month by plan) that summarize whether a program worked. That is useful for sponsors and for coaches proving outcomes, but it is not a session chart.
Coachful's client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with an AI briefing per client and a status of thriving, active, quiet or at risk. It is a coaching record, not a clinical one. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records and insurance billing belong in a clinical system. If you are unsure whether HIPAA applies to you, the HHS guide to covered entities is the place to start, and check with an attorney if your situation is borderline.
How do payments, contracts and invoicing compare?
Practice Better handles billing well for a practice; upcoach handles program sales but, per its older profile, has no contracts or invoicing.
Practice Better includes billing and payments from Starter through Practice Better Payments, powered by Stripe, and adds deposits and payment plans on Professional. No platform fee is stated, though Stripe's processing rates are not listed on the pricing page either.
upcoach includes payments with offers, bundles and coupons on every plan, through Stripe, with its own fee of 2% on Starter, 1% on Pro and Business and 0% on Scale and Enterprise. An older profile notes no contracts or invoicing, so a coach selling high-ticket 1:1 packages may need a separate e-signature tool.
Coachful takes payments through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Every transaction gets an invoice, and you can send manual invoices. There has been a 0% Coachful platform fee since August 2026. Coaching agreements with e-signature go out before the first call and are stored on the client record (see coaching contracts). Coachful does not support PayPal.

How do websites, funnels and marketing compare?
This is the biggest gap in both tools. Practice Better has no website builder or funnel pages (older profile), and upcoach offers landing pages but not a full site with email sequences.
For a practitioner whose clients come from referrals, that gap may not matter. For a coach filling cohorts from Instagram, a webinar or a lead magnet, it means paying for and connecting a website builder, a funnel tool and an email platform, then making sure a buyer lands in the right program. Every connection is a place where a lead can drop.
upcoach does list "emails sent under your organization's name" from Pro, which is about program communication rather than marketing sequences.
Coachful includes a section-based website builder with blog, custom domain, SEO settings, 30 designed homepage templates and an Import website option. Booking, application, lead-magnet and checkout funnels carry pixels and UTM tracking, and there is a link-in-bio page that sells. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits are included in your Coachful membership. A social planner schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube, and Instagram automations can send a booking link or lead magnet by DM when someone comments a keyword. See the coach website builder page.

How do AI features compare?
Both vendors now lead with AI, but in different places: Practice Better on charting, upcoach on program building and reporting.
Practice Better's AI Charting Assistant is a paid add-on for charting, priced by minutes of use per practitioner. upcoach includes AI insights and impact reports on every plan, and it now runs an MCP server so you can build programs, check who is behind and send nudges from Claude or ChatGPT. That is a genuinely new idea in this category and worth trying if you already work in an AI assistant all day.
Coachful's built-in assistant, Michelle, works from your live practice data: it builds programs, drafts emails and content, summarizes recorded sessions, briefs you before sessions and, if you choose, gives private feedback on your own coaching against ICF Core Competencies 3 to 8. Questions and planning are included in the membership; confirmed builds and changes use AI credits. Coachful also offers an AI Coach, an AI version of you that selected clients can chat with between sessions, configured by you. See the AI coaching assistant page.
What does the client experience look like in each?
Practice Better gives clients a portal for forms, messages, bookings and programs; upcoach gives participants a program app built around their cohort.
Practice Better's client portal is included from Starter, with portal branding and a personalized URL on Plus. We walk through it in what clients see in the Practice Better client portal and the Practice Better app breakdown.
upcoach includes a participant mobile app for iOS and Android on every plan. Brand colors, logo and custom domain start on Pro. A fully managed branded app in the app stores is Enterprise only.
In Coachful, clients get one branded home and app with the coach's branding inside the Coachful app (not a separate listing under your own App Store account). From there they see their next session, program week, habits, goals, courses, community and documents. That single place is the core of our ranking: a client never has to remember which tool holds which part of their coaching.

Which should you pick for which kind of coach?
Match the tool to the work you do most weeks, then check the gaps against what you would need to buy elsewhere.
| Coach type | Best fit | Why |
|---|---|---|
| Coachful: coaches selling programs online, solo or small team | Coachful | Website, funnels, booking, payments, programs, community and email in one login; free white-glove build |
| Functional nutrition or wellness practitioner, 1:1 heavy | Practice Better | Charting, note templates, telehealth, ePrescribe and fax add-ons |
| Student or brand-new practitioner with 1 to 3 clients | Practice Better | The free Sprout plan |
| Mastermind or cohort coach with 25 to 500 participants | upcoach or Coachful | upcoach prices by active participant; Coachful adds the selling side with no platform fee |
| Coaching firm reporting to corporate sponsors | upcoach | Admin, Facilitator and Sponsor roles plus AI impact reports |
| Fitness or nutrition coach who programs workouts and meals | Coachful | Fitness and Nutrition pack: workout builder, logging, macros, meal plans, progress photos |
| Practitioner billing insurance or keeping clinical records | A clinical system, not a coaching tool | You likely need a BAA and claims; Coachful is not HIPAA-certified |
If you are a health coach, our Coachful for health coaches page shows the program and check-in setup in that niche. Fitness and nutrition coaches can see the dedicated Fitness and Nutrition pack.
Is there a third option? When Coachful beats both, and when it does not
Yes. Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your client. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing 4 to 6 tools. Coachful is based in Tallinn, Estonia, and rates 4.5 on Trustpilot from 21 reviews.

When Coachful beats both
- You sell online. Neither Practice Better nor upcoach gives you a full website, funnels and email sequences. Coachful does, so a lead from a webinar funnel becomes a paying client in a program without leaving the system.
- You run 1:1 and group work together. Practice Better leans 1:1, upcoach leans group. Coachful handles booking pages and session credits alongside cohorts that form automatically on enrollment.
- You want the fee to stay flat as you grow. Coachful charges no platform fee on client payments, while upcoach takes 1% to 2% below Scale.
- You want clients doing the work between sessions. Daily tasks, habits, morning and evening check-ins, streaks and goals with progress bars live in the client's app.
- You track ICF hours. Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log. See ICF hour tracking.
- You coach fitness or nutrition. The Fitness and Nutrition pack adds a workout builder with an illustrated exercise library, workout logging with PRs, macro targets, meal plans, recipes, barcode scanning, progress photos and private form-check video. You attach your own demo videos; there are no stock exercise videos.

When Coachful does not beat them
- You need HIPAA, a BAA, charting, ePrescribe or insurance billing. Coachful is not HIPAA-certified. Practice Better, or a clinical system, is the honest pick.
- You want a free plan forever. Practice Better's Sprout is free for 3 clients; Coachful has a free trial but no permanent free plan.
- You need a native app under your own App Store listing. Coachful's client app carries your branding inside the Coachful app. upcoach offers your own app store app on Enterprise.
- You run 500+ participants with sponsor reporting across a firm. upcoach's Enterprise tier and Sponsor role are designed for that.
- You rely on PayPal or wearables. Coachful has no PayPal and no Garmin, Fitbit, Whoop or Oura sync.
- You need a sales pipeline for a large team or a HubSpot or Salesforce sync. Coachful does not offer a multi-stage deal board or those integrations.
Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you" card lets you describe what you want: a website, funnel, sales page, program, course outline and written material, email sequence, form, lead quiz, event or automation. You can attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. One recent example: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. Another, a business mentor for beauty professionals, got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Read more about the free white-glove service.

How to start with Coachful

- Connect your Stripe or Razorpay account and your calendar.
- Ask the team to import your clients, programs and content during onboarding, and request a white-glove build for your website or first funnel.
- Send your coaching agreement and first check-in to existing clients so they start in the new app.
If you are moving from Practice Better specifically, our guide to migrating from Practice Better without losing clients covers exports (per-client archives are emailed and kept for 48 hours, so download them promptly). upcoach exports clients to CSV with custom fields from its Admin Panel (older profile). Coachful exports your full client data as a ZIP whenever you need it.

What do public reviews say?
Review volume is thin for upcoach and moderate for Practice Better, so treat ratings as a weak signal.
Practice Better holds 3.8 on Trustpilot from 87 reviews as seen on October 25, 2026. upcoach's Trustpilot page had no reviews at that time; its pricing page cites 4.9 on Capterra from 8 reviews. Coachful rates 4.5 on Trustpilot from 21 reviews. Small review counts swing easily, so a trial with your own clients tells you more than any star score. Our Practice Better review goes deeper on what reviewers praise and criticize.
What about trials, contracts and cancelling?
All three let you try before paying, with different terms.
- Practice Better: 30-day trial on Team and 14 days on other paid plans; card requirement not stated; no contracts. The Sprout plan stays free.
- upcoach: 14-day trial with no credit card, plus a 14-day money-back guarantee on your first paid subscription.
- Coachful: a free trial; monthly plans cancel in one click.
Frequently asked questions
Is Practice Better or upcoach better for group coaching?
upcoach is better for group coaching. Its plans include unlimited programs, community, events and progress dashboards, and it prices by active participant. Practice Better supports group scheduling and fixed-date programs from Professional, but it is built mainly around 1:1 practice work.
Does upcoach charge a transaction fee?
Yes. As listed in October 2026, upcoach charges 2% on Starter and 1% on Pro and Business, on top of Stripe's processing. Scale ($399 a month) and Enterprise have a 0% upcoach fee.
Is there a free version of Practice Better or upcoach?
Practice Better has a free Sprout plan for up to 3 clients and 100 MB of storage, aimed at students and new practitioners. upcoach has no free plan, only a 14-day trial with no card required.
Which is cheaper for a solo coach with 10 to 20 clients?
Practice Better usually is. Its Starter plan is $35 a month for 10 clients, and Professional is $69 for up to 300. upcoach Starter is $49 for 25 participants plus a 2% fee on what you sell, so the effective cost rises with revenue.
Does either tool include a website builder?
Practice Better does not offer a website builder or funnel pages, per its older profile. upcoach includes a landing page builder on every plan but not a full website with email sequences. Coachful includes a website builder, funnels and email sequences in its membership.
Is Practice Better or upcoach suitable for clinical records?
Practice Better is the closer fit, with charting, note templates and ePrescribe and fax add-ons; confirm its compliance terms directly if you need a BAA. upcoach is a program platform, not a clinical record system. Coachful is not HIPAA-certified and should not hold clinical records.
Can I use both Practice Better and upcoach together?
You can, for example running 1:1 charts in Practice Better and cohorts in upcoach. You would pay for both, keep two client lists and still need a website and email tool. That is the setup Coachful is designed to replace with one login.
What is Coachful's free white-glove service?
It is a build service included on every Coachful plan. You describe a website, funnel, program, course outline, email sequence or similar, attach links and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.
Does Coachful have a branded mobile app?
Clients use the Coachful app with your branding, so they see your name and look rather than a generic tool. It is not published under your own App Store account. upcoach offers that only on Enterprise.
Can I move my clients from Practice Better or upcoach to Coachful?
Yes. Export what each tool allows (per-client archives and a contact spreadsheet from Practice Better, a client CSV from upcoach), and the Coachful team imports your clients, programs and content during onboarding. Our Practice Better migration checklist walks through the order of steps.
