Bonsai vs Dubsado for Coaches: Honest 2026 Comparison

Bonsai vs Dubsado for Coaches: Honest 2026 Comparison

Bonsai vs Dubsado comes down to what kind of back office you need. Bonsai is the better pick if you bill by the hour, track time or run projects with tasks, and it starts cheaper for a single user. Dubsado is the better pick if your coaching business runs on forms, contracts and automated onboarding sequences, and you want several team members without paying per seat. Neither one delivers coaching between sessions: no programs, habits, check-ins, courses or client community.

That last point matters more than most comparisons admit. Both tools were built for freelancers and service businesses, not for coaches who sell programs. So this guide does three things: it compares Bonsai and Dubsado honestly on price, features and client experience, it tells you which coach each one suits, and then it shows when a coaching platform like Coachful beats both (and when it does not). We make Coachful, so weigh that section with that in mind; every vendor fact below comes from the vendors' own pages as listed in October 2026.

What is the short answer, by type of coach?

If you only read one section, read this one. The right choice depends on how you sell and deliver your coaching, not on which tool has the longer feature list.

  • Solo coach who bills hourly or by retainer, with a few corporate clients: Bonsai. Time tracking, projects and per-client invoicing sit at its core, and Essentials costs $25 per user per month (or $19 billed yearly).
  • Solo coach selling packages with a long onboarding sequence (inquiry form, proposal, contract, invoice, questionnaire): Dubsado Premier. Its automated workflows, which Dubsado calls Flows, are the reason people choose it.
  • Coach with an assistant or a small team: Dubsado. Up to 3 additional team members are included, while Bonsai charges every plan per user.
  • Coach on a tight budget who only needs contracts and invoices: Bonsai Essentials is cheaper per month for one person; Dubsado Starter covers contracts, invoices and a client portal but has no scheduler.
  • Coach who delivers programs, courses, group cohorts or between-session accountability: neither. You will need to add three or four other tools to either one. A coaching platform such as Coachful covers that in one login, which we explain below.

For deeper single-vendor detail, see our Bonsai review and our Dubsado review.

How do Bonsai and Dubsado compare side by side?

Bonsai is freelancer business management (proposals, contracts, invoices, time tracking, projects) priced per user. Dubsado is a client workflow CRM (forms, contracts, invoices, scheduler, automated workflows) priced per account. The table compares them with Coachful included as the third option.

How we rank: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including Coachful's free white-glove build).

The first row names the category each product lives in; the rest compare what you get. Notice how few rows Bonsai and Dubsado share with a coaching delivery tool. They overlap on the paperwork side and diverge on almost everything else.

How much do Bonsai and Dubsado cost in 2026?

Bonsai runs from $15 to $59 per user per month on monthly billing, and Dubsado costs $35 or $55 per month for the whole account. For a solo coach, Bonsai's Essentials plan ($25) is cheaper than Dubsado Premier ($55), but Dubsado becomes cheaper as soon as you add people.

Dubsado Premier$55$525 per year (about $43.75 per month)Scheduler, Flows, unlimited lead forms, public proposals, bookkeeping integration, Zapier

A few details change the real cost:

  • Bonsai's Basic plan cannot invoice. Most coaches will need Essentials at minimum, because Basic has no invoices or payments. Bonsai advertises "up to 4 months free" on yearly billing.
  • Dubsado Starter has no scheduler. If you want clients to book discovery calls inside Dubsado, you need Premier. Dubsado's pricing page shows yearly totals only; the monthly prices come from Dubsado's own product information page. Those prices apply to new subscribers since December 1, 2025.
  • Team costs diverge fast. Dubsado includes up to 3 additional team members, then charges $25 per month for 4 to 10 users, $45 for 11 to 20 and $60 for 21 to 30. Bonsai multiplies its plan price by every user. Dubsado also charges $10 per month for each additional brand.
  • Payment fees. Dubsado states no platform fee of its own; processor rates apply, and optional surcharging lets you pass card costs to the client. Bonsai's pricing page links fees out to its help center. In our September 2026 profile, Bonsai Payments charged 2.9% + $0.30 for cards, 3.25% + $0.30 for Amex and 1% for ACH ($1 minimum), and using your own Stripe or PayPal where Bonsai Payments is available added a 1% platform fee. Check the current help article before you commit.

Here is an illustrative example (not a quote) for a coach and one assistant, both needing contracts, invoices and scheduling, on monthly billing:

The Bonsai and Dubsado figures cover only the business admin layer. The real comparison for a program-based coach is the total stack: that admin tool plus a website builder, an email platform, a course host and a community app, each with its own login and bill. Our Bonsai pricing guide and Dubsado pricing guide break each one down further.

Which is better for scheduling discovery calls and sessions?

Bonsai gives you scheduling one plan earlier: it is included from Essentials ($25 per user), while Dubsado only includes its scheduler on Premier ($55). Both handle the basics of booking a call; neither is a coaching calendar built around programs and session credits.

Bonsai's scheduling sits alongside its projects and invoices, and Premium adds Calendly and Google integrations if you prefer an outside scheduler. Dubsado's scheduler becomes more useful when combined with Flows: a booking can trigger the next step of your onboarding, such as a questionnaire or a contract. If discovery calls are the front door of your business, Dubsado Premier gives you more automation around them; if you just need a booking link, Bonsai Essentials is the cheaper way to get one.

For comparison, Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple and Outlook calendar sync, built-in video or auto-created Zoom, Meet or Teams links, and email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled. Paid sessions, session credits and intake questions on booking are part of the same flow. See our coaching scheduling software page for detail.

Which handles contracts, proposals and onboarding better?

Dubsado is stronger at onboarding. Its reputation rests on chaining forms, proposals, contracts and invoices into automated sequences, and it includes contracts and a client portal even on Starter. Bonsai's contracts and proposals are clean and quick, but its automation is lighter.

Dubsado homepage presenting its client workflow CRM for service businesses
Dubsado's homepage in October 2026.

A typical Dubsado Premier setup for a coach looks like this: a lead form on your website, an automatic reply with a proposal, a contract that signs inside the proposal, a first invoice, and a welcome questionnaire, each step triggered by the previous one. The more steps you automate, the more templates and Flows you have to build before your first client sees them, so budget setup time. Dubsado only offers migration help into Dubsado, and forms and templates are not portable out of it, so the work you put in stays there.

Bonsai's approach is more template-led. Essentials includes proposals, contracts, templates, forms and questionnaires, and a client portal. Because Bonsai is built for freelancers and agencies, adapt any template you start from for coaching (scope of coaching, confidentiality, cancellation and refund terms). Neither tool's templates replace legal review; laws vary by state and country, so have a local lawyer check your agreement.

Coachful sends a coaching agreement with e-signature before the first call and stores it on the client record, next to the client's goals, check-ins, notes, intake answers and payments. Our coaching contracts page covers how that works, and our guide on running client onboarding without Dubsado walks through a full sequence.

Coachful Agreements tab with a drop area for signed PDFs
Coachful's Agreements tab in its empty state, with a drop area for a signed PDF.

Which is better for invoicing and getting paid?

Both invoice well; the differences are in payment processors and fees. Dubsado supports more processors (Dubsado Payments on Stripe with cards, ACH, Klarna, Affirm and Tap to Pay, plus PayPal and Square) and states no platform fee. Bonsai supports Bonsai Payments (US, Canada, UK and Australia), Stripe and PayPal, with a platform fee in some cases.

Bonsai is the stronger tool if your invoices come from tracked hours. Time tracking is on every plan, Essentials adds expense and income tracking, and Premium adds profit reports and QuickBooks or Xero integrations. A coach billing a company for leadership coaching by the hour will find that natural. Dubsado leans toward packages and payment plans attached to a project, with a bookkeeping integration on Premier.

Watch the Bonsai fee rule. Based on Bonsai's help center as recorded in our September 2026 profile, if Bonsai Payments is available in your country and you connect your own Stripe or PayPal instead, Bonsai adds a 1% platform fee (1.35% for Amex). On an example $3,000 coaching package, that is $30 on top of the processor's fee. We could not re-read that help article in October 2026, so confirm it before you choose.

Coachful runs payments through the coach's own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction plus manual invoices. Since August 2026 there is a 0% Coachful platform fee, so you pay only Stripe or Razorpay processing. Coachful does not support PayPal.

Can either one deliver coaching programs between sessions?

No. Neither Bonsai nor Dubsado has courses, a client community, habit tracking, check-ins or multi-week coaching programs. Both manage the business around a client; neither manages the client's progress.

Bonsai Premium does add client tasks and messaging, which you could use for light accountability, such as assigning a task after a session. Dubsado's client portal can hold documents and forms. But a client who signs up for a 12-week program expects modules to unlock, daily or weekly prompts, somewhere to record progress, and a group to belong to if it is a cohort. With either tool, that means adding a course platform, a community app and some kind of habit or check-in tool, and asking your clients to log in to each.

This is the gap Coachful was built for. Programs run for multiple weeks with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses (modules, lessons, drip, completion tracking), downloads, videos and AI tools are delivered into the client's branded home and app. Cohort groups are created automatically when a client enrolls in a program. If you want to see the build side, this short walkthrough shows how programs are put together:

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What does the client experience look like in each?

In both Bonsai and Dubsado, clients mainly meet you through emails, forms, a proposal or contract to sign, invoices to pay, and a client portal where those documents live. In Coachful, the client gets a branded home and app where sessions, programs, habits, courses and the community sit together.

Bonsai's client experience is tidy and professional. Proposals, contracts and invoices look polished, and the client portal (Essentials and up) collects them in one place. On Basic and Essentials, clients see Bonsai branding; removing it requires Premium. A custom domain was still marked as "expected in 2026" on Bonsai's pricing page in October 2026.

Dubsado's client experience is highly customizable. You can style forms, proposals and the portal to match your brand, and the order of what the client sees is controlled by your Flows. The trade-off is effort: the polish depends on how much time you spend designing it. Dubsado describes its mobile app as a companion; full functionality requires the desktop web app, which matters more for you than for your clients.

Coachful's client experience is built around what happens after the contract is signed. The client sees their next session, required pre-session tasks, their programs, progress and documents in one coaching hub, in your branding inside the Coachful app. The app ships under the Coachful listing, not under your own App Store account.

Which tool should you pick for which kind of coach?

Pick Bonsai if your coaching looks like consulting, pick Dubsado if your coaching looks like a high-touch service with a long onboarding, and pick a coaching platform if your coaching looks like a program.

Pick Bonsai if...

  • You bill by the hour or on retainer and want time tracking feeding your invoices.
  • You run coaching alongside consulting, workshops or freelance projects with tasks and deadlines.
  • You are a solo coach and want the lowest monthly cost for contracts, invoices and scheduling ($25 per month on Essentials, or $19 billed yearly).
  • You want QuickBooks or Xero sync and profit reports (Premium).

Pick Dubsado if...

  • You want a detailed automated onboarding sequence and are willing to spend time building it.
  • You have an assistant or a small team; up to 3 additional team members are included.
  • Your clients pay with PayPal, Square, Klarna or Affirm.
  • You already run your website and email marketing elsewhere and are happy to keep them separate.

Pick neither if...

  • You sell group programs, cohorts or courses.
  • Your results depend on what clients do between sessions: habits, check-ins, homework.
  • You are tired of paying for and switching between four to six tools.

If you are leaning toward Dubsado but want to see what else exists, our Dubsado alternatives for coaches roundup and our Bonsai alternatives list cover the wider field. Our HoneyBook vs Dubsado and HoneyBook vs Bonsai comparisons cover the other tool most coaches shortlist.

What is the third option, and when does Coachful beat both?

Coachful is a coaching platform: one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach gets one login and the client gets one branded app. It is built for coaches who deliver programs rather than just sessions, solo coaches growing into a small team, and coaches replacing four to six tools.

When Coachful beats Bonsai and Dubsado

  • You deliver programs. Multi-week programs, habits, check-ins, goals with progress bars, courses with drip and a community are all included in your Coachful membership. Bonsai and Dubsado have none of these.
  • You want one login. A Bonsai or Dubsado coach typically also pays for a website builder, an email platform, a course host and a community app. Coachful includes a section-based website builder with a blog, custom domain and 30 designed homepage templates, booking, application, lead-magnet and checkout funnels, and email lists, broadcasts and multi-step sequences with branching and A/B splits.
  • You want to keep more of each payment. 0% Coachful platform fee; you pay only Stripe or Razorpay processing.
  • You want to know which clients are drifting. Each client record shows goals, check-ins, habits, notes, intake answers, payments and sessions, with a status of thriving, active, quiet or at risk, plus an AI briefing before each session.
  • You are tracking ICF hours. Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. See ICF hour tracking.
  • You run groups. A community feed, group chat, direct messages, video events, group calls and webinars, with cohort groups created on enrollment. See group coaching software.

When Coachful does not beat them

Being honest about this saves you a migration you would regret.

  • Hourly billing and time tracking. If your invoices are built from tracked hours, Bonsai does this natively and Coachful does not.
  • PayPal or Square. Coachful does not support PayPal. Dubsado supports PayPal and Square; Bonsai supports PayPal.
  • Agency-style project management. Gantt charts, workload views and timesheet locking (Bonsai Premium and Elite) are not what Coachful is for.
  • Large sales teams. Coachful has no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration.
  • Clinical work. Coachful is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing.
  • Your own App Store listing. The client app carries your branding inside the Coachful app, not under your own developer account.
  • A permanent free plan. Coachful has a free trial but no permanent free plan.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you", and describe what you want: a website, funnel, sales page, program, course outline and written material, email sequence, form, link in bio, lead quiz, webinar or automation. You can attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours, and nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Read more in our white-glove service guide.

How hard is it to switch from Bonsai or Dubsado?

Moving your client list is easy from both; moving your templates is not. Bonsai exports clients, contacts and invoices to CSV, and Dubsado exports contacts to CSV with selectable fields, plus invoices and bookkeeping data. Dubsado's forms and templates are not portable.

That means the real switching cost is rebuilding your contract, questionnaire and onboarding sequence in the new tool. A practical order of operations:

  1. Export your contacts and invoice history to CSV and keep a copy offline.
  2. Copy the text of your contract, proposal and intake questionnaire into documents.
  3. Finish your current clients' billing cycles in the old tool where possible, rather than moving active payment plans mid-cycle.
  4. Set up the new tool for new clients first, then move existing clients at a natural break such as a renewal.
  5. Cancel the old subscription only after the last invoice has cleared.

If you move to Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your website or onboarding funnel from your old copy. Coachful also lets you export full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), so you are not locked in either. Our step-by-step guide on how to migrate from Dubsado covers the details, and Coachful vs Dubsado compares the two directly.

What do public reviewers say about Bonsai and Dubsado?

Bonsai has a larger public review base: Trustpilot showed 4.3 from 641 reviews when we checked on October 25, 2026. Dubsado's Trustpilot page showed a single review (3.7), which is not meaningful either way.

Ratings tell you little about fit for coaching, because both tools are rated mostly by freelancers and service businesses. The more useful check is what each vendor documents: Bonsai is per-user business management with time tracking at its core, and Dubsado is a workflow CRM that says it is not a website builder or an email marketing platform. We have not run either tool in a live coaching practice ourselves, so read the most recent reviews from coaches in your niche before you commit.

Frequently asked questions

Is Bonsai or Dubsado cheaper for a solo coach?

Bonsai is cheaper for one person: Essentials costs $25 per month, or $19 per month billed yearly, as listed in October 2026. Dubsado Starter costs $35 per month but has no scheduler, and Premier costs $55 per month. Bonsai Basic is cheaper still at $15, but it cannot send invoices or take payments.

Is Dubsado or Bonsai better for a coach with a team?

Dubsado is usually better value for a small team because up to 3 additional team members are included on its plans. Bonsai charges every plan per user, and its Elite plan requires at least 3 users. With two people on Bonsai Premium monthly, you would pay $78 per month versus $55 for Dubsado Premier.

Do Bonsai or Dubsado have a free plan?

No. Neither has a permanent free plan. Bonsai offers a 7-day trial with full access and no card needed to start, and Dubsado offers a 21-day trial of Premier with no credit card required.

Can I run coaching programs or courses in Bonsai or Dubsado?

No. Neither tool has courses, habits, check-ins, multi-week programs or a client community. You would need to add a course platform and a community tool alongside either one, or use a coaching platform such as Coachful that includes them.

Which one has better automations?

Dubsado. Its Flows, on the Premier plan, chain forms, proposals, contracts, invoices and reminders into automated onboarding sequences. Bonsai's automation is lighter and relies more on templates and on Zapier, which comes with Premium.

Do Bonsai and Dubsado charge transaction fees?

Dubsado states no platform fee of its own; processor rates apply, and it offers optional surcharging. Bonsai Payments charged 2.9% + $0.30 for cards according to Bonsai's help center as recorded in our September 2026 profile, with a 1% platform fee when you use your own Stripe or PayPal where Bonsai Payments is available. Check Bonsai's current help article before signing up.

Does either tool include a website or email marketing?

Not really. Dubsado says it does not build websites and is not an email marketing platform. Bonsai has no website builder, and a custom domain feature was marked "expected in 2026" on its pricing page. Coachful includes a website builder, funnels and email sequences in the membership.

What is Coachful's free white-glove service?

It is a build service included on every Coachful plan. You describe what you need, such as a website, funnel, program or email sequence, attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design, ad management or ongoing marketing.

When should I not choose Coachful over Bonsai or Dubsado?

Choose Bonsai if you bill from tracked hours or run agency-style projects, and choose Dubsado if you rely on PayPal or Square or want an elaborate automated onboarding with minimal delivery needs. Coachful also is not HIPAA-certified and has no PayPal support, so clinical practices and PayPal-dependent businesses should look elsewhere.

Can I move from Dubsado or Bonsai to Coachful without losing clients?

Yes, if you plan it. Export your contacts and invoices to CSV, save the text of your contracts and forms, and switch new clients first. Coachful imports clients, programs and content for you during onboarding, and the white-glove team can rebuild your onboarding funnel or website from your existing copy.
