Healthie vs upcoach: Which Fits Coaches in 2026?

Healthie vs upcoach: Which Fits Coaches in 2026?

Healthie vs upcoach comes down to what you sell. Healthie is practice management and telehealth built for dietitians, nutrition and wellness providers, with a HIPAA business associate agreement that takes effect when you create the account. upcoach is a group and cohort program platform with progress dashboards and AI reports, priced by participants and charging a 1 to 2% transaction fee below its top self-serve plan. If you need charting and HIPAA, Healthie fits. If you run structured group programs, upcoach fits. If you coach rather than treat and want booking, payments, programs, community and a website under one login, a third option fits better than either, and we cover it honestly at the end.

We make Coachful, so read our verdicts with that in mind. Every vendor fact below comes from the vendors' own pricing pages and documentation as listed in October 2026, or from public review sites, and we say which. We have not run paid accounts on Healthie or upcoach; where something is unclear from their published material, we say so.

Healthie vs upcoach: what is the short answer for each kind of coach?

Pick Healthie if your work touches clinical territory; pick upcoach if your business is cohort programs delivered to groups or corporate clients. Most independent coaches sit between those two, which is where both tools start to feel like the wrong shape.

  • Registered dietitian or licensed nutrition professional: Healthie. It is built for charting, has the BAA in place by default, and offers insurance claims and e-prescribing as add-ons.
  • Health coach who wants clinical-style intake and a client portal: Healthie, if you genuinely need HIPAA coverage. Otherwise you will pay for clinical depth you do not use.
  • Coach running group programs for companies or cohorts: upcoach. Its plans are built around participants, team seats and roles such as Admin, Facilitator and Sponsor.
  • Solo coach selling 1:1 packages plus a program or course: neither is ideal. Healthie lacks a sales website and funnels; upcoach lacks contracts and invoicing according to its older profile, and takes a cut of payments on lower plans.
  • Coach replacing four to six tools (booking, payments, contracts, courses, community, website, email): a coaching platform such as Coachful is the closer match.

The rest of this article backs up those calls with prices, fees and features, then shows where Coachful wins and where it does not.

How do Healthie and upcoach compare side by side?

Healthie is the deeper clinical tool; upcoach is the deeper group program tool; neither covers the whole client journey from first website visit to signed agreement to between-session habits.

We rank on four criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build).

Two things stand out. First, the tools barely overlap: Healthie's strengths (BAA, charting, claims) and upcoach's strengths (participant dashboards, roles, AI impact reports) are aimed at different buyers. Second, both leave gaps a solo coach usually fills with other subscriptions: a website, email marketing, a contract tool, a course platform. For more context on each tool against other options, see Practice Better vs Healthie and our upcoach alternatives ranking.

What do Healthie and upcoach cost in 2026?

Healthie starts lower ($19.99 a month for up to 10 active clients) and stays cheaper per client as you grow; upcoach starts at $49 a month for 25 participants and adds a transaction fee until its $399 Scale plan. These are the plans as listed in October 2026.

A few pricing details worth knowing before you sign up:

  • upcoach's annual toggle: the page says "2 months free" but the annual totals shown equal 12 times the monthly price. Ask before paying annually.
  • upcoach add-ons: extra participants are $99 a month per 100 and extra seats are $99 a month, both only on Business and Scale. Pro cannot add seats.
  • Healthie add-ons: ClaimMD insurance claims (listed as $30 a month, or $25 a month plus a $50 to $100 setup fee), DoseSpot e-prescribing at $40 per clinician per month, an inbound eFax line at $10 a month, and AI charting with no published price. Healthie's plan cards and comparison table disagree on which tier includes online programs and ClaimMD, so confirm with sales if programs matter to you.
  • Processing: both run payments through Stripe. Healthie lists Stripe's 2.9% + $0.30; upcoach adds its own 1 to 2% on top below Scale.

What would a real practice pay? Three worked examples

These are illustrative examples, not quotes. They use list prices from October 2026 and an assumed revenue figure so you can see how the transaction fee changes the math. Stripe processing applies on all three tools and is left out so the comparison stays clean.

On subscription price alone, Healthie Essentials is hard to beat for a solo practice. The catch is everything Healthie does not include for a coach: a website, funnels, email marketing, a course area and a community. Add a website builder, an email tool and a course platform and the stack cost changes. upcoach's fee is the bigger issue: it grows with your revenue, so your most successful months cost the most. For the full breakdown, read upcoach pricing in 2026.

How do scheduling and sessions compare?

Healthie has a full booking and telehealth setup built for appointments; upcoach's published material centers on programs and participants rather than a session booking engine. If 1:1 sessions are most of your revenue, Healthie is the stronger of the two here.

Healthie's published material presents booking, a client portal and telehealth as core parts of the product. That reflects its origin: dietitians and wellness providers who see clients on a schedule and chart each visit. upcoach's pricing page lists unlimited programs, progress dashboards, AI insights and team seats, not booking rules, buffers or calendar sync. It may handle sessions inside programs, but its plans are not sold on that, so test it during the 14-day trial with your real calendar before committing.

For comparison, Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync. Sessions get built-in video or auto-created Zoom, Meet or Teams links, email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled, intake questions at booking, paid sessions and session credits. Multi-coach session types can assign by round-robin or least-busy. See Coachful's scheduling software for details.

How do programs and group coaching compare?

upcoach wins this round between the two: programs are its core product and every plan includes unlimited programs with progress dashboards. Healthie offers online programs, but its own pricing page is inconsistent about which tier includes them.

upcoach is designed for structured, multi-session programs delivered to groups, often for organizations. The role model (Admin, Facilitator, Sponsor from Pro upward) suits a firm running leadership cohorts for a client company, where the sponsor wants to see progress without seeing private notes. AI impact reports (3 a month on Starter, 15 on Pro, 50 on Business) summarize progress, and every plan now includes access through Claude or ChatGPT via MCP.

Healthie's programs are more of an add-on to a clinical practice: content and check-ins between appointments. Useful for a dietitian sending weekly education, less suited to a 12-week group cohort with community and live calls.

Coachful sits closer to upcoach on delivery, with more daily structure: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Enrolling a client in a program automatically creates a cohort group, with a community feed, group chat, direct messages and video events. If you also sell courses, Coachful includes modules, lessons, drip release and completion tracking. Compare the approaches in upcoach vs Kajabi and see Coachful's group coaching software.

How do payments, contracts and invoicing compare?

Healthie handles payments through Stripe with no extra platform fee listed; upcoach also uses Stripe but adds 1 to 2% below Scale and, according to its older profile, does not do contracts or invoicing. Neither offers PayPal in the published material we reviewed.

For a coach, the contract matters as much as the payment. A coaching agreement sets scope, cancellation terms and the line between coaching and therapy or medical care. If your platform does not send and store it, you need another tool such as an e-signature service, which adds a step for the client before the first session.

Coachful runs payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax. Every transaction gets an invoice, and you can send manual invoices. Since August 2026 there is a 0% Coachful platform fee, so you pay only Stripe or Razorpay processing. Coaching agreements with e-signature go out before the first call and are stored on the client record. Coachful does not support PayPal. Read more on coaching payment software and coaching contracts.

Do you need HIPAA, and which tool handles it?

Healthie handles HIPAA: its BAA takes effect automatically when the account is created. upcoach does not state HIPAA coverage on its pricing page, and Coachful is not HIPAA-certified. Whether you need it depends on whether you are a covered entity, not on whether you talk about health.

Under HIPAA, covered entities are health plans, health care clearinghouses and health care providers who transmit health information electronically in connection with standard transactions such as insurance billing. The U.S. Department of Health and Human Services explains who qualifies on its covered entities guidance, and Wikipedia's HIPAA overview gives useful background. Many health coaches who are paid directly by clients and do not bill insurance are not covered entities. Some are, for example when working inside a clinic or under a provider. If you are unsure, check with an attorney who works with health businesses.

Scope matters as much as software. Coaching is not medical treatment, diagnosis or therapy. A health or nutrition coach supports behavior change; a doctor, registered dietitian or licensed therapist treats conditions. Refer out when a client reports symptoms that have not been assessed, disordered eating, medication changes, pregnancy complications, chest pain or dizziness during exercise, or thoughts of self-harm. If your practice needs clinical records, insurance billing or e-prescribing, those belong in a clinical system like Healthie, and Coachful is the wrong tool for them. For a wider look at clinical options, see Healthie vs SimplePractice.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What do clients experience in each tool?

Healthie clients get a client portal built around appointments, forms and messages; upcoach participants get a program experience built around sessions, progress and group work, with a branded app store app only on Enterprise. The client side is where coaching tools win or lose renewals.

In Healthie, the client portal works like a modern patient portal, built around booking, telehealth calls and payments. That is reassuring for clients of a clinical practice, and a bit formal for a coaching relationship that runs on daily momentum.

In upcoach, participants move through program content and see their progress, and brand colors, logo and a custom domain arrive on Pro. A fully branded mobile app in the app stores is listed only on Enterprise, which is quote-based.

In Coachful, the client gets one branded home and app (your branding inside the Coachful app, not your own App Store listing): the next session, pre-session tasks, programs, habits, goals, check-ins, courses, community and documents in one place. Coaches can also switch on an AI Coach, an AI version of themselves that selected clients can chat with between sessions, configured by the coach.

How do the AI features compare?

upcoach's AI produces progress insights and impact reports and connects to Claude or ChatGPT through MCP; Healthie offers AI charting with no published price. Both are useful, and both are narrower than an assistant that works across the whole practice.

upcoach's AI impact reports are capped by plan (3, 15 or 50 a month), which suits a coach who reports to sponsors. Healthie's AI charting helps clinicians write notes faster, a clinical task coaches mostly do not have.

Coachful's built-in assistant, Michelle, works from your live practice data. It can build programs, draft emails and content, summarize recorded sessions, brief you before each session, and give optional private feedback on your own coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you are working toward an ICF credential, Coachful also counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log. Which should you pick: Healthie or upcoach?

Choose Healthie if you are a licensed provider or need HIPAA; choose upcoach if you run group programs for organizations and can live with the transaction fee or afford Scale. For everyone else, look at what each one leaves out.

Pick Healthie if...

  • You are a registered dietitian, nutritionist or wellness clinician who charts visits.
  • You need a BAA, or you bill insurance (ClaimMD add-on) or prescribe (DoseSpot add-on).
  • You want the lowest subscription price for a large 1:1 roster: Essentials covers up to 250 active clients at $49.99 a month.
  • You already have a website and email tool you are happy with.

Pick upcoach if...

  • You deliver cohort or leadership programs to companies and need Sponsor or Facilitator roles.
  • You want AI impact reports to show results to a paying organization.
  • You have a team of facilitators and can justify Business or Scale.
  • Your contracts and invoices already live elsewhere.

Avoid both if...

  • You are a solo coach who sells packages and programs directly to individuals.
  • You want your website, funnels, email, booking, contracts and delivery under one login.
  • You want your client's daily habits, check-ins and community in the same app as their sessions.

Is there a third option that beats both? Coachful, honestly

For coaches who coach rather than treat, Coachful beats both on scope: one subscription covers what Healthie and upcoach each cover in part, plus the website, funnels and email neither includes. It loses to Healthie on anything clinical and to upcoach on sponsor-facing enterprise reporting.

Coachful's client dashboard on a laptop next to a client's group program view on a tablet

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. The company is based in Tallinn, Estonia, and holds a Trustpilot rating of 4.5 from 21 reviews.

Here is a short walkthrough of how programs are built and delivered inside Coachful:

Where Coachful beats Healthie and upcoach

  • One login for the whole client journey. A visitor finds your section-based website (30 designed homepage templates, a blog, custom domain, SEO settings), books through a funnel, pays through your Stripe, signs the agreement, and lands in programs, habits and community in the same app.
  • Between-session delivery. Daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks keep clients moving between calls. The client record shows goals, check-ins, notes, intake answers, payments and a status of thriving, active, quiet or at risk, plus an AI briefing per client.
  • Total stack cost. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits are included in your Coachful membership, as are courses and community, so there is no separate email or course tool. And there is no Coachful platform fee on payments, unlike upcoach below Scale.
  • Marketing reach. A social planner schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar, and Instagram automations can reply to a keyword comment with your booking link or lead magnet in a DM.
  • Fitness and nutrition delivery. The Fitness & Nutrition pack adds a workout builder with an illustrated exercise library, workout logging with PRs, nutrition targets, meal plans, recipes, barcode scanning, progress photos and form-check video. Coaches attach their own demo videos. See Fitness & Nutrition and Coachful for health coaches.
  • Templates. More than 40 ready-to-film program templates, 48 course templates with quizzes and about 25 funnel templates.

Where Coachful does not beat them

  • Clinical work: Coachful is not HIPAA-certified, signs no BAA, and does not do charting, insurance billing or e-prescribing. Healthie wins.
  • Enterprise sponsor reporting: if a corporate buyer wants Sponsor-role access and AI impact reports, upcoach is built for that. Coachful has no multi-stage deal board and no Salesforce or HubSpot integration.
  • Own app store listing: Coachful's client app carries your branding inside the Coachful app. upcoach Enterprise offers its own app store app.
  • Wearables: no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available.
  • Payments and plans: no PayPal, and no permanent free plan, though there is a free trial.

Why Coachful stands out: a free white-glove service. On every plan, you can go to Create, then "We'll build it for you · FREE", describe what you want, attach up to 8 reference links and up to 10 files (logos, photos, brand guides, copy), and the Coachful team builds it inside your account, usually within about 24 hours. That can be a website, funnel, sales page, program, course outline and written material, email sequence, form, lead quiz or automation. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. Recent builds include a five-page site in sage and cream for a menopause and midlife health coach starting from nothing, with every button leading to a free 20-minute consultation, and a 12-week mentorship sales page, start-up-guide funnel and rewritten follow-up emails for a business mentor to beauty professionals. It does not cover recording videos, logo design, ad management or ongoing marketing. Details are in our white-glove service guide.

How hard is it to switch from Healthie or upcoach?

Leaving upcoach is simpler on the data side: its older profile documents a client CSV export including custom fields from the Admin Panel. Healthie's data export was not confirmed from its official documentation, so ask support before you commit or before you leave.

Whichever direction you move, plan the switch around your clients, not the software. Pick a start date between program cycles, export your client list and any notes you are allowed to move, re-create recurring payments in your own Stripe account, and send clients one clear message with the new login. If clinical records are involved, keep them in a clinical system rather than moving them into a coaching tool. If you move to Coachful, clients, programs and content are imported for you during onboarding.

Frequently asked questions

Is Healthie or upcoach better for health coaches?

Healthie is better if you need HIPAA coverage, charting or insurance claims, because its BAA takes effect at signup. upcoach is better only if your health coaching runs as group cohorts. Health coaches who do not bill insurance and want programs, booking and a website together often find a coaching platform a better fit than either.

Which is cheaper, Healthie or upcoach?

Healthie is cheaper in most cases as listed in October 2026: Core is $19.99 a month for up to 10 active clients and Essentials is $49.99 for up to 250. upcoach starts at $49 for 25 participants and adds a 1 to 2% transaction fee below its $399 Scale plan, so its cost grows with your revenue.

Does upcoach charge transaction fees?

Yes. upcoach takes 2% on Starter and 1% on Pro and Business, on top of Stripe processing. Scale and Enterprise have no upcoach fee.

Is Healthie HIPAA compliant?

Healthie states that its business associate agreement takes effect automatically when you create an account. That makes it suitable for covered entities, though compliance also depends on how you use it. Check your obligations with an attorney if you are unsure.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA. It is built for coaching, so clinical records, insurance billing and prescriptions belong in a clinical system such as Healthie.

Can I run group coaching programs in Healthie?

Healthie offers online programs, but its plan cards and comparison table disagree on which tier includes them, so confirm with Healthie before choosing a plan. It is built around 1:1 appointments and charting rather than cohorts with community.

Does upcoach have contracts and invoicing?

According to its older public profile, upcoach does not include contracts or invoicing. Coaches using it typically add a separate e-signature and invoicing tool.

What is Coachful's free white-glove service?

It is a done-for-you build included on every Coachful plan. You describe your website, funnel, program, course outline, email sequence or form, attach references and files, and the team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.

Can I try Healthie, upcoach or Coachful before paying?

Yes. Healthie lists a free trial, upcoach offers 14 days with no card plus a 14-day money-back guarantee on the first paid subscription, and Coachful offers a free trial. Use the trial with a real client workflow, not just a tour.

Which tool should a new coach start with?

A new coach usually needs a website, booking, payments, an agreement and a way to deliver a first program more than clinical charting or enterprise reporting. That points to an all-in-one coaching platform; see Coachful for new coaches. Add Healthie only if you are a licensed provider who needs HIPAA.
