Mindbody Review 2026: Strengths, Limits and Verdict

Mindbody Review 2026: Strengths, Limits and Verdict

This Mindbody review comes down to one question: do you run a place people walk into, or a practice people work through with you? Mindbody is strong, established software for studios, gyms, spas and salons. It suits businesses with class schedules, front desks and several staff. It is usually the wrong shape for a coach who delivers one-to-one or group programs online.

We make Coachful, a coaching platform, so we have a stake in that answer. We did not test Mindbody hands-on. This review relies on what Mindbody publishes on its own pages as listed in October 2026 and on its public rating, and it says plainly where Mindbody is the better choice.

Verdict at a glanceOur read

Who should skip itSolo and online coaches who sell programs rather than classes, and anyone who wants a published price and a monthly plan they can leave at any time.

Biggest reason to passIts published feature lists center on classes, appointments and front desks, not multi-week client programs with habits and check-ins.

If you are already sure Mindbody is the wrong shape, our guide to the best Mindbody alternatives compares the options in more depth. If price is your main question, read the full breakdown of Mindbody pricing.

What is Mindbody?

Mindbody is business management software for fitness, wellness and beauty businesses. It combines scheduling, client records, point of sale, payments, staff tools, marketing and reporting, and it connects those businesses to a consumer booking app of the same name.

The company says it has been serving businesses for more than 20 years, and that more than 40,000 businesses run on it. Its navigation menu shows who it has in mind: dance studios, fitness clubs, gyms, martial arts, personal training, pilates, yoga, day spas, massage, med spas, physical therapy, barbershops, hair salons, lash salons and nail salons. Coaching is not a listed business type, although personal training and group training are.

Mindbody's parent company is Playlist, and its pricing page notes that some website features run on an AI platform from Playlist. ClassPass is also offered as a way to fill spots, through the "ClassPass for business" option in Mindbody's feature list.

Mindbody is also unusually direct about who it is not for. Its pricing FAQ says the product may not be a fit for independent, one-person operators who rent time at a shared location and only need basic booking and payments. That sentence alone answers the question for a good number of solo coaches.

How does Mindbody help you get clients?

Mindbody's marketing strength is distribution: it puts your business in front of people already searching for local classes and appointments. That is something coaching platforms generally cannot offer, and for a studio it is a real asset.

  • The Mindbody app. Every plan includes a listing. Mindbody says more than 3 million active users search, book and buy there, and its fine print adds that quoted statistics are not guaranteed and results vary.
  • ClassPass for business. Another route to fill open spots, listed among Mindbody's growth features.
  • Email and text marketing. Automated campaigns, templates, list-growth tools and a monthly text bundle are listed for the Ultimate plan. Below that, every plan sends booking confirmations and reminders by email, and Accelerate adds them by text.
  • Lead management. A sales pipeline dashboard with drag-and-drop stages, follow-up tasks, funnel analytics and Google Ads lead forms. Also listed for Ultimate.
  • Website. Mindbody offers a Customized Website on every plan, described as "Zero DIY", plus branded widgets you can embed on a site you already own.
  • Third-party marketing tools. Mindbody names connections for Constant Contact, Mailchimp, Perkville, Meta Ads and Google Ads.

The honest note for coaches. The marketplace works best when the buyer is looking nearby for a class, a massage or a haircut. People rarely choose a career, executive or mindset coach that way. They arrive from a referral, a post, a podcast or a search for a specific problem, and they want a sales page and a call. If local discovery is not how you find clients, you would be paying for a channel you may not use, and email automation sits on a higher, quote-only plan.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Compare that with what a coaching platform puts first. Coachful includes a section-based website builder with a blog and custom domain, booking, application, lead-magnet and checkout funnels, plus email lists, broadcasts and multi-step sequences with branching and A/B splits, all included in your Coachful membership. Do not expect local discovery traffic of the kind Mindbody's app offers, so finding your audience stays your job.

How does Mindbody handle selling and payments?

Mindbody handles the way studios sell very well: point of sale, online payments, memberships, intro offers and automatic renewals in one system. Its limits for coaches are unpublished processing rates and a marketplace fee on first purchases.

Mindbody Payments is powered by Stripe, and you can take payment through the app, an online store or at your location. Mindbody says you may use a third-party processor instead, though that means separate logins and reporting, and some promotional offers include Mindbody Payments as part of the package. Mindbody lists automated reminders and confirmations, late-cancel and no-show fees, automatic membership renewals, dynamic pricing and intro offers among the features that protect revenue. Promo codes appear from the Accelerate plan upward. Failed or expiring payments can trigger automatic emails, and reports such as Autopay Detail and Credit Card Expirations help you follow up. Mindbody says some steps, including responding to disputes and processing outstanding balances, still require manual work.

Two fee details matter:

  • Processing. As listed in October 2026, Mindbody Payments carries a processing rate plus a fixed $0.10 to $0.30 per transaction in North America and Asia. The rate varies by card-present or card-not-present and by payment type, and it is not published as a figure.
  • Marketplace fee. The Mindbody app charges 20%, capped at $30, on a new client's first purchase. As an example, a $20 drop-in class would cost you $4, while a $600 package would reach the $30 cap. Mindbody says the fee applies only when the app delivers someone new to your business, and that later bookings are commission-free.

For a studio, that marketplace fee can be a fair price for a new local customer who may stay for years. For a coach selling a premium package, the cap keeps it modest, but you would only ever see it if your clients come through the app.

What is missing for a coach is mostly a matter of emphasis. Studio selling is built around memberships, class packs and retail. Coaching selling usually means a sales page, an application, a consultation, an agreement to sign and then a payment plan. Coachful's payments run through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, order bumps, coupons and refunds, and a 0% Coachful platform fee, so you pay only Stripe or Razorpay processing. Coachful does not support PayPal. Coaching agreements with e-signature go out before the first call and stay on the client record.

Can you deliver coaching programs in Mindbody?

Mindbody delivers classes and appointments well, but multi-week coaching programs are not what its pricing page or feature menu describes. We found no listed features for weekly goals, daily tasks, habits or morning and evening check-ins, and you should ask directly in a demo if those matter to you.

What it does offer for delivery:

  • Scheduling. One calendar for staff and booking, with classes and appointments updated in real time across every touchpoint.
  • Room and resource management. Reserve rooms, chairs and equipment, and let members pick a spot when booking a class. This starts at Accelerate.
  • Livestream. An add-on from $49 a month, as listed in October 2026.
  • On-demand video library. An add-on at $99 a month, as listed in October 2026.
  • Integrations. Mindbody lists Trainerize for digital coaching and Spivi for performance tracking and leaderboards, among more than 100 connections.

The Trainerize connection is the telling detail. A studio that wants structured training between visits adds a second product. That can work well, but it means a second login, a second bill and a second place to look at client progress.

This is where the gap between studio software and coaching software is widest, and where we think most coaches should decide. Coaching often happens between sessions: a client tries something, reports back, misses a day, and the coach notices. If that loop is your product, you want it at the center of the software. Coachful's multi-week programs combine weekly goals, daily tasks, habits, check-ins, goals with progress bars and streaks. For fitness coaches, the Fitness & Nutrition pack brings a workout builder, client workout logging, nutrition targets, and private form-check video with timestamped comments. Coaches attach their own demo videos, since Coachful has no stock exercise videos.

Here is how programs come together inside Coachful:

What is the client experience like?

For booking, Mindbody's client experience is mature and well covered: clients can book through the Mindbody app, your website widgets or an optional branded app. For following a program over several months, there is less on its published pages to point to.

A client of a Mindbody business typically sees one of three things. The shared Mindbody app lists your business alongside others, which helps discovery but means you are one option among many. Branded widgets put class schedules and appointment booking on your own site. The branded app gives clients a personalized place to book, buy and manage their accounts, but it is an add-on with no published price, on Accelerate and Ultimate only. The Starter plan does not offer it.

Clients who book often tend to value this. A reviewer quoted on Mindbody's own pricing page put it this way:

"[The Mindbody] app makes it so easy to book a session...it takes away the need to call a studio for something small."

For coaching clients, the question is different. They rarely need to book a dozen classes a month. They need to know what to do this week, see whether it is working and reach their coach. In Coachful the client gets one branded home and app with their next session, program, progress, documents, courses, community and direct messages. The app ships under the Coachful listing with your branding, not as your own App Store account, which is a real limit if owning that listing matters to you.

How does Mindbody handle admin and staff?

Admin is where Mindbody earns its reputation. If you employ instructors or therapists across rooms and locations, this part of the product is well suited to the job, and most coaching platforms do not try to match it.

  • Unlimited users. Every plan includes as many logins as you need per location, which is a real advantage over per-seat pricing.
  • Staff management. Schedules, automatic substitutions, performance reviews and permissions, including a clear split between manager and owner access.
  • Payroll connections. Mindbody names ADP, Exact Payroll and Paychex.
  • Door access. Integrations with turnstiles, doors and lock hardware.
  • Business app. Add clients, capture signatures for liability waivers, sign clients in, take payment away from the desk and sell products, services and contracts.
  • Reporting. Basic reporting on Starter, advanced analytics from Accelerate, and client, growth and retention insights on Ultimate.
  • AI Concierge. An around-the-clock assistant for client questions and missed calls. It is an add-on on Accelerate and included on Ultimate.
  • Multi-location controls. Corporate-level management, with a custom Enterprise plan for multi-location and franchise businesses.
  • Setup and support. No onboarding fee, one-on-one setup help, data migration support, and phone, chat and email support that Mindbody says runs 24/7.

A solo coach will use little of this. Coachful's admin is shaped around the coaching relationship instead: booking pages with availability rules, buffers and time-zone detection, two-way Google, Apple and Outlook calendar sync, and a client record holding goals, check-ins, notes, intake answers, payments and sessions. Team plans add coach seats with per-coach availability and staff permissions; see Coachful for teams. ICF-credentialed coaches can also track coaching hours and export a client coaching log.

How much does Mindbody cost?

Mindbody starts at $79 a month per location in North America and Asia, and every plan above that is quote only. The EU page header showed EUR 99 when we checked in October 2026. There is no free plan and no self-serve trial; the route in is a demo.

The contract matters as much as the sticker price. Mindbody's terms run 12, 24 or 36 months, or month-to-month with a 90-day minimum, and they auto-renew unless you give 30 days' notice. Mindbody does not publish whether $79 applies to every term, so treat the table below as arithmetic to take into a sales call, not as a quote.

Term (example, one location)Minimum commitment at $79 a monthWhat to ask
Month-to-month, 90-day minimum$237Is the monthly rate the same as on a term contract?
12 months$948What is the renewal price after the first term?
24 months$1,896Is the rate locked for the full term?
36 months$2,844What happens if you close, move or leave early?

Those figures exclude payment processing, marketplace fees and add-ons. Once you need text campaigns or lead management, you are on Ultimate at a price you must request. For an example coach with 15 clients, the comparable Coachful line is Solo: $49/month for up to 20 clients, and monthly plans cancel in one click.

Before signing anything, ask about data export too. Other vendors have quoted a fee of about $499 for a full Mindbody export. We could not confirm that figure in Mindbody's own documentation, so get the answer in writing. Our Mindbody pricing guide goes deeper on these terms.

What do public reviewers praise and complain about?

Mindbody's public score is strong: 4.4 on Trustpilot from 2,361 reviews, seen on October 29, 2026. Praise, as far as we could read it, centers on ease of use, having everything in one place, and support. We could not read individual complaints, so we will not summarize them as if we had.

How we read this. Trustpilot blocked our automated read of its review pages when we prepared this article, so the rating above comes from our October 2026 data check and we did not sample its individual reviews. The review text we did read is on Mindbody's own pricing page, where the company displays quotes from reviewers. Those quotes are chosen by the vendor, so they show what satisfied customers say, not the balance of opinion.

With that limit stated, three themes recur in the displayed quotes.

Everything in one place. Owners like not having to juggle schedules, contracts and payments across tools.

"Everything [is] all in one place. Schedules, appointment counts, contracts, payment."

Ease of use and staff training. Several quotes mention how quickly staff learned the system, which matters when you have turnover at a front desk.

"It is an easy system to use. Very user friendly, especially for onboarding new employees to use."

Support. Some reviewers single out the support team as a reason to stay.

"Best support of any software I've ever used, worth it just for that alone."

Notice who is speaking in these quotes: owners, directors, executive assistants, and staff in health, wellness and fitness. That is useful context. A high score from studio operators tells you the product does its job for studio operators. It tells you much less about running a six-month online program. Since Mindbody also has a consumer app, some public reviews may come from people booking classes and not from business owners, so read carefully before treating the number as a verdict for your situation.

On complaints, read recent one-star and two-star reviews yourself, and filter for the issues that would hurt you. Mindbody's own homepage links to a post on what users say about pricing, ease of use, small business value, growth and support, which suggests where the conversation sits. Separately from any reviewer's opinion, these documented terms deserve the most scrutiny:

  • Upper plans have no published price, so you cannot compare costs before a sales conversation.
  • Term contracts auto-renew, and you need to give 30 days' notice to cancel.
  • The core marketing automation sits on the top standard plan.
  • Not all features are available in all regions or on all tiers, according to Mindbody's fine print.

For comparison, Coachful holds 4.5 on Trustpilot from only 21 reviews, a far smaller base than Mindbody's, so weigh that accordingly. See our reviews page for more on Coachful.

What are the pros and cons of Mindbody?

Mindbody's main advantages are its scope for physical businesses and its consumer reach. Its main drawbacks for coaches are the opaque upper pricing, the contract terms and the lack of a documented program-delivery layer.

Who is Mindbody best for?

Mindbody is best for a business with premises, a timetable and staff. If that describes you, it deserves a place on your shortlist, and it may well win.

Choose Mindbody if you:

  • Run a yoga, pilates, barre, dance or martial arts studio, a gym, a spa or a salon.
  • Have several instructors or therapists and need substitutions, permissions and payroll data.
  • Depend on local discovery and want to be listed where people already search for classes.
  • Manage rooms, equipment, retail stock or door access.
  • Run several locations or a franchise and want corporate-level controls.

Skip Mindbody if you:

  • Coach online, one-to-one or in cohorts, with no premises to manage.
  • Sell outcomes over weeks or months and not individual visits.
  • Want to see the price of every plan before speaking with sales.
  • Do not want a long contract while your business model is still changing.
  • Need courses, a community and client habit tracking in the same product.

The hybrid case. Some readers sit in the middle, such as a personal trainer with a small studio and an online program. If most of your revenue comes through the door, start with studio software. If the online program is where you are headed, weigh a coaching platform first and handle in-person sessions through its booking pages. Our page for fitness coaches shows how that looks in Coachful.

A note on health and wellness. Mindbody lists med spas, chiropractic and physical therapy among its business types, and these can carry clinical record duties. Coachful is not HIPAA-certified, offers no BAA and is not for clinical record-keeping or insurance billing. Coaching is not treatment. A health coach should refer clients to a licensed clinician for diagnosis, medication, injury or pain, or signs of an eating disorder. Whichever software you consider, ask the vendor how it handles health data, and check your obligations with an attorney where they vary.

What are the best alternatives to Mindbody?

For coaches who deliver programs, we recommend Coachful, because it puts the whole client journey behind one login. If you want to stay with studio-shaped software, Momence and Arketa are the two to look at. The table compares them on what you would actually ask a salesperson.

Coachful: the pick for coaches who deliver programs

Laptop and phone in a home office showing a client's enrolled program and coaching progress
Coachful's client Programs view on a laptop and the client's My Coaching progress page on a phone, with demo data.

What it is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community and group coaching, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your client. The company is based in Tallinn, Estonia.

Who it is for. Coaches who deliver programs and not only sessions, solo coaches growing into a small team, and coaches replacing four to six separate tools.

What it adds compared with Mindbody. A client record that shows goals, check-ins, habits, notes and sessions together, with a status of thriving, active, quiet or at risk. Courses with drip and completion tracking. Cohort groups created automatically on program enrollment. Michelle, the built-in assistant, works from your live practice data to draft programs and emails, summarize recorded sessions and brief you before a call. Questions and planning are included in the membership, and confirmed builds and changes use AI credits.

What it does not do. There is no PayPal and no permanent free plan, though there is a free trial. It is not HIPAA-certified. It does not bring local discovery traffic the way Mindbody's app does, and it is not built around a front desk, retail stock, door access or room booking. It has no multi-stage deal board for large sales teams and no Salesforce or HubSpot integration. Garmin, Fitbit, Whoop and Oura data does not sync.

Why Coachful stands out: a free white-glove service. Setup work can make switching software feel bigger than it is. On every plan, you can describe what you want from Create, attach reference links and files, and the Coachful team builds it inside your own account, usually within about 24 hours. That can be a website, funnel, sales page, program, email sequence and more. Nothing is invented, so gaps in your credentials, testimonials or prices are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. In one recent anonymized build, a leadership coach with a website renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the white-glove service. Clients, programs and content are also imported for you during onboarding.

Momence: closest studio-shaped option

Momence is studio and class business software covering booking, memberships, packs and marketing, built around classes and appointments and not around one-to-one coaching programs. It publishes no prices and quotes after a conversation, so you face a similar sales process. Trustpilot showed 4.1 from 420 reviews on October 25, 2026. Pick it over Coachful if you run a class-based studio and want software shaped around it. See our Momence vs Mindbody comparison.

Arketa: lower published entry for instructors

Arketa is booking and studio management software for fitness and wellness studios and instructors. Its Individual plan is listed at $49 a month billed annually, for one login and one location, and it adds a 3% transaction fee on top of Stripe (US 2.9% + $0.30). A branded app, the marketing suite and a website are add-ons or top-tier features with unpublished prices. Its 2.6 Trustpilot score comes from only 7 reviews, seen on October 25, 2026, which is too few to read much into. Pick it over Coachful if you teach classes and want a low studio-style entry point. See our Arketa vs Mindbody comparison.

What is our final verdict on Mindbody?

Mindbody is a good product for the business it was built for, and a poor default for most coaches. A studio owner with staff, a timetable and local customers should take a demo seriously. The unlimited users, staff tools, integrations and consumer reach are real advantages, and its public rating backs that up.

A coach should think harder before signing. You would be committing to a term contract or a 90-day minimum, paying per location for a business that may not have one, and adding other products for the part of the work your clients value most. Automated email and lead tools would sit behind a quote-only plan.

For coaches who deliver programs, our recommendation is Coachful: one login and one branded client app for the whole journey, plans you can see before you talk to anyone, a 0% platform fee on payments, and a team that will build your first assets for you at no extra cost.

Frequently asked questions about Mindbody

Is Mindbody worth it for coaches?

For most online and program-based coaches, probably not. Its published features center on classes, appointments, staff and locations, and Mindbody itself says it may not fit one-person operators with basic needs. It is more likely to be worth it if you run a physical studio and coach within it.

How much does Mindbody cost per month?

Mindbody starts at $79 a month per location in North America and Asia, as listed in October 2026. Accelerate, Ultimate and Enterprise are quote only. Payment processing, marketplace fees and add-ons are extra.

Does Mindbody have a free trial or free plan?

No free plan is listed, and the route in is a demo and not a self-serve trial. Mindbody does say there is no onboarding fee on any plan. Ask for the contract terms during the demo so you can compare the full commitment.

Can you cancel Mindbody at any time?

Not freely. Contracts run 12, 24 or 36 months, or month-to-month with a 90-day minimum, and they auto-renew unless you give 30 days' notice. Put your notice date in a calendar when you sign, and check early-exit terms with an attorney if the amount is significant.

Does the Mindbody app take a commission?

Yes. The Mindbody app charges 20%, capped at $30, on a new client's first purchase, as listed in October 2026. For example, that is $4 on a $20 class and $30 on anything of $150 or more. Mindbody says there is no fee when an existing client books through the app, when someone arrives by a tracked referral link or names you as how they found your business, and that every booking after the first is commission-free.

Is Mindbody good for one-to-one coaching?

It can schedule and take payment for appointments, so it works for simple one-to-one sessions. We found no listed features for habits, check-ins or multi-week programs, and Mindbody names Trainerize as an integration for digital coaching. If the work between sessions is your product, a coaching platform fits better.

What is the best Mindbody alternative for coaches?

We recommend Coachful for coaches who deliver programs, since booking, payments, agreements, programs, courses, community, website and email sit behind one login. Momence and Arketa are closer substitutes if you run classes. Our guide to Mindbody alternatives covers more options.

What is Coachful's white-glove service?

It is a free build service on every Coachful plan. You describe what you want, such as a website, funnel, program or email sequence, and attach references, and the team builds it inside your account, usually within about 24 hours. It leaves gaps for you to fill and does not invent credentials, testimonials or prices. Videos, logos, ads and ongoing marketing are not included.

Is Mindbody or Coachful suitable for clinical records?

Coachful is not suitable: it is not HIPAA-certified, offers no BAA and does not handle insurance billing, so clinical records belong in a clinical system. Mindbody lists physical therapy and chiropractic among its business types, but we did not verify its compliance terms. Ask the vendor directly and get the answer in writing.
