Paperbell vs Satori: Which Coaching Tool Fits You in 2026?

Paperbell vs Satori comes down to one trade: Paperbell charges a single flat price with unlimited clients and adds a simple website, while Satori starts much cheaper but caps how many active clients each tier holds. If you coach a handful of 1:1 clients and want the lowest bill, Satori is usually cheaper. If you already have a full roster, want a basic website in the same tool, or hate counting clients, Paperbell is simpler. Neither one runs programs with habits, check-ins, courses and community, which is where a third option comes in.
We make Coachful, a coaching platform that competes with both, so read this with that in mind. Everything below about Paperbell and Satori comes from what each vendor publishes on its own pricing and product pages, plus what public reviewers report. We have not run either tool as a paying customer, and we say where data is older or could not be confirmed.

What is the short answer by use case?
Pick by the shape of your practice, not by feature count. Both tools handle the core admin of a solo coach: booking, packages, payments, contracts and a client portal. They differ in how they charge and how far they go beyond that core.
- You are new, or studying for a coaching credential: Satori. Its Scholar plan costs nothing for coaches studying for certification, and its Essentials tier is the cheapest paid entry point of the two.
- You have 10 or fewer paying clients and only need booking, payments and contracts: Satori Essentials, as long as you stay under its active-client cap.
- You have 30 or more clients and want one predictable bill: Paperbell. Its single plan has no client limit, so the price does not move as you grow.
- You need a simple website in the same tool: Paperbell, which includes a coaching website. Satori did not offer landing pages in its older profile.
- You track hours toward an ICF credential: Satori documents a coaching-log export for ICF credentialing. Paperbell does not advertise one.
- You sell multi-week programs where clients do work between sessions: neither is a strong fit. Look at a program-first platform such as Coachful, covered later in this article.
If you want deeper reads on each tool on its own, see our Paperbell review and our Satori review.
How do Paperbell and Satori compare side by side?
Paperbell is a flat-priced, all-in-one admin tool; Satori is a tiered practice tool priced by active clients. The table below includes Coachful as a reference point.
How we rank: one login for the whole client journey, delivery between sessions, total cost of the tool stack you would otherwise need, and how much setup work falls on you.
| Tool | Pricing model | Client limits | Website | Programs between sessions | Courses and community | Payments |
|---|---|---|---|---|---|---|
| Coachful | Flat monthly plans (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients) | Lower plans cap clients; Pro is unlimited | Section-based builder, blog, custom domain, funnels | Weekly goals, daily tasks, habits, morning and evening check-ins, streaks | Courses with drip, community feed, group chat, cohorts | Your own Stripe or Razorpay; 0% platform fee |
| Paperbell | One plan, $97/month or $970/year (October 2026) | Unlimited clients, sessions and packages | Simple coaching website included | No goal or habit tracking (older profile) | Online classes and digital downloads listed; no full LMS or community (older profile) | Stripe or PayPal; no added transaction fee |
| Satori | Free Scholar plan plus three paid tiers, $33 to $124/month (September 2026) | 10 active paying clients on Essentials; 50 and 150 on Pro and Leader (older profile) | No landing pages (older profile) | Packages and programs as session bundles | No courses or community (older profile) | Stripe or PayPal; no Satori charge on client payments |
The table hides one nuance worth stating: "programs" means different things in each tool. In Paperbell and Satori, a program or package is mostly a bundle of sessions plus a payment. In Coachful, a program is a multi-week structure the client works through every day, with tasks, habits and check-ins that report back to you.
What does Paperbell offer?
Paperbell is a one-plan, all-in-one admin tool for solo coaches. It bundles a coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads, online classes and custom branding, as listed on its pricing page in October 2026.

The pitch is simplicity. You sign up, build a package (say, six sessions for a fixed price), attach a contract and a payment, and share the link. The client books, signs and pays in one flow, then lands in a client portal where they can see upcoming sessions and files. Our guide to the Paperbell client portal walks through what clients see.
Where Paperbell stops is just as clear. Our older profile of the product found no full course platform, no community, no goal or habit tracking and no native mobile app; clients use it in a mobile browser. Its October 2026 pricing page now lists online classes and digital downloads among included features, so check the current scope of those if courses matter to you. Group coaching exists, but it is session-based rather than a cohort experience; our piece on group coaching on Paperbell covers the limits.
Public reviews are mixed. Paperbell held a Trustpilot score of 3.5 from 14 reviews when we checked on 25 October 2026, down from 3.9 from 13 reviews earlier in the year.
What does Satori offer?
Satori is a coaching practice tool for scheduling, client portals, packages and programs, invoices and contracts, with tiers that cap active clients. Only active clients count toward billing, so former clients sitting in your records do not push you into a higher tier.

Satori's distinguishing points are its entry pricing and its Scholar plan. Scholar is free for coaches studying for a coaching certification (you apply through a form) and allows unlimited pro-bono clients. That makes Satori a natural fit while you are logging practice hours. It also documents a coaching-log export for ICF credentialing, which saves time when you apply for a credential through the International Coaching Federation.
The gaps, from our older profile: no native mobile app, no native Zoom integration, no landing pages, no courses and no community. Group coaching and custom branding start on the Pro tier. Our Satori pricing breakdown has the tier-by-tier detail.
Satori's Trustpilot page existed with 0 reviews when we checked in October 2026. Our older profile recorded a Capterra rating of 4.5 from 13 reviews in September 2026; Capterra could not be checked again this month.
How does Paperbell vs Satori pricing compare?
Satori is cheaper at small rosters and Paperbell is cheaper once you pass roughly 50 active clients, because Paperbell's price never moves. Paperbell's figures below were verified on its pricing page in October 2026. Satori's dollar figures are rendered by script and did not load when we checked this month, so they come from its pricing page as listed in September 2026; its trial, refund terms, fees and the Essentials client cap were confirmed in October 2026.
| Plan | Monthly | Billed annually | Limits | Notable inclusions |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Pro: $99/month with unlimited clients | Lower plans cap clients; Pro is unlimited; team plans add seats | Booking, payments, contracts, programs, courses, community, website, funnels, email, AI assistant |
| Paperbell (single plan) | $97 | $970/year (about $80.83/month), shown against $1,164 | Unlimited clients, sessions, files, packages | Everything, including website and custom branding |
| Satori Scholar | $0 | $0 | Unlimited pro-bono clients; for certification students, by application | Not itemized on the pricing page |
| Satori Essentials | $33 | About $27.50/month (derived) | Up to 10 active paying clients; older profile: 3 programs, 60 bookings | Booking discovery sessions |
| Satori Pro | $49 | About $40.83/month (derived) | Older profile: 50 active clients, 10 programs, 120 bookings | Group coaching, custom branding |
| Satori Leader | $124 | About $103.33/month (derived) | Older profile: 150 active clients, 50 programs, unlimited bookings | Dedicated support |
Satori advertises annual billing as "Get 2 Months Free" but does not print the per-month figure, so the annual numbers above are calculated as ten months of the monthly price divided by twelve.

What would you pay at different roster sizes?
These are worked examples using the listed prices, not quotes. Check each vendor's page before you buy, since Satori's limits in particular come partly from our older profile.
| Active clients | Coachful | Paperbell | Satori |
|---|---|---|---|
| Coachful (cheapest plan for the roster) | 5 clients: Lite: $29/month for up to 5 clients; 30 clients: Pro: $99/month with unlimited clients; 200 clients: Pro: $99/month with unlimited clients | Not applicable | Not applicable |
| 5 clients | See Coachful row | $97/month | $33/month (Essentials) |
| 30 clients | See Coachful row | $97/month | $49/month (Pro) |
| 100 clients | See Coachful row | $97/month | $124/month (Leader) |
| 200 clients | See Coachful row | $97/month | Above Leader's 150-client cap in our older profile; contact Satori |
The software line is only part of the bill. Neither Paperbell nor Satori takes a cut of client payments, but Stripe and PayPal charge their own processing fees in both. And if your program needs a course host, a community app, an email tool or a habit tracker on top, add those subscriptions to the comparison. For the full Paperbell picture see Paperbell pricing explained.
How do trials and refunds compare?
Satori offers a 15-day trial with unrestricted access and no credit card during the trial, and refunds if you ask within 30 days of signing up (confirmed October 2026). Paperbell shows a "Try For Free" button without stating the length on its pricing page; its help center described a 7-day trial in July 2026, with your public site offline and client messages and SMS switched off during it. Paperbell also offers a 30-day money-back guarantee.
How do booking and scheduling compare?
Both tools let clients book from your availability and pay as part of the flow; Paperbell adds video call integration, while Satori had no native Zoom integration in our older profile. In practice, both handle the standard solo-coach case: set your hours, share a link, let the client pick a slot.
The differences sit at the edges. Satori's lower tiers carry booking limits in our older profile (60 on Essentials, 120 on Pro, unlimited on Leader), which matters if you run frequent short calls. Paperbell lists unlimited sessions on its single plan. Satori's Essentials tier explicitly includes booking discovery sessions, so free intro calls are covered even on the cheapest paid plan.
If you need two-way calendar sync with Apple or Outlook, SMS or WhatsApp reminders, or session types shared across several coaches, confirm those with each vendor before switching. Coachful documents all of them, which we cover below.
How do payments, packages and contracts compare?
Both tools tie packages, payments and contracts together so the client signs and pays before the first session. Both connect to Stripe and PayPal, and neither adds its own transaction fee on top of the processor's.
- Packages: Paperbell's core object is the package, which can bundle sessions, a contract, a form and a payment schedule. Satori uses packages and programs, with program counts capped per tier in our older profile (3, 10 and 50).
- Invoices: Satori lists invoices among its core tools. Paperbell handles billing through package payments.
- Contracts: both include contracts the client accepts during purchase. If you write your own agreement, our page on coaching contracts explains what to include.
- PayPal: both support it. Coachful does not, which matters if many of your clients insist on paying that way.
Which handles programs, courses and group coaching better?
Paperbell goes slightly further than Satori here, but neither is built for clients who do structured work between sessions. Paperbell lists group coaching, online classes and digital downloads on its single plan. Satori adds group coaching on Pro and, in our older profile, had no courses or community.
What both lack, according to our older profiles, is the layer between sessions: weekly goals, daily tasks, habit tracking, check-ins and progress the coach can see. If your offer is "six calls over three months", that gap does not matter. If your offer is "a 12-week transformation", it is the whole product, and you would end up bolting on a course host, a community app and a tracker. See our group coaching software page for what a cohort-ready setup includes.
What is the client experience like in each?
In both tools, clients get a web portal rather than a native app; Paperbell is used in a mobile browser and Satori had no native mobile app in our older profile. The client logs in to see sessions, files, forms and payments.
Paperbell includes custom branding and a website on its single plan, so the website, checkout and portal live in one tool. Satori lists custom branding from the Pro tier in our older profile, so check what Essentials clients see before you commit. Neither portal gives clients a daily reason to open it between sessions, which is the main reason coaches who sell programs outgrow them.
Which should you pick, Paperbell or Satori?
Choose Satori if price and ICF logging matter most; choose Paperbell if you want unlimited clients and a website on one predictable bill. More specifically:
- Pick Satori if you are in coach training (Scholar plan), you have fewer than 10 paying clients, you want a trial without a card, or you need an ICF coaching-log export.
- Pick Paperbell if you have a full or fast-growing 1:1 roster, want a basic coaching website without another subscription, and prefer one price that never changes.
- Pick neither if your offer depends on clients doing daily or weekly work you need to see, or you want courses, community and email marketing in the same login.
If you are already leaving one of them, our guides on migrating from Paperbell and migrating from Satori list what to export and in what order. For wider lists, see Paperbell alternatives and Satori alternatives.
Is there a third option? Where Coachful beats both, and where it does not
Coachful is a coaching platform that covers what Paperbell and Satori do, plus program delivery between sessions, courses, community, a website with funnels, email and an AI assistant, under one login for you and one branded app for your clients. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. The company is based in Tallinn, Estonia, and holds a Trustpilot score of 4.5 from 21 reviews.

Here is a short walkthrough of how a client journey is built in Coachful:
Where Coachful goes further than both
Programs between sessions. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client record shows goals, check-ins, habits, notes, intake answers, payments and sessions, with a status of thriving, active, quiet or at risk, and an AI briefing before you meet.

Booking. Booking pages support availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync. Sessions use built-in video or auto-created Zoom, Meet or Teams links, with email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled. Multi-coach session types can assign by round-robin or least-busy. See scheduling software for details.

Payments and contracts. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Coachful has charged a 0% platform fee since August 2026, so you pay only Stripe or Razorpay processing. Coaching agreements with e-signature go out before the first call and are stored on the client record.

Courses, community and marketing. Courses with modules, drip and completion tracking; a community feed, group chat and video events, with cohort groups created automatically when a client enrols in a program; a section-based website builder with a blog, custom domain and 30 designed homepage templates; booking, application, lead-magnet and checkout funnels; and email broadcasts and multi-step sequences with branching and A/B splits. See our course platform for coaches page.

ICF hours. Satori's ICF log export is one of its best features, and Coachful matches it: it counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. More on our ICF hour tracking page.

Michelle, the AI assistant. Michelle works from your live practice data: it builds programs, drafts emails and content, summarizes recorded sessions and briefs you before sessions. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.
Why Coachful stands out: a free white-glove service. On every plan, you can go to Create and choose "We'll build it for you", describe what you want (a website, funnel, sales page, program, course outline, email sequence, form and more), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another: a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the white-glove service.

Where Paperbell or Satori is the better choice
- You want a no-cost plan while training. Satori's Scholar plan has no Coachful equivalent; Coachful offers a free trial but no permanent no-cost tier.
- Your clients pay by PayPal. Both Paperbell and Satori support PayPal; Coachful does not.
- You only run 1:1 sessions and want the bare minimum. If you never plan to sell programs, courses or group offers, a narrower tool may feel lighter.
- You need clinical records or insurance billing. Coachful is not HIPAA-certified and does not sign a BAA. Neither tool here is a clinical system either, so health professionals should use one built for that.
- You want wearable sync. Coachful has no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available.
How to start with Coachful
Start a free trial, then request a white-glove build of whatever you need first, usually your website or your main program. Your clients, programs and content are imported for you during onboarding, so moving from Paperbell or Satori does not mean retyping your roster. Monthly plans cancel in one click (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). For a direct head-to-head with Paperbell, see Coachful vs Paperbell, and for Satori see our Satori alternative page.
How hard is it to switch between Paperbell, Satori and Coachful?
Switching is mostly about clients, active packages and payment subscriptions; plan it around billing dates so no one is charged twice. Paperbell keeps client lists and history in its Clients area, though a documented CSV export was not confirmed in our older profile. Satori documents an ICF coaching-log export, but a general client-data export was not confirmed either.
A safe order for any move:
- Export or copy your client list, notes and signed contracts.
- Rebuild packages and contracts in the new tool before you tell clients.
- Let current packages finish in the old tool, or move recurring payments at the next billing date.
- Send clients one email with the new login link and what changes for them.
- Keep the old account until the last active package ends.
Coachful's own data export is a full ZIP of roster, notes, check-ins, goals, habits, sessions and form responses, so you are not locked in if you later leave. Our guide to switching from Paperbell has a week-by-week timeline.
What do coaches most often get wrong when choosing between them?
The common mistake is comparing feature lists instead of pricing your actual roster and offer. Three patterns show up often:
- Choosing on the entry price. Satori's Essentials is cheap until your 11th active paying client. If you expect to grow past 50 within a year, run the numbers at that size.
- Forgetting the add-on stack. If you need a course host, a community app and an email tool next to either Paperbell or Satori, the real monthly cost is the sum, plus the time spent keeping them in sync.
- Ignoring the client's side. Clients judge your practice by what they log into. A portal that only shows the next session gives them no reason to return between calls.
Frequently asked questions
Is Paperbell or Satori cheaper?
Satori is cheaper for small rosters: Essentials was listed at $33 a month in September 2026 against Paperbell's $97 a month in October 2026. Paperbell becomes cheaper once you would need Satori's Leader tier, at around 50 or more active clients, because Paperbell's single plan has unlimited clients.
Does Satori have a free plan?
Yes, for a specific group. The Scholar plan is free for coaches studying for a coaching certification, by application, and allows unlimited pro-bono clients. Everyone else can use a 15-day trial without a credit card.
Does Paperbell have a free trial?
Paperbell shows a "Try For Free" button but does not state the length on its pricing page. Its help center described a 7-day trial in July 2026, with the public site offline and client messages and SMS switched off. It also offers a 30-day money-back guarantee.
Do Paperbell or Satori charge transaction fees?
Neither adds its own fee to client payments. You still pay the standard processing fees charged by Stripe or PayPal.
Which is better for ICF credential hours?
Satori, between these two, because it documents a coaching-log export for ICF credentialing. Coachful also tracks hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log.
Do Paperbell or Satori have a mobile app?
Not a native one, according to our older profiles of both products. Clients use the portal in a mobile browser. Coachful clients use a branded experience inside the Coachful app.
Can I run group programs in Paperbell or Satori?
Both support group coaching, Satori from its Pro tier. Neither offers a community feed, cohort chat or habit and check-in tracking in our older profiles, so group programs stay session-based.
What is Coachful's free white-glove service?
It is a done-for-you build included on every Coachful plan. You describe what you want, such as a website, funnel, program or email sequence, attach links and files, and the team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.
Can I move my clients from Paperbell or Satori to Coachful?
Yes. Clients, programs and content are imported for you during onboarding. Plan the move around each client's billing date so no one is charged twice.
Is either tool suitable for health or therapy practices?
Coaching is not medical or psychological treatment, and none of these tools is a clinical records system. Coachful is not HIPAA-certified. If you diagnose, treat or bill insurance, use a clinical platform and refer clients to licensed professionals when needs go beyond coaching.
