Paperbell vs upcoach (2026): Which Fits Your Coaching?

Paperbell vs upcoach (2026): Which Fits Your Coaching?

Paperbell vs upcoach comes down to what you sell. Paperbell is a single-price admin tool for solo coaches who sell one-to-one sessions and packages: booking, payments, contracts, a client portal and a simple website for $97 a month, with unlimited clients. upcoach is a program platform for cohorts and group journeys, priced by active participants from $49 a month, with a 1% to 2% transaction fee on every plan below the $399 Scale tier. If your week is mostly private sessions, Paperbell fits better. If your business is a group program that runs for weeks, upcoach fits better.

Most coaches do both, though, and that is where neither tool covers the whole job on its own. This guide compares the two on price, fees, booking, programs, contracts, websites and the client experience, using what each vendor lists on its own pages in October 2026 and what public reviewers report. We make Coachful, a third option that combines one-to-one admin and program delivery in one login, and we cover it at the end, including when it is not the right pick.

What is the short answer by use case?

Pick by the shape of your offer, not by the feature count. Here is the quick version before the detail.

  • You sell 1:1 sessions and packages, alone: Paperbell. One flat price, unlimited clients, no extra platform transaction fee, and contracts built in.
  • You run cohorts or group programs with tasks, check-ins and a peer community: upcoach. It is built around programs, participants and progress dashboards.
  • You sell to companies and need sponsor reporting and multiple roles: upcoach Pro or above, which adds Admin, Facilitator and Sponsor access.
  • You are just starting and want the lowest bill for a handful of clients: upcoach Starter is cheaper on paper at $49 a month, but the 2% fee grows with revenue, so run the numbers below.
  • You sell both private coaching and multi-week programs, and want booking, payments, contracts, habits, courses, community and a website in one place: Coachful, covered in the third-option section.

If you only need one sentence: Paperbell is a tidy back office, upcoach is a program engine, and neither is designed to be both.

How do Paperbell and upcoach compare side by side?

Paperbell bundles admin for one coach at one price; upcoach meters programs by people and seats. The table below sets the two against Coachful.

Ranked on: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including Coachful's free white-glove build).

Build your platform

What does Paperbell do well, and where does it stop?

Paperbell does the admin of a one-to-one practice well: a client finds you, books, pays, signs and gets a portal, all for one flat fee. Its pricing page lists a coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads, online classes and custom branding, all on one plan.

Paperbell homepage introducing its all-in-one platform for coaches
Paperbell's homepage in October 2026.

The appeal is simplicity. There is one plan, unlimited clients, sessions, files and packages, and Paperbell says there are no upsells or hidden add-ons. For a new coach who wants to stop juggling a calendar tool, a payment link and a PDF contract, that is a real improvement.

Where it stops is delivery between sessions. In our earlier profile of the product, Paperbell did not offer a full course platform, a community space, or goal and habit tracking, and it had no native mobile app, so clients used it through a mobile browser. The pricing page now lists online classes and digital downloads among the included features, so check the current depth of those against your needs before you commit. Its group coaching works for selling a group package; we cover what that does and does not include in Paperbell group coaching: what it does and where it stops.

On reviews, Paperbell shows a Trustpilot score of 3.5 from 14 reviews as seen in October 2026, a small sample that moved down from 3.9 on 13 reviews earlier in the year. Treat that as a reason to read the reviews yourself, not as a verdict.

If you want to see what Paperbell's site builder produces, our Paperbell website guide walks through it.

What does upcoach do well, and where does it stop?

upcoach does structured group programs well: it is built around programs that participants move through together, with dashboards that show who is progressing. Its pricing page describes program activities, check-ins, task lists and assignments that "turn training into practice", plus live events, bookable sessions, reminders and calendar sync, and community feeds and channels for peer accountability inside a program.

upcoach homepage introducing its platform for coaching programs
upcoach's homepage in October 2026.

Two features stand out in October 2026. Every plan now includes AI Program Impact Reports (3 a month on Starter, 15 on Pro, 50 on Business and Scale) and the ability to run upcoach from Claude or ChatGPT through MCP. For a coach who reports outcomes to a corporate sponsor, the impact reports and the Sponsor role on Pro and above are the clearest reasons to choose it.

upcoach also counts only active participants. The same person in three programs counts once, and you can deactivate a finished cohort to free up space and reactivate alumni later. That is a fair model for cohort businesses whose numbers rise and fall with each intake.

Where it stops is the one-to-one back office. Our earlier profile found no built-in contracts or invoicing. Custom branding and a custom domain start on Pro, not Starter, and a branded mobile app in the app stores is an Enterprise feature with custom pricing. The transaction fee is the other limit: 2% on Starter and 1% on Pro and Business, on top of Stripe's own fees, with no per-sale cap. Only the $399 Scale plan and Enterprise remove it.

upcoach's Trustpilot page had no reviews when we checked in October 2026. An older profile noted a Capterra score of 4.9 from 8 reviews, which is too small a sample to lean on. For a fuller look at its tiers, see our upcoach pricing breakdown.

How does Paperbell vs upcoach pricing compare?

Paperbell charges one flat price for everything; upcoach charges less at the start but adds a percentage of your revenue until you reach Scale. Here are the published plans.

One quirk on upcoach's page: the billing toggle says "2 months free" for annual, but the annual totals shown equal twelve months at the monthly price ($588 for Starter, which is 12 times $49). Confirm the actual annual rate at checkout before you assume a discount.

What would each cost a typical coach?

The fee is what changes the math. The examples below use illustrative revenue figures, not data about any real coach, and leave out Stripe's processing fees, which apply to all three platforms.

  • Example A, a solo coach with 15 private clients billing $3,000 a month: Paperbell costs $97 a month. upcoach Starter fits 15 participants at $49 plus 2% of $3,000 ($60), so about $109 a month, and you still have no built-in contracts or invoicing. If you need your own branding and domain, upcoach Pro is $99 plus 1% ($30), about $129.
  • Example B, a group coach with 60 participants across two cohorts billing $6,000 a month: Starter's 25-participant cap rules it out, so upcoach Pro is $99 plus 1% ($60), about $159 a month. Paperbell stays at $97, but you would be running a cohort program on a tool built for sessions and packages.
  • Example C, a training firm with 300 participants and four facilitators billing $25,000 a month: upcoach Business covers 250 participants, so you add 100 for $99, giving $298 plus 1% ($250), about $548 a month. Scale covers 500 participants and 10 seats at $399 with no platform fee, so it is cheaper here. Paperbell is priced per coach and is not designed for this.

The pattern: upcoach's percentage fee makes it cheaper only at low revenue or once you reach Scale. Paperbell's flat price favours a growing solo practice, as long as you do not also need program delivery. For Coachful, the comparable figure for 15 clients is Solo: $49/month for up to 20 clients, with no platform fee on sales, and for 60 clients it is Pro: $99/month with unlimited clients.

What about trials and refunds?

upcoach offers a 14-day free trial with no credit card and a 14-day money-back guarantee on the first paid subscription (down from 30 days in our earlier profile). Paperbell's pricing page has a "Try For Free" button without a stated length; its help center in July 2026 described a 7-day trial in which your public site stays offline and client messages and SMS are switched off. Paperbell also offers a 30-day money-back guarantee, which is the longer safety net of the two.

How do booking and scheduling compare?

Paperbell treats booking as the centre of the product; upcoach treats it as one part of running a program. Both handle the basics, but they are tuned for different jobs.

Paperbell lists scheduling, payments and packages, and video call integration together on its single plan, so selling a package and booking its sessions happen in the same tool. That is the flow a one-to-one coach wants: no separate payment link and no separate calendar app.

upcoach's pricing page lists live events, bookable sessions, reminders and calendar sync "in one place". The emphasis is on the program calendar: group calls, live workshops and the events a cohort attends together. Bookable one-to-one sessions are there, but the product is not built around selling session packages the way Paperbell is.

If your calendar is mostly private sessions, Paperbell's model is closer to how you work. If it is mostly group calls tied to a curriculum, upcoach's is. Coachful's booking pages add availability rules, buffers, minimum notice, time-zone detection and two-way Google, Apple and Outlook sync, plus session credits, so a package and a program can share one calendar. More on that on our scheduling software page.

How do payments, contracts and invoicing compare?

Paperbell covers all three in one checkout flow; upcoach handles payments through Stripe but, by our earlier profile, has no contracts or invoicing.

Paperbell includes payments, packages and contracts on the same plan, so a client can pay and sign your coaching agreement without a second tool. It says it adds no transaction fees of its own; Stripe or PayPal fees apply. For coaches who send a contract to every client, that matters, because it removes a separate e-signature tool.

upcoach processes payments through Stripe and adds its own percentage on top on Starter, Pro and Business. Without built-in contracts, a coach who needs signed agreements will add an e-signature service, and someone selling to companies will usually invoice from accounting software instead. Neither is unusual, but both add a login and a cost.

If agreements are part of your process, our page on coaching contracts explains how Coachful sends one for e-signature before the first call and stores it on the client record.

How do programs, courses and community compare?

This is where upcoach leads Paperbell clearly: upcoach is designed for program delivery, while Paperbell is designed for selling and running sessions.

upcoach structures a program as a sequence of activities, check-ins, task lists and assignments, with dashboards that show progress and AI impact reports you can share with a sponsor. Community feeds and channels sit inside each program, so a cohort can hold itself accountable between calls. It also positions cohort courses as a use case, where everyone moves through material together.

Paperbell lists group coaching, online classes and digital downloads. That covers selling a group package and sharing material, but our earlier profile found no community space and no goal or habit tracking. If your clients' progress happens between sessions, that gap is the main reason coaches look beyond Paperbell; we compare options in Paperbell alternatives with group coaching.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

How do websites and marketing compare?

Paperbell includes a simple coaching website; upcoach is a program platform, not a site builder, though Pro adds a custom domain and emails sent under your organisation's name.

Paperbell's website is enough for a services page, a booking button and package checkout. It is not a full marketing site with funnels and email sequences, which is why many coaches pair it with another builder; see Paperbell alternatives with a website.

upcoach's custom branding and domain apply to the program experience. You will most likely need a separate website and email tool for marketing, which is worth adding to your monthly total when you compare.

What is the client experience like on each?

A Paperbell client gets a tidy portal for bookings, payments, forms and files; an upcoach client gets a program space with activities, check-ins and a group. Which one feels better depends on whether your client mainly books you or mainly does work between calls.

On Paperbell, clients use the portal in a browser. Our earlier profile found no native mobile app, so clients on phones use the mobile site. For a client who books a session every two weeks, that is fine. For a client you want logging habits every morning, it is a weaker fit.

On upcoach, the client experience is the program itself: what to do this week, which check-in is due, and where the cohort is talking. Starter carries upcoach's branding rather than yours, since custom branding starts on Pro, and a fully managed branded mobile app in the app stores is Enterprise only.

Ask one question here: where does the client's progress happen? If it happens in the session, either tool will do. If it happens on Tuesday morning when nobody is watching, you need habits, check-ins and reminders the client actually opens. That is the gap we built Coachful to close; our list of Paperbell alternatives with a client app covers others too.

Which should you pick for which kind of coach?

Match the tool to how your revenue is earned. This table is the practical summary.

A note for health and wellness coaches: coaching is not medical treatment. If a client describes symptoms, medication questions or signs of an eating disorder or a mental health crisis, refer them to a qualified clinician. Coachful is not HIPAA-certified and does not sign a BAA, so clinical notes belong in a clinical system.

Is Coachful a better third option than Paperbell or upcoach?

For coaches who sell private sessions and run programs, yes: Coachful does Paperbell's admin and upcoach's between-session delivery in one subscription, with one login for you and one branded app for your clients. For a pure session-booking practice or a large corporate training firm, one of the other two can still be the better fit, and we say where below.

What Coachful is. A coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing 4 to 6 tools. Coachful is based in Tallinn, Estonia, and holds a Trustpilot score of 4.5 from 21 reviews.

Where Coachful beats both

  • Programs and admin together. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks, alongside booking pages, packages, session credits and payment plans.
  • No platform fee on sales. Payments run through your own Stripe Connect or Razorpay account with a 0% Coachful platform fee, so unlike upcoach Starter, Pro and Business, nothing is taken from each sale beyond processing.
  • Contracts before the first call. Coaching agreements with e-signature, stored on the client record, which upcoach lacks.
  • Client record with status. Each client shows goals, check-ins, habits, notes, intake answers, payments and sessions, with a status of thriving, active, quiet or at risk, and an AI briefing before each session.
  • Community and cohorts without extra setup. Cohort groups are created automatically on program enrollment, with a community feed, group chat, direct messages and video events.
  • Marketing in the same place. A section-based website builder with 30 designed homepage templates, booking, application, lead-magnet and checkout funnels, and email sequences with branching and A/B splits.
  • ICF hours. Credential tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log; see ICF hour tracking.

Michelle, the built-in AI assistant, works from your live practice data: it can build a program, draft emails, summarise recorded sessions and brief you before a call. Questions and planning are included in the membership; confirmed builds and changes use AI credits. That covers a different need from upcoach's impact reports: Michelle helps you prepare and build, while upcoach's reports are aimed at showing outcomes to a sponsor.

Where Paperbell or upcoach is the better pick

  • Pick Paperbell over Coachful if you only sell private sessions and packages, want unlimited clients on a single plan from day one, and need PayPal, which Coachful does not support.
  • Pick upcoach over Coachful if you run large corporate programs with several hundred participants, need a dedicated Sponsor role and AI impact reports for the buyer, or want a branded app published under your own App Store account through an Enterprise plan. Coachful's client app ships under the Coachful listing with your branding.
  • Pick neither if you need clinical records or insurance billing (Coachful is not HIPAA-certified), a multi-stage sales deal board for a large sales team, or Salesforce or HubSpot integration, none of which Coachful offers.

There is no permanent zero-cost tier either, and Coachful has no Garmin, Fitbit, Whoop or Oura sync, and no stock exercise videos; fitness coaches using its Fitness & Nutrition pack attach their own demo videos.

How to start

Start with a free trial, connect Stripe or Razorpay, and either build yourself from the program, course and funnel templates or ask the Coachful team to build it for you. Clients, programs and content are imported for you during onboarding, which matters if you are leaving Paperbell; our guide to migrating from Paperbell covers the steps. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you want (a website, funnel, sales page, program, course outline, email sequence, form or something else), attach up to 8 reference links and up to 10 files such as logos, photos or brand guides, and the Coachful team builds it inside your account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Another, a leadership coach with a Squarespace renewal days away, got one clean homepage with a repeated "talk with me" button. More in how the free white-glove service works.

Frequently asked questions

Is Paperbell or upcoach cheaper?

upcoach Starter is cheaper on the sticker at $49 a month against Paperbell's $97, but Starter adds a 2% fee on every sale and caps you at 25 active participants. Once your monthly sales pass about $2,400, the fee alone closes the gap, and Paperbell's flat price becomes cheaper. These figures exclude Stripe's processing fees, which apply to both.

Does upcoach charge transaction fees?

Yes. As listed in October 2026, upcoach charges 2% on Starter and 1% on Pro and Business, on top of Stripe's fees, with no per-sale cap. Scale at $399 a month and Enterprise charge 0%.

Does Paperbell have a mobile app?

Our earlier profile found no native mobile app; clients use Paperbell's portal through a mobile browser. Check Paperbell's current documentation if a phone app matters to your clients.

Can I run group coaching on Paperbell?

Paperbell lists group coaching among its features, which works for selling and scheduling a group package. Our earlier profile found no community space or habit tracking, so cohort programs with daily work between calls are a better fit for upcoach or Coachful.

Does upcoach include contracts and invoices?

Our earlier profile found no built-in contracts or invoicing in upcoach. Coaches who need signed agreements usually add an e-signature tool, and those billing companies often invoice from accounting software.

Which has the longer free trial?

upcoach offers 14 days with no credit card. Paperbell's pricing page does not state a length; its help center in July 2026 described 7 days with your public site offline and client messages and SMS off. Paperbell's money-back guarantee is longer, at 30 days against upcoach's 14.

Can I move my clients from Paperbell to another platform?

Paperbell keeps client lists and history in its Clients area, though we could not confirm a documented CSV export. If you move to Coachful, clients, programs and content are imported for you during onboarding.

What is Coachful's free white-glove service?

It is a build service included on every Coachful plan. You describe a website, funnel, program, course outline, email sequence or similar, attach references, and the Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Health coaches can use it for coaching work and keep clinical records in a dedicated clinical system.

Do Paperbell and upcoach both support PayPal?

Paperbell supports Stripe and PayPal according to our earlier profile; upcoach processes payments through Stripe. Coachful uses Stripe Connect or Razorpay and does not support PayPal.
